Not sure you qualify this as a tool but for me, when I started using KEEP it allowed me to have a single place that I could share (collaborate) with the wife/friends and use across all sorts of different devices that are synchronized. Using the KEEP extension is so handy while surfing the web to just click the icon in the Chrome browser and have a KEEP note automatically created with the link. No more writing/sticking post-it notes, no need to create emails that have web links copied in, create/read/use from whatever device you are at (phone, desktop, laptop, Chromebook). My one big wish is that they would provide a few more formatting capabilities while creating a note (Bold, Italicize, Underline, Tabs/Indenting for example). I'm looking forward to trying a few of these tools you have highlighted. As always, great videos, keep'em coming.

An amazing feature of Gmail is the ability to filter emails. Literally every email is a searchable record. If I remember the name of the person, or any other attribute, I just type it in to the gmail search box and it will find every email associated, going back years. Amazing.
Years ago when Evernote started limiting devices, I switched over to Microsoft One Note. Great program that runs on Windows, IOS and Android. All my devices are in sync with no effort.
Ditto. It was also around the time they jacked the price up by 50% if I recall. OneNote I find a little strange to input data at times with the multiple boxes it can create but that is likely user error
I love Calendly. I was able to set it up in less than 5 minutes and my elderly customers don't seem to have any problems figuring out it's simple format. They like it too.
I'm liking Koalendar instead of Calendly -- mostly because the free version lets me offer 30, 60, 90, 120 minute appt options (it seems that Calendly is limited to 1 option)

Actually you can't resize, delete background, upload your own fonts and create your own brand set without paying for Canva. There may be even more differences, but those are the most important difference for me. I think the paid version is well worth the money.
Notability with Apple Pencil. I use this for all my client notes with auto backup into drive. I can scribble fast as if writing on paper, screen shot and send to clients after I clean it up quickly and also have a Backup for reference. Plus integrate pdfs, links, images… etc
I just looked up Microsoft lens and my mind is blown I didn't know about this. I work for a university that uses the Microsoft Suite so a lot of my work related stuff are in Microsoft documents, spreadsheets, etc., so this will integrate perfectly with that. Thanks for the video!
Todoist is a great task tracking tool. I recently completed the clean-out of a very large and diverse estate with hundreds of tasks in Todoist that ranged from necessary steps on the auction, daily tasks for clean-up, shopping lists for supplies at different stores, stuff to bring to the properties for the work being done that day, etc. I use it for recurring checklist and references too. For example, I have a project for Travel with sub-projects for the trips where I include the tasks and confirmations, and I have projects for Christmas decorating that includes the annual tasks needed to convert the house. I now use the paid version, but they have included more in the free version, so I may review that during my next subscription window. Great video. I use several of the apps you mentioned. Thanks.
CamScanner is a nice scanning tool for both Android and Windows--it easily syncs in both directions--and has an IOS version to boot. I use the paid version to get more storage, but the basic freeware version is very functional.

I’ve been using CamScanner too. But I don’t know if it’s a “safe” app. Lots of documents scanned are not truly private but also not something I’d like collected by someone else. So every time I use it I get a bit concerned about who owns it, where the data might be aggregated, etc. I actually love the app so from that perspective thumbs-up. Any idea if it’s “safe” for the purpose of scanning semi-private data ?
I used to use CamScanner and loved the ease of use. However, I have used it on two difference cell phones in the past and both phones froze up and one literally died. When I took the phones to be analized, it was found that the App Cam Scanner was the culprit. So, I no longer use that App and also sad about it, because it really was a good App.

You forgot the scanner option in Apple Notes - works on any Apple device and is completely free - paired with pdf editor you’re good to go business mode 🤓

Evernote, I agree: they pulled too much from the free version--the cascading effect me had me leave after several years. One off-the-beaten-track 1 use every day is a 3D book cover mockup creator. DIY book covers 3D mockup. Not an app per set--runs off a website. Totally free and very quick and handy!!
left evernote years ago for one note. use it to copy articles from newpapers subscriptions and comments from twitter. Here it gets boiled down to subjects and then pages. I prefer PC over Apple here but have an Apple Smartphone.

