I would also like to know if you know how to add a task to the scan, for example “entered the class”, “did homework”, “participated”, etc.
You can add other teachers as "testers" for free. Up to 10 total users if I recall correctly. The data will be added to the same spreadsheet. If you have more teachers you want using the system, give them their own version and you can either link it to a different Sheet or the same Sheet in a different tab. For other query, you can add a list of students in the class as a new data table and view for each of the different things you want.
Great video! Making the teacher scan the QRs (as opposed to students scanning) is definitely better; there is less class disruption, the data is more reliable and the whole system is more secure.

Good question. I didnt build that redundancy into this system. You can edit the spreadsheet data - just pop their name into the spreadsheet on new line and copy the timestamp down. But I'll work on updating this with an easier solution

First, you need to download the AppSheet app from the iTunes store. I have set this up on a tablet stationed at a front desk for students to come in to scan without anyone having to be there or having to hold a device to scan the students. Everything works good, but how can I made 'DateTime' update on it's own? It doesn't update if I let the device sit with the QR scanner open.

See, if you would like to use the Student's Full Name you can try this formula that I tried :- In Column C I have added a Column Named "Student Name", now in C1 I wrote this formula which works perfectly fine. =ARRAYFORMULA(IF(ROW(B:B)=1, "Student Name", XLOOKUP(B:B, StudentIDCards!A:A, StudentIDCards!D:D,,0))) Here B:B indicates Student ID and A:A indicates Student ID from Sheet "StudentIDCards" whereas D:D indicates their "Full Name". Yeah you could do it either directly in the app, which is a bit more difficult, or do it on the Google Sheet. For example, in the Google Sheet you could use conditional formatting to highlight the late arrivals, or you could use a query to create a list of people that were late.

We use a point system and it would be nice to scan QR codes to add and subtract points (we let students spend points for candy, trinkets ect… I would like to be able to scan a student QR code and then a second QR code to add or subtract certain points. For instance, candy is worth 1 point but a fidget is worth 6 points. Accumulation of points from multiple scans throughout the day..

Hey Daniel! To get the camera scanner to work, you need to ensure that the SCAN tickbox is ticked in the SCANNER tab for the STUDENTID line. Check out the part at 11:10 again

Yes, absolutely. In AppSheet there's a section called "Automations". You can create a bot that sends an SMS when a scanner record is updated. You just need to record the phone details. In my experience, parents prefer to get a message when their child is NOT at school, which could be a bit more difficult to setup.
Yes. You would need to integrate SharePoint and if you're sharing with a lot of people you'd need to use Azure too. I don't know enough about Azure to help out with that, sorrt
So, apparently there is. I investigated this when I created the method and everything I found said it's doable. However, in all my testing I could never get it to work and I just don't know why.
I used (=QRcode(A2) but not work so used (image function) and QR appear but after the workflow done and run the QR not added to the student ID card only the name and picture only added
It needs to be the QRCODE function. Make sure you've opened Document Studio, close it, then run the function. By opening Document Studio it gives you access to the QRCODE function

Hi Angie, Because you're not using the QR codes for attendance, you might be able to get away with my previous, less secure option. It has one person scanning the QR codes as they come in and uses Google Forms and Google Sheets along with a regular camera app on any modern smartphone. You could print off the QR codes large and place them on the runners' chests alongside their running number or whatever identifier you'll generally have for them. A problem I foresee with this method is if you have many runners reaching the crossing line simultaneously, it could cause a build up and delay if you have only one person scanning. Multiple people can scan at the same time, so that could mitigate the problem slightly. Here's that video: th-cam.com/video/_6-ZDGNtcRg/w-d-xo.html Another option is to have the person running the event (the scanner person) create a simple spreadsheet system where they just type in the number of the runner as they run past. It's much faster as long as the recorder can type in the numbers fast and accurate enough. Make sure the identifiers are unique but also simple enough for the person recording to prevent delays and mistyping. Not natively that I know of. I haven't explored WhatsApp much, it's not a popular app here in New Zealand. But there might be a way to link it with zapier or pabbly. AppSheet does have advanced automation workflow built into it, so you could get it to send messages but I'm not sure about doing it through WhatsApp

