Out of interest, how do you manage your calendar if a process/job gets interrupted and overruns? I find I have clients get in touch, or I underestimated the task in hand, and it throws the calendar out of whack! Interesting vlog. Thanks
So previously I would just simply get interrupted and do the job that client needs. I think there is no other way to be honest when you are just starting out … but as I’ve grown there is two things I do: 1)I delegate a lot of tasks to my team now. 2) I try to strictly block time. So let’s say I’ve set aside two hours for operational tasks for today. I will try to do as much as I can today within those 2 hours and then continue tomorrow in the next “operational” time slot. But again, at the very beginning I think it’s fine if clients/jobs interrupt your workflow, cause the aim is to simply grow …
@@vladtgr Thanks for the reply. Roll over to the next available slot is a good idea. I always just carry on until the tasks in the specific type are complete, but that knackers other things I need to do. I work as a self-employed (ltd company though) client website 'agency' building WordPress websites. I haven't wanted to grow the business as I am very happy with not having additional stress of employees etc, however my client base is so large now that I think I am going to have to get another person on board, as a lot of time is taken up by operations and client interupptions that to get the 'work' done is getting trickier! Need to nail the time keeping. Thanks again.
Maybe try to automate/streamline processes as much as you can first. We have all our processes documented in notion so that anyone could pretty much do any task. I am lately building internally a lot of ai agents to help me out with stuff too (will take you like 30-45 min to build one). If that doesn’t help maybe get a virtual assistant just to help you out 5-10 hours a week. But don’t see a VA as an employee, it’s more of the extra hands that work based on your specific guidelines.

So here is an example (purely based on my company’s needs): from time to time we have some projects, where we need additional support. I have an ai agent, where I briefly mention the job and scope, ai agent automatically writes a more detailed job post, figures out an average realistic budget for the job, sets the timelines, etc etc. we then literally just copy that, change a bit and post that on some freelance platforms.
