Do one for power Bi offline availability. if you will please. I was looking for a solution for site users who sometime lack internet in there sites. They have to take pictures using their mobile and fill in a form and submit. once they gets WiFi or internet connection it gets uploaded automatically. Can this be done using Power apps ?

You are a life saver! The Distinct() trick helped me with filtering data based on a dropdown list that was made in SharePoint, on which I had no control on what choices the user had.

FYI - For using a SharePoint list instead of an excel table, I found that in the second dropdown, the data type also has to be Result (instead of Value). (It also then requires a value in each dropdown, auto-selecting the first available row instead of leaving it blank for the user to select an option. Not sure yet how to fix that issue, but I'm still learning.)
I had created two cascading list using infopath form which was very much time consuming n also had to create multiple list with lookup columns, PowerApp is a great tool n thanks for ur explanation It was easy to understand👍 Keep posting new vdos, u r doing a great job👌🏻

I had a really noob question - if Im an external consultant developing an app from a customer, which account should I use? I would not be part of the Office 365 list - so would they have to make a separate account for me which they are then forced not to close (even after I exit); or is there just another way. My request is for you to make a video from a developers perspective in terms of setting the various environments, security groups and policies and finally rolling out the app. I know you have covered a some of these concepts in separate videos - but an integrated video would be terrific! I make most apps in the customer tenant. I have them create the app so they are the owner then give me co-owner. That way I can build it and they can delete my account after I am done.

Hope all is well, may I say your videos are very easy to follow. I appreciate how you stick with mechanics only. I have one question, within your cascading dropdowns I notice that you only display 2 fields/columns to display. I have 3 columns that I need to filter by, I am having trouble with the 3rd dropdown, it only references the 2nd dropdown. I need the 3rd dropdown to filter from 1st and 2nd dropdowns: columns (1st DD = Program Type, 2nd DD = Expense Type, 3rd DD = Expense Description). I tried using the "And" function also "&", "&&" and neither of them worked properly. Please advise if I need 2 distinct functions or an If statement, I have tried them and didn't work either.

I have attempted to follow the exact steps you took, to even building the same Excel file and naming the table the same, however the formula for the Dropdown2 in PowerApps errors with an invalid argument type. Is there something different in the new version to get this to work?
I was having the same issue and I believe I've solved it but I have no idea why it works. I got the error, "This data type is unsupported for evaluation." on my parent dropdown field. "Selected.Value" wasn't an option but "Selected.Result" was, so I tried it. My resulting formula is: "Distinct(Filter(JobTitles, Department=Dropdown_Dept.Selected.Result),JobTitle)". It works, but I don't know why. I'm guessing it's a version difference, since the video is almost 2 years old?? No clue. Great videos and thanks for editing the wait times.

So I had to do this: Parent: Sort(Distinct(lu_EntitySubEntity,Title),SortOrder) Child: Distinct(Filter(lu_EntitySubEntity,Title=DropDown_Entity.Selected.Result),SubEntity) As an aside, rather than alphabetical I added a field called 'Sort Order' and sort items that way. Good use of this feature is if you want to put the most popular selections on the top of the drop down

I AM SHOCKED!! Not about you, Shane. Your videos are great and very helpful! When I started playing around with PowerApps and started watching your videos, some things were a little odd. I was constantly getting syntax errors and did not understand why. Today I found out. Microsoft, for reasons I cannot understand, decided that it was a good idea to use different characters within the formulas, depending on the used browser language!! So if your browser is set to English (strangely no language selection inside the PowerApps portal and ignoring the language set in the user account settings in Office 365) comma is used, so RGBA(255, 255, 255, 1) in German semicolon is used, so RGBA(255; 255; 255; 1) No wonder my formulas were not working! And due to my screen resolution, I didn’t see the little dot over the comma before today. But why?? I realize that this must come from Excel. Same thing there, BUT Excel is very very old and for compatibility reasons they never changed that, although using localized characters - and even more shockingly - function names, was never a good idea. Anyway, PowerApps is not Excel. So why continue a bad practice in a new tool?? Do you have any idea?

My only problem is about 7:58 into the video where i am editing Dropdown2 code it will give me an error if I type in ".Value" it only gives me the option to type "Result" without an error not sure where my problem is. Another great video, Shane! Do you have any advice for setting up filtering using SharePoint List columns? I have 2 filters and a display panel that are pulling from the same SharePoint list. I need one dropdown filter to set-up the next dropdown filter, and then this sets the form display. I initially was using lookups but that did not work out.

