    Thank you for this super helpful and detailed. Unfortunately mine was still too big with the export to jpg so I picked the smaller jpg and thankfully that was much better. I was afraid the quality would not be very good but thankfully it seems the same as high quality jpg. Just in case someone else needs a work around 😉

    This is the best video tutorial on reducing file size and the use of master slides I’ve seen! Thank you so much! I have a very elaborate planner that is 650mb and I’m excited to try this method to see how much I can reduce it. [I didn’t know about master slides so each page is a separate build] xox

      Once you create the pdf, you will need to open it in an app that can mark up pdf files. Something like GoodNotes. That is where you enter all the info into your planner, add stickers, etc.

    Hiiiii! I love your planner tutorials, they are really awesome! I know you don't work on that, but I'd love to see a video tutorial of making flippable flashcards for studying. Like the one side has the question or the term and then it's hyperlinked to another slide which has the back and has the answers? It'd really be awesome if this could be entered in a note app in iOS or android like we do with planners ❤️

    Hi Christine! Very interesting tutorial! Do you think that creating a full planner first, then export it as images (then link it and export as Pdf)is the same like creating it by using master pages as pictures?(like you did in this tutorial)
    Don't know if my question makes sense 😅

      Hard to say. It's possible, but that seems like a lot more work. I'm assuming you created the planner in a different program. If you want to try it, I would still import the images of the master slide, the daily slide, the weekly slide, and the monthly slide into Master Slides in Keynote. If you give it a try, please let me know how it turns out!

    You are a godsend!!!!!!! After I’ve linked everything, will it mess up the links if I decide to add more slides in the middle of my presentation? Or will it all kind of adjust itself? Thanks again for this tutorial- I’ve searched everywhere for a solution to this problem. My first planner I made wouldn’t even export on my iPad because it was so big.

      I'm so happy it helped! I had the same issue with not being able to export. So frustrating! I was so thrilled to have figured it out!
      Adding slides after linking shouldn't mess things up. Keynote should adjust. You can check though, by inserting a slide into the middle, and then note the number of the slide that comes after the inserted slide, and then go to the place where you've created the link and make sure the right number is tied to it. Does that make sense?

    Excellent tutorial (along with the previous one). I'm currenly working on my planner, not finished yet. Of course mine is in french, as i am. I was wondering though, maybe you already have posted a tutorial on how you use your planner ? Meaning do you write down the day of month in the cells on the monthly view ? where do you write down all the things that are currently missing on this "undated" planner ? And for example the month of January does not always start on a sunday (monday for my case), so do you drop the corresponding link on the monthly view ? Thanks for your patience, your kindness, and in advance for your enlightening answers ! :)

      Thank you! As far as entering the day of the month, you can either write it in the cells on the monthly view or use a date dot-type sticker.
      With an undated planner, since you don’t know from year to year which days in the month view will need a corresponding daily spread, you create a daily spread for every box. This is why you end up with 35 daily spreads per month. Some will not be used, but you’ll have one linked to each box in the monthly spread. Does that make sense?

      You're welcome! You can duplicate slides in batches, so it doesn't take too long. It's the linking of slides that is really time consuming.

    Thank you for this tutorial! Super helpful! I was wondering if we move around the pages after adding the links will the links still work and lead to the proper page or will they get messed up? I'm thinking of adding the weekly and daily slides after their respective months and I'm wondering if I can do that after already assigning the links to the pages.

      You're welcome! The links should still work, but to be safe, what I would do is make a copy of your presentation and play around with the copy to make sure nothing breaks before you make changes to the original.

    This was really helpful, thank you. I have a question about the slide size that you might be able to answer. I have an ipad pro and my sister just bought an ipad 10.2". If I create a planner based on the size of my ipad, will it work on hers or will it not fit properly?

      You're welcome! I don't know for certain (I use an iPad Air 4), but I would think that it would and that GoodNotes or whatever app she uses would be able to adjust to the size. Still, to be certain, you could create one page of a planner, export it as a pdf, and have her open it on her ipad in whatever app she uses for pdf markup. If you wouldn't mind reporting back, that would be helpful for others who have the same question.

