Approvals -- exactly what I need!!! I just need 4 small improvements: 1. I need to be able to set a deadline for people to approve, and the possibility that when the deadline of approval is passed -- the request defaults to *approved* (or, some may also want to default to reject). 2. It would also be nice if -- when everyone has approved -- the acceptance is immediately sent out, without waiting for the deadline. 3. It would be nice if it were possible to send approval message to a third person (which I can specify), together with some message. 4. The approvals must be stored somewhere, so that one has a legally binding approval which can be documented. Please, please :-)
@@berntlie6799 Not sure what you mean by 'build it from scratch', I mean if you send an email you must add recipients, add a subject, add a body etc Same thing with Power Automate, you tell it to send an alert, you tell tell it who it should send the alert to etc. There's no code or anything, all drag and drop. And there a literally hundreds of out-of-the-box templates to either use or build upon. And for info, the Approvals app discussed in this video is basically just a Power Automate flow with a skin. As Kevin suggests in his video, using Power Automate to create your approval flow actually gives you far more customisation opportunities; the approvals app is just a watered-down version of Power Automate. I'm sure Kevin has done a video on Power Automate but to get started just visit flow.microsoft.com.
I noticed this new app called approvals when i was trying to open Shifts. I never knew what this was but now I know what it is. Very useful and such a timely tutorial.

Hi Sean! At least on my case and by looking at my own Teams app, it seems that the files are stored in your individual Sharepoint. If you open the details of any approval request with an attachment, you will see the route of the stored file.
There's an approvals table in dataverse which you may be able to query - the likelihood is that you can only see items you've created, which may not suit an audit. Someone with elevated permissions should be able to retrieve the info though.
Been following you for a little while now (right before you left Microsoft), absolutely love your content and the format in which you present it. What if you did a series on using the new Approval app and Power Automate linking them to different services for different purposes, ex: Using Approval with MS Forms for submitting simple Purchase Orders for approval.

I seems the Approvals only allows for one attachment to be used. Does the Approvals attachment only allow for one attachment? Hey, is there a way to show the requestor's name? As this is an automated Flow, run only user is not possible. Therefore, requestor's name is the name of the flow's owner, which is not useful at all.
Kevin - Have you heard anything about updates on this app? Microsoft said they were going to release the next rev. in april or so which allowed for custom approval templates and expanded functionality like adobe sign. I've seen they have implemented adobe sign but not the custom templates they show on their demo video. Thanks.

Hi Kevin, Thanks for the awesome video on Approvals. The approvals work-flow in my company is complicated, and I believe same would be the case with most other companies. Firstly, I need the approval requests to be numbered in a serial manner with no duplication. Serial numbers should be centrally generated and has to increment by 1 irrespective of the user. This is to help in filing, referencing in other documents and for future reference. The actual process of initiating the approval request and sending it to the approver, seeing its status etc. are just fine. The approval requester should be able to include names of people to whom the approval goes to once it is approved. This could be edited by the approver. Further, once approved, the receiver should be able to forward the same to others in the organisation. The approval should be printable by everyone receiving it.
There should be a log of pending and approved requests for certain people to see (not everyone). Is there any app to do all these, or is the Approval app customizeable to include these functions. Finally, the app should be able to work on mobile devices.

Thanks for the tutorial... been enjoying your channel- was hanging out for the release of Approvals for some time... but was quickly disappointed when giving it a go. From what I can see, you can only attach a file (which assumes it doesn’t already reside on a Teams doc library) and then seems to add to your personal one drive. So if I attach a file that is already in a doc library... I now have 2 copies! Silly not to also have the ability to “attach” or imbed a link in the notes section. Any thoughts/ideas?
Good video. However, I’m pretty underwhelmed by the app. It doesn’t do anything I couldn’t customise in a Sharepoint list and it excludes some basic functions which used to be built-into the Sharepoint 2010 approvals workflow. For example, without setting up a complex Power Automate solution, I can’t see how to simply set up an approval to be triggered by a major revision on the document, which holds off the major version until the approval has taken place. I’ve got a test approval on my list and I can’t even see a way of deleting that, or of tagging it as related to a particular project document library. In short, this app is not ready for any practical, working world scenario (outside of marketing choc chip cookies).

If I install the Center of Excellence (CoE) in a separate environment, and a Maker who doesn't have permission to access this environment receives an approval request from the CoE Toolkit, which means they are assigned the Approval User Security Role, can they then see or read data in the CoE environment/ see the env in general? I am an admin in M365 and I am trying to create an org wide form but I am getting an error saying "Your account is not enabled to create an org-wide template" Please contact your admin to add you into "Approvals App admin team". I am in the teams admin portal but I do not see where the approvals app admin team is.

Hi Sean! At least on my case and by looking at my own Teams app, it seems that the files are stored in your individual Sharepoint. If you open the details of any approval request with an attachment, you will see the route of the stored file.

I am an admin in M365 and I am trying to create an org wide form but I am getting an error saying "Your account is not enabled to create an org-wide template" Please contact your admin to add you into "Approvals App admin team". I am in the teams admin portal but I do not see where the approvals app admin team is.

Kevin, thanks for the vid. I'm setting up a check request approval flow in Teams and in a perfect world, the approver put's their initials on the attached pdf (check Request). Any suggestions on how to do this? In approvals on the left, there is a column that lists "Approvals, Adobe Sign, DocuSign". Can I leverage those somehow?