I tried same data with sharepoint Although working blank value ignore sorting and get always put in the last position whether sorting Ascending or Descending. Code> Sort(Distinct(CatSpesaList,cat),Result) where CatSpesaList is a List and cat a column in the list. If not sorted though blank value appear as the first row and other value just as in the sharepoint list: I guess the sorting have to be done in sharepoint instead. Thank you again I'm learning a great deal from your video.
Thanks for this very useful video. When I Patch this to send the results to Sharepoint I get "The type of this argument 'AIsle' does not match the expected type 'Text'. Found type 'Error'." My source for the dropdown is in Excel and the whole table is formatted as text. The Patch command sends the results to a Sharepoint list and the type of that column is 'Single line of text'.
Shane, Great video and thank you for sharing. Is there a way to set the value of one drop-down field to update or default to an assigned value based on the selection of another? For example, If I have a colors drop-down and a numbers drop-down and I select "Red" for one, can I default the numbers drop-down to show "Two"?
Yes. Try setting drop down 2 to have a default of Variable1. Then have the onchange event for dropdown1 update that variable based on what was selected.
Thanks Shane. I was able to get this to work on a test screen using two regular drop-downs where I manually keyed in the test values. However, when I tried to do the same on with a form that is linked to a SharePoint list, it doesn't seem to work. Would this have any impact on whether or not this would work? I am also getting an error message that the property is expecting a record value, but is instead getting an invalid text value. I can confirm that the value that I have set to default is an item on the corresponding drop-down. Thoughts?

Hi Shayne, this will be very helpful when we map clients chart of accounts (or Product List) for example: Account Code/Name: 2000/000 - Motor Vehicles @ Cost Report Type: Balance Sheet (or Income Statement) Level 1: Assets (Liabilities ; Equity) Level 2: Non-Current Assets (Current Assets) Level 3: Fixed Assets And then after the account has been mapped it pulls through to a SQL Table that is imported in Power BI. Also after the account is mapped it gets removed from the dropdown in PowerApps. This is very handy for reporting purposes for things like mapping products in product category and - subcategories, or projects or employees in different groups. Would be great if you can do a video like that

Shane, is it possible to set up cascading dropdowns to 3 levels, ie the selection in DD 1, filters DD2, then the selection from DD1 & DD2 filters DD3? Hi Shane! Even after 3 years your video is a great help. But i still have a question. In your example your data are stored vertically -> each entries for your dropdowns are in a row. So how does it works if my data are stored horizontally in columns? The "department dropdown" is the same like yours. But how to do this with your jobtitles if they are written in column1, column2, column3... etc.?

@Shane Young, have you tried reverse cascading. I was trying that on an App that I'm developing, where you can actually pick items from the bottom Combobox and the parent combobox (es) will be filled up for you.
hmmm... Not sure what the deal is. I have two SharePoint Choice fields and I cannot get this to work for the cascading on the second field. Two columns in an SP List 'Functional Area' and 'Area'. I can connect the Functional Area no problem and the drop has the distinct list. It when I attempt to format the 'Area' dropdown items. Hi Shane. I started watching your videos today. I am pretty pretty new at Power Apps. So, can you recommend a video where I can learn how to have a dropdown list coming from an excel like in this example, but this excel will fit just for the Company Name dropdown list? In the other side I have a Sharepoint list to be fulfilled with fields: "Company Name", "Date" and "Cash at Bank (K)". So I want to build a simple app with these three fields, but the first one with approach you explained very well here. So, users will choose in the dropdown, then Date and Cash and when hit the button, this values will be recorded in the SharePoint list. Is it possible? So, kind of combine two sources for one solution, in this case fill a Share Point list. Then I will import this list to Power BI and finish with a dashboard. Thanks Shane, I replicated the same in the Forms in power app and able to achieve the cascading, but when I submit the form, the drop down values are not updating back to the share point list. It is going back as empty fields. Anything needs to be taken care before submitting the form?
This is really a great description. I have tried with a database same as shown in this video with the table consisting 3 columns and i put three dropdowns in the app. The first two dropdowns are working perfectly with all the commands described in the video but i am still unable to find a way so that i could connect the third dropdown as well which will be dependent upon the selected values of first two dropdowns. If you could help me in some way then it will be really helpful.
Great stuff. So, one thing I noticed is that once you selected a Department, The Job Title was automatically filled out with the first item of the list. In order for it to remain blank by default when you select the Department, would you need to include on the spreadsheet for each Department a line with just the Department and a blank Job Title? And of course, then using the same sorting trick you applied to the Department field so that the blank would always show first in the Job Title field when and department was picked....
Hi Shane, Here is the scenario. There are 2 SP lists as follows. 1. Department list (Holds Department and Job Title) 2. Job list - Customized this list with PowerApps and there comes a cascading drop down. Department and Job Title(multi select) columns. Created a data source to Department list to populate the values in these 2 drop downs. I was able to select multiple values in the Job title drop down but the values are not saved in the SharePoint list. Could you please let me know what formula should I use in the Update property of the Job Title column to save multiple values in SP list?
Hey Shane - this is awesome, but is there a way to cascade dropdowns where the final selection is a lookup column (so that it populates other static fields?) I used this tutorial to make the powerapps side of it work, but when I programmed the Item field in the lookup dropdown to cascade from a previous selection, it worked in the interface, but then wouldn't save real data, presumably because it didn't meet some of the conditions of the 'Lookup' column type. Any words of wisdom? Thanks for the great videos.
I don't have any easy answers here. I think you would need to perform a LookUp based on the selection in the last dropdown to find the values you want.
This is really helpful..In this same scenario can we do it in reverse way. Like, If user selects the value from "Job Titles" dropdown it should show "Department" values..(It should work in both the ways).If possible please let us know