Follow all the instructions from 10:40 to 12:46. If the order is incorrect, the tickboxes aren't correctly ticked, the view types are different to what I show, and the view type settings are different, then it won't auto-complete and it'll keep getting you to submit.
It depends. If you've got like 400 or more people, then you probably need to either front up the money (or get your school to pay for it), or you could just run it for free over several days. You don't have to pay annual - there is a monthly option. So pay for it for the month, then unsubscribe. Of course, any new students that come after the month is over might get left off the roll...
Would have been awesome if data could be written to Moodle from my Scanned Sheet once I create this app.. Students found a way to cheat with Moodle attendance when using the LMS. I will thus have to spend hours and create this intermediate step
It'll show you the IDs of those who scanned. To get the names, simply use a vlookup. To show who didn't get scanned, you'll need to have a full list of students the filter out the ones who did scan.
Sure. But then they'd have to scan multiple IDs which would be an obvious hold up for the rest of the students. I get this comment come up quite a bit and I'm just surprised because it shows that so many teachers, not the majority by a long shot, just don't interact with their students and figure this stuff out. When I have a class, I interact with every one of my students every day totaling around 120 to 150 students a day. If there's a discrepancy in an attendance I can very easily search my memory going back at least a few days, sometimes more depending on the student, to remember if they were actually there. I've also built a trust system with my students so they actually want to be in class, and if they don't they'll tell me they're going to skip for whatever reason - communication works. Teachers really need to stop coming up with excuses and just do better. You want a different system that's 100% secure? Pay for one. My systems have helped a lot of people and comments like these really show those teachers who need to step up.
Unfortunately that's quite difficult to do. I'll keep working on a way to figure it out in the Google Platform. There are ways to do it using Microsoft PowerApps, but I'm not well-versed in how that works
@@HashAliNZ This is what I did with your info! worked the same. What I did was just keep track of the students in the group. However, each group only has 6-8 students anyway. Same setup though. Without the picture. Just enlarged the code and laminated a page for the instructors to take to the clinicals with them each week. It has worked ok. Gets a bit messy on filtering for dates though for me. I have fifteen weeks for attendance tracking, on two opposing days, with more than a hundred students in around 15-20 groups located on different units for clinical experiences. Would love to streamline the filters and make it more automated to a single page report. That way I can visualize and set up makeup days more readily.
Unfortunately, yes. I only just found this out a few days ago when I had to do some treasurer invoicing. To make matters worse, the notification we get is that the quota is 25 per week - the wording hasn't been updated yet. I'll email them and let them know. It's kinda disappointing, but that's how business goes. I did approach them to try get some kind of deal with my viewers but they don't do that kinda thing. I'll work on getting a different solution out within the next month.

that cant be done since only the lecture can scan the qr code meaning only one qr code will be scanned per person

Absolutely. When setting up the rows in AppSheet, there's a tickbox for "NFC" near the "Scan?" tickbox

No, sorry. That would require a little bit of formula work to count only the first (or last) one each day. Not too difficult within your Sheet.

I think after taking attendance. We can use slices filter out absent students and then use Automation to send SMS messages to parents.

It needs to be the QRCODE function. Make sure you've opened Document Studio, close it, then run the function. By opening Document Studio it gives you access to the QRCODE function

Help! I went to set this up and my school IT admin will not allow the extensions “document studio” or “Appsheet”. Is there a way to do it without those??? I am really trying to make QR codes for my kids so they can run laps on our recess track and scan every time they run a lap.
Hi Angie,
Because you're not using the QR codes for attendance, you might be able to get away with my previous, less secure option. It has one person scanning the QR codes as they come in and uses Google Forms and Google Sheets along with a regular camera app on any modern smartphone. You could print off the QR codes large and place them on the runners' chests alongside their running number or whatever identifier you'll generally have for them.
A problem I foresee with this method is if you have many runners reaching the crossing line simultaneously, it could cause a build up and delay if you have only one person scanning. Multiple people can scan at the same time, so that could mitigate the problem slightly. Here's that video: th-cam.com/video/_6-ZDGNtcRg/w-d-xo.html
Another option is to have the person running the event (the scanner person) create a simple spreadsheet system where they just type in the number of the runner as they run past. It's much faster as long as the recorder can type in the numbers fast and accurate enough. Make sure the identifiers are unique but also simple enough for the person recording to prevent delays and mistyping.

