    This video should be the first stop for those migrating from their current server. The chat room assistance of email servers requires reading and learning to almost become a professional tech support admin. This video walked me through the process and alerted me to info I'd need for which you may want to contact your current server with specific questions. With the necessary log in protocol and new passwords this video could be all you'll need for DIY process.

    Thank you so much for the video. This solved my problem. I needed a visual explanation as I had already started migration in the past (and error occurred, at which I gave up) and forgot about it, now wondering why it deosn't have the buttons that Google says to click. Now I know I just needed to delete the old one and start a new set up.
    Now everything is clear and working. It's so satisfying to see the migration finally began and is at 13%. No more $6 monthly fee for email that I don't use!!!

Have a couple of questions, 1. when i have a domain setup done in office 365, how do i create same email id on Google workspace. 2. want to understand on domains records setup as well for both office 365 and google workspace during the migration process.       Hi, thank you for your comment. You can verify your domain with Google and create the same email accounts that you have in MS 365. Your email service will remain working on MS 365 until you change/update your domain's MX record. You should not find any issues on creating the same email addresses in both services, however, only one will be active (where the MX record is pointing to).
      I suggest starting the migration and then updating the MX record. The migration will continue in progress while you new email service is active in GW.

    Hello! Thank you for posting such an informative video. My only concern is the following: I have been using an old email address with my own domain from the provider Wordpress. I want to now use that same domain to register my workspace account. If I register with workspace using my domain which is linked to my old emails, would my inbound emails be disrupted or even worse lost or would my inbound emails be disrupted for up to 72 hrs but then flow into my new workspace account? Could I migrate my old emails after this process or will I lose access to my old email accounts when I verify that I own the domain using the txt method?

      Hi Roham, you can use your domain name to set up Google Workspace. Adding the TXT record won't disrupt your current email service with Wordpress. Your old email service (with Wordpress) will stop working when you change the MX record to Google. You can initiate the email migration before, during or after updating the MX record and you won't lose your email history. When you change the MX record, you will need to start accessing your emails in Google Workspace and you should not lose any email as long as you are aware of the moment the MX record is updated. Does this mean that I will still need to pay Wordpress for use of the email domain? Or does the payment for this get transferred to Google? Thanks.

It depends. if you are getting charged for separate services (web hosting + email service) and you move your email to Google Workspace, then you can cancel the email service with Wordpress after completing the email migration. If you still keep your website, then you will need to continue paying for the web hosting part. Hope it helps. Thanks.

    Excellent Video, thank you. My client uses a third party email server and funnels it into Outlook. Once I migrate the data from his server, will I have to sync Outlook with Google Workspace too?

      Hi Sherry, if the migration is to GW, and the users want to continue using Outlook, then, they can set up and sync their GW email accounts with Outlook. Here is a video that show you a great option to configure GW in Outlook.

    Thank you for the video! Super helpful! Question for you…if I set up a Google workspace email which is the same as an already existing email address on godaddy, do I need to do this process you describe? There is a part of the process where Google verifies ownership of the domain and updates records (I’m guessing it’ll update MX records), does it then also see that the emails were on godaddy and migrate them? I’m guessing the answer is no but just want to check.

      Hi David, when you update the MX records, your emails will start flowing to Google instead of GoDaddy. I suggest to run the migration after updating the MX records. Does it respond to your question? Thank you for your comment!!

      Hi Cerra, thank you for your feedback. If your other account is a Google account (either Gmail or Google Workspace), then you can configure a forwarder to your new account. Access your Gmail account, click on Settings (the gear wheel on top), then click on See All settings, then on Forwarding and POP/IMAP tab. You will find "Forwarding" where you will be able to configure it. Hope it helps :)

    Hi - quick question, and thanks for the video. When you migrate a user's email (user 1) to another user (user 2), how do they appear in User 2's account? Are they in a specific folder by default, or are they just mixed into the existing email by date? I have numerous legacy accounts that are not being used any more, and I'd like to retain the data without having to pay for unnecessary licenses. Google forced our migration from a free account to Workplaces this month and it has caused a lot of trouble. Essentially, I just need to know if the emails (and also docs, drive files, etc) are somehow flagged as from that old account or are segregated in some way. I don't want to just have them dumped in and all mixed up. Thanks!