Steve, I whole heartedly agree with you on Google Forms. I have used it exactly for what you described: collecting information from a large community and using it for other projects! I have also been using One Note which came with my windows computer and links beautifully with my iPhone. It allows me to link key emails, documents and other ideas and I have it almost instantaneously on both devices.
I just started using it recently. I got irritated with all the spreadsheet tracking I was doing that had significant portions of the information missing. So, I created a branching form that could ensure all the relevant information was there. I can still edit the underlying spreadsheet if I need to, but it makes it more likely that I'll get all the information I need. Even as a complete novice, I think it only took a couple hours, and that included all the research to figure out how to make it branch. It would have been a lot quicker if I didn't mind having a super long list of options in the drop down I was using.
I am a computer expert like you. Yet I saw about 1/3 of those names on the list and was unfamiliar, so obviously I had to look. The first one scanable is absolutely epic useful! So thanks!
Well, a little further and I find it is (for me) the detested Ios system...yet #2 (microsoft lens)seems to be what I am after, most of my tablets are win10 home (or android).
I don't see the point in the first one if it's exclusive to iOS. The built in Notes app let's you scan in documents, mark them up, send them etc. . More options are better, I guess, but I don't see a reason to download it if Apple's option is better optimized. Only plus I see is that it's a standalone app versus having to go into Notes to get to the scanner.
How much free storage do the scan apps give you, that you mentioned (Lens, etc)? How do they compare to Camscanner, which works great and that I'm using now?
Slack and Zoom are appalling tools as an IT Admin, their backend gives you very little control, and it is too easy for users to shut an admin out of conversations that might be needed to be captured/retained for whatever reason. I would always pick MS Teams over both.
How about Google Meet? I'm just starting to look at it for online meetings in my HOA. Hoping it works as well as MS Teams (which I use in work) or Zoom which is very limited in the free version.
Not free, and definitely a niche tool, but for those who need it, 'Synergy' is a lifetime licensed Keyboard/Mouse sharing app. Sometimes, it is just easier to have different computers for different purposes, such as using a Mac for video editing, but having a separate PC for office operations. Synergy installs a server agent on your computer with the keyboard and mouse you are using and an agent on as many other computers as you have, each with its own monitor. Moving the mouse across monitors changes the focus of the keyboard and mouse to that computer. I've known a number of people who would keep multiple keyboards on their desk and move their hands to the keyboard for the computer they wanted to type on. Hardware KVM switches require turning a switch and are used when you only have one monitor. With Synergy, I can always watch what is on my other computers by just having a monitor connected to it.

Here are my two thoughts about the recommended apps. I really have no understanding for recommending apps that are not necessary. Why would any one want to use scannable if it exports to foto or needs Evernote to save as pdf? - Either way - you can make a foto right away. Or you can make a pdf document by scanning it within your folder app within a created folder. You even can make a foto in the apple note taking app to add a note. - If I need ocr I recommend Lens - and If I want to make notes within the document I use Good Notes. - So here is my argument: If you just need a foto of any document or you need some additional notes there is no need for any additional app. If you want to extract text you can use Lens - and if you want to add notes within a document my got to app is Good Notes. - If you scan documents within Good Notes there is ocr implemented and the text is searchable (as I have seen in an learning video). There is an additional criteria you should add to your list: free access. Sometimes I understand the need for an login - but to be forced to login for a simple mindmap is ridiculous. I use simplemind instead. And who needs further features can than buy the in app upgrade.
My candidate: OneNote Granted it is Microsoft product. I was a long time Evernote user (since 2012'ish); I soured on it when they rewrote and basically gave the finger to their long time loyal users (I was a paid subscriber most of the time of use). I find OneNote so much preferable to Evernote that even though I have over 20,000 notes in Evernote, I'm dropping it and converting the ones that are important to me to OneNote.
So, do you use Evernote? And just pay for it? I ask, because that is a gap in your list. I don’t mind paying for a worthy tool. Also what calendar app do you use? I hate entering data on my phone (eg iCal) but that is my default…..thanks. Appreciate your channel.
I use Google Calendar because I don't like the iCalendar, but also because I use both PC and Apple products. I have my phone calendar set to Google Calendar so even if apps or something want to create an event for you that defaults to the Apple calendar it shows up in my Google Calendar. Google Calendar is pretty robust. By using the Copy feature for things that I want to maintain ongoing information it makes it easy to keep running notes for myself and just keep a running description in the title, like when I had Invisalign, I input all of the dentist's info and titled the first visit with all of the information and added Initial Appt to the title, then for each following visit I made a copy, then changed the title with the visit number. That way when I search my dentist's name or Invisalign or something I can see them all in order with the dates, and when I go into the latest one under my Description I can see the running list of notes I've made myself for anything I wanted to mention to my dentist. I do that for all of my Dr appointments, which has been handy when I switch Drs or only see a Dr very rarely.

