    Archived emails exit your inbox and go to the “All Mail” section of Gmail. These emails also appear in their corresponding label section if you have added them to any. Any archived email will return to the inbox if the email thread receives a new response.

      This approach only works when you don't have a lot of emails from many sources. If you are a person that manages many things, you'd be getting constant replies (in those reply all situations) on a specific thread that all your labelled emails go back to the inbox. You then spend time re-label them. In many cases, the action needed to address a specific email is less than the effort to label them constantly. If you are not on top of the labeling efforts, you may actually miss important emails that get reburied in the inbox. Outlook's approach to folders and focused inbox works much better for people with a lot of emails. Plus, Gmail's search function is a hit/miss for average person especially if you have a lot of emails. It works if you write complex search queries using developer-like syntax, which your non-tech people aren't able to do effectively.

    This seems incredibly annoying because you have to go through each email and categorize it. Would be better if you did this automatically with filters.

      It depends on what type of email you get. There is no point in making a filter for your boss if sometimes it is something you have to read, or you are waiting on an answer, or you have to act on it. He might not have mentioned filters because he didn't want to make this video too long.

    Keyboard shortcuts would help with this as well! L to label - just type a couple of letters for the inbox you want to add the email to, then E to archive.

      Great thanks, just started using it, and found too in shortcuts (hit ? to see them all): 'g then s': to go to starred emails, then hit 'g then i' to go to inbox.

    Hi Kevin, thanks for a very well explained video. One question - I still have to go through every single email in my inbox and "label" it - right? Or does Google remember the label and allocate it when that sender sends another email?

    Thank you! I did not know this multiple inbox functionality, very nice! It is also worth noting that you can drag and drop the e-mail to the label on the left side, which applies that label AND archives (remove from inbox) in one simple action. :)

    okay how about this. when i get junk emails, i open them up and click on the three dots next to it and in the drop-down menu i chose Block. However, i still get emails form these senders and when i click on the drop-down menu i see that they are still show the senders are blocked and asks me if i want to unblock them. So the question is, if these senders are blocked why i am still seeing these emails from the same senders and i still have to go through each one of them that i have blocked and delete them again? does blocking NOT mean stop it from showing up in my inbox or in my spam labels? Hotmail seems to understand that and remove any blocked senders from reaching my inbox and or spam folder why not Gmail?

    I love organizing into those three categories, but I don't understand the purpose of creating 3 inboxes after creating the labels. After I create the labels, I can use them to organize my inbox (drag and drop, right click to move etc.). Then when I click on the label it shows me the list of emails. Why create the multiple inboxes on top of that? Thank you!

      It's a bit silly but he wanted them viewable on the main screen, without selecting each label. Unfortunately, Gmail reinvented gmail organization that's really not necessary. For once, I actually like the Microsoft Outlook approach.

      Good point and this is my case: actually I fully understand why he did it, as for you, I was having my three categorises labels and thus folders only, but due to the high traffic in my inbox, I did not engage most of the time with the categories/folders and was always stuck in my inbox (treating new email labelling them and leaving them there - so chaotic). Seeing the 3 categories as separate inboxes in my main in box screen, getting my inbox empty, helps me engage better with the email work-flow, and focus on the 3 categories as I see them all the time. This will be a game changer for me I believe.

    Great video! Would you recommend archiving all processed emails over moving them to dedicated folders? I used to automate labels with filters, then process them and then move them into folders. Keep up the good work, love your content! :)

    I am so thankful for this video. I'm in my last year of high school and when prioritizing college its been hard to get rid of all the junk subscriptions i had that I barely or never checked. This not only allowed me to organize but also allowed me to dump over 4k emails in my inbox that I know I would not really need or check(these subscriptions were stuff like social medias and bonus customer stuff form restaurants I barely visit in years)

      If emails are archieved do they still count against your total storage allotment? After using gail since 2009, last year I had to start buying storage from Google One.

      ​@@cordeliaparham6800It is my understanding that it still does count. It's not necessarily the email that takes up a lot of space but the attachments and embedded images, etc.

    Good guide. I really need to spend a little more time within the Gmail interface and learn it better. Currently I simply download all my Gmail to my email Client on my PC. To me Folders is just simpler to use vs Labels.

      I am known at work as the guy that always respond and respond quickly with relevant information. I am also known as the person that can find and dig up history in a few seconds. I use Folders... I tried to convert to Labels a while back and my overall efficiency dropped significantly. The other issue is the difficulty of finding old emails. The label approach actually adds complexity because you may not remember what labels you added to each email. Using 1 to 2 layers of Folders can cut down search time and increase result accuracy significantly. At my work, the people that are slow to respond to emails and ones that respond to outdated email or using outdated information are always Gmail users.

      You could do that as well. The benefit here is that you see the follow-ups in front of you when you log in, so it serves as a reminder to triage your new messages and you see what's important in the initial view.

    Thanks for the video. My takeaways as follows:
    1. Simple and Short
    As the novice in using Gmail for business purpose. I found that you delivery the key point in a simple way in just 8 min.
    2. Pratical
    I found the video's content to be easily digestible and immediately applicable to my workflow.
    3. helpful
    For people nowadays, we're cluttered by lots of information and thoughts and it lead us to be less creative and peaceful.
    It's important to maintain an organized and clear mind.