      @@PlannersbyChristine I made a planner using powerpoint and chose letter size (8.5 x 11") instead of going by pixels and it fits perfectly on either ipad. When I originally made one using pixels to match my screen size, the resolution was too high and the pen sizes were all very thin. That doesn't seem to be a problem with letter sized. Hope this is helpful to anyone having issues with that.

    Hello, I’ve found your videos a great learning tools. However, I’ve got stuck on exporting as images. Everytime I do the fonts are all out of focus and fuzzy on zoom in, not good enough to use to import into a notebook. I use screen size of the iPad Pro then once created selected export as high quality image. But it didn’t work for me. Is it that the newer version of keynote doesn’t support it like your version does? Not sure how to fix this. Can you help. Thanks 😊

      It's hard for me to know what caused that. I created this tutorial a couple of years ago, so it was an older version of Keynote, so that shouldn't matter. I'm sorry it's frustrating. If I think of a reason, I'll let you know.

    Your videos are awesome. You said “60 weekly spreads”. I’m confused. There are 52 weeks every year. If the week spans two months, are your links going to two differently weeks? If so, then how do you handle weeks like Jan 2022 where there are 6 weeks?

      Thank you! The reason there are more weekly spreads than you would expect is because it's an undated planner, so it's unknown which weeks overlap. In a dated planner, where you know exactly which dates are in which weeks and which ones overlap, you would only have 52.

    Hi Christine this was helpful. Do you also have an easier method for linking all the days to the daily templates? Another youtuber used a computer to copy the first month of links and when she pasted it on to the next month or automatically changed the respective slides. That doesn't work on iPad though. I really didn't want to link 300+ pages manually. Is that really what every digital planner creator is doing? How do you make do many at that rate? But again this was helpful.

      It is possible to copy and paste, but you'll want to make sure none of the links break. It's also imperative that the slide numbers are exactly the same between the two presentations. Even if you do create the links manually, you'll want to do it on a computer if at all possible because it is a lot faster to use Command-K to bring up the screen where you enter the slide number rather than scrolling down to the right slide number like you have to do on an iPad. But you have to use the tools you have.
      Another option, and something I do when I create multiple planners that have the same base elements (like the same monthly, weekly, and daily spreads, but not all the extras), is to do all the links in one of the presentations, then make a copy of the presentation and then either add or subtract the extra spreads (like an all-in-one planner vs a minimalist planner). This is one reason I put all the monthly, weekly, and daily spreads first, and then add any extras after that. Does that make sense? Please let me know if you have any other questions!

When i mentioned copy and paste i meant copy and paste the links from the calendar for each day to other days in a different calender monthly template but within the same presentation. Am i making sense? Or do i have to manually link the days in each calendar month to the respective daily page templates?

      @@Thehouseoftatum Do you mean, like, 2 January calendars? If so, then I would just copy the entire calendar. If it's for 2 different months, then that wouldn't work because you'd have two different dates tied to the same daily spread. So, yes, you have to manually link the days in each calendar month to their respective daily spreads. It's definitely time consuming -- the most time consuming part of creating a planner.

    Hello! IThanks for the video! In my case I’m testing my planner created y keynote. It’s not large, only 7,5MB. The problem is that between pages when you click an hyperlink it goes white the appears the page and it takes a while to focus in good quality. Is there any way to make that faster? Using other planners I see that it’s possible, but I don’t know why mine it goes a little bit slower.

      Are you using GoodNotes? Do you have a lot of data in there? If so, that could be making GoodNotes lag.

      @@PlannersbyChristine I think is my iPad. It’s an iPad Pro from 2017. When I check in Goodnotes the file with my iphone 12 pro it’s quite faster. So I guess it’s because I’m testing through an old device (I’ll buy a new iPad in few months)

    Hi!! I watched your first video in this series on how to create the actual planner. When linking, do you have to go through and create a link on each day of the month for all 12 months? Or is there a faster way to do this?

    For the linking: you do not need to link all slides. Just do one hole month inkl. the weeks and days that belong to this month and then dublicate all the slides. I think this must work and all the other months must linked to their weeks and days like the first one?

