Wow. Thank you so much for this tutorial. I learned about this feature during a webinar last week and had no idea how to activate it. You have a new subscriber!
Thank you for your tutorial. It is simple, clean, and well-presented. I am missing from google appointment schedule the options, the invitee can choose the type of event (google meet or in person). Calendly offers this solution.
I appreciate your detailed explanation. As a new gmail user it was very complete. I wish gmail would let you choose the calendar of your choice if you only get one on the free version. My main calendar is taking a back seat to my classes which are only for a couple of semesters but that's the calendar I need to work from for now. I had to watch a couple of spots multiple times to see where you jumped to. I couldn't find it on my calendar. Plus you don't warn people that only one calendar is visible until mostly through the presentation so I spent some time trying to figure out why most of my calendar dates and times were not there.
this is an amazing tutorial, so clear and easy to follow! I'm curious if its possible to add two appointment schedules in the same google calendar account? hope my question makes sense and if so, how can that be done? For example, one appointment schedule titled 1:1 with Scott and another one titled 1:1 with Peter (say they're consultants at the same office and want to be able to see each others calendars and manage everything under the same email account)
This was very helpful. I wish it was easier to set up diverse scheduling week to week like doodle BUT since it's free, I guess I'll accept I have to work a little harder to customize my weekly availability.
Well done, Scott! Question: Our nonprofit uses volunteers, each with their own time availability and email. I would like to provide clients with one link (from our website, for example) to a booking calendar shared by multiple volunteers. Each volunteer would create their own availability on the shared calendar. (E.g. John and Scott each have their own time slots shown on the calendar.) If for example a client (Eva) comes to the calendar, and selects a date and time that happens to be Scott's, Scott would be notified that client Eva just booked with him. How do I set all that up?
Unfortunately, this type of set up across multiple employees with different time slots is not yet supported with this feature. You would need to consider other options such as Calendly.
Great feature but unfortunately it's for 1 to 1 appointment only. I'd love for it to have the option of 1 to many appointments as well. For example if I want to run group sessions so a set number of people can book to the same appointment slot (say a virtual group class).
trust me they wouldn't provide that feature even if they could. Because at that point they get more money (capitalist style). The solution to that is that you add a new user to your Google Workspace, which of course will increase your bill. That's what Calendly done. Add more users and you can create multiple appointment in same time and ignore the conflict. It same business revenue streams concept.
you can create ton of various calendar, but it will always refers to primary calendar. i've chating with google workspace customer service. the scenario for ignoring conflict is impossible because primary calendar will point the time as busy. other appointment even with different calendar is useless.
That's a great feature but I am not able to find the appointment schedule option. I am using paid Google Workspace. Instead of this, there is an appointment slots option I found.
I had the same problem found that 1 you need to have a Google Individual Plan or 2 a Google business standard plan to access Appointment schdueling then you go into the calender settings and switch it from appointment slots to appointment schdueling
To add on and clarify, I was struggling with the same issue. It has to be a business standard account at least. If you have the most basic one, business starter then you will not get this feature. Soon as you upgrade though, it will appear in your calendar.
Thanks for the great video. When someone books with me, will Google Calendar automatically send me a notification? (Perhaps I missed this early on in the video. . . )
Thank you 😊 i have embed my calendar in a google sites page but for some reason, it shows up with horizontal and vertical scroll bars. Can you make a video that shows how to remove them please 😊
By default, the width should be 100% of the space you embed it in. As for the height, you can change this in the embed code. Height is 600 pixels by default, you can change this to a larger number if you like.
Thank you, Scorr. Thorough as always. I am working on a Mac in a Google Workspace account attached to my WIX website. My options and screen look nothing like I see here. What am I possibly missing?
It's super helpful! However, I do have one question. If 2 people would like to book an appointment for the same time spot, say Sep. 10th, 2024 at 10am, is it possible to do that in google calendar?
thanks a lot for the great tutorial ! do you know if it's possible to add a 30' minute buffer only to existing meetings? Ex: I have a meeting scheduled from 10h to 10h30. Next slot available should be 11h, but the guest might as well chose 11.30 (which is not possible in default settings as it's add 30' to each possible slot)
It looks like the mini-month-calendar plus the week view to select are the only options right now.