Any sage advice?Incidentally, anytime it pulls the values for my 2nd list from the table, it only shows [result] for each item...which makes me think it's not calling the Sharepoint list value and/or not relating the two columns in each row
From the first dropdown you will have DD1.Selected.Result in the Second you could have Filter(choices(field2), Field = DD1.Selected.Result) or something close to that.

I have a question about authentication to this backend data source where the dropdown data is coming from. You used OneDrive in your video which is fine locally but if I do this using a sharePoint list, I have to grant everyone with modify access to the list because PowerApps uses the User context when accessing that data. Is there a way to connect to a datasource using a 'Connect As' option so only my Connect As account has rights to the backend data? We've struggled with this and it's very annoying. Hello. I have 2 dropdowns. In DD1, when I select value A, the DD2 should show list1 or else list2 by default. I am importing list1 from Azure, and list2 are direct items in powerapps. Please can you help me with that?

FYI - For using a SharePoint list instead of an excel table, I found that in the second dropdown, the data type also has to be Result (instead of Value). (It also then requires a value in each dropdown, auto-selecting the first available row instead of leaving it blank for the user to select an option. Not sure yet how to fix that issue, but I'm still learning.)

Any PowerApps vids for Data Entry coming up? I.E. Something like; Open App, Select Workcenter, Select Defect, entry QTY defects, enter qty processed, save entry.....I've setup an Excel file on OneDriveForBusiness w/ similar features, but not drop-down or auto-fill (like autofill date entered)

I had a really noob question - if Im an external consultant developing an app from a customer, which account should I use? I would not be part of the Office 365 list - so would they have to make a separate account for me which they are then forced not to close (even after I exit); or is there just another way. My request is for you to make a video from a developers perspective in terms of setting the various environments, security groups and policies and finally rolling out the app. I know you have covered a some of these concepts in separate videos - but an integrated video would be terrific! I make most apps in the customer tenant. I have them create the app so they are the owner then give me co-owner. That way I can build it and they can delete my account after I am done.

The dropdown control now allows you to to set the property AllowEmptySelection to true. :) No more blank line needed.

The reload is only to refresh the data source. Typically you only need that for testing not the real app.

On the first 'Dashboard' screen I want to show a list of items and allow the users the ability to filter. I have setup the cascading drop downs for filtering and they work, with the small issue that I cannot have the filters blank and display everything allowing the user to scroll through all items or elect to filter. Hope all is well, may I say your videos are very easy to follow. I appreciate how you stick with mechanics only. I have one question, within your cascading dropdowns I notice that you only display 2 fields/columns to display. I have 3 columns that I need to filter by, I am having trouble with the 3rd dropdown, it only references the 2nd dropdown. I need the 3rd dropdown to filter from 1st and 2nd dropdowns: columns (1st DD = Program Type, 2nd DD = Expense Type, 3rd DD = Expense Description). I tried using the "And" function also "&", "&&" and neither of them worked properly. Please advise if I need 2 distinct functions or an If statement, I have tried them and didn't work either.
Filter(datasource, column1 = dd1.selected.result And column2 = dd2.selected.result) should be it.

I have attempted to follow the exact steps you took, to even building the same Excel file and naming the table the same, however the formula for the Dropdown2 in PowerApps errors with an invalid argument type. Is there something different in the new version to get this to work?

