Thank you!!
It's exactly what I need. Thank you so much ! 🙏
You’re welcome!
Legit SOOOOO confused. I'm so new at this but I'm just trying to create a simple table template but every tutorial I'm finding seems so advanced. Is that "opportunities" table in your first shot a page? What do you mean "go to one of your databases in notion?" I've been trying to figure this out for literally hours now.😭
I recommend starting with the basics and going through Notion's documentation. www.notion.so/help/category/new-to-notion
Excellent way to use Notion!
Thank you!
I'm working to build this dashboard out for a client of mine, and I'm running into issues with the MoM Revenue % column; I'm getting a message that it "Cannot do math on array and array. [6,9] Cannot do math on number and array. [0,12] End of input expected. [323,324]". Any suggestions? I'd also like to point out that my column headers have the relationship arrow vs. nothing like yours shows, perhaps I did something wrong in the set up of the columns? I did double check everything but maybe I missed something important. This is a great tutorial, I appreciate the help so much!
You need to sum your values most likely. Tough to know without seeing your formulas though.
This is an amazing tutorial. It solved so many problems for me and saved me tons of money. Can I give you money? Where do I give you money?
You can buy my Professional CRM and at the same time save yourself a lot of time building a CRM yourself! Here's the link: www.optiopp.com/notion-crm
While I'm using Notion for documentation, playbooks and such, I'm still using Linear for Task Management & Sprints. For some reason tasks in Notion always feel too sluggish. The Linear shortcut keys (or Keyboard first design) makes it so much more snappier. While I do love the idea of having everything in one system, I just wish it worked smoother for some reason. Anyone else sharing this sentiment? I'd love to hear from someone who's seriously using the Sprint feature in Notion on a "sprintly" basis.
Yeah definitely one of the cases where you need to look at the pros and cons of not having a single source of truth. Linear is specifically for Project management while Notion support a lot of other use cases, so it's no surprise they out beat Notion in that department.
I have a cleaning business. Is it possible to edit the template to meet my needs?
Yeah you definitely can! Any type of business can use it.
This works great! Excellent job!
Thank you!
@OptiOpp Hey Ben! Greetings from Panamá. Could you please help me out? In the minute 9:53 you say: "And so that means anybody who is tied to the Google account and is a contact will be owned by the person that we set the owner on the account level." Brother ! Would you be extra kind to elaborate a little on this? I would really appreciate it ! Maybe because english is not my native language Im stocked there. I really need to understand the logic behind this. Anybody??
It mean whoever is set as the owner of the company is by default the owner of the contacts that work for that company. This makes it less difficult to maintain who owns contacts by not having to set each one individually. The owner property is important because it allows you to create filtered views for your employees. An example of how this is useful is you want to generate a list of contacts that works at companies Joe Smith has worked with in the past. By filtering the list by owner you can send a marketing email to all of these contacts talking about your most recent discount.
Bro notion is a cheatcode ❤
I agree 😁
God bless bro. Great and clear video. Keep it up. I suscribed right away.
Appreciate it!
Why didn’t TH-cam recommend me this video earlier 😢
Haha well hopefully your comment will help the algorithm find more people in the future 😄
Great video! But I have a trouble, I can't change the sprint dates, they are blocked, how can I fix this? Because I want to change them.
I'm sorry but tough to see what's going on without a screen share.
is there any possibility to connect Slack lists (tasks) with Notion databases? so basically create a Notion task if a slack task was created and vice versa?
is there any possibility to connect Slack lists (tasks) with Notion databases? so basically create a Notion task if a slack task was created and vice versa?
Yes, but not through this integration right now. You could do it with a no-code tool like Make or Zapier.
Amazing. You talk fast so that's a good point, gg.
Thanks! I try not to waste people's time with a bunch of fluff.
This question is less about the crm system itself and more about pricing and servicing. Based on your time entry section of the CRM is the practical use of that intended to be myself as an agency owner billing my client for a retainer lets say 1,000 per month and then invoicing them for the actual time spent on specific deliverables?
Really depends on how your agency does pricing. Notion is super flexible so you can make little tweaks to fit your needs.
