  • I've seen a lot of people ask how to setup your business email account best and after my own experiences with emails landing in spam folders, disappearing, overflowing inboxes etc.
    I've become a total fan of setting up your business email account with Google Workspace, which means you're basically getting a Gmail account just with your own domain so it looks like this name[at]domain.com instead of name [at]gmail.com.

    A few questions as my status is missing after roughly 18 hours since trying to activate. Does it normally take that long or have I potentially done something wrong? I noticed in this video you appear to still have DNS records from non MX google accounts which I thought it asked would need to be deleted. I'm also confused by the host section. When I read it I thought google simply asks to put "@" in this column but you have your domain name in this column so I'm a little confused by this.

      Hi Dale, yes it can take quite a while to populate. I've had to wait 48hrs sometimes. Some hosts will change the @ to the domain name automatically, sorry this was confusing! The only mx records should be pointing to google thats correct.

    Hi, I have a question before I setup. 2:37 you chose "just you" checkbox. My question is:
    1. I have several business emails (for personel) on my domain provider and the emails are already created. Should I delete all those email accounts first?
    2. Each of my personel has their own gmail account. Do I have to setup each email account and use dns records each time on my domain provider and use checkbox "just one" for each personal email? Or I just need to setup DNS records once and setup all my business emails separately by just giving? I am a little confused

      Hi Ilkin,
      2) You only have to to set up the DNS records once as that points your whole domain emails to your Google workspace admin account. You'll then set up all the email accounts in the admin console for each email address/account that you want to use. Does that make sense?
      1) Don't delete the old account as you might want to keep the old conversations. Changing the mx records will only make any news emails to the address go to the new inbox.

      If they all use the same email you could use one account but if they all need their own email, you ll need to set up a seperate user per person.

      Hi, do you mean for the current email? Yes you can use any email for that!

    hey kathrin all your explanation was great but when it comes to copy and past the mx verification code. which is that long code it gives error and says (enter valid mail server ) what and where might be wrong ? please help me out

      Hey, thank you so much for your feedback! :) Hm hard to say without looking at it, I'd say double check you definitely copied the whole thing. If you copy the exact values it should work, if not I would contact Google Workspace support.

    Welcome. . Some routers give a free domain. How do I associate this domain with Gmail work space.
    Do you have an explanation for that?

      Hi, it would be the company that is selling the router, so they should give you a portal/login to where you can adjust the DNS settings for the domain, which you can then set up to point to Google workspace as shown in the video.

    My question is, to have a general business email, not one that belongs to a worker but the actual business, how do i do that? because for many of us before having workspace we use a regular gmail account for all business emails, can we do that still with workspace?

      Hi Maria, yes if you only have one email address for example info@yourbusiness.com, you would set that up as the only user called info.

    Hi, @3.06 position after entering the domain name its giving error Domain already in use, how to solve the problem,
    My domain was operated by 3rd person now I have only GoDaddy access but not getting access to admin@domain Mail, how I can solve this issue..

      If it's already in use, I guess that means that 3rd person also had a Google Workspace account with the domain. I would contact the support and ask them. If you now own the domain, they should not be able to have that in their Google workspace account anymore.

      You have to enter a business name when you sign up, so it really is geared towards businesses and probably a bit of an overkill for personal use I'd say. You could just set up a personal email at your domain provider to make it personalised - I have a personal one set up for years now like that and its sufficient for that purpose.

    How big is the space in gdrive when u use business email?

      It depends which pricing option you choose, the smallest one is 30GB per user and then 2Tb , 5TB or however much you need with the enterprise custom package.

    So if I bought my domain name through go daddy but my website and all is hosted by hostgator, where do i add the mx files? I assume hostgator cpanel

      Depending on where your DNS settings are, which I'd assume would be GoDaddy, so they would point your domain to your hosting provider (hostgator) where your website sits and your emails as well per default. But you'd then want to change the MX records to point to Google workspace instead.

      @@KathrinBonfigt thank you very much for your reply. I made the website for my dental office myself more than ten years ago. I have a great form maker program that stopped sending notifications last week when Google changed from gsuite to its new workspace. Gravity forms looked into it and told me it’s a mail server issue, hostagator support told me they don’t host our email so it’s Google and Google has been non responsive. Our mail works but the form notifications don’t. It has to be those mx files, but nothing more frustrating than this kind if thing when it’s not something i understand fully. Thanks again for responding.

    Today I did a business email through workspace and it works only that I didn't do that part with the connecting my own server that you did. Does that have to be done?

      Hello in response to your question yes it has to be done. but she did it manually that's why you're seeing it that way. if yours was completed then it was done automatically for you!

      Yes I had to do it the complicated way, but it depends on where you got your domain from whether you have to do it manually like me or the provider takes that work off you like in your case. 🙌

      Yes you can have admin@, info@, yourname@.. but Google Workspace would count them as seperate users, so you'd have to pay for each one.

      Hey, what other emails do you mean? You can forward emails to your workspace address or you can have several adresses with the same domain ending like info@businessname, support@businessname etc.

      Hi Kristina, you can get a free personal email account on gmail.com but if you want to get Google Workspace you have to create a new account there.

      There should be a free trial, but eventually it's a monthly cost depending on which plan you choose.

      It will automatically refresh and check for emails to receive, sending will happen straight away if you're connected to the internet. If you want to force refresh, you can just refresh the browser window.

      You mean directly in Google workspace? Then you dont need to set any DNS settings, as they ll work out of the box. You just set up your user (or more if needed).