Yep, I was checking the options and the problem I found, was, when the calendar has the full view and someone book am appointment, that appointment appear in the calendar. The only way I have found to don't show the appointment taken, was to have a second calendar, one exclusive for the appointments and the other one to have the events. We create and event and inside that event we paste the appointment (Link to go), so the view just gonna shows only the events and the appointments will be show or visible just in the appointment calendar.
Hello, Thank you for this tutorial. I created the appointment schedule and forgot to add the location. So, I edited and added the Zoom link. But people who already booked appointments without having the Zoom link in it. How do I edit the schedule so that all the existing appointments are updated with the Zoom link?
Hi, Love your video and thank you! Question: tldr; I'm doing lashes appointment and I want my customer to be back to pick any time that's available in my calendar but each of the appointment is 4 hours long so in google calendar it just break off into a specific time. I know it might be confusing but for example, I put my availability as 9 AM - 9 PM, appointment duration is 3 hours with 1 hour buffer, so what come out is that you only be able to book me at 9 AM, 1 PM and 5 PM. Is there a way to make it so that people can like book me for 10 AM - 2 PM and it will automatically block off 4 hours for that appointment and so on?
Are you able to set the location at the customer's home? For example, scheduling in-home consultations with the location set to the person's home who is filling out the form. Or would I have to use none and create a custom field for their address?
Thanks for the tutorial. I had to set up appointments in three different groups because the settings needed to be different (e.g., in-person vs. online, max number per day, etc), but now I can either share a booking page for one of the groups or a page that has three boxes to choose from (clicking a box takes them to the time slots for just the one group.) Is there any way to give them a booking page that shows the time slots for all three together? Right now, they can click Mondays to see the Monday slots, Tuesday to see the Tuesday slots or Thurs/Fri to see the Thursday and Friday slots. That's a bit annoying.
Fundamental error when you upgrade to multiple calendars. It will search the chosen calendar and always the default for available appointments. When an appointment is made, it is only added to the default calendar; you must manually transfer it to the correct calendar. If this is done later, the booking on the default calendar will cancel that time slot of all your other calendars. I hope that makes sense; I am happy to clarify. I will be extremely happy if someone tells me I'm wrong and has a solution.
I retract that; you can't transfer to the correct calendar. You can copy it over, but the default booking still exists, which blocks that appointment slot for all other appointment slots. If you delete the default, it sends an email cancelling the appointment. As @akamars said below, this can only be used for 1 to 1 appointments; the upgrade for multiple calendars is useless.
@@ashcrawford7425 believe me they wouldn't provide that feature even if they could. Because at that point they get more money (capitalist style). The solution to that is that you add a new user to your Google Workspace, which of course will increase your Google workspace plan's bill. LOL
I like this feature, but curious if there is a way to pull any other fields from the form into the Meeting title. Like right now it says 1:1 with Scott and then in parenthesis the name of the person who made a booking. I want to see the company name the person is from. I have a required field on the form but it only shows up in the details of the meeting. How can I pull it into the meeting title?
Is there a way to add 3 different Google Calendars to one master Google Calendar? As department head of Guidance, I would like to share only one calendar with the school community and when the students click on the link, they can choose their counsellor's calendar and book accordingly.
Can this set up multiple booking calendars? Example: One for booking paid consultation (I saw Google can connect these calendars to stripe) and one for booking new business meetings (which would not be connected to stripe)?
Is there a way to customize Google Calendar appointments so that specific resources can be booked? For example, I have 3 simulators available at my business, and I want customers to be able to choose a specific simulator (Sim 1, Sim 2, or Sim 3) for a given time slot (e.g., 1 PM). Is there a way to set this up so that customers can select the exact simulator they want to book?
My only issue is EVERY appointment schedule (slot) shows up on my calendar, even the ones that are not booked. I cannot stand the clutter. I sent in feedback. Any suggestions?
Can I schedule more than one person on a single calendar? Julie & Fran both can do appointments for the team and are in the same location but work off of one calendar?
Do guests have to first log into Google in order to see and book events? Or is it publicly visible for anyone even if they do not have a Google account sign-in?
Okay I'm having a hard time figuring this out. My personal account I can do everything in video but on my business account where i want to use this all i have is appointment slots and in the settings I don't have the check box to change it like Ohers suggested in comments. What do I do or why is this a problem?
I wanted to use Google calendar on my phone as it shows appointment times in description. At least, it does on the website but it doesn't seem to in the app. Is there a way to set this up?
Unfortunately, Google Calendar Appointment Schedules don't allow individuals to book multiple recurring meetings at once. The system is designed for scheduling single appointments based on your availability.
That's a fantastic question, Melissa. Although I'm not sure of the answer. I don't believe that there is a separate view or report, you would just need to look or review your slots.
What happens if I regularly change time zones but want to have my availability be say in my respective local 10am-7pm whether I'm in country A or B? Is there any way to schedule this as repetitive for say 3 months for 1 time zone and then another 3months another time zoe is the basis?
I often recommend a link so that it will appear regardless of who the recipient is. Too often things like embedding or adding additional graphics will not show up on mobile or specific email accounts.
If you trust the admin with full access to your calendar and want them to be able to manage appointments alongside other events: Find Your Calendar Settings: In Google Calendar, click the three dots next to the specific calendar you want to share and select "Settings and sharing". Share the Calendar: Under the "Share with specific people" section, add your admin's email address. In the permission dropdown, select "Make changes AND manage sharing".
The "Appointment schedule" feature might not be available on all Google accounts. It's primarily available for G Suite accounts (now known as Google Workspace) and some personal accounts with access to beta features. If you still don't see the option after following these steps, your account might not have access to it or it might be disabled for your specific domain. You can try contacting your Google Workspace administrator or checking the Google Calendar Help Center for further information: support.google.com/calendar/answer/10729749?hl=en
i have 2 questions. 1. what if i only have 1 day in a month for filling my classroom. then i need to do disable the other 29 days for availibility or is there another way? 2. i want to put this on a wordpress site. do people who fill the fields in needs to have a google account ? thank you
Okay I'm confused -- I have a Google Workspace account, but instead of Appointment Scheduler it has "Appointment Slots", and it doesn't give me the option to create an availability schedule. What's up with that? 😐
How do we prevent users from abusing the booking system and selecting a lot of dates to book? What if we only want a single user to book a limit amount of times?
Is this for a paid subscription? I don’t have the same options. So frustrating watching these tutorials to get into and they don’t explain these nuances
No, not at this time. Google Meet links can be generated automatically. But if you want to use Zoom, you would need to include the meeting room within the description area.
Fantastic Tutorial. You have a Disney presenter voice, very clear and easy to understand. Congrats!!

