My email inbox is where I manage jobs that need completed.. :) I keep it simple. After I send a quote I forget about it. Customer can contact me if they have problems. Billing is AccountEdge but I'm sure quickbooks or the like would work fine.
My story is kind of the opposite of yours :). I had no enough outsourcing business to justify the big financial investment in vertical integration. We are school photography company and yearbooks were biggest ticket of outsourcing. Yet, I decided to go with my gut and emotions. (Maybe I was just a lucky person). My Business grew 6 fold in 2 years just because of the perception that we could turn in jobs quick, amazon style! I am thinking now of marketing these print and finishing capabilities as a separate business from school photography. You are a great person to look up to and thank you for what you do here in youtube.
It seems like the office copier and print industry is dying. I hope it comes back. Iphones and scan to email has killed monthly print volumes. The copier industry has destroyed itself.

No, the 1200pro is about half the price as c1070. I'll be sharing that spreadsheet with my patrons next week. 1200pro is about $0.001 per click and 1070 is about $0.002 per click for black.

Mostly buy folio sheets to get the right grain direction. Google paper suppliers local to you.
