Microsoft Access A to Z: How to Best Use the Form Wizard to Create Form/Subforms

  • This screencast shows you how to prepare data so that when you use the Form Wizard, the best arrangement of data is presented including form/subforms. It shows how a main form may have one or even two subforms, and how related data changes in the subform as you navigate through the records of the main form.

    Lisa Friedrichsen you are such a great professor and you have an amazing way to teach people, I wish you have the whole course as a complete on TH-cam instead of the 5 - 10 minutes video. I still benfit from these short video but I can only imagine if you have the whole lecture.

    Is there any way I can find out which table and column used the form ? If Form pulling data from multiple tables.

      Yes. The Record Source property of the form contains this information. It's on the Data tab of the property sheet for the form. Click the value (it may be a query name or an SQL statement), then click the Build button which will open Query Design View which provides you with all the information about which fields were pulled from which tables for that form.

      @@lfriedrichsen Thanks for your replay I find SQL statement for one of the forms only .I am working on form puling data from multiple table. Please let me know may be if you covered this area on your privies tutorial.

    I greatly appreciate this series. I'm starting a business from home and am well versed in Excel but now I have database needs and no database experience.
    Problem I've run into is that forms don't appear if they've been created by the form wizard. This problem has happened to a lot of people, as I've found others with the same issues while searching the net for solutions, but the responses to those individuals is an array of random odds and ends. I've tried every solution that I've encountered and nothing has helped. Have you experienced this problem or have you had to handle how to resolve this issue?
    In the meantime, I'm designing my own form from scratch but that's exceedingly tedious and I've yet to master the more advanced features.

      Thanks for the kind words. I have not experienced the problem you are describing. Forgive me, but let me start with basic questions -- As soon as you complete the Form Wizard you immediately save the form with a new name, correct? I'd also encourage you to close all other objects before starting the Form Wizard so the newly created form isn't hidden behind other objects. And also, you know how to switch between different types of objects to show all of the form objects in the Navigation Pane, correct?

      @@lfriedrichsen Thank you for replying. I do save the form with a new name each time, yes. I also am now familiar with the navigation and ribbon selections and functions (though being new it's possible I've overlooked something fundamental).
      Since writing you earlier I revisited some of your videos and decided to try to identify the source of the problem through elimination (ie: was it my form wizard, my relationships, my entire program, or something else). I first accessed other databases and found it worked just fine . . . but did notice my database's wizard was skipping relationship-based steps.
      My database is mainly empty - I only have a few fluff records for the sake of learning and experimenting - I wonder if, in the process of slowly building and relating content as I follow along with videos and refer to text, I've created a problem I'm simply not able to identify. Maybe starting over with a fresh database is smart.

      @@BalefulHead In cases where a database is acting erratically for who knows what reason, I do have a couple of quick suggestions that might help. Have you compacted/repaired the database? You might even do that twice.

      Also, in really large databases that start going wonky I have sometimes had to create a new, blank database, and then import in all of the objects into a new, clean file. That rebuilds all of the system tables (which if damaged due to an abrupt closing of the database or some other network interruption can cause a database to act really weird).

      But yes, if you're not sure if your tables and relationships are correct, that needs to be addressed before doing anything else. Nothing else works right if the relationships are not clear and correct. Typically, each table should be related to only one other table (lookup tables are an exception). Make sure there are no "circular" relationships between your tables (table A is related to table B which is related to table C which is related to table A).

    When i encounter relation tables involved in queries as both sides are 1-1, query (so the form creates by that query) does not work.

      I'm not sure what you mean by "does not work," but I'd have to ask why you have two tables with a 1-1 relationship in the first place. If one record in the first table can only be related to one record in a second table it begs the question of why you have two tables to begin with? If you combine all of the fields in one table it would simplify everything else such as queries or forms built on that data.

      @@lfriedrichsen I have a main tablr and i want to create links to countries and cities cascaded and upon will. So the country link will be optionally established so does the city

      @@stanTrX My best guess based on your comment is that I think that your countries and cities should be broken out into a table. If I'm interpretting this correctly, one country would be related to many customers or whatever is stored in your "main" table. When you choose or enter a new customer on a form, a combo box could list the data from the countries table. It would list the countries alphabetically and the cities within that country alphabetically so you could quickly pick both a country and the city from the same drop-down list.
