    oh my gosh , i have searching through tutorials on how to make an email for my small business and this video you made is the best! i have been on hold, not being able to advertise my new small business because this was one of the things i have been trying to figure out to legitimize my small business. so Thank you !!!!     Sir you are the source when it comes to setting up Microsoft 365 business accounts. Microsoft should hire you to do all of their videos! It was very clear and thorough. I can't thank you enough. Right now we are using an IT company that provides this service for us. Now we want to do this on our own because their response time is slower than a cure for Covid. Are we able to do that without losing any data like our emails, etc? Thanks again!

      Thank you very much for your comment. I really appreciate it. I understand that you purchased MS 365 from a Microsoft reseller, right? and you want to move it, for example directly from Microsoft. did I understand it right? If it is the case, then the answer is yes. You can move it without losing anything (there are some exceptions depending on the reseller or MS partner). First, you need to access your MS 365 admin center, then go to billing > Purchase services. You will need to buy (from MS) the same licenses that you currently have. Then you can cancel the service that you purchased from the IT Company. There is one detail that you need to be aware of, you may need to wait until the current license expires, otherwise, you may lose some money if the IT company doesn't give you a refund. Hope makes sense what I tried to explain here. Please let me know if it is not clear or if the scenario is different from what I understood. Cheers.

    Hi Carlos - so many thanks for creating these excellent tutorials - so clear and easy to follow! Quick question: my domain already has an MX priority of 0. Can I change it to 1 or higher without risk to ensure the new destination get priority 0?

      Yes, you can change the old MX's priority to 1 and set 0 for the new MX (MS 365). New emails will go to the server with priority 0. Thank you.

      The SPF is configured at the same time as the MX and CNAME (autodiscovery) as shown in this video.

      DMARC can also be configured at the same time as DKIM.

    hello carlos, came across your video, as a power bi dude trying to understand the whole microsoft subscription process all I can tell is thank you for your informative video . here's my question, if we can create as many domain as we want for free to handle different users, why would you someone buy a new license for a new user then ?

      First, thank you for your comment. You can add multiple domains at no additional cost and you can create multiple aliases but you will always need a license for ever user (mailbox). If you have multiple persons working with you, you will need a license for every user. Hope is clarify. cheers!

    this might be a stupid question, but my domain is from squarespace. Do i need to setup email through squarespace first or can i just add domain and setup email through Microsoft 365?

      ohh no, you can keep your domain with squarespace but you don't need to setup email through squarespace. You just add your domain to MS 365 and setup your emails within the MS 365 tenant. All what you need is the access to your DNS manager within squarespace to add the TXT record for domain verification and then modify the MX record to route your emails to MS 365.     Great video.. I have a subscription with a hosting company.. And now, I want to migrate to Office 365.. How is this done? I would like to have the same business email which is hosted by a hosting provider but in 365..

      Hi Mohammed, it is actually done in two steps, first you need to set up your account following the steps on this video, second, you migrate your emails from your hosting provider to MS 365.     I’m currently hosted my email service with a different provider and I would like to move some of the accounts to Microsoft 365 and other to remain over there itself. Is it possible? I’m expecting that it will be possible with the priority in Max record entry. Could you please explain this!

      Thank you Mohammed, it might be possible depending on how the hosting is configured. Actually there are different ways to do it. The MX priority won't make it work. One possible way is with connectors (in MS 365). Another way is using forwarders (if using cPanel on your hosting). I honestly don't recommend it.     Just a question, will the MS 365 Basic license allow me to install Office in my PC? According to MS website, the Basic license only allows Web Access to Office application. Appreciate of you could kindly clarify this. Thank you.

      Hi Mustafa, The MS 365 Basic license does not allow you to download the Office apps to your desktop. It only allows you to use the Office Online (Web access) version. If you want to download the apps, you will need the MS 365 STD. Thank you.

    Hey Carlos....I made a mistake and i purchased Microsoft Family instead of Business plan....And i cant access an Admin panel to create users...How do i go about this? Does it mean i will have to purchase a Business Plan? And besides i cant even have access to my custom domain for the Family plan i bought.......

      The admin panel that I am referring to in this video is exclusively for MS 365 for Business. I believe there is an option to use a custom domain with some type of family plan, but honestly I am not familiar with. I strongly suggest to use the MS 365 for Business which has all the features that comes with Microsoft Exchange. Hope it helps. Thank you!

      Hi Sahr, the domain is hosted at HostPapa.com. The hosting platform is cPanel which is used by many hosting companies.

      Ohh, not a problem. You just need to edit the DNS records (TXT, cName and MX) within your current DNS provider. Just don't modify the A record since it is the one for your website. Your website will continue working with your current hosting and your Email will start working on MS 365 when you update the MX record. Thank you.

