  • The Send Email with option is a good alternative to Start and Wait for Approval Action cards.
You can customize how this action card functions to suit your needs

      Yes, ot is possible.
In the Apply to each loop, click the more option button and go to settings.
Switch on the concurrent run and put it at 50.
Meaning it will send to top 50 people.
As they respond, it will shuffle in the next in queue

Is there anyway you can make this secured? I mean to allow only recipients to select an option. I noticed that the senders can respond to the email. In the case where send email with options is used for approvals, senders can approve it themselves which I think it's not good. I know about the approval card which solves this issue but is there a way around "send email with options"?

Few queries I have with send email with options, pls help me understand.
    1. If the responder forward the email to someone else and new responder send response - it records the original responder email id instead who actually responded
    2. Is there a way to record date when the response received?
    3. Is there a way to avoid the flow opening a web page for the responder to show the confirmation ...Thanks...bla bla bla....?

      @TheOyinbooke  3 ปีที่แล้ว +1

      Hi Angel,
      Thank you for your questions.
      1. I am not quite sure why it recorded the original receiver of the email as the responder. I will check the documentation.
      2. Sure, within flow, you can capture the exact date and time using 'utcnow()' function.
      3. Yes, you can change the "Show HTML Confirmation Dialog" option to NO. You will get the option by clicking on the Show Advance Options.
      I hope this helps

@@TheOyinbooke wow that's very quick response. Thank you so much.
      1. Will wait for your response
      2. Pls guide me on second point. Currently my flow automatically save the responder response and email id in excel, not able to figures out how to store the date and time also in excel when the response received. It's easy to get done in approval flow as the dynamic action will show the created and closed date, bit here I am not able to find that
      3. I kept "Show HTML confirmation dialog" as NO but still its routing me to the webpage to show thanks message.
Use only HTML message - Yes(I have HTML table on body of the email)
      Hide HTML message - Yes
Show HTML confirmation dialog - No
      Pls guide

      You are welcome.
      For the second point.
While updating excel column, on the date and time column, type this in the expression cell 'utcnow()' and insert it to the date and time column.
For the 3rd Point , the Dialog will always open. It is needed to send back the response to the flow. If the recipient is MS Outlook mail, it can display as a card within the mail but if other email recipient, it will open in a Dialog to send back the response to the flow

      3. I think there is a bug if your suggestion is true dear. Because I used outlook to send email and received response also from Outlook. I tried within organisation and outside organization.
Everytime the dialogu box gets open and show the message. Only time the message shows within outlook is when you set NO to Use only HTML message, but I can't keep that because my body of the email has HTML table. Pls check and guide ..🤞

    Hey,
I am building a flow which is basically basis on my form submission to send email response to the employee who gets audited, while I have configured options of acknowledge and not acknowledge I wanted to know is it a way this can be saved automatically in Excel once we download form response or somewhere or possibly if we can connect?

    • @TheOyinbooke
      @TheOyinbooke  2 ปีที่แล้ว

Hi Ahad, the best way around this is to create your form linking it to excel Online.
This way, you can update the same excel directly in Power Automate with the feedback from send email with option action card.
Check this video on how to link your form directly with Excel Online. This way, you wouldn't have to download form responses as it is directly linked to your Excel Online.
You can edit the excel online and add a new column to store feedback from the send an email with option card.

    • @TheOyinbooke
      @TheOyinbooke  2 ปีที่แล้ว

Hi Mark, the send an email with options work best for a process that runs for each entry.
This mean that whenever the action is in an apply to each, it will work like a "Start and Wait For Approval" but if it was added to a flow that run for each trigger without sending to multiple people, it will work properly

The option selected is captured in the variable "SelectedOption".
If you add a new action card after the Send Email with Options, you will be able to consume the user response from the dynamic content in the flow.

@@TheOyinbooke Thanks Ola - In a single e-mail, I would like the recipient to be able to provide input/updates to multiple columns/fields in a list. So, I already can get one set of options into an e-mail (approve, disapprove, need more information) using HTML but under that I'd like to add another set of options that updates another column in the same list. Something like this in the body of the message:
First set of options to update the 'Approval' column: Approve, Disapprove, Need More Information
Second set of options to update the 'Colors' column: Red, Yellow, Green
Third set of options to update the 'Speed' column: Fast, Slow, Medium Speed
I'm thinking that if I used 'Action Cards' instead of HTML only, I could 'stack' them inside the body of the message like that.

      Hi Pratul,
      Thank you for your question.
I don't think you need the response email address from the action.
You already have the email address somewhere while sending them the email communication.
You can as well take their email from that same connector. Meaning, you can use the same variable you used for the recipient email address to fill up the list as well.
Do let me know if this is of any help.

    Great video, very informative!
I noticed you mention at the end of the video the use case of allowing users to upload a file through MS Form, One Drive and emails with options. This is similar to a challenge I'm trying to solve, where I've created a form where the responses are populated in a SP list and an approval flow is kicked off when created, however the external users need to be able to upload 2 documents. I'm currently sending the documents in an email after the approval and having the external user reply all in the email with the signed documents attached, then having our internal users manually attach the file to the associated list item, however is there a more automated flow I could create through these emails with options?
    Any help much appreciated