I was having the same issue and I believe I've solved it but I have no idea why it works.
I got the error, "This data type is unsupported for evaluation." on my parent dropdown field.
"Selected.Value" wasn't an option but "Selected.Result" was, so I tried it.
My resulting formula is: "Distinct(Filter(JobTitles, Department=Dropdown_Dept.Selected.Result),JobTitle)".
It works, but I don't know why. I'm guessing it's a version difference, since the video is almost 2 years old?? No clue.

Parent: Sort(Distinct(lu_EntitySubEntity,Title),SortOrder)
Child: Distinct(Filter(lu_EntitySubEntity,Title=DropDown_Entity.Selected.Result),SubEntity)
As an aside, rather than alphabetical I added a field called 'Sort Order' and sort items that way. Good use of this feature is if you want to put the most popular selections on the top of the drop down

When I started playing around with PowerApps and started watching your videos, some things were a little odd. I was constantly getting syntax errors and did not understand why.
Today I found out. Microsoft, for reasons I cannot understand, decided that it was a good idea to use different characters within the formulas, depending on the used browser language!!
So if your browser is set to English (strangely no language selection inside the PowerApps portal and ignoring the language set in the user account settings in Office 365) comma is used, so
RGBA(255, 255, 255, 1)
in German semicolon is used, so
RGBA(255; 255; 255; 1)
No wonder my formulas were not working! And due to my screen resolution, I didn’t see the little dot over the comma before today.
But why?? I realize that this must come from Excel. Same thing there, BUT Excel is very very old and for compatibility reasons they never changed that, although using localized characters - and even more shockingly - function names, was never a good idea.
Anyway, PowerApps is not Excel. So why continue a bad practice in a new tool??

Answering my own question: Instead of using 'Selected.Value' like in video, use 'SelectedText.Value'. This worked for me.

Another great video, Shane! Do you have any advice for setting up filtering using SharePoint List columns? I have 2 filters and a display panel that are pulling from the same SharePoint list. I need one dropdown filter to set-up the next dropdown filter, and then this sets the form display. I initially was using lookups but that did not work out.

I tried same data with sharepoint Although working blank value ignore sorting and get always put in the last position whether sorting Ascending or Descending. Code> Sort(Distinct(CatSpesaList,cat),Result) where CatSpesaList is a List and cat a column in the list. If not sorted though blank value appear as the first row and other value just as in the sharepoint list: I guess the sorting have to be done in sharepoint instead. Thanks for this very useful video. When I Patch this to send the results to Sharepoint I get "The type of this argument 'AIsle' does not match the expected type 'Text'. Found type 'Error'." My source for the dropdown is in Excel and the whole table is formatted as text. The Patch command sends the results to a Sharepoint list and the type of that column is 'Single line of text'.
The solution: the Patch format had to be Aisle: AisleTRVDD.SelectedText.Value. Nothing else would work.

Shane, Great video and thank you for sharing. Is there a way to set the value of one drop-down field to update or default to an assigned value based on the selection of another? For example, If I have a colors drop-down and a numbers drop-down and I select "Red" for one, can I default the numbers drop-down to show "Two"?
Yes. Try setting drop down 2 to have a default of Variable1. Then have the onchange event for dropdown1 update that variable based on what was selected.
Thanks Shane. I was able to get this to work on a test screen using two regular drop-downs where I manually keyed in the test values. However, when I tried to do the same on with a form that is linked to a SharePoint list, it doesn't seem to work. Would this have any impact on whether or not this would work? I am also getting an error message that the property is expecting a record value, but is instead getting an invalid text value. I can confirm that the value that I have set to default is an item on the corresponding drop-down. Thoughts?

I am in the process of creating a sales order form, that once submitted gets sent for approval, and once approved sends an email to the accounts team and saves the form in a folder on O365 Sharepoint.......might be a little ambitious as a starter project, but worth having a crack.

Hi Shayne, this will be very helpful when we map clients chart of accounts (or Product List) for example:
Account Code/Name: 2000/000 - Motor Vehicles @ Cost
Report Type: Balance Sheet (or Income Statement)
Level 1: Assets (Liabilities ; Equity)
Level 2: Non-Current Assets (Current Assets)
Level 3: Fixed Assets
And then after the account has been mapped it pulls through to a SQL Table that is imported in Power BI. Also after the account is mapped it gets removed from the dropdown in PowerApps.
This is very handy for reporting purposes for things like mapping products in product category and - subcategories, or projects or employees in different groups. Would be great if you can do a video like that

Set the date column as the datasource for the dropdown I think is what you are looking for. Maybe include Distinct to avoid duplicates?

