    Good tutorial Matt! I use yardbook as well. Another tip, I always try and put in the check # in the notes box that is above the payment amount box when recording payments, that way if I needed to look back, I know the check# they paid with. Also I love the generate invoices tab too. Saves tons of time.

      Im still working how i want to invoice. There are a few ways to do it in yardbook. I have found that if i mix the different ways then i end up with too multiple invoices for the same service. I have a few recuring invoices and thats usually where i get mixed up and it makes my process a bit redundant to make sure i dont recreate something the program already did for me.

    Thanks for the video. I'm fairly new to Yardbook and find it useful but things don't work the way I thought they would.
    Wish they had a detailed manual. The first thing I was confused about is invoices and jobs and how they interact or don't.
    Right now I'm trying to learn how expenses work. I don't know how to add them.
    Was thinking that this would be where I add job expenses such as gas, oil, repairs etc. Not sure if that's what it's for.
    Could you do a video on expenses?

      Sure. For now, there is I differnce between business expenses and expenses specific to a job. They are recorded differently. If you attach an expense to a job it is because you want to track that relationship for whatever reason. I don't do that because that information is not relevant to what I do so I just add expenses to my expense log but they are not job specific. I'll do some work and get that video out.     Good tip, and I appriciate your Christian stand man. Hey. Question: how does this relate to taking a credit card payment? Specifically, Do you still have to manually enter the transaction for CC payments to show as income in the analysis? - I heard someone said "you hit the done button, and it ques it up." - Maybe referring to the invoice where the invoice is already filled out.

      If a CC payment is received then it is also automatically added into income. Manually taking a payment is not required in this case. Cash/check/other will require a manual payment to be included into income total. Thanks for the question!

      I was at the time but now I'm using a CRM called Markate. It's pretty good on automations but it's a newer company that is still adding functionality. I picked it because a beleive I am getting the most bang for the buck. Markate does offer a free trial and they also do live demo if requested. If your still looking or interested, I would highly recommend checking it out

    Why does Strips hold your money and will they stop doing that ?

      Im not certain if you can set it to immediately transfer but I do no you can adjust the transfer intervals to at least every two days. I'll look into this and do another video. Thanks for the question!

    They forget to tell you they hold the first payment you get from strip for 7-30 days. so if you are counting on your money being available when it matters the most.... when you are starting, take that into consideration. the payment system Yardbook uses...... Stipe has terrible policies on sharing your bank information and now this.......Middle finger emoji to the new business owner for sure. maybe Jobber is better? I'm Definitely Looking into after this.comment.

      I didn't have to wait super long with stripe. I don't like that anyone would have to wait at all. Now, I have real issues with PayPal. They hold money for 21 days but their reasons are not valid. If anyone wants to hear that story I would tell it. There is so much to the story I can't type it all

    I have a problem with yardbook not updating payments, example: in main invoice history it will show payment still due for previous months when they have been paid. I've verified payment on customer pay history.

      Thanks for the comment Steve! There are two tjings that yardbook does. One is you can "set an invoice to paid" and the other is "record a payment" both will adjust the invoice, but only one will actually add the paymemt to you income. You must "record a payment" to add it to your income. This will also adjust your invoice to paid if the amount matches or exceeds the invoice amount. I hope this helps.

      @@lawncarelittleguy9337 i should have been more specific on whats happenening. Thanks for the reply also. The problem im having is that some people have owed me or are behind on paymemt. When i record the most recent payment, yardbook still has the old invoices and unpaid. Its just throwing me off when i see it is all. Sometimes i get confused and think someone still owes me. I just have to verify by goimg into their account to see all payments made. Just was curious if you have seen this. I will be goumg to card on file now so i shiuldnt need to worry about late payments anymore anyway. Thanks again.

      @@steveday5038 Ah yes, I see. If i understand correctly, then it seems you are making new invoices with so many services. So when the customer pays you it may not satisfy the old invoice though they are up to date. I may still have that wrong but ill tell you what i do. I dont make new invoices. I accumulate services on the same invoice. That way when they pay their bill, it satisfies the invoice as well. Are you a part of the yardbook users facebook page?