      Hi Elliot, the migrated emails will mixed into the existing email by date. After the migration you could create filters to classify (and tag) the migrated emails. Hope this helps. Thank you for your comment.

      Hi David, nothing will happen to the source. The original mailboxes remain intact. The tool only copy the emails without changing any of your emails on the old server. Thank you!

    Could you say how you handled the domain migration itself? Did you change the MX records for the domain before or after the data migrations?

      Hi Benjamin, I suggest to update/change the MX record as soon as you start the migration. The users will need to start accessing/using their Google accounts since that moment and the migration will run in the background with no interruption of the email service. Thank you!

      @@itwithcarlos So I guess my question is whether the MX record is needed for connecting to the the source email account. It sounds like it is not. But more importantly, I need to be able to have a fallback. Is the data sync operation idempotent? If I don't change the MX, would I be able to sync the google account multiple times without getting duplicates? Then I could simply change the MX record once I've confirmed all the data has synced properly. I need to sync email for my whole company, so I can't change the MX records until I know it's working. Should that work? In theory I would run the migrations but leave the MX record as-is, so the email works as before, but new mails would have to be synced again once we're ready to make the switch?

    Thank you Carlos! This was easy to follow and comprehensive. I do have a couple of questions. 1. I am going to be migrating from a GoDaddy MS 365 account to Workspace. Would it make sense to set the migration source as MS 365 instead of IMAP? 2. There are several email accounts that will be migrated, that have folders created on Outlook for organizational purposes. Will these migrate as the same folders to Workspace?

      Hi David, you are asking a very good question. Before January 1st. 2023 it was possible to use the IMAP migration (having MS 365 as the source), however, Microsoft disabled the Basic Authentication and it is what the Google migration tool uses. So it is not actually possible to use the IMAP migration in your case.
      The other option (migration source as MS 365) sounds like the most appropriate for your case. I honestly haven't had that opportunity to test it. I believe that option should work with no issues.
      Another alternative is Google Workspace Migration for Microsoft Exchange (GWMME)

    Great video. Is it possible to migrate Imap mail not only from the parent account but also from any alias Imap accounts I have set up? For example I have one main email address that my wife and I both use plus 5 total additional alias emails for me, my wife and one for each of the children all utilizing my own domain. I’d like to do this by having only one Google Workspace user account and then add and migrate each alias email. Google says it’s not possible to move the alias email without creating 5 additional paid user accounts but it seems to me it should work. Thanks in advance for your help.

      Hi Brent, you can migrate all the accounts to a single Google Workspace mailbox, but at the end, you won't have individual mailbox for each user. You will have only one mailbox. All the email history will be in a single mailbox. Is it what you are looking for? If you want that your wife and children have their own mailbox, then you will need additional licenses for each user. The alias works as a nick name for your mailbox. Hope this helps to clarify.       @@itwithcarlos Thank you very much for the answer. No that's not what I was hoping, I wanted to have an individual IMAP mailbox for each person just like I do today with my current email host. This way each can send/receive emails to/from their individual email address, maintain their own folders, etc. The downside is the "parent" email inbox works as a "catch all" inbox for the other inboxes thus meaning I need to delete those alias emails from the parent inbox which is a pain but not too bad. Anyway thank you for the assistance, you are very knowledgeable. I wonder if Google Workspaces has a "catch all" feature that might solve this?

    Thanks for the video. I have a number of work IMAP emails hosted at another email server. I want to migrate to Gmail workspace. My question is do I have to migrate all the emails or can I just migrate 3 or 4 out of the 10 we have on the other email server. The reason I ask is that If i change the MX record it seems that it will effect all the emails i have associated with that specific domain. Thanks again for the helpful video.

      Yes, you will need to migrate all the email accounts under your domain name. It may be possible to create a hybrid setup, but I dont recommend it. Thank you

      Hi Caleb, an option is to create forwarders from every email address to your Google account, then you could create aliases of your email addresses within your Google account (it will allow you to respond from Google as your other email addresses). If you like, you can also migrate your email history to Google Workspace with the migration tool (described in this video). Hope it helps, thanks.

