      @@andrecamoes5325 Make sure you have selected a folder in Outlook. The "New folder" option may be grayed out if you haven't selected a folder in Outlook.
      Check if the folder you are trying to create the new folder in is full. If a folder has reached its size limit, you may not be able to create a new folder within it.
      Try repairing your Office installation. Sometimes, issues with the installation of Office can cause problems with Outlook. To repair your installation, go to the "Help" menu in any Office application, select "Troubleshooting", and then select "Quick Repair".
      Make sure that your Office 365 subscription is up-to-date. Sometimes, outdated versions of Office can cause problems with Outlook.
      Try creating a new folder from the web version of Outlook (outlook.office.com). If you can create a new folder from the web version, then the issue may be with your Outlook desktop application. If you still cannot create a new folder, the issue may be with your Office 365 subscription.
      If none of these solutions work, you may want to contact Microsoft Support for further assistance.

    Within outlook there should be a option named Preference which is not seeing, I need to change the, "email response notifications"- I need to choose "None" to remove all response options., can you help please ?
    in this case as well, do we need to revert to legacy and change the settings and come back to new one ?

      In the New Outlook for Mac (2024), the Preferences option has been replaced by a streamlined Settings menu. Here’s how to handle this:
      1. Change Email Response Notifications in New Outlook
      Open Outlook.
      Click on the Settings (gear icon) in the top-right corner.
      Navigate to Mail > Message Handling.
      Look for an option like "Email Response Notifications" or similar.
      Select None to remove all response options.
      2. Reverting to Legacy Outlook (if Necessary)
      If the option isn’t visible in the New Outlook:
      Open Help > Revert to Legacy Outlook.
      Go to Outlook Preferences > Notifications > Adjust response settings.
      Return to the New Outlook.
      If neither option is visible or settings are missing, ensure you’re on the latest version of Outlook and let me know for further steps! 😊

    Hi Dave, Thanks for the info on file folders.. ?? In the new version, My old deleted emails are suddenly reloading in my inbox. I keep my inbox up to date by either saving in folders or deleting them. Emails from the beginning of the year for example are reloading into my inbox. Any ideas on how to resolve?? TKS

    Hey, how can we make Outlook show the envelope icon when receiving new emails?

      Hello, hope you're doing well!
      If the envelope icon is not shown when you expected it to be shown, the first thing is to check if the option is still enabled;
      File-> Options-> section Mail-> option group: Message arrival-> option: Show an envelope icon in the taskbar
      To customize the Notification area icon,
      *Start > Settings > Personalization > Taskbar > Select which icons appear on the taskbar
      *Locate the entry for Microsoft Outlook that has the envelope icon.
      *Click on the “Off” toggle button to set it to “On” so that the icon won’t get hidden automatically anymore
      **Set the Taskbar to always the New Mail Envelope in the Notification Area.**

    Thank you very much for this information. Every few weeks, the old Outlook switches to this crap version of Outlook, which is absolutely unsuitable for professional work, without me being able to prevent it. But this film has helped me a lot to solve the important problem areas!

      Archiving emails in the new Outlook for Mac can be a bit different from previous versions. Here’s how you can do it:
      Manual Archiving:
      Select the emails you want to archive.
      Right-click and choose "Archive," or click on the "Archive" button in the toolbar.
      Using the Archive Folder:
      Outlook automatically creates an Archive folder where you can manually drag emails you wish to archive.
      Auto-Archive Feature:
      Currently, the new Outlook for Mac doesn't support auto-archiving. You'll need to manually archive or set up server-side rules if available.

    When I switch to Old Version from new version through revert ..... All my old emails started downloading again. And in my new version I have stopped receiving email in outlook. Pls help

      I’d recommend trying to log out of your “new” outlook and re add your account from scratch to see if that fixes your problem

    Nice video but did not solve my problem. Have used office 365 for six years on mac and all of a sudden 10 days ago it switched to offline for desktop (can still access online) but needless to say having been working with msft support since and been an absolute joke for help. We have uninstalled and even tried another 365 account to open on mac and it still will only come up as "offline" Any help is much appreciated!

