The Best Employee Timesheet using NFCs

  • Here is a video of an idea I had to automate attendance tracking or employee sign in using inexpensive NFC cards/chips. The idea is to program each NFC to submit a Google Form response automatically. The form response contains the employee's/student's/patient's name and ID number. This allows for you to keep track of each time they tap the card.
    You could make it so that the employee has two cards one that designates clock in and another that designates clock out. That way it would be easier to keep track of in your Google Sheet.

      I’m glad it helped! I actually had never used google sheets or Microsoft excel before starting these projects. It’s been a lot of fun learning how to make it all work :) I hope you have fun experimenting and please share what you make when you do!

    You’re so smart! Help me brainstorm a way to track my time throughout the day. I need to track time spent on two jobs. I switch between the two jobs dozens of times each day. I’d like to use an nfc ring

      You could make two cards and have one keep track of one job and the other keep track of your second job. Just keep track by labeling the nfc you use. Then tap in and when you stop working that job tap that same card to log out. And then tap in to the second job and tap out again when you switch throughout the day. You could always add one more question and label it in and out and preset the answers to clock in and clock out. Tons of different possibilities

    This is good.
    But is it practically applicable?
    Because, any employee can easily check-in by just sitting at home and tapping the NFC card to his/her own phone that has NFC support. It will make an entry to the sheet.
    How do we avoid that?
    Probably the only way is keeping the NFC card at the reception of the office where an employee goes and collects his NFC Card everyday to Scan and mark his attendance.

    Hi! I am thinking about using similar approach for registering attendance at our youth center. What should I do in case I would like to add a predefined link to a mobile phone, so that youngsters could use their own phones instead of the nfc card?

      The best way would to make two cards and have one of the answers be in or out.

    This was so helpful!! I'm just wondering if I can put enough info on a tag that it shows clock in, clock out and breaks. Im guessing the name would just show up time stamped over and over and you would have to have a formula in your sheet to compute the total work time for each person. Anyway thanks a lot for this!

      Thanks! You should be able to pre-fill the answers like I have done but then you could make it so they land on the second page and answer a question like "Please select" A) Clock in, B) Clock out, C) Break Clock Out, D) Break Clock In. That wouldnt make it as easy. The other option is to make the answers for each NFC chip so the employee would have 4 NFCS. One with the option for clock in. Clock out. Break In, and Break out. The answers would be logged into the google sheet for each card that they use. Its a little bit more cumbersome for the employees but could be done

    if this implement in rl application. its quite flawed since if i have a phone that a NFC reader and connected to the internet i can just tap the card to my phone and it will automatically clock me in right? even without going to the office personally lol. but very nice and straightforward nonetheless

    Hi great video I was wondering if it is possible to add location at the time its taped a simple longitude and latitude so you know the tags are being taped in the right place?

      That is possible but it would require you to learn some coding and add a google script to it. I’m pretty sure you would only be allowed to do this if the person gave consent. I’ll look into it though!

    A very helpul video, im just wondering if they can tap and some way to put the store location, the reason im saying is because i have a retail store and for me is it will be better fot them to click and sent the actual location when they clock in if im not there

      I have a way to do it on Google sheets but not through Google forms. This way is the most simple way I know how to get it done without taking a ton of time.

    is there a way i can store the NFC tag data even when i’m offline? and then sync the files once i get back online?

      The NFC tag data is just the URL that you create. So it will remain on the NFC after you program it. I believe the submitted answers would require an internet connection to be submitted. You can then view the sheet after and see the updated form submissions.

    VERY HELPFUL!! but may I ask if there is anyway that the nfc tag can only be tapped in only a specific device? since I suppose anyone can just input their attendance using their phones even if they really didn’t go in for work or school 😞

      The only option I can think of is using google script to obtain the current location of the person submitting the form. I’ll work on it.

    Looks nice, easy & simple.... but in case i have a nfc tag in a fix position on a wall let`s say and i want to register every single phone that taps my nfc tag and log their "uinque ID" ... how should i do it ? having a reversed scheme ... 1 phone receiving multiple nfc tags that have the embedded name/link on it it`s ok... functioning but i can`t see this as a clocking system. But having 1 tag and multiple phones ... kindda it is ! :) any thoughts ? Good job with the Spreadsheet.

      SO I have been thinking about this and couldnt figure it out before. This was the way that I came up with it the first time. I took a stab at it this week and figured out a way. You would need to have the employees logged into their gmail but you could make their unique ID based on their Google account. Ill make a video on it. You can have one tag be In and another tag be Out. Could also make it so there is just one place to tap for students signing into a class. The user just has to check one box and then hit submit. So still not as long as filling out all of their information.

      Thats one of the downsides of using Google Forms is that it is only possible if they click the link. I think you would need a custom software otherwise :/

      GAS (Google Apps Script) can perform that function but it is much more difficult to program. This is the easiest way that I have seen so far.

    What happens if the students/employees scan the tag with their phone? they'll be able to mark them on time, won't they?

      That is true. They would be able to. The other solution is to keep them in the class or at the office and have them tap it and then place it back into its spot. Kinda like an old punch card

      Most phones will be able to do it. If you have an old one laying around that should work! Otherwise you could look for an old tablet that has an nfc chip/reader in it

      That probably has to do with your share settings. If you go into the share in the top right of the form you will be able to change it so anyone can access the form. That should fix the issue