Not natively that I know of. I haven't explored WhatsApp much, it's not a popular app here in New Zealand. But there might be a way to link it with zapier or pabbly.
AppSheet does have advanced automation workflow built into it, so you could get it to send messages but I'm not sure about doing it through WhatsApp

Yeah there is a way for this, you can use the =IMAGE Function to convert the QR Code URL to image.

Some default settings has been changed. I don't know.
Follow all the instructions from 10:40 to 12:46. If the order is incorrect, the tickboxes aren't correctly ticked, the view types are different to what I show, and the view type settings are different, then it won't auto-complete and it'll keep getting you to submit.

It depends. If you've got like 400 or more people, then you probably need to either front up the money (or get your school to pay for it), or you could just run it for free over several days. You don't have to pay annual - there is a monthly option. So pay for it for the month, then unsubscribe. Of course, any new students that come after the month is over might get left off the roll...

Probably the best way is to duplicate the app for each thing. Or just duplicate the Scanner, naming each one appropriately

Would have been awesome if data could be written to Moodle from my Scanned Sheet once I create this app.. Students found a way to cheat with Moodle attendance when using the LMS. I will thus have to spend hours and create this intermediate step

It'll show you the IDs of those who scanned. To get the names, simply use a vlookup.
To show who didn't get scanned, you'll need to have a full list of students the filter out the ones who did scan.

If a student has a photo of another students id card, can they not fake their attendance as well?
Sure. But then they'd have to scan multiple IDs which would be an obvious hold up for the rest of the students.
I get this comment come up quite a bit and I'm just surprised because it shows that so many teachers, not the majority by a long shot, just don't interact with their students and figure this stuff out. When I have a class, I interact with every one of my students every day totaling around 120 to 150 students a day. If there's a discrepancy in an attendance I can very easily search my memory going back at least a few days, sometimes more depending on the student, to remember if they were actually there. I've also built a trust system with my students so they actually want to be in class, and if they don't they'll tell me they're going to skip for whatever reason - communication works.
Teachers really need to stop coming up with excuses and just do better. You want a different system that's 100% secure? Pay for one. My systems have helped a lot of people and comments like these really show those teachers who need to step up.

Unfortunately that's quite difficult to do. I'll keep working on a way to figure it out in the Google Platform. There are ways to do it using Microsoft PowerApps, but I'm not well-versed in how that works
@@HashAliNZ This is what I did with your info! worked the same. What I did was just keep track of the students in the group. However, each group only has 6-8 students anyway. Same setup though. Without the picture. Just enlarged the code and laminated a page for the instructors to take to the clinicals with them each week. It has worked ok. Gets a bit messy on filtering for dates though for me. I have fifteen weeks for attendance tracking, on two opposing days, with more than a hundred students in around 15-20 groups located on different units for clinical experiences. Would love to streamline the filters and make it more automated to a single page report. That way I can visualize and set up makeup days more readily.

Unfortunately, yes. I only just found this out a few days ago when I had to do some treasurer invoicing. To make matters worse, the notification we get is that the quota is 25 per week - the wording hasn't been updated yet. I'll email them and let them know.
It's kinda disappointing, but that's how business goes. I did approach them to try get some kind of deal with my viewers but they don't do that kinda thing.
I'll work on getting a different solution out within the next month.

I have no idea. Never talked to anyone from there about it.. If you're there and you're using your Google Account, then yes I think so. All you need is Google Sheets with the Document Studio addon, and Google App Sheet
