    This may be 4 years old, but it’s been a life saver (sanity saver?) for me in 2023. I’ve been trying for a couple of hours yesterday to set up simple forwarding rules within Apple Mail and they just don’t work at all. A chat session with Apple Support didn’t help much either. So, I thought I’d consult the guru - that’s you and this video. I set up my Rules in iCloud this morning and … they just work! Thank you so much.

    What you taught in this video is going to make a huge difference. Thank you for explaining this. It's such a valuable tip. I was able to take this concept and apply to my ISP email.

    From some of the comments, for example “Gmail is better than iCloud mail”, I get the impression there is a gap in the basic understanding of how email works; the sender>server>app and server/app/recipient structure of every email message, regardless the suffix. It might help to mention your title specifically refers to email addressed to .iCloud recipients. In general, for email sent to any recipient suffix, I find I always use rules at the server level, not at the app level.

    this is great for an iCloud email, but what if you want to have rules for gmail, outlook, etc? This will not let me filter those like in Mail?

    Please respond. Looks like apple made some updates because I tried applying what you did and it half way worked. Meaning I get email from diferent people in the same company. I have not figured out how to apply one rule for the one company so all email from them goes into a specified folder. thank you.

    Good advice, until the server starts malfunctioning. I decided to delete some rules at the iCloud level and now the zombie rules keep moving my mail around.

    This is all very good, but I don't have exec access to the server (not Google) and only have access to my email client and rules. Do you have a 'how to' or 'dos or don'ts' on client rules?

      I wouldn't use client rules for anything, really, unless you only get your email on that one device (no other Mac, no phone, no iPad, etc).

      @@macmost thanks for the reply. Email is hosted on a private server. Multiple device access isn’t an issue for us, indeed, that can have advantages too. As far as I can tell the main reason not to use Rules is it’s very limited functionality. No wildcards it seems. But it is frustrating there is very limited advice for setting up rules on the Internet.

    Best thing to do is segregate email accounts. One for amazon because there’s so much, set it and ignore it.. One for bills ONLY. Never get spam in that one. One for commercial/newsletters etc. One for personal. One for in between stuff school, church. Follow your own rubric

    Hello, is there any way to view or download the files inside in a folder while Icloud folder sharing without login into apple ID?

      No, you need to be logged in to your Apple ID or you can't use folder sharing. There has to be someone (you) to share the files with.

    Hello. When someone gets a new cell phone number and creates a new ICloud email address at the same time, does the ICloud account generate automated emails to all your contacts stored on your phone providing your new email address and phone number ?

      Does iCloud send out automated emails telling people your change of phone number or address. No. Definitely not. That would be a huge privacy issue.

One other question on the topic, Since I received an email from someone letting me know their new email address (an ICloud address) and new cell number, would that mean that person chose to send that email? I ask also because it seemed like a standard email with just the basic information, not a personalized one.

    Thank you for your video, however I'm experience a problem a little bit different in Mail other than what you mentioned. I mostly use my Imac desktop as my primary computer. The issue is that some massages goes to proper mailboxes and other doesn't. As a test I turned off my other two devices and kept only the Imac on. After that I waited abou 5 minutes and launch the mail app in the iMac. Same issue, the emails come to my inbox. I have to manually mark the email like from Amazon, click "message" and click "apply rules" to have the mail moved to the associated mailbox. This is frustrating because from like one year ago the mails didn't go to their mailboxes. I'd love to have the Mail app working like it should. Any help will be welcomed.

      All I can recommend is to stop using Mac Mail rules and switch to using iCloud (or Gmail or whatever) rules/filters.

      macmostvideo I don’t want to be disrespectful, but is the same thing if my AC is not working and I call the AC technician to report a problem on my AC and the technician answer like open up your windows and turn on the fans.

      I think possibly you can use more than one way to solve this. icloud rules sounds good and perhaps you can use smart mail filter for the important emails that matter to you. Look into that.

    Is there a way to have an email from a particular sender to make a different notification sound on either IOS or Gmail?
    When I receive emails from my boss I want to be able to hear a sound that indicates it’s him. The only solution that I found so far is a bad one. I was going to create a Yahoo email account so that anytime my boss emails me, he’d email the Yahoo account. Not only is this clunky, but then every spam email that went to that Yahoo email address, would make that same sound.
    I’d appreciate some sound advice 😀 Thanks.

      Use Shortcuts. You can create an Automation in the Shortcuts app for when you get an email from a sender. Then you can have the Shortcut play a sound. (On the iPhone)

      @@macmost I hate to bother you with something trivial, but I haven’t been able to figure out how to do one part of the shortcut. I would like the shortcut to create a particular sound (The IPhone alert sound). I haven’t been able to figure out how to select that sound. Any help would be much appreciated.

      @@michaeleichner7522 You need to place a sound file (whatever you want) in iCloud Drive (the Files app) and then point to that sound file in the Shortcuts action.

I was hoping to be able to use the alert sound that I can set thru the settings icon instead of downloading something, just so my email sound would match my text sound, but that seems impossible. Can you please recommend a site that you trust for sounds. I don’t care if it’s a pay site.
      I really appreciate all the help. This is very important to me.

      @@macmost SIR I MEAN, IF IAM GETTING MAILS FRM X, Y AND Z AND I WANT TO PUT THEM IN SINGLE FOLDER, SO IS THERE ANY WAY I RUN SINGLE RULE IN WHICH I MENTION ALL X , Y , Z AND PUT THEM IN SINGLE FOLDER ... ITS POSSIBLE IN GMAIL JUST BY ADDIDNG A COMMA AFTER MENTIONING MAIL ID BUT I AM NOT ABLE TO DO THAT HERE.. MAYBE I NEED TO RUN RULES AFTER RULES TO GET IT DONE.

      @@cryptogiveaways5477 Continue to do that in Gmail. Don't do it in the Mail app. It is always best to do rules on the server, not on an individual client machine.

      @@Tarun-lh9co Do you mean you want to have a server rule for an Apple email account? You can do that by going to iCloud.com and using the web-based Mail app there. There is a way to add rules like you do with Gmail on the web.

    No colors available for iCloud mail, and less flexibility. This is one area where Gmail really shines.

    While I love the idea my iMac is never off. Not to mention iCloud mail rules are limited in comparison to Mac mail rules.