    So, do you keep one presentation with your design slides and a separate presentation file with your images? I guess if you decide there’s something you don’t like, you would have to go back to the design slides, right (not the image slides)?

      Yes, there are 2 separate presentations. The kind of change you're talking about though, like the look of a daily spread, I would make that change in the "Template" presentation, which is where I design the overall look of the commonly used slides, like the monthly, daily, and weekly spread and then export those to create the images that I then import into the presentation where all the slides and links are. It's a bit of extra work if I want to make a change, but it's worth it to keep the overall pdf file size significantly smaller. Does that make sense?

    Hello! I’ve been watching your videos the entire time I made my planner. I couldn’t get the master slide thing down pact, but I was able to just duplicate slides and make the changes. I created a full planner. Would I still do it the same way? Save my main slides as jpeg then add as master slides for new presentation . I hope I don’t have to create the entire planner over. Took me 2 days :(

      I ended up figuring it out . The question I have now is. In my Budget Planner, each month has the same set of pages. For example, January has (Index, Calendar, Monthly & Paycheck Budget, Sinking Funds, Denominations, & Update Sheet), per each month. When you duplicate the pages, should I duplicate them per month(in order with the included pages per month) , or duplicate them by just duplicating individual sheets? That may sound confusing.

      I think I understand your question. It's really just a personal preference thing. Some people like to be able to swipe within their planner and access everything tied to that month close together. That would be one reason to group the pages by month. Does that answer your question?

    Hello! Sorry a year late lol but I’m linking all of my boxes and realized that when I added my masters from my photos they already had the months typed in on the tabs and I can’t click them to see if they are still linked. They aren’t showing the blue arrows but won’t let me click them at all to see if they are still linked! Please help!

      You'll need to create the links in the presentation from which you'll be creating your pdf file (the second presentation) rather than from the presentation where you made the images (the template presentation). Let me know if you need further help.

      Did you toggle the control in the top right corner? If GoodNotes is set to allow you to write in the planner, then you either need to long-press the link to activate it, or toggle off the ability to write in the planner. Let me know if you still need help.

    Hi. I have a 600 page journal. Would I have to go back and make it all into images so I can have it lag free? If so how would my links work, If I have to click on certain part of the picture.

      Did you use Master Slides (now called Slide Layout)? If so, you should be able to replace those with images. And you may only have to use the flattened images on slides that you used a lot of. For example, in a daily spread where there are potentially 365 copies of it, you'd want to use a flattened image for that Master Slide.
      As far as links, since I don't know what your setup is, it's hard to say exactly, but every link has to have something to tie it to the page. However, if you used Master Slides, then you would have already done this. Maybe you can give me more info on what you've specifically done.

      @@PlannersbyChristine So my link work on every page except one once I export it out of Goodnotes. It work in Goodnotes but once I export it from Goodnotes, pdf editable it doesn’t work anymore.

      @@jasminejoyner9176 The tutorial shows you how to create the planner in Keynote and export it as a pdf. Once you've exported the pdf from Keynote and then import it into GoodNotes, it is beyond the scope of the tutorial. However, I do want to try to help you, but I'm not sure I'm understanding exactly what steps you're taking.
      What I think you're saying is that you create the planner in Keynote, export it as a pdf, import it into GoodNotes, at which point the links are working properly. At that point you export it out of GoodNotes and then the links are not working. Is that correct? If so, I don't know what happens in GoodNotes to break the links. Perhaps you can reach out to the support people at GoodNotes and see if they might know. One thought, when you export it out of GoodNotes, are you choosing pdf as the file type?

    I followed your tutorial but the images still turned out burry. I tried many different techniques but still end up burry. Anything you suggest I should try?

      There were some other people who had this issue, and it turned out they had reduced the file size within Keynote before exporting. If this is what you did, I don't know how to undo that. Perhaps try creating a brand-new Keynote presentation and create one of the slides and don't reduce the file size, and then export it and see if it comes out clear.

      @@kaylassweettreats1 It does not automatically reduce the file size. You have to choose that. Did you save the images to your camera roll? If so, try saving them as files instead and see if that makes a difference. Also, what kind of iPad do you have?