Specifically, I am unable to create rules, use the 'categorize' feature or access the 'to-do' feature on the new outlook on my mac.       The limitations you’re experiencing in the new Outlook on your Mac, such as being unable to create rules, use the 'categorize' feature, or access the 'to-do' feature, are likely because you're using a Google (Gmail) account. These features are primarily available for Microsoft Exchange, Office 365, or Outlook.com accounts.
      Solutions
      Check Account Type:
      Verify the type of account in Outlook > Preferences > Accounts. Google accounts have limited functionality.
      Add a Microsoft Account:
      For full functionality, add an Exchange, Office 365, or Outlook.com account in Outlook > Preferences > Accounts > +.
      Use Gmail Web Interface:
      Set up rules directly in Gmail via Settings > See all settings > Filters and Blocked Addresses > Create a new filter.

    Hi,
    The website version groups the email conversation on the right side and shows each email in a section that can be expanded by clicking, making it easy to distinguish who the sender is. However, for the desktop version, they are grouped together like Gmail, all stacked together. Even the mobile Outlook has a better grouping/preview system than the Mac desktop version. Any thoughts on this?

      Have you tried the legacy version and seeing if that works better for you in terms of layout? You can also edit the layout in the settings tab under “file”

      Hi! Glad you found the video helpful! In the new Outlook for Mac, the categorization feature isn’t fully supported for IMAP accounts yet. As a workaround, you can create folders to organize your emails or use flags to mark important messages. Hopefully, Microsoft will bring back full categorization support soon for all account types!

    I tried to move an inbox email to archive and it's a success but email still shows in inbox like a duplicate copy. Is there any settings to correct this?
    Another concern is, when I tried to reply from an email, it push through but my message show as draft. Appreciate your help.

      I'd recommend reading through that for your first issue and see if you can find some clarity.
      For the second issue: Turn automatic saving of draft messages on or off or change how often drafts are saved. In the left pane, click Mail. Under Save messages, select or clear the Automatically save items that have not been sent after this many minutes check box. You can also use this option to change how often draft messages are saved.

    Hi, do you know how to change the smtp settings on outlook for mac 365, when you click on accounts there is no option to change the smtp, on legacy there is but not the 365 version. I changed legacy version but it doesn't automatically change the smtp settings on the 365 version so now legacy and 365 are both running different smtp settings!, any ideas how to simply change on 365? i'm afraid to add a new account for same email with different smtp as currently outlook is taking up so much space on macbook with all its duplications i'm afraid to overload the mac hard drive.

      I found an article walking you through how to navigate the SMTP settings on 365. I just tested it myself and was able to access the server settings in the "advanced" settings tab.

      @@indigosoftware9625 Thanks for trying to help i really appreciate it but i think we have different versions of Outlook for Mac, i'm using version 16.82, office home and business 2021, there is no "advanced button" anymore so no way to change the smtp. I can do it in legacy but when it switches over to the 365 version there seems to be no way to change the smtp. looks like i will have to delete account and re-enter with the smtp i want to use. my fear is outlook must be using about 350GB of a 500GB SSD so not sure if it will all crash when i enter same account again... familiar story of trying to mix Microsoft and Apple products and falling down in the middle!

    The Import/Export section on new Outlook for Mac 2016 is not available (not highlighted). How can I import an olm file with all my emails ? My pst/olm file is available in the old legacy outlook, but for some reason my ISP mails are no longer coming trough in the outlook legacy version. That's why I need to swapp to the new outlook version.

      If the Import/Export section is not available in the new Outlook for Mac 2016, you can try the following workaround to import your .olm file:
      Switch to Legacy Outlook:
      Open the legacy Outlook (the old version).
      Go to File > Import.
      Select Outlook for Mac archive file (.olm) and click Continue.
      Locate and select your .olm file, then follow the prompts to import it.
      Export to a .pst file in Legacy Outlook:
      If the import to the new Outlook isn't working, you can try exporting your emails to a .pst file in the legacy Outlook and then importing the .pst file into the new version.
      In the legacy Outlook, go to File > Export.
      Select Outlook for Mac Data File (.olm) and follow the prompts to export your emails.
      Set Up the New Outlook with Your ISP Email:
      Open the new Outlook.
      Go to Outlook > Preferences > Accounts.
      Add your ISP email account and ensure it's correctly configured to receive emails.
      Drag and Drop Emails (if necessary):
      If you manage to import your .olm file in the legacy Outlook and can see your emails, you can manually drag and drop emails from the legacy Outlook to the new Outlook if both are open and configured.