Your iPhone already has a very good scanning tool built-in to the Notes app. You don’t need to download another one. What exactly does scannable do that the built-in scanning tool on the old iPhone does it?
You told us about a duplicate finder that will go deeper than the original Microsoft one. Which one is it? What do you recommend instead of Evernote???
In Android there is Notebloc, which allows to scan, combine files into PDF format (or graphic format if you wish) and send it via email or external drives. App let's you to enhance the scanned documents to be more readable and such enhanced documents takes much less space in device memory. In addition it has build in OCR. Microsoft Lens doesn't even stand next to Notebloc in respect of functionality.
I've loved Evernote for years and paid them for a fair few years due to the volume of info I was uploading. Having gone back to the free version, their 2 device limitation is a deal-breaker (you can also only change your choices a couple of times). I'll probably never close my account completely because of the sheer volume of info I have have there. But when I have a spare couple of years, I will try to find an alternative.
@@LindaHutchings and then there is the question of legacy: things we might want to pass on to family, professional, artistic niches. How can one preserve one's work/ideas/information for the future when this preservation demands financial support. Evernote is a good example, if one uses the paid version, then one cannot just choose to appoint a legatee individual or group without leaving an "eternal stipend."
I use DaVinci Resolve for TH-cam video creation. I've used Pinnacle Studio and Premiere, but the free version of DaVinci Resolve blows away those paid versions. They have a paid version but I would probably never use the functionality of it. Great video. Love Canva! Thanks
VScode, pycharm and notepad++; for IDE tools for SW development it is hard to beat VScode. Allows you to develop and debug code locally on your desktop or remotely in the cloud. Pyharm does more or less the same (not remotely for free) but for python only. Notepad ++ is a powerful text editor that come with a rich feature set. My favorite is column cuts and syntax highlights.
Agreed. Notepad++ is an awesome text editor, multi tab, column mode editing, trims trailing/leading spaces and also remembers open tabs. This is always open on my desktop and would be my top pick for personal/business productivity tool
Since you are a coder , then you probably nerd out on your pc more than most like me. Two unbelievable utilities that are free, and they are better than any of their paid versions. DISKGENIUS can do anything with any storage device. It has more functions then i could imagine could be done to storage formats. MULTICOMMANDER absolute most powerful file manager out there, and i have tried around 50 different ones. It has hundreds of functions built in and if it doesnt have what you want it has its own built in script language so you can customize it more. My interest was it has its own move, copy, rename, archiving functions. It doesnt use exlplorers.
Garage Band (IOS) is an amazing music creation tool and it's completely free. I never created music but since I took the time to study and use it, I'm making music that I'm proud of.
Good morning Steve, I stopped listening to your show a while ago as I did not need a computer very often. I'm using my Samsung for everything now. Do you have suggestions for 2 apps. A music app that allows me to categorize my music. Eg if I want a song for dance, and maybe Sunday calm music or getting on the hi way driving music and a dance etc. Then to be able to select a whole lot of music in a sequence of my choosing and if I want having it repeat. Android seems to have nothing. The same applies to photo's. The Android apps a inflexible and quite useless. I would like to load all my music into one place and then categorize number the sequence and run the app without files all over the place. Thanks
I would be interested in that as well. At the moment I have dumped a heap of files onto several thumb drives. It is not a very functional way of programing the days listening. At least I can directly plug into my car stereo.
The Scannable app would also have to be disqualified. Because it does not comply with rule number 4. It is not a "kick ass" tool because you can also use all functions of the app with Apple's Notes app (which is preinstalled by default on every iOS device).

Can I ask a question?! :) Setting up a course & product where all profit will go to a humanitarian organization so trying to minimize costs....and looking for a simple app where I can keep 15-20 min recordings, about 3 per week over 6 months, but one long list basically (like a simple Kajabi look for that) -super easy to navigate, ... A zoom option would also be nice, but optional.....1 graphic-optional as well...any suggestions?
One of the best free tools that I've ever encountered and that's only available on Android is Google Stack. It's fantastic for scanning documents and automatically saving them as PDF files. It also has several customisation categories such as Medical, Financial, Insurance, Vehicle, Receipts, which makes document accessibility a breeze.

One feature I love about Microsoft lens is that you can scan an image at an angle, and later correct the image skew.