      I agree completely. Just assigning a label to an email puts it in a separate group that you can just click on in the left side and see everything in that label so I don't see the need for additional inboxes either.

    Where do you save mail with important passwords and invoices? Do you label them seperate and what label do you give them or just somewhere in your 'Archive' and just search for it if you need it?

    I was hoping to learn have to have Gmail automatically move emails to desired folders using rules or something similar. I can see the value of this video, but having to manually move everything around defeats the purpose of what I was looking for. The title does say "organize", not "automate" so my bad. ;-)

      This is what I was thinking. This seems like more work to me because as well as reading and responding to emails, we're having to manually categorise them first. I also don't know where all the archived emails have gone.

      When you archive all emails, they stay in the ‘buckets’. If you delete them all they will also disappear from the bucket.

    I knew about labels but Thank you for letting us know about multiple inbox settings in gmail 👍 i usually create folders, apply rules to move. However by categorizing as Awaiting Response, Followup and To Read will help. Especially just by clicking mouse on email bar and being there for few seconds will turn that Email to read (red) status even when it is not read (red). This helps 👍

    Great video, but I still think this is too many clicks. Like you also stated, my email get tens and tens of emails every day, and most of them are unimportant / garbage. Gmail is sorely lacking when it comes to automation (or even ai?)
    I could see myself using your system, but only after an automatic/ rule based sorting of emails.
    But I still enjoyed this video, so thanks!

    i use simple trick, from mobile just keeping swipe left/right mail to archive them, until you find a important mail to keep in inbox, and star mail which are important. so that later i can see only star mails.

    Michael Mostert and Kevin Stratvert, I noticed that after I applied this clever method to my gmail, I lost something else I really appreciated which was Gmail sorting out promotions and updates into categories for my easy perusal. That category sorting appears only go with the default setting. Is there a way to have the goodness of both?

The risk of working from the inbox is that you let your inbox be your manager that decides what you spend your time on. I believe that the planning in your calendar and task list should be leading.     What 99.9% of businesses do not k now about their leads or customers -- CRM & Project Management : Google Form submission, Drive/folders, Texts, Calls, Gmail messages/labels. You must have a plan for each for each client/client type.

    Kevin, great video though I have one simple question that nobody seems to be able to answer. How do you sort my ENTIRE Inbox in Gmail by sender? If i can learn how to do this I can see what senders are sending me the MOST incoming emails that are cluttering my inbox then delete them to keep my inbox storage manageable. Do you know of a GMAIL extension that can do this? Or a way of exporting my entire INBOX into Excel then sort it? Please advise.

    Thanks for this! I followed a similar setup from a different TH-cam video (which is now removed) and keep getting hung up on the same question... is there a way to combine multiple inboxes with the functionality of Gmail's built-in categorization?
    For example, the "Promotions" category for me is extremely helpful because it keeps all those kinds of emails out of my inbox so I don't even need to think about categorizing them. If this could be combined with multiple inboxes, that would be a game-changer!

    Hello, Can you please tell me how I can remove emails from a designated label preceding a certain date? For example: under a Label called: Automotive Related I would like to delete all emails prior to 2022/01/01. Is there a way I can use a filter to accomplish this? Many thanks in advance!

[to read] 1). read today/urgent 2). read when you have time [non urgent, or 3) read a a very specific time (right before a meeting) Instead, just have one inbox: archive done emails, set snoozes for things that have a specific follow up date, and leave ones you need to work on today. One view, 6 less decisions to make.

      You are right! This is a joke. It only works for people that get very few emails. He now has Categories and Labels, and then a different view to select Labels as additional Inboxes. What he failed to mention is that any reply on the email thread will move it back to the Inbox, to which you have to re-label AND constantly re-labeling. This is an effort to empty Inbox at any cost. This approach assumes two things: 1) the person doesn't get a lot of emails; or 2) the person only read email once or twice a day. This is kind of person that don't respond to you and when they do respond, the information is already outdated.

    kevin : This is so helpful, thank you! Silly question, where do I find my archived emails? Will there be a "place" where these archived emails have gone and I can access? I imagine after organizing with the labels and multiple inboxes, the emails left to archive are the less important emails, and can be visited later.

    at 50 seconds, when looking at your inbox, across the top I see "primary" "promotions" and "social". How do you do that? and can I put a label in that area instead of a category?

      In settings there is a drop down menu that forces one to choose between default which has the category views of "promotions," "updates," "social," etc. Multiple mailboxes is the method of this video, not default. I asked similar question too about how I could get the goodness of both.

    OK so i have already been using the default set up with Categories:promotions, socials, updates and forums. Are you saying these don't need to be used? Can these categories be deleted? To access these is not that productive and it is unknow if emails are going into these categories. Can /should all emails go into the inbox? Is this a good idea? I really like you idea of the folders and the right sidebar makes it easier to read and assort the emails. I am just confused where or how the other default categories come into this as said earlier. can you help to clarify this please. Thanks for sharing. Al

    How to sign out only one email when more than 1 gmail are signed in.
    Currently sign out from all is only given instead of respective one.

    EVERY article I find anywhere from a search on sorting gmail describes search and calls it sort. Search is not sort. People writing this stuff should just admit there's no sort and stop calling search sort. (End of rant.) -
