Word 2010 Black Out Numbered Headings 2 Options

  • If you find that your numbered headings have suddenly turned into black boxes, you need to watch this video. Here are 2 options to correct the problem.
    I was made aware of a 3rd option: For each style that has the black boxes, go to the Style dialog box. Find your style, right click and select Modify. At the bottom left of the dialog box, click on Format and select Numbering. Click on the "None" box. Click OK. Now go to the Home tab and in the Paragraph group, click the down arrow on Multilevel list. Find your numbered list and the black boxes should be gone. Good luck! Please let me know if it worked.

    Madam u saved my job.i did a word document with lots of efforts.i didn't have a copy of it.suddenly this black shades came out and I tried a lot but no use.After this trick it works me well and I submitted my document successfully.Thanks a lot mam

    1 Follow the instructions in the video
    2 the while document is still opened SAVE as PDF ,then later open the PDF as a WORD Docc
    (NO NEED TO COPY AND PASTE THE WHOLE DOCUMENT)

      @@Formattingformula actually, after saving and opening the doc again I'm back to square one. And option two isn't working 😣. I tried creating a new heading with the same formatting and everytime it goes black. Mine blackens this level *1.1.1* in a multi-level numbered list. Be it 3.3.1 or 5.2.4 please assist

      @@shamisomarabwa202, I have not had the opportunity to try this option, but please try this to see if it helps. For each heading that is giving you the black box, in the Styles list, select the style and select Modify and then in the Format tab at the bottom, select Numbering. Make sure the Numbering tab is set to None. Click OK. Once you are done with that, go to the Home tab and in the Paragraph group, select the Multi-level list that contains your heading numbering. I was told that just by doing that, the boxes should disappear. Please let me know if this helps. Thanks for letting me know. Michelle

    I used the 1st and 2nd steps but when I closed my doc and opened it again, it blackbox still appeared. So I tried to applied the 3rd step and the blackbox has not appeared anymore although I must a bit tired to changed it from beginning. Thankyou so much

    These types of formatting issues are often related to the fact that a Word document is in "Compatibility Mode", meaning that the document was originally created in a pre 2007 version of Word (MS 2003 and before .doc version) and has not been brought up to date. The .doc versions still have the older (pre .XML language) formatting and become corrupt over time when opened in MS 2007 or later. To convert an older version of MS Word documents to the newer .docx version, open the .doc document, go to File and hit the "Convert" button. The document will be converted to .docx. Save the document and make the corrections to the formatting. Then save the document again and the formatting updates should hold going forward.

      @@Formattingformula Option 1 was fine, but when i open my Word file back, it become black box again and both option can't be used :(

      Hi Medean Adnan, I know this issue is crazy. I think Word has many gremlins in it and this is one of them. Make sure that when you save and go back in the document that the black boxes are truly gone. Sometimes they come back. I have had to start a new document and copy in all text except for the Headings and recreated them to get rid of the issue. Good luck and thanks for watching! Michelle Seitz

    Great tutorial, option 1 and 2 diid not work for me when I left and returned to the document, BUT, option 3 in the description fixed it.

      @@Gigis1111 , Some files just have gremlins in them. I have some files that it happens to all the time. There does not seem to be any rhyme or reason. I have even tried copying them to a new template and it still persists. I wish I had a better answer for you. Other than creating the document over again but that is not always feasible. Good luck!

    Option 1 usually works, but this time both options do not work for my document! Do you know any other way (other than re-numbering the whole document). Thank you.

      Ha Nguyen, There is some other thing you can try. Go to File>Options>Add-ins and in the Manage field at the bottom of the dialog box, click the down arrow and select Templates, then click Go. In the Document template field, there is a path to the template that was used to create the document. Click the Attach button and even though it appears that the correct template is attached, when you click Attach button, in the screen that pops up, click on the template again and select Open. Then click OK. Hopefully, that works. The worst option is to open a new blank template and copy in all the text except the lines with the black boxes. You will need to re-create that text altogether.       Hi Dipendra Shrestha, It it occurs to the same document, you will have to start with a new document/template and carefully copy in your text (but not the Headings). You will need to create new Headings in the new document/template. If it happens to other documents, you will have to do the same thing. I know how annoying this is for you. It happens more than you think. I believe it is a "bug" from Microsoft and hope they fix this in upcoming versions. Thanks for watching! Michelle Seitz

      I am glad you replied to my comment.I have a question your solution worked(option 1),while my file was opened.However after i reopened the file my problem reappeared.What can i do to solve this problem?
      The one thing that worked is saving the file into Microsoft word 2003.

      Hi Mohamad, Sometimes it takes a few times to get it to stick. It is hit or miss with the gremlins in Word. I never saw it happen in 2003 and you can attest. I'm not sure why it does it in the subsequent versions of Word. Try fixing it again and then restart your computer and see it that helps also, if trying it multiple times does not work.       Hi Jason, It is definitely a bugger for some people. Sometimes the only thing to do is to start a new document and copy in the text but without the heading lines and add new Headings.