Awesome tutorial! Thanks so much for sharing
You're welcome!
Amazing video and love the discounts formula. The only small issue I am having is that my Opportunity products database will be inevitably loaded with everything I have ever sold to anybody. Is that normal?
Yes, one of the best purposes of a CRM is to see every sale you've made and who it was to.
Hi Ben, Thanks for building this. I've created my own crm's in the past with Notion but am just coming back to Notion after trying to adopt Obsidian and purchased the pro CRM template to give me a jumpstart. I have a couple quick questions / suggestions. 1) I'd like to be able to create multiple pipelines for things like job hunting, consulting, or gig projects. Is there a simple way of doing so like duplicating the pipeline section or will that break integrations elsewhere? 2) It would have been good if you'd included a deeper breakdown of the additional analytics functionality. I was expecting it to include the business dashboard template you made a recent video about but it looks like it's just the list of analytics 3) Any thoughts on possible ways to either screen scrape / populate fields from say Linkedin? into the database. Have you seen any extensions or capabilities that might enable that? 4) Similarly would be great if there was a simple way to log / capture conversations across multiple channels such as email, whatsapp, messenger, text etc. Any workarounds appreciated, I know you showed an email integration that was somewhat helpful. Extensions to that would be even better. Hope that's helpful, appreciate any thoughts and thanks again for sharing. Maybe a discord for easier comms in the future?
Please book a coaching session. I hope you understand but I can't give out free assistance online all day or else I'd have to go back to a 9-5 😅. calendly.com/optiopp/notion-tutoring-session
Thank you very much, it was unrealistically useful
You're welcome!
Thanks for the video. What would happened if you have to change the price of a product? It will overwrite the price of givven out offers too?
You need to deactivate the product with a price and create a new one so that old deals stay intact with the correct discount percentages.
Hello, How can we share access to the portal with a client if he does not have access to the databases that are connected to this page? They are not displayed to him accordingly.
I would need to see how you're sharing them. Hard to understand this problem without. How I mentioned in the video should work.
Hi Benjamin, I purchased your optiopp template and was wondering with so many recent Notion updates are you going to provide newer versions for the template?
Yes! You should have received an email this week regarding the charts update.
Why my excel don't have that download option
Because I'm showing Google Sheets here. There's different way to download Excel. You definitely have the ability just need to figure out the different process.
When I try to do the variable in the Open Pipelines this month I cannot find the property Close Date. Have i missed something because I cannot make this one work at all
Perhaps you misnamed the close date field or didn't create it? Tough to tell without seeing in your Notion workspace.
I don't understand why do we need opportunity and opportunity product as separate units? If "opportunity product" serves as a customised offer, why do we need a separate "opportunity" page? How is it different? What is it's purpose? Why do we need both and why can't we have one?
The benefits are the same as why Salesforce has them in their CRM. You can read about the benefits here: garysmithpartnership.com/opportunity-products/
I usually don't comment on videos. but this is value man! God bless you.
Thanks for the big compliment!!
please advice what are the benefits of the paid version of this CRM?
You can view them here: www.optiopp.com/notion-crm The best way to understand them is by watching the TH-cam video.
If you have multiple sales agents how would you make it so they all have different data rolling up?
By using the property named owner, which is a person property type. This will allow you to create different views filtered by person.
Thank you for this video I use it for my first client. I just have one problem. If I logged in as a Client: and as a client I want to add a task to a project, the entry field is empty. Is that how it works? So the client can't enter tasks to a project? am I as a builder only allowed to add tasks to the projects? And if I add tasks in the project page they won't show up in the task section. So did I do something wrong?
You likely did something incorrectly when you shared the client portal. You want to share and give "Can Edit" permissions.
my excel formula can't import with csv to notion. Has there any way to keep my formula or I need to creat the formula again on notion? and I didn't how to make notion formula as well as excel formula......
You will need to re-write the formula in Notion's formula language.
What if we wanted to upload pre-existing data so we don't have to type it in one line at a time
You should use the merge with CSV feature to upload data to the CRM databases that already exist.
this video is outstanding, thanks man!!