      Here are the steps for the Mac mail app:
      On your Mac, choose Apple Menu > System Settings, then click Focus in the sidebar. (You may need to scroll down.) ...
      Click a Focus on the right, then click Add Filter (below Focus Filters). ...
      Click Mail, select one or more accounts, then click Add

    Great video! i still have a problem.. I cant send anymore E-mails but i can receive them.. The error -108 appears saying about not enough memory which doesn't seems to be. how can i Fix this problem?

      The not enough memory Outlook error may occur when your Outlook messaging profile includes a Microsoft Exchange account that is configured to use Cached Exchange Mode, the Download Public Folder Favorites option is enabled, and you have lots of cached public folders

      Here's an answer directly from MS support. If updating your OS is an option I think that would help.
      1: Check your connection, make sure your outlook is connected at the lower-right corner of the Outlook window. Now activate Outlook once again by clicking "Online/ Offline" button.
      2: Remove the attachment of the email. if you’ve attached a large file to your email message, you may see it sitting in the outbox because it’s simply taking a while to send, and it may be blocking all subsequent emails from sending.
      3: send an email again, move the email from Outbox to Drafts folder. Open the email in the Drafts folder and click Send. Check to see if the message is now in the Sent folder or still in the outbox.
      4: if you changed your password recently, please try to type the new password in outlook to renew it: navigate to File> Account settings> Account settings, in the E-mail tab, choose the email account and click Change and type your new password in the password field.
      5:Try in Outlook web app see if the issue happens there also.
      If all the suggestions above don't work, in this case, we recommended that please contact the dedicated support channel for Outlook for Mac via clicking Help > Contact Support in the Outlook for Mac top menu. The dedicated support engineers there are dedicated to handling Outlook for Mac related problems and they will give you more assistance regarding your problem.

    I tried the new version which is fine for current IMAP emails but all my old emails that are archived and stored on my mac are no longer available, and so I reverted to the older version again. Is there any way to see those in the newer version?

      New outlook is still missing features, or has certain bugs. Unfortunately Legacy will be your only option to access those old emails for right now.

    Thank you for an informative video. I am unable to find the Outbox folder. I need to edit a scheduled email and can't. First, I am using Outlook provided by my organization having around 1200 employees. 2. There is no "account" email shown above the inbox, below Favorites. 3. The tabs I see on the top from top left to right are a) three lines, b) home, c) view, and d) help. I am trying to find a video to edit since the past 20 minutes but can't The only option is to send another email but that makes the person on the other end do the work twice. Thanks anyway.

      To locate the Outbox folder and edit a scheduled email in Outlook for Mac, follow these steps:
      Check for the Outbox Folder:
      Ensure the folder pane on the left side is expanded. If collapsed, click the small arrow or triangle next to your account name or "Inbox."
      If the folder pane is not visible:
      Go to the "View" tab.
      Select "Folder Pane" and ensure it is set to "Normal" or "On."
      Accessing and Editing the Scheduled Email:
      The scheduled email will be in the Outbox until it is sent.
      Open the Outbox folder, find the email, and double-click it to make edits.
      After editing, save it to send later or send it immediately.
      Using the Tabs:
      Home Tab: Access main email management options.
      View Tab: Customize the Outlook view and ensure the Folder Pane is visible.
      Help Tab: Search for "Outbox" or "Scheduled Email" for specific guidance.
      Using Search Function:
      Click the search bar at the top and type "Outbox" to locate it quickly.
      Check if the Email was Sent:
      If you suspect the email was sent, check the "Sent Items" folder.

      To access the AutoComplete setting, follow these steps:
      On the File menu, select Options.
      Select the Mail tab.
      Scroll approximately halfway down until you see Send messages. Make sure that the Use Auto-Complete List to suggest names when typing in the To, Cc, and Bcc lines box is checked.

      I appreciate the reply. There is no Options under the File menu, so I cannot do the rest. My IT guy and I were messing around with this yesterday, and the autocomplete is missing, which means that it's corrupt. He told me the only way we can repair my Outlook is to start from scratch, and I don't want to lose my email files.

