How to edit footnote formatting in Microsoft Word

  • It's easy and intuitive to edit your footnote's text - just click into it and start typing. But editing the formatting, such as the separator line or the spacing between footnotes? Not so much. I'll show you the trick to getting "under the hood" of footnote formatting.

    Deborah you are a true hero! I am and have been an appellate attorney, researcher and brief writer for the last 30 years. I fought the change from WP to Word for years!! I was finally forced to the Word (dark) side. But with all your help, Word is now in the light! I am currently in the middle of a 30 page brief and was struggling with footnote formatting.     I have been using Word almost since it launched first (back in the 1990s) and I consider myself fairly knowledgeable at it, but I always have something new to learn or remember (especially with every new Word version!!!), so your videos, concise, specific and to the point, come in very handy!     Hi Deborah! My issue with footnotes numbering is that when I add a new footnote it doesn't format according to the order of the previous footnotes. For example, my document has 139 footnotes in total. When I want to add a new footnote before 139th footnote it does not appear as 138th footnote but as 6th footnote! Did the issue come up when I united different documents in one document and when I add a new footnote it does not recognize the previous footnotes from the combined documents? How can I solve this issue?

      I'm not sure I understand your question. Do you want the entire footnote to appear, but just be smaller? If so, you can adjust the font size using this technique: th-cam.com/video/rprIQqHlLuE/w-d-xo.html

    Loved your tutorial as everywhere else I went, the Shift F1fix was not mentioned. My problem is the footnotes are indented maybe 10 spaces & when I did Shift F1, the indention read 0. How would I get the footnotes to line up with the document's left margin?

      Depends on what the paragraph formatting of the rest of your document is. While the Reveal Formatting tab is open, click on the above paragraphs to see what the intentation is, and either apply it directly in the footnote (make sure to Select All (triple-click in the left margin) to apply to all footnotes), or modify the Footnote text style, so that all your future documents are formatted the same way.

    Deborah, thank you for your tutorial. I changed my endnotes to 12pt Times New Roman. I mistakenly put two spaces between the endnote number and the citation. Now, it seems set in concrete. I cannot delete the extra space. I've tried everything I can think of, besides re-typing the entire thing. Can you suggest a fix for me? All I want to do is delete one space between my endnote number and the citation next to it. Thank you so very much.

    Thanks Deborah. I've been trying to find an answer to a problem for weeks, The end-of-chapter notes in one chapter spread over 3 pages. On the last page, there are 4 lines at the end of the page (continuation of the last note on the previous page) with a gap before it-all of the page apart from the 4 lines. I can't delete the gap. Strangely, if I change the chapter heading (take away the format) the gap disappears. I put it back and the gap appears. This only applies to one chapter, and the one page.I wonder if you have any comments on this,

    How do I change the footnote number font and add brackets around it within the Footnotes section (not within the main text - I've managed to do that). I want the footnote numbers in the footnotes section to be red and in brackets

      I'm pretty sure you should be able to change the Footnote Reference Style to turn the text red, but I don't think it'll allow you to add brackets around it. That's the first time I've heard that requirement.

    Hi! Good tutorial, but I still can't find how to regulate how the footnote is used (maybe there isn't how). In Libre Office you can set how much of the page the footnote will take before continue in the next page, you know, the maximum height of the footnote area.

      I don't see anything in the documentation I have that says that's configurable. I think it's a set-in-stone calculation in Word that takes the bottom page margin into account as a variable.

    Hi Deborah. I have a lot of footnote is my work (more than 1000). And on the end of every footnote text there should be a full stop.
    However, sometimes I forget them and even if I review the footnotes I might miss some of them. Furthermore, it takes a lot of time to look at all these footnotes.
    Hence, I was wondering whether there is a way how I can add full sops at every end of the footnote text?

      There's probably a way to build a macro to check for that character at the end of footnotes, but I wouldn't have any idea how to build it. 🤔 The only think I can suggest is to use *CTRL-G* to review each footnote in the order they appear so you don't miss any.

    Pressing Shift-F1 from within a footnote does not open an editing box.

    In footnote 12, say, the footnote is properly inserted below a short horizontal line. The the footnote ends, and the document continues with "Section", that is the main text - - all below the horizontal line as if Word says I can't be bothered to add some dead space on this page. Is my only solution to go to endnotes?

      If I understand you correctly (and I'm not sure I do), you may want to check your page bottom margins to ensure there's enough space between the end of the main text and the beginning of the footnote. If Word determines there's no enough space for the entire footnote, then it's going to continue to the next page.

    Hi, can you please show us how to prevent footnotes from going to next line? We usually see footnotes number two under number one and number three under number two, but how to keep number two after number one and number three after number two?

      Your footnotes are in the wrong order in the page footer? I've never heard of this happening.

      @@DeborahSavadra No. I was not clear, but I found out my answer already: There is no way to do that with Microsoft Word. Publishers use different softwares for page layout and footnotes. However, this is what I meant: So, every time we click "Footnote" the cursor will take us to the bottom of the page on the next line. For instance, footnote 2 will be "below" footnote 1, making 2 footnotes 2 lines. But what I wanted was to keep all footnotes in the same line and it only goes to another line when it is at the end of the line. I found out that Microsoft Word and Google Doc do not have that function. But thank you for your reply, though.

      I see no reason why not. When you say "footnote", do you mean the text of the footnote itself (can be accomplished via direct formatting or editing the underlying style) or the footnote number (can only be altered via the underlying style)?

      You mean a hanging indent, where the second and subsequent lines are indented?

    I desperately need your help. I've just finished a manuscript that I've been working on for years. It is a trilogy and I have no problem with the last two parts. But in the first part, when I footnote, the page is cut in half, the bottom half is blank, except for the footnote number halfway down this blank space, and well above my footer. If you are there and try to help me , pretend you are instructing your grandchild. I'm 83 and do not do well with p/c instruction. Please be there! Someone please help me! It is done in MS Office. I'm in Windows 10. Deborah SAVA ME!

    This was helpful, except... there is no way to modify the spacing of columns within footnotes that I could find.

      I have heard that some keyboards (e.g., Logitech) reserve that key combination for another use. You may have to add that command to the Ribbon using the technique shown here: th-cam.com/video/Avg5rUJnoQA/w-d-xo.html
