You will need to make sure to include the add-on "AutoCrat" through Google Sheets to make this all work. You may have to grant permission for through the script editor if the time/date stamp isn't working. - เพลง

I am excited to announce that I have recently figured out how to incorporate QR codes into this process. There is a very affordable barcode scanner now (See link in description) that will scan QR codes as well as regular barcodes. Let me know if you want more information!

@@christ00746 The barcode scanner will go straight to any document you have open on your computer. It is essentially another keyboard device.

This is excellent. We will implement this with our morning and afternoon section rehearsals so we can teach rather than focus on those coming late. Is it OK to reduce the size of the bar code font? I would really like to put it on sticky labels that we implant into their band binder.
Edit with second question: What if I have different portions of a band meeting on different days. Is there a way to keep them on the same sheet or will I have to make a second set of sheets with individualized dates for their rehearsal dates?
Annette, You can reduce the barcode size. You just have to hold the barcode scanner steady when you scan. Make sure that you hold it out of 45° angle. If you scan it at a 90° angle it often times will not scan. As to your second question, you can create different sheets (See the bottom of the page) with different sections of your band. At the top of the spreadsheet just change the dates to match which days you’re meeting. Let me know if you need assistance.

This is great but I am in the Eastern Time Zone. Is there any way to edit the doc so that the times show up as Eastern instead of Mountain Time?
Hi Leah, Go under the file menu, then select "Spreadsheet Settings" You should then be able to select your time zone! Hope this helps!
Very interesting Roger, help me understand something though
1. Will this auto-enter the information in each cell going from top to bottom in the excel file or in a word document, meaning I don't have to be there to hit a new line every time?
2.What about offline use, have you tried that, let's say I don't have excel open in class? Will it work for me none the less?
3. Is there an app on my phone I could use to do the same thing?
Hi @cludford It will automatically hard-return for you moving to the next cell down. There are ways to re-program the barcode scanner to do differently if you desire. Secondly, the barcode scanner I have will do "inventory" mode. This allows the students to scan their barcode and after class, I simple plug in the wireless dongle and click "download" then they are all entered into my spreadsheet. The only problem here is the "timestamp" feature is lost, but the date entered is the day that you download to your computer. I originally did this on excell rather than google sheets. I can share those files with you if you wish, then you can do it offline. Finally, I have never tried with a cell phone. I imagine if you could get a bluetooth scanner to connect with your phone it could work there too using google sheets. Hope this helps!

I want to use aspects of this idea for my choir classes. However, I do not need the other pages in the sheet that keep track of the absences week by week/day by day. Can I just make a google sheet with a column for names and a column for a timestamp, connect a barcode scanner and it will work? I would still use the other document you shared that helps create barcodes for each student.
@Derrick Tilus, Thanks for your question. Yes you can do as you say. The date and time stamp formula is in the "script" editor in the menu bar above. You can add this to any spreadsheet for time/date stamp. I hope that this helps. ~Roger

Hi Roger. We run three different types of classes. So then, I could create one ID (with no specific class) and then just scan it to the pertaining class they take at a given moment correct?

Yes, that shit needs to be open. The barcode scanner basically acts as a keyboard entering information where your cursor is.
Hi Roger, I'm wondering if this is possible to use for students that already have a barcode generated on the back of their student IDs. Is this possible? If we were to use this on a large scale, say taking attendance for almost 1000 students first thing in the morning, how would this work?
Yes I believe that this would work. It would work even better if you used Microsoft excel. Using a cloud-based application causes a little bit of slow down.
Hello Thank you for providing the template. Is there anyway to prohibit duplicate entries on the same day? If the student is entered twice it comes up as a 2 and affects the subtotal. Thanks!
Hi Travis, I have not figured out how to do that yet. But I’m sure there is a way. Since I teach choir I tell them if they scan more than once they have to sing twice as loud :-)
@@RogerHale Thank you again for your template. Sharing just as an FYI. Adding an =if function around the existing countif function with "1","0" solved the minor problem of duplicate entries. i.e. =if(COUNTIFS(BCCollector!$A:$A,$C3,BCCollector!$C:$C,D$2),"1","0"). The only other change was using countif instead of sum for subtotal as the 1 becomes text. A big thank you again to you for the template, I was able to adapt it for my needs and learned a lot along the way!

What is the formula in column C on the BCCollector tab? I know it has to do with the date. Thank you for your response.
@Lou Fitch Thanks for reaching out. Column C is the "Truncated" date, meaning it shortens the date so that it can match up with the dates at the beginning of each column in the course tabs. Does this make sense?

Kevin, all you have to do is plug in your scanner to your usb. when you scan the barcode it will show up in the selected cell. Does this help?

Can you use multiple scanners for same document? I have a youth conference for 300 young people shortly for a non-profit organisation.
I have never tried. It would depend if you can hook more than one bluetooth device to your computer.
Another option is if you get a wireless scanner you can program it to "inventory" mode and it will save the scanned barcodes in the scanner then you upload it to your spreadsheet. This negates the "timestamp" but will still record the barcode.

How to add more dates (more columns of dates to extend thru the whole year)?
All you need to do is insert columns and copy the formula to the end of the new columns.
My school would like to use this for tracking our late students. I work at an public elementary school. Our students are assigned ID once they register for school. As students arive after a certain time, the person at the desk goes through a google sheet, finds there class, their name and under the date enters the time they came to school. With your google, we want to scan their ID barcode, which enters their name and the time and date they arrived. How do I set this up?

Your barcode scanner should work just like any keyboard. If you can pair it with your computer simply scan the barcode and it should show up in the table

Hi Karissa, you can rename each tab by right clicking the tab. You then put the names in the left column.

When I copy and paste from the barcode creator section it get a reference # error. Do you know why that might be?

Mohamed, Unfortunately the formulas only work online. I have used this same spreadsheet on MS Excel and that you can use offline. Hope this helps.

hi, How to link the scanner to the file?
When you have the file open, click the cell with your mouse, then connect the scanner to your computer and scan your first barcode. It should work.
But isnt that the responsibility of the choir secretary??

If this video was released in march 2019 but covid was discovered in december 2019. Then how is this video even existable?
This video was actually made before COVID-19 affected our world. Are use it every day in class. After Covid started I realized it would be helpful as people came into class to have a contactless experience and to ease the teachers need to take attendance.
