Great video, learned a lot there. I have two questions. Let’s say somebody has shared a file with me and I want to put it in their folder on my Google Drive, do I just right click the shared file/folder and create a shortcut to their folder? The other question, let’s say I am creating a new folder to share with somebody. I am wondering if I download and upload various folders from my drive to the new shared folder will the original folder change if I give them editor access or do I need to open and make a copy of each file so the original folder remains untouched? Great question - for Google Docs, Slides, and Sheets files, you can see the version history by going to: File >> Version History >> See version history. There, you can track all the changes made to the document since it was first created. Hey Sharifah- if I understand your question properly, any changes you make in Google Docs (to both Google Docs as well as Word Docs) will be saved automatically in the cloud. However, I recommend you save a copy of any Word Docs first as a Google Doc file, then make your changes in the Google Doc version of that file. I hope that helps, let me know if I can clarify.

Hey Priyanka- unfortunately, there are no settings for time limit in Google Drive. With regards to deleting a file that was once shared- once it's shared publicly, there is no way to tell how many people downloaded the file, saved it locally to their computer, distributed it further online, etc. Sorry I don't have better news for you!

Yes - the files will always "live" on the Drive of the owner/document creator, but is accessible by anyone you share permissions with. If you're the owner of a Drive subscription plan (i.e. 2TB) and you want to share the space with others, that's a bit more complicated (you have to add people to your list of Family members in your Google account settings, but this give people access to ALL your files, depending on the level of permission - more info on that here: support.google.com/googleone/answer/9004015?hl=en&co=GENIE.Platform%3DAndroid)

Hey Fozieh- Google Docs might not be the right tool for this instance. Try Google Forms instead (each user can input their own answers without changing or seeing other answers).

Hey Stacy- as long as you shared the outer-most folder and didn't make any permission changes to the items inside the folder, then your changes should be visible to everyone without you having to reshare. Hope that makes sense!
Hi Lori- this depends if you're using gmail for work / school or for personal use. Work / school accounts usually place restrictions on sharing with outside, non-gmail accounts. Hey Tuffstein- there's no option like that. You'll have to set the document (or file) access to "Restricted" and then specify the email addresses in the list of people you want to have access. If you do it this way and they try to share the link, the recipient won't be able to open the document (or file). Have you tried it this way already?

Hey Gary - a couple questions: Is the viewer trying to view a Google Slides Presentation or a PowerPoint Presentation within Google Drive? Is the audio file that's used in the presentation in a shared folder on your Google Drive? If no, you'll need to copy the audio file to a folder the viewer has access to, then relink the audio in the presentation to the audio file in the shared folder. I recommend putting both the presentation file and the audio file in the same folder, then linking the audio file. I hope this helps - please keep me posted.
@@StephenKwiecinski Google slides. I was even instructed to re-record VO for slides using Screencastify which I downloaded and used. That didn't change permissions though. It made it easier to get the audio onto the slideshow but I still had to hunt through and give permissions. then when the students started to view on their own I got the dreaded "This audio file is popular and reached its play quota. You can right click the file, select Share, select "Change to anyone with the link", then copy and share the link. Anyone should be able to access the file after you've completed those steps.
I want to transfer ownership of a file from my school account to my DOE account, which is a different domain. Apparently this can't be done. I send a COPY of the file from my school account to my DOE account but I can't edit or post the file when I open it in my DOE account. When I click on the copied file, I'm switched back to my school account where I still can't edit or post. Also there is no "Advanced' button to be clicked on.

Hey Raychell- simply follow the same steps but do it in your Google Drive on the folder. Right-click the folder, select Share, then set your permissions.
You could use this method to sync two accounts (1 Drive, 1 Dropbox): www.bettercloud.com/monitor/the-academy/how-to-add-google-drive-files-to-dropbox/ if you're transferring outside your own account to someone else's private account, the best way would be to download the files from Drive first, them upload them to Dropbox.

I have sent a Google Drive Link to an Associate. My Associate CAN open the link and see the two Main Folders with all sub-folders and files. Good so far. Now, she would like to be able to download the two folders onto her desktop. I "Believe" that I have given her Editor Permission, but we can not seem to download. Does she need to have a Google Drive Account of some sort? I do not believe that she has one. OR should she simply be able to download the folders onto her desktop. If this is the case, I suspect that I am not giving her the appropriate permission.
Hey A M- you'll need to go back in the Share settings and simply change the permissions (either by removing the email addresses you want to unshare with, or turning off Link Sharing).
Great question, I had to do some research. Looks like this is NOT available in the free version of Google Drive but IS available on the paid version (GSuite) - the permission you would set is "Collaborator" in that case.

Good question- Google should be sending these messages to your Spam folder. Are they coming in to your regular inbox?

Once shared, the only way to prevent download is to update the permission on your file so it's private.

I shared a slide show but the viewer doesn't have permission to hear to audio files that are linked. Thoughts?

You can right click the file, select Share, select "Change to anyone with the link", then copy and share the link. Anyone should be able to access the file after you've completed those steps.

I want to transfer ownership of a file from my school account to my DOE account, which is a different domain. Apparently this can't be done. I send a COPY of the file from my school account to my DOE account but I can't edit or post the file when I open it in my DOE account. When I click on the copied file, I'm switched back to my school account where I still can't edit or post. Also there is no "Advanced' button to be clicked on.

Hey Raychell- simply follow the same steps but do it in your Google Drive on the folder. Right-click the folder, select Share, then set your permissions.
Can you send your folder to someone else’s. Dropbox?

if you're transferring outside your own account to someone else's private account, the best way would be to download the files from Drive first, them upload them to Dropbox.
@@StephenKwiecinski that seems like the right solution. Honestly I just decided to sign up for Dropbox and either cancel after a month or cancel my drive after a couple of months. I don’t need 3tb In memory. Such a high end job but photographer i shot for uses Dropbox thanks for the help

I have sent a Google Drive Link to an Associate.
My Associate CAN open the link and see the two Main Folders with all sub-folders and files.
Good so far.
Now, she would like to be able to download the two folders onto her desktop.
I "Believe" that I have given her Editor Permission, but we can not seem to download.
Does she need to have a Google Drive Account of some sort? I do not believe that she has one.
OR should she simply be able to download the folders onto her desktop.
If this is the case, I suspect that I am not giving her the appropriate permission.

Hey A M- you'll need to go back in the Share settings and simply change the permissions (either by removing the email addresses you want to unshare with, or turning off Link Sharing).

Too bad shared folders don't allow anyone to upload because they don't have permissions though the Editor role was given.

Great question, I had to do some research. Looks like this is NOT available in the free version of Google Drive but IS available on the paid version (GSuite) - the permission you would set is "Collaborator" in that case.