Google Sites is my favourite free tool. So easy to use and perfect for a small, local charity.

Google forms is great! You can even include conditional logic depending on answers. Canva is another favourite of mine.
I use the SCAN app inside of NOTES on my iPhone. Works great for me!

You can do the same thing that Scannable does with the native Notes and the Files apps on iOS.
Yep…been using the scanner in Notes since available. Have tested it against Scannable, Adobe, etc. It’s quick and precise.

Yes!! Obsidian!! However, one has to be slightly more tech savvy to use it, and especially to use it with multiple devices. But Obsidian is my go-to.

If the threads are used right in Slack, it is a dynamic communication tool that is easy to keep the details separate

Google Docs app can scan documents as well, possibly not as well as Scannable or Microsoft Lens, but it's definitely capable.

We use Workplace for Meta... but I'm a nonprofit and get it free. It's so much better than slack, in my opinion.
How about Google Meet? I'm just starting to look at it for online meetings in my HOA. Hoping it works as well as MS Teams (which I use in work) or Zoom which is very limited in the free version.

Not free, and definitely a niche tool, but for those who need it, 'Synergy' is a lifetime licensed Keyboard/Mouse sharing app. Sometimes, it is just easier to have different computers for different purposes, such as using a Mac for video editing, but having a separate PC for office operations. Synergy installs a server agent on your computer with the keyboard and mouse you are using and an agent on as many other computers as you have, each with its own monitor. Moving the mouse across monitors changes the focus of the keyboard and mouse to that computer. I've known a number of people who would keep multiple keyboards on their desk and move their hands to the keyboard for the computer they wanted to type on. Hardware KVM switches require turning a switch and are used when you only have one monitor. With Synergy, I can always watch what is on my other computers by just having a monitor connected to it.
With logitech keyboards and mice, you can jump on 3 different devices and even switch files.
Scan utility from native iOS app Note is great.

Here are my two thoughts about the recommended apps. I really have no understanding for recommending apps that are not necessary. Why would any one want to use scannable if it exports to foto or needs Evernote to save as pdf? - Either way - you can make a foto right away. Or you can make a pdf document by scanning it within your folder app within a created folder. You even can make a foto in the apple note taking app to add a note. - If I need ocr I recommend Lens - and If I want to make notes within the document I use Good Notes. - So here is my argument: If you just need a foto of any document or you need some additional notes there is no need for any additional app. If you want to extract text you can use Lens - and if you want to add notes within a document my got to app is Good Notes. - If you scan documents within Good Notes there is ocr implemented and the text is searchable (as I have seen in an learning video). There is an additional criteria you should add to your list: free access. Sometimes I understand the need for an login - but to be forced to login for a simple mindmap is ridiculous. I use simplemind instead. And who needs further features can than buy the in app upgrade.
My candidate: OneNote
Granted it is Microsoft product. I was a long time Evernote user (since 2012'ish); I soured on it when they rewrote and basically gave the finger to their long time loyal users (I was a paid subscriber most of the time of use). I find OneNote so much preferable to Evernote that even though I have over 20,000 notes in Evernote, I'm dropping it and converting the ones that are important to me to OneNote.

So, do you use Evernote? And just pay for it? I ask, because that is a gap in your list. I don’t mind paying for a worthy tool. Also what calendar app do you use? I hate entering data on my phone (eg iCal) but that is my default…..thanks. Appreciate your channel.
I do pay for Evernote, happily, it is a terrific tool and I use it every day.
I use Google Calendar because I don't like the iCalendar, but also because I use both PC and Apple products. I have my phone calendar set to Google Calendar so even if apps or something want to create an event for you that defaults to the Apple calendar it shows up in my Google Calendar.
Google Calendar is pretty robust. By using the Copy feature for things that I want to maintain ongoing information it makes it easy to keep running notes for myself and just keep a running description in the title, like when I had Invisalign, I input all of the dentist's info and titled the first visit with all of the information and added Initial Appt to the title, then for each following visit I made a copy, then changed the title with the visit number. That way when I search my dentist's name or Invisalign or something I can see them all in order with the dates, and when I go into the latest one under my Description I can see the running list of notes I've made myself for anything I wanted to mention to my dentist. I do that for all of my Dr appointments, which has been handy when I switch Drs or only see a Dr very rarely.
Wow a great list I think Canvas and Google Forms will make my top 2 apps for my work. I also found a few surprises in the top 5 list