      That is strange. In any case, you can complete the purchase and add/verify your own domain name later. You can access the MS 365 admin center and click on settings > Domains and then add your own domain name. Hope it helps.

    Rather than buying individual O365 licenses, is there an option to buy a "Business" pack license? Say a 10 or 15 user pack?

      I don't think so, at least I don't know if that option exists. Keep in mind that you can also buy Exchange Online Plan 1 licenses if the users only need email. It is a little bit cheaper than MS 365 Basic and Std. Thank you!

    This was a great tutorial. Thanks. I am a sole proprietor (for now) and have been using 365 Family. To be clear, if I get Business Basic, the only thing I'm losing is the desktop apps - correct? I could still use Forms and other business apps. Have you done any videos about best practices for migrating from desktop apps to cloud? I imagine it's just a matter of backing up files to the cloud folders?

      yes, MS 365 Business Basic does not provide the apps for your desktop. You can only use the Office apps online.
      I don't have a video about the migration to the cloud, but, it is not difficult. You will probably want to use the OneDrive apps to sync your files in the cloud. Thank you for your comment.

    Hi Carols, I wanted to ask you, if I am currently using Cpanel for my emails and I add the MX record as in the video with priority 0, the emails on cpanel will stop working, right? Is it better to use a given Microsoft domain until I migrate all the emails from cpanel to Microsoft and then add the MX record for the office 365? We still need to use the email service until the migration is complete. Regards.

      yes, you are correct. Once you update the MX record with priority 0, your emails in cPanel will stop working and only the email accounts in MS 365 will work. You will need to migrate all your email accounts at once to avoid interruptions. I mean, you can create all the necessary accounts in MS 365 and then update the MX record. By the way, you can start the email data migration before updating the MX record and leave it running. It will keep syncing the accounts (even after the migration is compplete) until you manually stop it.

      Hi Shawn, it depends. In general, we could say that every mailbox requires a license, but if you need one mailbox with multiple aliases (all belonging to your mailbox), then you only need one license. Let me know if you need additional clarification. Thanks

      Once you change your domain's MX record, the email account in cPanel stop receiving emails. The accounts and the email history remains in the cPanel email account but it won't receive any new emails/ Hope it helps. Thank you.

    Great tutorial. Once I purchase Office 365 standard business and I prefer my company names of domain I have to purchase the domain from the outsource provider as well right?

      Thank you for your comment. You can purchase the domain name from Microsoft during the MS 365 registration/setup process or you can use any other domain that you previously purchase from any other provider. Hope it respond to your questions!

      Configuring MS 365 won't affect your website. It will affect your current email service (with your domain) when you update the MX record, otherwise everything continue working with no changes.

    Had a question: when you add a user for MS 365 Business standard, do you still have to create a user on your PC to log into your PC as the business user or is the account automatically created on your laptop for you by MS 365? Thank for the help

      Hi Ken, I think you are referring to the Office apps, right? You don't need to create a new user on your PC. If the Office apps are already installed, you will need to sign in within any of the apps (File . Office account > Change license) and the apps will be activated.
      You can also download the apps from your MS 365 portal (portal.office.com) by clicking on "Install Office".

Does setting up an MS365 business user also create an MS account for the user? Can the MS 365 business user now log in to the PC with the business user credentials or does the business user still have to create an MS account?       If you need separate mailboxes with their own password, then you need a license for each account. If you don't need a password for each account, there is something called shared mailboxes and they don't need a license. They can only be accessed by t licensed user.

One qustion: if i have an email service with many email account and i want to use Outlook web only for some account (les than 10) the dns record will stop email service of other accont not linked on microsoft 365? My provider guide explane than i need to create alias of the email that what migrate on 365 web apps, do ou have video also for this? PS Sorry for my english...

      yes, if you change the MX, the previous email service will stop working. You can consider the use of shared mailboxes in MS 365 or aliases as well. It will depend on how you want to use the current email accounts that you have now.
      on the other hand, it is technically possible to have some email accounts in MS 365 and others in the other email service, however, the configuration is more complicated. I don't suggest it.

      I suggest switching all your accounts/settings to work with Exchange. It will allow you to sync not just the emails but also contacts and calendars. You will need to migrate the email history to Exchange server (MS 365) locally from every computer's user. You can use Outlook to export/import via a pst file. Hope it give you an idea. Thank you!

    Hey Carlos, If you can answer a simple question for me that would be great. I have my own setup of O365 and everything is working well. My current subscription is purchased through a partner and I can not remove it and when asked to Partner to end the reseller relationship he is suggesting to move each user to a new setup because once he end the reseller relationship my email and other data will be deleted along with it which I don’t think is true.
    Can you tell me if in any way my reseller can delete my email and other data which is associated with O365? Will my data remain once he will end the reseller relationship and when I will buy the subscription directly from Microsoft those services will resume and I will have access to all old data?

      Hi Akhilesh, the answer depends on who is your current partner/reseller. There are some resellers that will ask you to delete your current MS 365 tenant instead of transferring it to another reseller or even to MS directly. It is the case of GoDaddy for example. If you have a global admin role within your MS 365 account, you should be able to transfer it with another reseller or directly with MS, with without deleting your data. If you have Global admin role, you should be able to purchase licenses (from the MS 365 admin center>billing>Purchase services) directly from MS and cancelling your current licenses without any interruption of the service or deleting your data.       Hi Ramon, thank you for your comment. Yes, if your domain uses Microsoft DNS (which will be the case when you purchase the domain from MS), the DNS records will be modified automatically.

      Hi Rizwan, thanks for your comment.
      The MX priority is what determine where your email service is working. If you add a new MX record (for example the MS 365 MX record) but the priority is 1 or 5, and you keep your current MX with priority 0, then your current email service will remain working as it is. If you add the MS 365 MX record with priority 1 for example, your email service is not going to change. But, by the moment your switch the priorities (for example MS 365 to 0), them your email service will start working with MS 365. By the way, you can't have two MX records with the same priority.       I suggest starting the migration and then update the MX record. The MS 365 migration tool will keep running even after the migration is complete, and it will sync any email that may have arrived during the process.

      Hello Ken, after having worked for many years with MS 365 (Office 365) I only know the option of corporate email is available with the Business licenses (Basic, Standard and Enterprise). I have recently read that it might be possible with a Personal license but only if you have a domain with GoDaddy. Hope it helps, thanks

      Hello Sami, if you are moving your email from any email service to MS 365, you can configure (create) exactly the same email address that you have with your previous provider. You can continue using the same email address. When you change the MX record, your email address stop working with the previous provider and start working with MS 365.       Hi Muhammad, I would say that MS 365 is a excellent option to consider if you are considering moving your data to the cloud and being able to share it with internal and external users. For example, you can think about Sharepoint (part of MS 365) as the place where you can have your business data (instead of having it in you Network drive, F, H, G, etc). You can set permissions to control the privacy of your files. Thank you.

      You will be able to shared your data with external and internal users. 300 is the maximum licenses that you can purchase under the Business subscription. If your organization has more than 300 users, you should consider the Enterprise subscription.

      Hello, moving MS 365 away from GoDaddy is not as easy as it should be. GoDaddy doesn't let you transfer your MS 365 accounts. It means that you will need to do a manual migration (Emails, Contacts, Calendar and OneDrive files).
      You can use the steps that I describe in the video, but you will find a little problem. You won't be able to verify your domain within the new MS 365 tenant before you ask GoDaddy to remove your domain from their MS environment. Before doing this, you need to backup all your data (you can export emails, contacts and calendar to a pst file using Outlook).
      After backing up your data, ask GoDaddy to remove the domain, then you will be able to add your domain to the new MS 356 tenant and create the email accounts. The next step is restoring your backup (import the pst file using Outlook again). In this step, I suggest to create a new Outlook profile.

      Hi Tony, yes you can. Access your MS 365 admin center, then access Azure active directory and click on Azure Active directory (within Azure active directory admin center), then click on Properties > Manage Security properties (bottom of the screen). Select No on "Enable Security defaults" (on the right side of your screen) and save it. You will need to wait 15 to 30 minutes to take effect. There are other ways to disable it, however hits one should be more straight forward. Hope it helps, thanks.

    For the MX record priority, if we are doing a phased migration from Exchange to 365 but won't be able to migrate all the users at once, does mail traffic look at the lowest priority first, if it doesn't see the user's mailbox on 365, does it then go to the next mail host record in the priority list?

      Unfortunately, it won't work the way you expect. If the MX (highest priority - lowest value) is set for MS 365, and if the mailbox does not exist in MS 365, then the emails will bounce back. You would need to configure a hybrid setup for the transition if you want to keep both servers working at the same time. This type of configuration requires more work and settings may vary depending on the Exchange version. Hope it helps. Thanks.

      Hola Gerardo, disculpa la demora en mi respuesta. Tecnicamente es posible pero depende en parte del servicio de correo en cPanel ademas de MS 365. La configuracion es un poco mas complicada. Yo particularmente no lo recomiendo. Si quieres aprender mas acerca de esa opcion te sugiero que busques por split delivery or hybrid setup/configuration. Saludos.