Hi Shane! Even after 3 years your video is a great help. But i still have a question. In your example your data are stored vertically -> each entries for your dropdowns are in a row. So how does it works if my data are stored horizontally in columns? The "department dropdown" is the same like yours. hmmm... Not sure what the deal is. I have two SharePoint Choice fields and I cannot get this to work for the cascading on the second field. Two columns in an SP List 'Functional Area' and 'Area'. I can connect the Functional Area no problem and the drop has the distinct list. It when I attempt to format the 'Area' dropdown items. I get an error and it seems the the 'Selected.Value is no recognized. Thoughts?

Hi Shane. I started watching your videos today. I am pretty pretty new at Power Apps. So, can you recommend a video where I can learn how to have a dropdown list coming from an excel like in this example, but this excel will fit just for the Company Name dropdown list? In the other side I have a Sharepoint list to be fulfilled with fields: "Company Name", "Date" and "Cash at Bank (K)". So I want to build a simple app with these three fields, but the first one with approach you explained very well here. So, users will choose in the dropdown, then Date and Cash and when hit the button, this values will be recorded in the SharePoint list. Is it possible? So, kind of combine two sources for one solution, in this case fill a Share Point list. Then I will import this list to Power BI and finish with a dashboard. Is there any restriction regarding to total number of lines to be imported to Power BI.

Thanks Shane, I replicated the same in the Forms in power app and able to achieve the cascading, but when I submit the form, the drop down values are not updating back to the share point list. It is going back as empty fields. Anything needs to be taken care before submitting the form?

I have tried with a database same as shown in this video with the table consisting 3 columns and i put three dropdowns in the app. The first two dropdowns are working perfectly with all the commands described in the video but i am still unable to find a way so that i could connect the third dropdown as well which will be dependent upon the selected values of first two dropdowns.

Great stuff. So, one thing I noticed is that once you selected a Department, The Job Title was automatically filled out with the first item of the list. In order for it to remain blank by default when you select the Department, would you need to include on the spreadsheet for each Department a line with just the Department and a blank Job Title? And of course, then using the same sorting trick you applied to the Department field so that the blank would always show first in the Job Title field when and department was picked....

Hi Shane, Here is the scenario. There are 2 SP lists as follows. 1. Department list (Holds Department and Job Title) 2. Job list - Customized this list with PowerApps and there comes a cascading drop down. Department and Job Title(multi select) columns. Created a data source to Department list to populate the values in these 2 drop downs. I was able to select multiple values in the Job title drop down but the values are not saved in the SharePoint list. Could you please let me know what formula should I use in the Update property of the Job Title column to save multiple values in SP list?

Hey Shane - this is awesome, but is there a way to cascade dropdowns where the final selection is a lookup column (so that it populates other static fields?) I used this tutorial to make the powerapps side of it work, but when I programmed the Item field in the lookup dropdown to cascade from a previous selection, it worked in the interface, but then wouldn't save real data, presumably because it didn't meet some of the conditions of the 'Lookup' column type. Any words of wisdom? Thanks for the great videos.
I don't have any easy answers here. I think you would need to perform a LookUp based on the selection in the last dropdown to find the values you want.
This is really helpful..In this same scenario can we do it in reverse way. Like, If user selects the value from "Job Titles" dropdown it should show "Department" values..(It should work in both the ways).If possible please let us know

Hi Shane, I'm having trouble making this work with Sharpoint choice fields. Both cascading drop-downs are values that are selected from Choice fields in a sharepoint List. Any sage advice?Incidentally, anytime it pulls the values for my 2nd list from the table, it only shows [result] for each item...which makes me think it's not calling the Sharepoint list value and/or not relating the two columns in each row
From the first dropdown you will have DD1.Selected.Result in the Second you could have Filter(choices(field2), Field = DD1.Selected.Result) or something close to that.

Hey Shane, I was able to lookup dropdown items from another list but when i click save, those selected values aren't saved in the list item. That particular column for the item appears blank. Any idea? Thanks
Check the value again. Maybe put it in a label so you can see what you have.

I have a question about authentication to this backend data source where the dropdown data is coming from. You used OneDrive in your video which is fine locally but if I do this using a sharePoint list, I have to grant everyone with modify access to the list because PowerApps uses the User context when accessing that data. Is there a way to connect to a datasource using a 'Connect As' option so only my Connect As account has rights to the backend data? We've struggled with this and it's very annoying. Maybe I'm just a noob. Thanks! Great videos!

Hello. I have 2 dropdowns. In DD1, when I select value A, the DD2 should show list1 or else list2 by default. I am importing list1 from Azure, and list2 are direct items in powerapps. Please can you help me with that?
Need to work on an If statement that does one filter if they choose something on dd1 and another if they don’t.