    My email provider is Ionos. And I have set up a secondary domain for the domain in the Ionos account. All my emails are in Ionos and I want to migrate to Gmail. If I click "Activate Gmail" in Google workspace for this domain does all my old emails get migrated automatically or should I use the data migration tool after activating Gmail?

      When you click on "Activate Gmail" you will see the instructions to make Google Workspace your email service. The instruction will ask you to update/change the MX record. This activation does not migrate emails. You will need to migrate the emails with the data migration tool or with any other tool. Thanks.

    Hello Carlos, thank you for the video. Just to make it clear, this tool moves email from one server to another, correct? I’m not IT inclined. I have a business website. When it was built, the main email address was opened in Office 365. All new emails I opened in Google Workplace, which works much better for me. Using this tool, I move my main email account from Office 365 to Google, correct? Keeping the same email address? So when configuring iPhone and my Mac mail, I use a Google configuration after the migration? Thank you in advance.

      Hi Maxim, you are right. You can move your emails from server to other, however, there is a new issue when the source is MS 365/Office 365. This tools use IMAP migration with Basic authentication, and MS recently disables Basic authentication starting 2023. It means that this tool won't let you move the emails from MS 365. An alternative to complete this type of migration (for one or just a few email accounts) is to use Outlook and a tool called GWSMO. Here is a video that explain how this tools works. The video does not describe the migration in details but it show you the steps to configure the account in one PC with Outlook. This will do the migration and then you can use your iPhone and you Mac.

    Thank you so much Carlos. Very helpful indeed! In my case, I'm moving to a new web host and to Google Workspace for mail. The domain nameservers currently point to old web host with the mailbox that I need to migrate. So I'll update nameservers back to domain registrar, and then update DNS to Google Workspace. So my question please, can I proceed with data migration as soon as DNS has been updated? Please advise.

      Yes, you can update the MX as soon as you start the migration. Also, you can re-run the migration if you think that some emails still arrived to the old server.

Please are you able to clarify the following: during the migration, an alert appeared: Google identity alert 'Google detected suspicious activity and suspended the account', and the alert Status is 'Not started'. I only updated the User's first name and last name. I also suspect it is because I had not updated the MX record at the time? Weird thing is that the account is still accessible on my PC and setting it up on my phone works so could this be a false alert. Also in the alert page, I see a Delete Alert option but unsure if deleting will fix it. Or perhaps DNS is still propagating since updated DNS about 15hours ago, though MX lookup indicates propagation is complete. Grateful if you could please advise. I'm looking up possible solutions as well.

      Hi again, perhaps its because mailbox was already signed up with MS365. Yes, only finding out now when consulting domain registrar since I could not remove an old SPF record. Data already migrated to GW, so Im thinking its best to remove mailbox from MS365 and continue with GW.

    Hey Carlos, thank you so much for your video. One question - I currently have emails through webmail in Hostgator. I setup a google workspace account but haven’t done the MX records step. I want to test out the migration before doing it for my entire team. Is is possible to migrate data first prior to the MX records step to port over to google workspace?

      Google suggest to migrate in groups of 100 or fewer. The time it will take depend (among other factors) on the number of emails that need to be migrated. When migrating, it is expected to see some accounts taking much longer that others and you will be able to see the progress of each one.

      Hi Benjamin, you need every user's email password to do the email migration.
      The calendar migration depends on where they are currently stored. Most of the cases they calendars are stored locally the migration will vary depending on the email app that users uses. If the email app is Outlook, a option to migrate emails, contacts and calendar is the GWSMO (Google Workspace tool to sync with Outlook).

      Hi Jessie, it depends. When using pop3, the email data is on users' local computers/devices. User's data might be partially stored on the email server. POP3 only allows you to keep Inbox emails on the server (if the user setup the device to keep a copy on the server). Unfortunately it is how pop3 works. Having said that, an option to migrate users' emails is by exporting emails to a pst file (if you are using Outlook). Then you can import the pst file back to Google Workspace (by using Outlook as well). Hope it helps.

But my question is, how can we import all the old emails from Webmail horde to gmail(gsuite) account with the same email. I mean we just need to transfer all the emails from webmail to Gmail account and exact email address.
      The hosting company told that we cannot transfer the file anymore once we enable the Gmall app in our Gsuite..