    How do you create a meeting request for all participants in an outlook email on Mac. With a PC, it was simple -- you simply used "create meeting" button - but can't seem to find same option on Mac Outlook.

      Select Calendar > Meeting.
      Add attendees, a subject, and a location.
      Select Scheduling to see when everyone is free, and select a time that works.
      Select Appointment to go back and add an agenda to the meeting.
      Select Send.

    I don't have the "Preferences" option when you Click "Outlook" -> . I only have "Settings". And I've downloaded the latest greatest Outlook for Mac through my Microsoft 365 account. Any suggestions.

      Settings is just what Mac renamed the "preferences" menu on the latest updates. However it is functionally the same menu.

      We have 8 options listed below that could help with your issue:
      Check Account Permissions:
      Ensure both email accounts are set up with the correct permissions to move emails between them. Some email providers might restrict moving emails to another account.
      Update Outlook:
      Make sure your Outlook for Mac is updated to the latest version. Updates often fix bugs and improve functionality.
      Rebuild Outlook Database:
      Sometimes, the Outlook database may need to be rebuilt to fix issues. You can do this by:
      Close Outlook.
      Open the Microsoft Database Utility (located in /Applications/Microsoft Office/Office/).
      Select your profile and click "Rebuild."
      Check Email Server Settings:
      Verify that the email server settings for both accounts are configured correctly in Outlook. Ensure that both accounts support IMAP/POP protocols if you are moving emails between them.
      Drag and Drop Method:

      There are differences. The legacy version of Outlook for Mac is much more similar to windows.

    is there a way on the legacy to show the replied arrow so i know if i have replied to the email or not? also within the email on the right, there is no button to reply can that also be seen?

      Based on my tests in Outlook for Mac 2016 version, the reply/forward icon will show if you reply the email via the web version. Regarding to your problem, you can try to download

    I'm having difficulty having my alias on outlook shown when sending emails. Instead it stays on the default email name. This only appears to happen on Macs. Any reason why this is the case or does the Mac version simply not support the use of an alias?

      According to your description, if you want to send emails from Aliases on Outlook for Mac, you can simply add your alias in Outlook for Mac by referring Manage profiles or identities in Outlook for Mac (microsoft.com).       Yes, currently, the New Outlook for Mac does not have the option to automatically show all flagged emails at the top of your inbox, like the Windows version does. However, you can still view flagged emails by creating a search folder or by using the Filter option to quickly locate flagged messages.

    My wife uses Outlook on her Mac. When the new Outlook downloaded, on her IMAP account the Full Name changed from her name to her e mail address so when she sends an e mail, her Full Name is not shown on the e mail when the person receives it. There is no obvious way to change this on the new Outlook using Outlook/Settings/Account as the Full Name cannot be changed. If she reverts to Legacy Outlook, she can change her Full Name using Outlook/Settings/Account, but this Full Name is not brought across to the new Outlook when Legacy Outlook is closed. Any ideas please how to get her Full Name corrected on this new Outlook?

      This is a very annoying bug in Outlook for mac! Only fix I found is to disable the cloud sync feature which is enabled by default when adding IMAP accounts. Then you will be able to change the display name for the account again.
      Since cloud-sync is not a setting you can enable/disable you'll have to remove the IMAP accounts and add them again and make sure you disable the sync feature during the process. The interface is very obscure and you'll need to choose 'NOT IMAP' in the top right (go figure) to select IMAP without sync. You will lose features like search indexing on these accounts, though.

    In my outlook app on MBP, I am unable to attach any files. While if I revert to legacy outlook, I am able to upload files in my emails just fine. How can I fix this issue. I tried to log out and log in and quit the app multiple times but it does not solve the issue. Thanks

      Steps to Fix File Attachment Issue in New Outlook for Mac:
      Check App Permissions:

      In the latest version of Outlook for Mac, there isn't a built-in feature to automatically BCC someone on every email. However, you can create a rule as a workaround:
      Open Outlook and go to Tools > Rules.
      Create a New Rule for the account you want to auto-BCC.
      Set the rule to apply to all sent emails.
      Choose "Forward to" or "Redirect to" and enter the BCC email address.
      This will send a copy of all outgoing emails to the specified address, functioning as an auto-BCC.