Your iPhone already has a very good scanning tool built-in to the Notes app. You don’t need to download another one. What exactly does scannable do that the built-in scanning tool on the old iPhone does it?
For me a big one, for small business is airtable. Migrate all Excels I had, nice and user friendly

You told us about a duplicate finder that will go deeper than the original Microsoft one. Which one is it? What do you recommend instead of Evernote???
Is it capable to have Grammerly input?
In Android there is Notebloc, which allows to scan, combine files into PDF format (or graphic format if you wish) and send it via email or external drives. App let's you to enhance the scanned documents to be more readable and such enhanced documents takes much less space in device memory. In addition it has build in OCR. Microsoft Lens doesn't even stand next to Notebloc in respect of functionality.
I've loved Evernote for years and paid them for a fair few years due to the volume of info I was uploading. Having gone back to the free version, their 2 device limitation is a deal-breaker (you can also only change your choices a couple of times). I'll probably never close my account completely because of the sheer volume of info I have have there. But when I have a spare couple of years, I will try to find an alternative.

How can one preserve one's work/ideas/information for the future when this preservation demands financial support. Evernote is a good example, if one uses the paid version, then one cannot just choose to appoint a legatee individual or group without leaving an "eternal stipend."
I use DaVinci Resolve for TH-cam video creation. I've used Pinnacle Studio and Premiere, but the free version of DaVinci Resolve blows away those paid versions. They have a paid version but I would probably never use the functionality of it. Great video. Love Canva! Thanks
VScode, pycharm and notepad++; for IDE tools for SW development it is hard to beat VScode. Allows you to develop and debug code locally on your desktop or remotely in the cloud. Pyharm does more or less the same (not remotely for free) but for python only. Notepad ++ is a powerful text editor that come with a rich feature set. My favorite is column cuts and syntax highlights.
Agreed. Notepad++ is an awesome text editor, multi tab, column mode editing, trims trailing/leading spaces and also remembers open tabs. This is always open on my desktop and would be my top pick for personal/business productivity tool
Since you are a coder , then you probably nerd out on your pc more than most like me. Two unbelievable utilities that are free, and they are better than any of their paid versions.
DISKGENIUS can do anything with any storage device. It has more functions then i could imagine could be done to storage formats. MULTICOMMANDER absolute most powerful file manager out there, and i have tried around 50 different ones. It has hundreds of functions built in and if it doesnt have what you want it has its own built in script language so you can customize it more. My interest was it has its own move, copy, rename, archiving functions. It doesnt use exlplorers.
Asana is wonderful with the free version. It is great for team project. Love it

Garage Band (IOS) is an amazing music creation tool and it's completely free. I never created music but since I took the time to study and use it, I'm making music that I'm proud of.
Good morning Steve, I stopped listening to your show a while ago as I did not need a computer very often. I'm using my Samsung for everything now. Do you have suggestions for 2 apps. A music app that allows me to categorize my music. Eg if I want a song for dance, and maybe Sunday calm music or getting on the hi way driving music and a dance etc. Then to be able to select a whole lot of music in a sequence of my choosing and if I want having it repeat. Android seems to have nothing. The same applies to photo's. The Android apps a inflexible and quite useless. I would like to load all my music into one place and then categorize number the sequence and run the app without files all over the place. Thanks
I would be interested in that as well. At the moment I have dumped a heap of files onto several thumb drives. It is not a very functional way of programing the days listening. At least I can directly plug into my car stereo.

The Scannable app would also have to be disqualified. Because it does not comply with rule number 4. It is not a "kick ass" tool because you can also use all functions of the app with Apple's Notes app (which is preinstalled by default on every iOS device).

Can I ask a question?! :) Setting up a course & product where all profit will go to a humanitarian organization so trying to minimize costs....and looking for a simple app where I can keep 15-20 min recordings, about 3 per week over 6 months, but one long list basically (like a simple Kajabi look for that) -super easy to navigate, ... A zoom option would also be nice, but optional.....1 graphic-optional as well...any suggestions?
Ps not video recordings, just audio-maybe 80, 15-20min audios on an app that people can pull up on their Android or Apple phone & listen on the go

One of the best free tools that I've ever encountered and that's only available on Android is Google Stack. It's fantastic for scanning documents and automatically saving them as PDF files. It also has several customisation categories such as Medical, Financial, Insurance, Vehicle, Receipts, which makes document accessibility a breeze.
At the 06:00 mark you say that everything starts out as ideas in Canva. How do they then get ported into Asana?