Glad it helped!
Why is there a block limit? How many blocks is it? Can I delete some and still get benefits from this system? I barely started using this and it said I had a block limit. Very frustrating.
Because that's the way Notion gets people to upgrade from a free plan. I offer a lot even in just the free product and that's why. You can try out other CRMs that offer less features if you would like to stay on Notion's free plan.
I am only starting to get the hang of things and I wonder. I just built a CRM that I am still changing and adjusting to my way of working, and I want to add a calendar that keeps me up to date with when to call up a client and what to do/talk about, any kind of task really. Which I can only choose one database as the source for so I went with Accounts as in that one I save las and next call and contents. Now I wonder if It could be possible to add and link that with such a client portal to use the accounts I have already in my CRM and have everything interlinked to make my workflow easier. I have SO much to learn still... Your videos are great and very helpful getting there! Thanks a bunch!
Yes, this is all possible. As you could imagine it's tough to write out the full solution here. To do this the best solution is to create a client portal database and utilize database templates.
W
appreciate it!
thank you so much! <3
You're welcome!
I'd like to set up a Zapier integration in order to launch ✉automated (trigger-based) email campaigns ✉ based on campaign participation. I was wondering if it's something that I'll be able to do. Thank you!
Yes, that is possible. Although I would suggest using Make instead to build this do to cost and the ability to create relationships.
@@OptiOppNotion thank you for the hint
Great stuff! QQ: does the "Agency CRM" template have features of "Professional CRM" such as 'campaigns'? I'd like to have both on my end... Thank you!
If you get the free version you’ll be sent the CRM bundle over email, which will give you access to all 3 CRM templates for the cost of 1
@@OptiOppNotion thank you - this is a very generous offer! Does it make sense to keep all 3 of them? I suspect that each of them will have to be managed separately... is that so?
@@OptiOppNotion haven't received this offer yet though 🙂
This was so quick & clear, thanks for explaining it!
No problem!
Just downloaded this and viewed the demo/tutorial. One question I have is do you have any tips, etc. for importing existing contacts from Google, LinkedIn, etc.? I am particularly interested in ways to avoid duplication since different sources contain different data (pretty sure I have to reconcile that outside Notion), as well as make sure I am understanding column matching (e.g. if the Notion DB is in the order "Name, Address, Phone", then the import data needs to be the same), etc. Thanks!
Never mind. Figured it out. :)
Glad you were able to figure it out!
I’m very impressed!!❤ it’s exactly what i needed in my life
Very informative video thanks! Just one quick question, which software did you use to screen record your video? How did you get your mouse like that?
I used screen studio for recording this.
super helpful tutorial! Just two things I want to give feedback on: Start with the result so I now if this kind of Portal is something I am looking for. Second, for my taste it is too much zooming in and out.. too flashy for a tutorial where I want to focus and see at all times when we are in Notion :) keep it up!
Thanks I've heard that feedback many times and for future videos I'll make sure to exclude zooming.
The Page History function just saved my ass. Thank you!
Having the knowledge that it exists can save you from a disaster. Glad this video helped you out!
Amazing tutorial! Very clean ! Question, is there a reason for not making the client portal page a database template that gets generated when a new project is generated ? I’m new but learning and see users do things differently - wanted to know if there’s a preference or something I’m missing . Thanks !
That’s a great question. It’s definitely another way of doing it. Totally up to preference.
I think you can use database templates instead of automations in 20 min
Yes, that’s correct. I don’t believe the date set to today was a Notion feature when I created this video. It’s great they keep adding stuff 😁 Appreciate you pointing that out.
Hi, I just found this channel and subscribed. Thank you for the content. I was wondering if you can show how to make a client portal and the view from the client side. So, instead of seeing our own organization, could you explain how to setup a visually appealing dashbord for the client to do onbarding, upload their files, fill a survey to stat a project, look for files, etc.
I have already created a video that covers this. You can watch it here: th-cam.com/video/lMR_GJdQMzE/w-d-xo.htmlsi=jv5ceKd_6qkl-OiF
