    Trello is a free project management and task management app which is surprisingly powerful and useful, especially considering that it's free. It's what I've been using for a long time, to manage work for myself as well as with some of my teams. If you don't have Trello yet, you can sign up here, for free: trello.com/

    Thank you, Shane. I found Trello yesterday. I found To-Do lists then dragging things to calendars just never worked for me. Trello seems to give a complete overview and your video really helped push me many weeks further than if I'd just experimented. Great video.

    Good refresher on using Trello. Been using it for years for work, life admin, holiday planning My challenge has been boards getting cluttered up to the point where there's simply too much happening in any column (or to do list grows faster than I can clear it).

    You should make a Udemy course on Trello!! I just started a 2-hour course on using Trello as a project management tool. I'm already four courses in, yet I feel like I've learned more from your 12-minute video. Please, please do think about making a Udemy course for this!

    Shane, thanks for the productivity tips and process. I've been trying to think of ways to organize Personal Goals, Family Goals, Work Goals, Career Goals, New Business Ideas, Daily Routine (You covered this one in this video), and many other things. I also use it for my research internship, where we have a small team.

      Thanks for your comment, Seth! It gets more difficult the more different projects you add. I personally don't use Trello for all these different areas of my life. For example, for personal goals, I mainly use tracking tools and personal KPI as described here: activegrowth.com/personal-kpi-tools/

    Excellent video! I'm new to trello, asana, zenkit, etc. I've been watching several intro videos and yours is one of the best. I'm embarking on a big project with lots of categories of To Do items. Do you suggest creating one board for the entire project and using lists for the sub-categories of tasks? Or creating a board for each of the main components of the project?

      Hello Elizabeth, thanks for your comment! There's no one-size-fits-all answer to your question. How to divide your work into boards, lists, cards and checklists mostly depends on the volume of work you do. A board with too many things going on, too many lists and too much stuff sitting in lists of too long is not good to work on. On the other hand, having to switch between a dozen different boards all the time is also highly ineffective. You want to find a balance by which you have the smallest number of overseeable, fast-moving boards possible.

    What’s the difference of having your number 1 item in your to do list compared to priority?

      The priority list is there to make a broad difference between stuff you just get out of your brain and stuff you want to take action on, soon. Priority is: I want to do something about this, but I don't know when, yet.

    Very effective! Do you have any video on Trello Workspace? When I try to create a board, it is by default trying to create the board in a particular workspace. I don't want that but unable to change the workspace as it's coming as noneditable.

    Something I'm not clear on: if I have a group of projects set up as individual cards, within those projects are a bunch of tasks. In this system, as far as I understand, I can only move the entire project across the board, and not the specific tasks?

    Lots of maintenance overhead. Most people will spend more time trying to keep up with organizing this than necessary, taking mental energy away from the work itself.

    Do most people use Trello on their computer or mobile devices? I wonder if you can load up everything say i.e. in the morning and transfer the data back to the phone to keep it synced. Is that possible? Thanks in advance

    This seems much more efficient than a bullet journal. I suppose you lose a little something from not being able to touch pen to paper, but this looks like a big time saver. Thanks!

    when there are too many cards on a list, or when there are too many lists on a board, the cards at the bottom and the lists on the right hand side dissapear from my screen. Is there a solution to this problem?

    Thank you so much for this tutorial. Juggling starting my own business, grad school, teaching, multiple leadership roles and committees, and home life, I have yet to find a productivity system to handle it all and not slow me down. Being able to see the big picture at the same time as the small details helps to make sense of the chaos. I think your system and Trello are the solution.

    Thank you for this very clear and easy-to-follow video. I am currently re-organising my Trello boards after feeling truly overwhelmed by my different tasks and responsibilities. I feel that following this will help me a lot in having the control over my jobs and projects. Thank you.     What if I wanted to have to a 2 separate boards one for My personal Productivity & Other for Office work..( As i havent even used the trello interface)..please help

      That's no problem. You can easily create multiple boards in Trello.

    Got a question, I got 7 different list that I am running eg: Shopping, Home fix, study, personal finance, etc. etc. each has to-do list within it and each to-do list has few task associated to complete it. Can you suggest the best approach to arrange this in Trello... eg: use shopping, home fix, etc. as colour codes... and follow your pattern of board to the end state “done”. Or have 5 different Trello board instead. Can you please share your thoughts.

      Good question! I would only use the setup shown here, with stages moving from left to right, for things that follow a process with multiple stages.
      For example, if you want to arrange your things into similar stages like "planned", "this week", "today" etc. it makes sense to do that and use colored labels. But if it's more of a spontaneous to-do list for stuff to take care of immediately, using columns to categorize could be more useful.

    Guys, how do we deal with repeated tasks that're supposed to be done every week, for example? I don't see any function to implement that in Trello.

      Hello Klaas, there's no core Trello feature that does this, but there are some power-ups available for this purpose.

    Am new to the todo app thing and have been wondering how Trello could be used as a personal todo app.

    I like the way you review products. I like(d) Trello. I feel a pressure for moving to GitHub because of GitHub Projects, Issues, Actions and more - that I don't have in Trello (or other good Project Management tools like Asana or Quire) - would love your comment on GitHub Project Management ;-)

    Great video. So in the beginning you say that each card is a Project and have Tasks as checklist. When you drag a card into Today are you designating that you’ll be working on that project today but not necessarily finishing it? And if you don’t complete the checklist then it goes back to This Week or Priority? Yes please more on Trello and how to use with teams and for projects. Thanks Shane