    Hey, so i have a 25gb pst file from my old windows laptop and i recently bought a 2022 m2 air. On 2021 outlook the progress bar is frozen while importing the pst file. only way to end the progress is by force quitting outlook. Please help.

      Do you still have access to the old Windows laptop? It seems you'll need to use a .olm format rather than the .pst which is specific to Mac.

    I can't import the rest of mails in the folder I have created on Outlook which is saved/archived automatically in library. The app showed that one time there are on my computer folders to import then won't show and the import and export is not clicklable. How to import the rest cause now I have folders(archived folder and subfolders I created under on my computer) all imported but all empty only the inbox under on my computer is only the one with imported emails.

    I have an Imac last version, Outlook installed but suddenly I cannot move messages to local folders so to reduce the server disk size. I have read several publications but none of them has a simple solution. Microsoft has no clue how to fix this anoying issue. Any suggestion that doesen't need I have to study a programming career?

      Copy and pasting this from a forum I was just reading on this issue:
      "Outlook for Mac is a locally cached email client and don’t have any option to store data offline. So to protect your all data for online access, we recommend to increase your mailbox quota.
      However, if you wants to archive your emails from your account, you can check with export email option. (note: To avoid any future issue, once data exported, you have to confirm your all data exported correctly). You can save such file in an .olm file to any location on your Mac or on a different machine for safekeeping. To access such saved Outlook for Mac Data File (.olm), you have to import again and then only you can view it. For full details, please see Export items to an archive file in Outlook for Mac.

      Including Sent Emails in Conversations
      Open Outlook: Launch the New Outlook on your Mac.
      Access Preferences:
      Click on "Outlook" in the menu bar at the top of the screen.

    For my personal email, I cannot schedule send. It doesn't even display the drop down arrow. However, for my schedule send on my school email, I am able to do so no problem. This is all on the app. I've tried to update the app but still the same issue.

      What type of email account do you have configured in Outlook? POP, IMAP, Outlook.com, or Microsoft Exchange?
      The delay send feature on the mac is handled by the exchange server, not the client software, so you need to use outlook.com or newer on-premise exchange server.
      This is likely why it works on your school email and not the personal one. Hope this helps, and have a great day!!

    How do I add contacts to Outlook for MAC Version 16.75.2 - my import is grayed out. I have a Microsoft one server that has a contact list with distribution list created and I would like to share them with all accounts on Outlook.

      Click the OUTLOOK menu in the upper left corner of your screen (next to the apple) > click on where it says (NEW OUTLOOK) in the list with the check next to it. This will switch the interface back to the traditional, classic look of Outlook. You'll need to re-add your email account but after setup magically the options are no longer greyed out.
      A really simple fix that is completely non-intuitive for the user unfortunately. Hope this fixes your problem!

      This article is specific to Windows, so for Mac you can enter your application files via the application folder. Right click outlook and click "show package contents."
      You could then remove data from the folders within if the backup is on your local drive.

    hey im having a boatload of issues with outlook on mac. I'm close to killing my outlook emails entirely. junk filters do not work, syncing between mobile and mac don't work, rules don't apply right, I cant update outlook, cant add "mark as junk" to toolbar. those are the most annoying and biggest currently, there are many more but less of a priority. any help would be hugely appreciated or even if you can direct me to the proper resources.

      I would start with reinstalling office completely to rule out any application issues. Once reinstalled, I'd recommend you revert to the legacy version of Outlook for Mac and stick to that.

      Outlook itself may be experiencing an issue, causing your attachments to not show up. In this case, restart the app and see if that fixes your issue. You can fix many minor issues with your apps by simply closing and reopening them. To quit Outlook, in the app's top-left corner, select "File.
      Are you using the web or desktop version of Outlook?

      Emails may have been filtered by your email service, moving them to another folder. Another reason is that you don't have enough storage for new messages

    I'm frustrated that the filter button isn't really button, but a menu. No way now to just one click switch to a filtered view (in my case, flagged and/or unread). That's a deal breaker for me, so back to Mac mail again....

