  • Frustrated that the pdf file from your carefully created planner is huge, making your digital planner laggy? I have the solution! I had this same issue, but after much trial and error I figured out how to create a lag-free digital planner. Watch this short tutorial to learn how to reduce the size of the exported pdf file from keynote from a size like 200 Mb to just 8 Mb, making it lag-free, all within Keynote.

    For those of you who just created the large file planner from her previous video and want to keep it but make it lag free, here's how I made the changes since I didn't want to start a new presentation:
    Once all of the slides were on the new template I saved them as a jpg (as she explains in this video.) I didn't want to start a 'new presentation' since I already did all of the work from the previous video (hours of plugging in those links!) So using my existing file, I swapped out the slides on the master to the jpgs. However, since the month layout was not on the master I did this: From the navigator, copy the month name (January) and then delete it. Go to Image Fill and change it to No Fill (you will see a black screen but all of the links remain!!) "Drag in" the monthly jpg then paste back in the month name. Do the same to the rest of the months and then you're Done! It's now at 7.6 MB, looks great, and all of the links work!! Hope that helps!

      I'm so glad you found it helpful. Yes, it's still relevant as far as creating a template presentation and then the presentation with the links. At least if your planner has lots of layers in it. If you create a planner that doesn't have a realistic look, meaning no stacked pages and rings and such, then you're not using as many layers and can probably get away with just doing one presentation and not having the size be too large. However, the best way to get a small file size is to do it the way I show in the video. At least, that's been my experience.

      True! Some people only want to know how to make a basic planner, so this video is for more advanced creators. A tutorial I created more recently combines the steps.

    Hello, I have completed my first digital planner with active hyperlinks, thanks to your videos. I've made a few in the past but could never get the hyperlinks to work, anywho, thats all behind me now. Now my question: in compressing/decreasing this file size, do I use the original file I created (the digital notebook) and follow along in this video or is it best to duplicate this file and then follow along in this video?

      I would keep the file that has all the links, since that's the most time consuming part of the process, and create a new file that you will then export as images into the file with the links. Does that make sense?

    Can I ask, if we are creating links and boxes to house those links on the images we upload here, is there any point in creating all the links on the previous video on the initial planner?

    Hi! I tried saving my slides as images (JPEG highest quality) however, the images are grainy/distorted. Any advice or direction?

      I've had a few people comment that their exported images came out blurry. By any chance, did you choose to reduce the file size within Keynote before you exported? If so, this could cause this issue. If not, did you make sure and choose the dimensions of your iPad when you created your Template presentation?     I have a question please. I can’t find any file except the image file and I want to change colors. Can I make a matching planner and then copy and paste all the links so I don’t have to do them all again? Thank you 😊

      If you want to change the look of a planner and apply that to an existing planner, you can. I do it all the time.
      Make the changes in the presentation you're using as your template and export the images. (Before I make the changes, I duplicate the existing slide so that I don't lose that look, and then make the changes).
      Make a copy of the presentation that has all the links, then in this copy, import the new images.

    Can I make this then work in goodnotes? I have tried and it won’t work for me, I am curious if anyone else succeed doing so

      I know GoodNotes has a bug where sometimes links don't work. I've found that if I close GoodNotes and reopen it, then open the planner, the links will start to work. I recently moved away from GoodNotes and have been using Noteshelf 3.

      GoodNotes 6 has a bug where links don't work sometimes. I've actually switched to using Noteshelf 3.

    I am a bit confused on the daily links. The little blue squares, you linked to "daily spreads" starting with slide 73, but they are undated, so if someone clicks one, say a Tuesday in July and writes in July 11, for the date..which is a Wednesday, then the next time they click the original "Tuesday" blue square it will take them to July 11, which is actually Wednesday..correct? If they keep doing this, their daily spreads will be off.. :(
    Isn't it pretty much a dated planner if you are putting in those links for each individual square - linked to a specific daily page, you might as well add a date in each blue box and put the date on the daily spreads as well, since you are linking each one as well? Or am I missing something? Thanks

      In your example, you talk about clicking on Tuesday but putting in a date that corresponds with Wednesday. I'm not sure why someone would do that. The idea with the undated planner is to allow a person to use the planner year after year. They would keep a clean, unused copy of the pdf, and when it's a new year they would use a fresh copy, and in that fresh copy they would enter the appropriate dates for that year. Does that make sense? If someone doesn't want to go to that trouble, then they would buy a dated planner, but they would have to buy one each year.

    Hey! I just finished my planner like youteached me but now I want to use it in keynote and then I can't write on my daily spread because its a master page. how should I do?

      Once you finish creating your planner, you export it from Keynote as a pdf file. Then to use it as a planner, you need to import it into an app like GoodNotes. That's where you can write on it.

    Hi Christine, I'm currently planning my 2023 planner and I'm having an issue adding the links. I put down the shape, then hit cmd+k and the blue arrow appears, but no menu to add the link.

      Try going to the top left corner of Keynote and reduce the percentage of the display so that the slide isn't filling the screen. Let me know if that fixes it!

    I used the box with no color fill for hyperlinks. Once I changed it into a pdf I can see those boxes because there is a little outline like a boarder even with no color fill. Is there a way to make these invisible so you don’t see them on the pdf? It looks a little messy to me. Thank you.

      I'm not sure why that's happening. The only time I've seen it is if I have an extra box that needs to be deleted, so maybe check for that.

    Do you find the text in your planner becomes pixilated when you really make it large? Im trying to find a way to avoid that.

      I haven't found that. Are you talking about text in the image that you've exported? If so, make sure you're not choosing to reduce the file size within Keynote. If this isn't what you mean, please elaborate.

      As long as you're not removing a linked page from the planner while in GoodNotes (which will break the link to that page), you can add pages and still have the links work correctly.

      The only time that happened to me was when I used circles instead of squares or rectangles for my shapes where I tied the links. Does that make sense? Other than that, I haven’t run into that issue.

    I'm trying to create a Reading Journal, I have Index, Reviews, To Be Read & Gallery. I would like the Index to be in alphabetical order (automatically) and the title of each book to be a link to it's review page - any idea how I'd go about that?

      If you need to change a master slide, you can change it (I'm assuming you have a separate Keynote presentation with your master slides), export the image, and then bring the image into your full presentation. Does that make sense?
      As far as making an index automatically be in alphabetical order, if you're adding the book titles once you're in GoodNotes (I'm assuming you won't know that titles until after you've created the Reading Journal), I don't know of a way to have GoodNotes automatically alphabetize.
      What I would do is create an index with blank fields, one for each book title you want to include, and then for each field have a review page linked to that field.

      @@puddytatpurr The only way I know of to move anything within GoodNotes that you've already written would be to use the lasso tool to copy whatever you've written on the original page and then copy to the replacement page.