      Hmm. Not sure why that would happen as you're just exporting from Keynote as an image. What kind of iPad do you have? Also, is the image blurry when it initially comes out of Keynote? Or does it just look blurry once you bring it in to the new Keynote presentation? Or, at what point is it first blurry?

      ​@@zuniaberrydesigns6664 I assume you're exporting in high quality jpeg. One thing to try is, after you choose to export as an image, rather than saving it to your camera roll, save it to your files. And then on the new Keynote presentation, instead of bringing it in as an image in your Master Slides, choose to import and then navigate to where you saved those image files and bring them in one at a time. Let me know if that works!

Just a thought that this could be the reason. Maybe try creating a very basic master slide and try exporting it and don't reduce the file size and see if it exports as an image clearly.

    Update: So, I tried it and zoomed into the picture. It doesn’t look like it kept the image clear. It looks a bit pixilated. Is there anything I can do to make the images more clear when I zoom in?
    Someone shared this video to me because I really was puzzled about how to reduce the size of my presentation. It was over 600mb and I managed to reduce it down to 39mb but a really really hard way. Still too big. So, I’m going to try your way and see if it works. Thanks for this video!

      Make sure you don't use the Compress File Size option within Keynote before exporting, because that will affect the quality of the image. If you didn't do that and that's not the issue, try only exporting the background image, like the stacked pages and rings, as a flattened image, and then import that into your main Keynote file.
      Once you've imported the base image into your main Keynote file, then build out the different pages, like monthly spread, weekly spread, daily spread, in your Master slides (aka Edit Slide Layout). You could go into the other Keynote file, the one where you already built out those slides, and copy the spreads (excluding the stacked pages and rings), and then paste it into your main Keynote file (to save you from having to completely rebuild those layouts).
      Does this make sense? Please let me know how that goes.

      @@PlannersbyChristine Thank you. I did try this and for some reason, I started my first few slides and it’s already at 2MB. I think the images are being saved with the original MB size. It’s still a picture in my photos but it’s now a large file size picture.

    the hyperlinks that you created for the months do not work even in the video you can see the arrow has a different blue tone. The only way I have found for links is to add them in its individual "JAN" tab which means that it will take 100 of hours to create all the links.

      That is completely false. If you create the links to the monthly tabs in your master slide (Edit Slide Layout slide), and then use the master slide as the base for your other slides, the links on the monthly tabs will work. I have created multiple planners that I sell on my Etsy shop and all the links work and it did not take hundreds of hours to create the links. Have you tried creating the links in a master slide?

I have seen 2-3 videos about this including yours and when i add the links to the slide layout then they still do not work also one other youtuber said that when you export it as pdf links will still work but again when i export it they did not work in pdf. The only they work is when i go to each and every slide and add links separately which is inconvenient if you think that a planner like this has 100 of pages.

      I'm sorry you're having this issue. One suggestion is to make sure the box to which you're tying the link is large enough and/or in the right place. If it's too small or not covering the whole tab, it may be that your stylus isn't tapping the right spot. Other than that, I'm not sure what could be going wrong. If you figure it out, please let me know as it might help others who have the same issue.

      @@spanktb yes i did it on my ipad cause it does not work on laptop secondly when you want to test the links press the play button of the presentation otherwise they do not work. If you use goodnotes to use the links you need to press the middle button in the top right of goodnotes (when your are in edit mode with apple pencil you cannot use the links)

      Are you using the PDF in GoodNotes? If so, have you toggled off the option to write? That needs to be toggled off to be able to use the links. If it's not toggled off, you need to long-press to get the option to use a link.

    If there are 52 weeks in a year and 365 days then why have 60 and 420 slides?

      Because it’s an undated planner, you have to account for any one of the 35 boxes in every month being tied to a daily spread (35 x 12 = 420), and every one of the 5 weeks in every month being tied to a weekly spread. Does that make sense?

      I’m having issues too, my text is fuzzy! My file size was just the same, hoping Christine will spot my question in the comments. I’m wondering if it’s the difference between the keynote version she uses in this tutorial and the current version in 2024! Just a thought. But I did notice the size wasn’t much smaller, mine went from 214k to 200k! Though it was just a simple page template to try it out. 😊 🤞🏻