You mentioned that you used pop3, what apps do you use to configure your email as pop3? Do you use Outlook or Thunderbird or any other? Or you only use Horde? If you use Horde, the you can transfer your emails from the current email server (provider) to Google Workspace using the tool the I described in the video. Please let me know. Thanks.

    The only question I have is what happens when someone sends another email to that migrated mailbox. Where does it go: the original mailbox, or the Workspace one? My instinct is that you have to update the MX record to point to the new Workspace mailbox

      Hi Marius, yes, there is no problem. You actually need to have both mailboxes to complete the migration. One will be active (receiving emails) and the other one will exist but without receiving new emails. It will depend on where the MX record is pointing to.

    Thanks Carlos great video, a problem i'm having is an error occurs after the initialising stage. I also noticed you are using the same email under source email and workspace email. Google won't let me submit the source email a second time under the workspace email box. Any help would be greatly appreciated.

      Hi Tom, when entering the information for the migration of every email account, you need to enter the source email address and its password, then you will enter the GW mailbox (as the target). If it failing or not allowing you to do this, I suggest you delete the migration batch and restart the migration process again. Hope it helps.

      Thank you for your feedback. After the migration, the old emails still remain in the old mailbox. The migration process makes a copy of your old emails into the new mailbox (Google Workspace). On the other hand, after updating the MX records, all new emails will start arriving in the new mailbox in Google Workspace. Hope it responds to your questions.

      Do you know what email service in GoDaddy? If it is MS 365 (with GoDaddy) you might not be able to use this migration tool. If it is not MS 365, then it is very possible that this tool will help you to migrate the emails.

    Do you have to create the emails on the new server first? in our case the emails are being switched from an existing email host to google workspace, so it would be moving from the same email to the new email which is exactly the same, just managed by Google instead. if we link the domain and set up the emails I'm afraid we would lose the ability to do this? Or am I wrong?

      Hi Stephanie, you have to create the email accounts in the new server (GW) first. Adding your domain to GW and creating the email accounts in GW won't make your original email service to stop working (as long as you don't modify the MX record).
      When you modify the MX record is when the new email messages start flowing to the new email service (GW).
      I suggest to update the MX record just after initiating the migration. Your new email service will become active, users will be able to access and receive new emails in GW while the migration is running in the background.

      HI Abi, if you also updated the MX record on the 31st, then the new emails should have god to GW. If you still find the missing emails in the original mailbox (where you migrated from) then you can run the migration again, It won't replicate the emails. It will only migrate the missing emails.       If you are just transferring your Google subscription to another reseller, or from a reseller to Google directly, then all your Google services are also transferred.

      It depends. If it is from Exchange online, then I see two issues. 1 the migration tool only works with Basic authentication and Exchange Online only support modern authentication. 2. The shared mailboxes (in theory) don't have a a password. If it is from Exchange on premises, then you will need to test if the password is actually an issues. You will need to test it.

Migrate the usermailboc using data migration service to google workspace. Once migrated I just set delegated access to this mailbox. That should serve the purpose of shared mailbox in google workspace.

      These steps can be used to migrate from one GW to another GW, however, keep in mind that it migrate only emails. The migration of contacts/calendars and files in Drive will need to be move manually. If you are changing your domain, there is a better approach/procedure which is adding the new domain as an additional domain (within your current tenant) and them make the new domain as your primary domain.     Thanks for the video! I'm migrating from Zoho, but when I follow the steps, I get "Internal Server Error (25002)" after adding a user. It never shows the progress bar. The issue has persisted for several hours across multiple devices and browsers. Are you aware of anything on MY end that could be causing this, or do you think I just need to wait a while for the error at Google's servers to go away?

    Hi, Thanks for sharing the video; I migrated successfully from O365 to Google workspace, New labels were created in Google workspace, unfortunately labels are empty, and mailbox size shows 11GB. Could you advise, thanx

      The emails should have moved/marked to their respective labels/folders. If it didn't happen, then, you may need to create filters to move them.
      Verify if the emails are currently in your Inbox, then apply the filter. I am currently working on a video that show you how to create this type of filter. Once it is published, I will add the link to my comments here. Thanks.

      @@itwithcarlos Thanks for the response, i checked inbox and couldn't find old emails, news labels automatically created, and it's empty. Sounds excellent; waiting for the new video... :)