      @@lawncarelittleguy9337 not a part of fb, but the invoice system aytomatically adds the unpaid invoice to the new one. Then the old one will not update to paid sometimes even thought it was paid in full on the new invoice. It only does it sometimes though.

    How do you take a credit card payment over the phone?

      I don't do that very often but it's as simple as taking their information and manually adding a card on file. You can do this from the dashboard by using the manage cards link. Tha is for the comment!

    Is there a way to allow clients to pay deposits towards the total fee? We're wanting clients to pay 50% upon the agreed contract. HELP................... We're new...

      Yardbook is pretty flexible on how payments can be made so there could be multiple ways to do this. I may consider simply creating an invoice with whatever billiable jobs and take a payment on the work before starting. It wouldn't specifically say a deposit, but it would be credited to the invoice overall balance.

      Yeah, so sales tax can be added to any job when it is created. Tax can also be pre-set in you service catalog. I have to admit, I'm not required to charge tax in my state so I have never actually used that function. Also, this video is fairly old and I have changed software.

      There is a free version and a payed version. I have never used the payed version. May I make a suggestion? This year I changed to Markate. It's comparable to jobber but a bit cheaper. Both Jobber and Markate are very user friendly compared to Yardbook. A big positive for Yardbook is they are specifically for lawn and landscape. Most of these programs have free trials and I would recommend trying them before you decide. I can't recommend enough having strong automations in whatever you may chose.

    Sorry I know the video is old but I’m having a problem. I’m just starting out this year and I’m using yardbook. Ive only made 1 invoice so far but I have the customers credit card on file. My account is linked to stripe and I recorded the payment. It asked how to pay and I put credit card which I assumed it would default to the one on file. It shows in my profit loss and it also shows in my payment history but it never went into my stripe account or bank account. My stripe is set to payout daily. Have you seen this.

      Hi there! Thanks for watching! If this is your first payment, it can take much longer than the determined pay out cycle. I don't know how long it will take but I have heard up to 2 weeks. quick question, did you click record a payment, or charge card on file in the "actions" drop down menu? If you didn't click charge card on file it may not have charged. You may be able to verify the charge in your stripe dashboard. Check out the Yardbook users facebook page. There is tons of helpful folks in that group. Feel free to holler at me again by phone (405-473-0978) if you have trouble figuring it out

    Thanks for the video! New sub. Having a hard time figuring out how to reconcile the credit card payments. I chose to pass the fee to the customer but it adds it to my invoice anyway.. This in turn makes a discrepancy from what was received in my bank to what the invoice shows. Any ideas how to get the invoice reconciled? Thanks in advance!

      Kayaking_J glad to have you watching! If im understanding properly, you are choosing for the customer to pay the credit card fee so the processing fee is added to the customer invoice. Lets just say the invoice is 100.00 and the fee is 3.00 making an invoice total of 103.00. So the amount, that you expect to be deposited in your accoutis 100.00. But you are seeing something other. In this case the amount deposited should be different than the total invoiced amount because stripe takes thier cut before the deposit. I do have to say, i eat that charge so i may lack some perspective. Now another thing to look at is that there are two fees charged one from stripe and also a 1% charge frome yardbook its self. Yardbook just started that this year in i think june. I hope that helps but if i didnt answer your question, please let me know and ill see what i can find out. We can do this together!

    I wonder how I figure out who I "Set to Paid" now after a whole year of work :(

      I'm not sure what the easiest way is to find that out but I know a way. In the dashboard, you can click on the payment report and set a date range. It may be all of 2018. This will display all the payments you properly recorded. Unfortunately, this will not show you what was not recorded properly.

      I see also that you can view an invoice report but in not certain it distinguishes invoices "set to paid" and invoices you actually "recorded a payment" on. I'm guessing if you viewed both of these reports you qpuld find that out pretty quickly. Thanks for the comment! I hope to do more videps on yardbook this year
