    Requirements:
    • IP address of the copier
    • web browser
    • internet connection
    • admin credentials to access the copier
    • SMTP server name
    • SSL or TLS requirements
    • SMTP username password
    • SMTP port
    How to: Scan to Email Setup
    1. Open a web browser
    2. Enter the IP address of the copier on your local network or
    home office login for this device
    3. Enter ID and pin
    a. This should be documented somewhere within your company
    or if not your local dealer can assist you.
    4. Select no
    5. Select settings registration
    a. You are accessing the web portal of a copier so you can make
    changes
    6. Select function settings and then send
    7. Select common settings
    8. Select network settings
    9. Enter your server name
    a. This could be gmail, this could be exchange, GoDaddy,
    anything that you folks have on site or purchased through
    a hosted server. For example; smtp.gmail.com, smtp
    office 365, Comm, or an exchange IP address, or an
    exchange host name the email that you would like the
    from address if you require SSL or TLS.
    10. Select SMTP Authentication (STMP AUTH) if you require
    SMTP authentication
    11. Enter the authenticating email or user
    12. Enter the password
    13. If you need to change the port from port 25 that must be
    changed in a user mode or a service mode depending on the
    model. Contact your local servicing dealer if you're unsure the
    process for changing the port on the copier.
    14. Once you're done select ok
    15. Now you're ready to test this setup, assuming that DNS
    gateway and all IP settings are correct and current so please
    check that before any testing or anything else.

    Thanks for the tutorial. Why are Canon printers so hard to operate? It seems like you need to take courses in college just to learn how to do the basic mundane crap like scan docs to an email address or scan docs to a thumbdrive, etc.

    This was simple and easily explained. This process worked for my Cannon MF743Cdw and I'am now able to Scan documents to e-mails. Thank you,

    You are a godsend. This helped me greatly. Only thing I would add is that emails that have extra layers of security can't do this with the traditional password. You have to generate an app password and use that password in the remote ui. Other than that this tutorial is up to date.

      Yes, you are correct. You need the Google App 16 character password. Once I generated that it worked.

    Appreciate the help. Keep in mind that Canon has done something pretty illogical in the setup for the SMTP server for emailing scans; typically you set the port number for the SMTP server with the SMTP settings (for google its 587), however they have a general port setting that doesn't make much sense.
    With Google you have to turn on TLS AND it will still fail because you're using a "less secure app". You need to go into your google account and turn that off.

      @@keithohara5700 Start here: support.google.com/accounts/answer/6010255 and that will walk you through it. In addition, Google will turn this back on regularly and sending email will fail with your gmail account. You'll know because you'll get a security warning in gmail that a less secure app has attempted to use your account.

    Thank you Ray! Can you please provide a link or create a video on how to add another scan to email destination? (a completely different gmail address to receive scans from my Canon image runner Advanve)

      Once you have the main Gmail address setup, just add addresses in the Canon UI.

    Hi, thanks for the great guidelines. However, I'm stuck on step 1. I obtained the printer IP address from the printer by going to "Mobile Portal", which is also the same IP address I found in the "Network" setting page. However, when I typed the IP address on my Chrome, it gives me a "Server Error" message. Can you advise?

      Type in this full URL to connect: ”device ip address”:8000 - If that fails to load the RUI page, a firmware update is due on the Canon device.

    Thanks - I just wanted to add that I followed these directions, but it didn't work. The issue had to do with a google security called "less secure apps". By default, this is off, so you have to turn on this functionality. If your google account utilizes 2 factor authentication, you need to set an application (printer) specific password through your security settings for the printer (not your normal password). Once you do this, you're good! I had to call Canon, they picked up almost immediately and walked me through the process easily. 2 Thumbs way up for both you & Canon!

      It helped me a lot. First, I tried with removing my 2 Factor Authentication method and it worked fine then I saw your message saying make the password for specific app. Then I enabled my 2 Factor Authentication back on and made Device PRINTER and google assign a 16 digit password. which I then copied in printer UI settings (TX Setting> Email/I-fax Setting) now everything is working fine. i got my security back on and can scan and print all the way on air.

      Sadly the less secure apps issue is a Google issue for their security and is not an issue on the copier. All this video shows is how to configure the copier to point to the email server you use. How that email server reacts to the request is on them. Some need 2 factor authentication, some require a different password than what you normally use, and some can be set up to not need anything. That is all on the SMTP server not the copier.

    The instruction itself says that you need to set the SMTP port. So where to ask it then?

      On older Image Runner Advanced machines it is done at the console. Either in Service mode or in Settings/Registration in the email setup section on the console. The latest Image Runner Advanced copiers have it in the screen he shows above. It is a new feature.

    Google will automatically turn off the Less secure apps setting on individual accounts for users who stop using it. Users can turn it back on until the setting is removed. The Less secure apps setting will be removed from the Admin console in Feb, 2021.

      @@Shivian124 The SMTP port setting was added in the RUI page for all Advance Gen 3 (Series I-III) devices, along with the DX models (Current release).
      The video covers a Canon Gen 2 Advance copier, and the SMTP port change must be done in service mode on that series. If needed, provide your model number and we can guide you on the next steps.

    My canon printer changed IP address automatically. Now I can’t scan to email, what can I do?

      Follow the instructions in the video, set it back to the previous IP address, scanning should work again.

    Is not clear how you got to the page that says canon before you logged in

      Open a web browser, type the IP address of the copier into the address bar, select enter.

    It doesn't work for me... it instead prints an error page, and all it says is "ERROR" (but no number, no error id) plus some timestamps and the email adress I wanted to send the scan to etc ...

      Check the Status Monitor (button) on the MFP panel. Then on the touchscreen select Send, then Job Log. The “details” tab will list the error code.

    Function settings and then Send doesn't even exist on my settings....why is it so hard to setup a send to mail.

      The layout of the options in Settings / Registration will vary slightly depending on the model. For imageCLASS model devices, "TX Settings" is shown instead of "Send". From there, “Network Settings -E-Mail/I-Fax Settings” has the same fields, without the option the change the port. To update the SMTP port, this is done in Network Settings > Port Number Settings.

      Depending on the age of the Canon, the SMTP port must updated in service mode. Newly released copiers, and desktop units can be adjusted by the end user. Please contact your local dealer for assistance and input on this process.

      Maybe not helpful here, but on my ImageClass D1620, there is a Port settings option under Network\TCP IP Settings; Email settings are under TX settings under Fuction Settings.

      #995 is an "error code" that means the scan was successfully sent to your email server. The copier received no errors in transmission. If you did not get the email after that, you will need to look at your email server to see if it was marked as SPAM or something else.