Great video, Scott! Thanks. What if someone needs to change their appointment day or time? How do they do that?
Within the calendar event (and email notification), there is a link that they can use to cancel or reschedule.

15:20 Ways to share our calendar
Hey! Do you know how to enable the options of this button for appointment 0:27 ? i have only Events and Tasks :(
Fundamental error when you upgrade to multiple calendars.
It will search the chosen calendar and always the default for available appointments. how do individuals book recurring booking rather than bok one by one.
Unfortunately, Google Calendar Appointment Schedules don't allow individuals to book multiple recurring meetings at once. The system is designed for scheduling single appointments based on your availability.
Is it possible to see a list of everyone who has scheduled appointments with you on one screen? Maybe a report?

To the best of my knowledge, this is not possible without creating 2 different schedules (1 for each time zone).

I only see "Event" and "Task" when I click on Google Calendar. I don't see "Appointment schedule". I don't know why.
2. i want to put this on a wordpress site. do people who fill the fields in needs to have a google account ? thank you
You can select as many or few days as you like. So just 1 day a month is fine. And no, users do not need a Google account to book a time with you.
Okay I'm confused -- I have a Google Workspace account, but instead of Appointment Scheduler it has "Appointment Slots", and it doesn't give me the option to create an availability schedule. What's up with that? 😐
Go into settings and click the box to change to schedule instead of slots.
I don't have that option on my settings page @@erinlewis5481
Nothing like that in my settings. The General Settings menu starts with Language and Region and ends with Offline. @@erinlewis5481
How do we prevent users from abusing the booking system and selecting a lot of dates to book? What if we only want a single user to book a limit amount of times?
Just charge a fees to book
Is this for a paid subscription? I don’t have the same options. So frustrating watching these tutorials to get into and they don’t explain these nuances
I cannot get it to show me what others see…help!
Is this zoom intergratable?
No, not at this time. Google Meet links can be generated automatically. But if you want to use Zoom, you would need to include the meeting room within the description area.
Does not make sense, I only have appointment slots for my company on google workspace- so how does this work.
This page may help explain why: support.google.com/calendar/answer/11608416?sjid=13944069586972181117-NA
I think appointment schedule is for paid
Video is good but can you be honest -- is the voice AI? It sounds very robotic after a while.
Haha, I promise I’m 100% human!