    Does anyone know how to change a meeting time if you were invited to a meeting? Sometimes I can only attend 30 minutes of an hour meeting, but new Outlook won't let you change the time. It's beyond frustrating to not have control over your own calendar.

      Propose a new time
      Tentative and Propose New Time
      Tip: By selecting this option, if the meeting organizer doesn't accept your proposed new time, you'll appear as a 'tentative' attendee in the calendar.

      In the navigation pane, click Mail , Contacts , Tasks , or Notes .
      To create a sub-folder, select the folder under which the new one will be created.
      Select Organize > New Folder.
      Type a name for the new folder. The above procedure explains how to create a subfolder of an existing folder.

    my biggest issue is that i cannot create rules for anything other then my microsoft emails. I had a pc and got a mac today, and i sort my emails into folders every morning. was not able to get this done. and apparently this new outlook doesnt let you do it

      In the new Outlook for Mac, creating rules for non-Microsoft email accounts can be a bit tricky. However, there are workarounds you can try:
      Switch to the Old Outlook Version:
      Open Outlook.
      Go to the top menu and click on Help.
      Select Revert to Legacy Outlook.
      Create Rules in Legacy Outlook:
      Go to Tools in the top menu.
      Select Rules.
      Choose the email account for which you want to create the rule.
      Click on Add a rule and configure it as needed.
      Use Webmail Interfaces for Rule Creation:
      If you have a Gmail account, for instance, you can log in to Gmail through a web browser and set up filters and rules directly in Gmail settings.

      Are you receiving any sort of error message?
      Here is a method to try:
      Outlook --> Preferences --> Auto-correct --> Exceptions --> Other corrections and deleting all words in that Don't correct box. Outlook --> Preferences --> Spelling & Grammar and making sure both checkboxes are ticked. Settings on Grammar and clicking Reset All and clicking OK.

      I only use a stand alone copy of Office and can use Legacy. I would suggest a reinstallation, or singing out and signing back in.

      Here are some steps I found from a microsoft support forum.
      Open the message or view it in the reading pane.
      Next to the list of attachments, click Preview Preview button or Preview All Preview All button.
      The first attachment is displayed in the preview window.
      Use the controls at the top of the preview window to view the attachments. Options include opening the preview window in full screen, skipping to the next attachment, viewing all attached documents, and opening the document.
      For more options, click Open with Preview at the top of the window, and use the controls at the top of the new preview window to interact with the attachment
      Hope this helps! My go to method is to just download the attachment so that I don't have to try and troubleshoot outlook for Mac.

      My PDF files open in Acrobat, which is normal and expected behavior.

      If you don't have Illustrator and save. Then try to open with Preview, Preview will default to opening it in .pdf.
      Try deleting com.apple.LaunchServices.plist in your User's LIbrary then log out/in to see if that helps.
      Otherwise you might try one of the utilities like Onyx to delete caches.

      I would first verify a strong internet connection. If that isn't your issue, I'd recommend signing out of your email account within the outlook app and re-adding it in to see if that will fix your issue.

    I have 6 accounts configured as IMAP with a custom domain,
    accounts constantly disconnect from the server and ask to log in again
    and when I add the password it says it is not correct,
    the solution I use is to remove the Outlook account and add it again
    Is there an alternative to resolve this problem permanently?

      Doesn't look like there is a clear answer for this unfortunately.
      Here are some of the first things I would try.
      1. Delete your account from Outlook and re-add your email
      2. Check for updates on the Outlook App
      3. Reinstall office
      4. Try a different file

      I have done some research regarding this situation, and from my findings the outlook for MacOS and IOS don't provide this option.
      Normally the only way to have multiple choice when using changing the from address in outlook for mac is when the address is added as an account.

      3. Select the affected email account.
      4. Tap Reset Account.
      If the problem persists, we can remove and re-add the account as well

      Which version and build of Outlook are you using? See File, Office Account for the information.
      What type of email account do you have configured in Outlook? POP, IMAP, Outlook.com, or Microsoft Exchange? If you aren't sure, go to File > Account Settings > Account Settings > Email tab to check.
      That error is telling you have you have an old ANSI format file set as the delivery location for email. You need to use the newer Unicode file format, which current versions of Outlook should use by default.

      To schedule a Teams meeting in the latest version of Outlook for Mac:
