Tell them your putting them on hold. No need to ask. Telling them means they know your going to help them but are going to be away from the phone so they can't hear you. I do agree, telephone skills is a lost skill.
Trisha, do you have a suggestion for a small healthcare clinic that is booked out 2 months. How do we graciously say to new patients that we are scheduling out 2 months, but that we can put them on our Cancellation List? That sounds like we get a lot of cancellations (which we do), but is there a better way that we could word this? Also, with our current patients, we book them out 2 months, but if their test results come in earlier, we tell them that we will call them and try & get them in earlier. We would love a great way to say this that is positive for them vs "we'll put you on our Cancellation List, or our Wait List." To me that is a negative, but we can't quite think of a Positive way of saying this. Our doctor is very well regarded, and that is why she is booked out. I always tell her that she needs to clone herself!! Patients are eager to find out their test results so that they can get busy on their "road to recovery!"
Hi Claire:). Maybe say something like " I can add you to our waiting list". We would be more than happy to add you as a client as soon as something opens up. The good news is you are busy and have a two-month waiting list. I think honest communication is the best approach and then honoring your commitment when something opens up. Good luck!
After they thank me, I can say "you're welcome. Goodbye," and that's ok? It seems like whenever I do this the other person seems uncomfortable as though I've been too abrupt.They then sort of stutter, "uh, yeah...ok...g'bye..." Also, isn't the caller supposed to say bye first? I can never tell...
Usually I say, “you’re welcome, is there anything else I can help you with?” And if they reply with “no” then I say “okay, have a nice day goodbye” and end the call LOL
