  • Step 1. Find the printers IP address
    a. Menu
    b. Preferences
    c. Network
    d. TCP/IP settings
    e. IPV4 settings
    f. IP address settings
    g. Check settings
    Step 2.
    a. Input the IP address into your browser
    b. Login to system manager mode
    c. Click settings/ registration at the right of the screen after log in
    e. Click Network settings on the left of the screen
    d. click port number settings and update port smtp to 587
    f. click TX settings on the left side of the screen
    g. click email/I-fax settings
    h. update email settings to your email required settings
    Step 3.
    a. go to admin.google.com/ and allow access to less secure apps
    b. click on Security
    c. scroll down and click Less secure apps
    d. then click your icon on the top left of screen and select manage your google account
    e. click security on the tabs left of the screen
    f. scroll down and allow less secure apps access
    g. you are done

    Manage Google account -> Security -> app passwords -> under 'select app' click other and type a name for your printer. Click Generate button. Copy generated password. Goto Cannon Settings -> Tx Settings -> email/ifax settings -> click edit. Click Set/Change Password box. Paste generated Password. Click OK. Log out. Power off printer. Power on, then send a test scan to email. This is what I did and it worked for me.

      Thanks all. To try to add to this, as I personally had a hard time finding the app passwords, I had to go to 2 step authentication. Andre mentioned I had to have it enabled, which I already did, but I didn't quite put together that I should also go to 2 step authentication to get an app password. From google:
      Create & use app passwords
      Important: To create an app password, you need 2-Step Verification on your Google Account.
      If you use 2-Step-Verification and get a "password incorrect" error when you sign in, you can try to use an app password.
      Go to your Google Account.
      Select Security.
      Under "Signing in to Google," select 2-Step Verification.
      At the bottom of the page, select App passwords.
      Enter a name that helps you remember where you’ll use the app password.
      Select Generate.
      To enter the app password, follow the instructions on your screen. The app password is the 16-character code that generates on your device.
      Select Done.

      BUT at some point, without my knowing, my google "less secure app access" had been turned off -- so I had to revisit the google admin security to turn that on -- do you know if that happens to other people? Why did it turn off on its own?

    Hello when I typed the IP on my bowser a messages pop out: it said Cannot access Remote UI.
    Configure a [Remote UI Access PIN], or a [System Manager ID] and [System Manager PIN] on the device. What can I do next.

      Hi, that's a great question. I would recommend you have the correct IP address and if that does not work then contacting Canon directly regarding IP address issues. I have had no experience regarding this specific issue.

    I disagree with using your actual Google password and allowing access to less secure applications. This seems potentially dangerous.
    The better approach is to go to the "Signing In To Google" section of managing your Google Account, then turn on 2-step verification and then generate an App Password for your printer. This will generate a 16-character password to use for the configuration page in the Canon Remote UI. This has the added security of not exposing your actual Gmail account password and it can be revoked at any time.

      And this is the way to do it if you DON'T have a Workspace account set up and it's just a normal Gmail account. Google discontinued support for Less Secure Apps for non-workspace accounts as of May 30, 2022. I was trying to figure out how to get it to still work. Thank you for your comment. It took me a few hoops but I got it set up for an account that is dedicated solely to devices.

    Thank you! Although the Remote UI was an unsecured connection according to my chrome browser so I used a dummy Gmail account. Wouldn't input my real Gmail password in an unsecured browser window. Even giving it directly to canon scares me.

      Create app password associated with your google account. Copy 16 digit password generated, and update your existing SMTP Authentication (SMTP AUTH) password. You should be good to go.

    I couldn't find the port settings for the life of me. This is the first printer brand that keeps all the port settings in a separate page. Normally you configure the SMTP port under SMTP settings, right next to the SMTP server field. What is wrong with Canon...

      I faxing scanning allows you to fax from a dedicated number in your printer to a fax number. Email scanning allows you to scan to any email.

NB: i got same canon u have, I own MF365xe in the address book, when u register new contact, there is I-FAX icon and FAX only icone wuts the different, when should i define my contact as I-FAX or just FAX in my address book, my canon got international telephone line as well as optical Fibers wifi Internet connected but unfortunately canon got wifi feature of wifi which supports only 2.4G of Internet Not 5G and the difference is the speed and Quick response as u know Routers broadcast cast both channels of wifi, my friend?     Hi Andres, now that Google has disabled the ability to allow less secure apps, this doesn't seem to work anymore. I always came back to your video whenever we had issues but I was wondering if you figured this out yet with the new limits.

      I am getting an error every time I try to scan to email since Monday (06/06/2022). The printer is telling me that the job is "suspended." I have an email out to Canon as it seems it is a setting change from Gmail causing the error.

      @@trevorm.5106 Thats a great questions. Google has changed some of their settings and I would recommend checking your admin settings. I would also recommend contacting google support. I am still able to scan without a problem if I find any additional solutions. I will provide feedback.

      I don't know if you have access to the admin board if you don't have a business account and in that business account security setting is where you have the configuration. I would recommend contacting google directly on this issue. Sorry I was unable to be of help. Thank you.

      Once you set up the printer you can add the different email to the printer its self and scan directly to the email.

      You would to set up the page on the actual print command screen. Select the size of the page.

    I did everything here and it still didn't work. Turns out I had to turn OFF ipv6 and it worked like a charm!!

    Google has eliminated the "less secure app" option and now the scan to email doesn't work. Any thoughts?

      I am checking on other options. I am still able to use the scan to email option so there is either a way around it or they grandfather in everyone who had it installed.

    gmail is not working anymore for this set up, Google recently remove that option because SMTP is high risk.
    Hopefully this comment helps someone... Your will need to go Google account setting by adding 2 steps authentication, and then generate a 16 digit passkey . After doing that, go back to the Canon setting as shown in this video, and go to TX menu to add that 16 digits key as password. It will start working again

      After searching the internet for literally HOURS today, I found your video again. I just moved my printer into a new home office and had to set it up all over again. I figured out the new gmail "app" requirement before seeing it in your notes, but everything else worked! Thank you again!!!
