I been rocking reminders, calendar and notes super crazy the past 3 years and it has changed my life and productivity and accomplishing tasks. A huge side note that helps is to purge and clean out what notifications you receive on your phone and when. The notification summary is a god send for things you wanna see but don’t care too much about, and turning off all the countless little dings and buzzes, only grabbing your attention on important notifications.
@@chrissydish3132 I’d start by cleaning out notifications like a I mentioned before first, then watch a few videos on time blocking in apple calendar app. If you’re rocking iOS 18, Apple made the amazing move to have reminders show up in the calendar feed too, making it a one stop shop for both apps. You’ll still be better off setting the reminders up first in the reminders app though.
I have tried so many third-party apps and have completely come back to Apple Notes and Apple Reminders in recent years, and now Apple Calendar too with the changes in iOS 18. These apps sync perfectly, do not cost any additional money, and have just enough features to make them really worthwhile for building a productivity system. Fantastical was my last hold-out and while I still like it, I cannot justify paying $60/year for a calendar app. Now that Apple calendar will show my tasks on the calendar, I have switched back on the iOS 18 beta and am loving it.
lol don’t feel like you NEED to have a whole system. It really depends how things are going for you currently and what you’d like improve about your life. If things are going smoothly as is then no need to add more pieces to the puzzle. But if you’d like to be more in control of your time, perhaps start some new projects, etc. then I think this is a great place to start

Great video... I do always wonder do people actually do this micromanaging of their life? Like do you really need to add gym and dinner and these type of routine things into daily schedule? Don't get me wrong, I work on a manager position where work often bleeds into my private life off the clock and all... but I feel like I would spend more time tweaking this and adding/removing stuff. Also there are bunch of things that come up during the day that are not in the schedule , it feels more of a complication than a solution to me... but again maybe that's just me. I do use loads of reminders and calendar events, both on private and company phone, but I can't see how it would be possible for me to fill whole days in advance with one thing after another and trying to keep up with it.
I totally get you. I manage a retail store / medical clinic and my life is punctuated with interruptions and changes of shifts to cover for my team and dinner is just when I get home and walking the dogs is when I can fit it in, my days off can change week to week. I think having an outline of your day is useful but I truly believe things like notion are for people who enjoy building their productivity systems more than actually being productive.
@@clarkzy 100% you are right, i once used notion, but i spent more time building a "productivity system" than actually being productive. I think building the system and tweaking it already gives you that achievement-feeeling. + I neglected nearly every other aspect of my life. Family, relationships, friends. Now seeing it with clear eyes, that was just ridiculous.

That’s very true, let’s say you have a meeting that was supposed to be an hour long and it took 2 hours instead, or you had a last minute meeting, that juste makes the whole schedule for the rest of the day useless and you’re most likely are going to postpone other things you planned, that method might be good to try to set up a routine and stick to it but in everyday use it’s not that simple
And this is why every productivity youtuber on earth will try to sell you a course or a Notion template. Spinning up those systems and making sure they work just enough to get started is effectively their day job.
Dude. The dropdown title in Notes! So glad they have it. I'm in the middle of doing the same thing, migrating my whole digital system to Mac and I was worried they didn't have this. Another awesome thing I didn't know you could do is the Reminders columns view. I have gotten so used to this from my actual work I like to use it in my personal life. Didn't know Reminders added that feature. Also, I'm stealing the Archive idea I think because as I clean up my notes, I keep running into things I think are valuable but not currently relevant. Anyway, great video.

The calender is not really possible with my job. I work in IT and often cannot tell how long I have to work. And when the Server dont work I cannot say sorry I have gym now on the calender 😂
I agree that using the Apple apps is a good call. To me the only thing missing is being able to link contacts. As an example if a Reminder is to call doctor for appointment how great would it be to link that contact to the Reminder. Several after market app have that feature. Enjoyed your video.

17:20 I wish Apple would allow a view or sort by size or attachments by size in Notes. The Notes app is great at scanning and I’ve scanned many recipes and documents but it can get very bloated real fast. So now I’m experimenting with saving my scans to Files app but when I add a scan pdf from the Files app to the Notes app, it makes a copy of the scanned file instead of creating a dynamic link or reference link to the document in the Files. Duplicates meant twice the size.

Back to the main screen of Reminders and click the "three dots" on the top right corner. Then select "Edit Lists". 3. Move the "Inbox" list from "My Lists" section to the top section. 4. Click "Done".
Would you be open to sharing how you created the keyboard shortcut to have that window pop up wherever you are to then be able to type in a reminder real quick (no matter what screen you are on..command shirt R anywhere and you can add the reminder)? I don't understand why they don't have that baked in already. Shortcuts are kind of confusing and no real good videos or any at all that show you step by step how to create it. i have my calendar the same way, does anyone else having the problem that some weekly events (morning routines for example) just randomly put a notification 1 day before? even when the event isn’t setup that way, and even after turning it off

I have a job that often requires several hours of travel time in a day. How do you recommend accounting for the travel time while also keeping track of the scheduled time for the event? I really like your system.
On iPhone You can def add travel time either as your own estimate or (if you give it a starting location and a destination address, it will calculate it.)
Okay, I like the idea of having the calendar set up this way BUT I hate that when i try to use Siri to add a ‘calendar event’ it says, “you already have x scheduled.. would you like to me schedule it anyway”…. Minor annoyance but can you make it stop? Lol

Yes it does. First go to apple shortcuts app and create a new shortcut to add a new reminder to inbox (I think it’s a suggested shortcut too if you browse for shortcuts). Then I use a program like Raycast or Alfred to setup a keyboard shortcuts (for me control + command + r) to run that shortcut and it’ll work globally on your Mac. Hopefully that makes sense, I can make a video going more into Mac setup if that’d be helpful
Good organization. You can even show more hours per day (no more need to scroll up and down). I basically have the same setting… I have a question Are the reminders shown together with the calendar on the Watch? If yes, that’s a big plus which reminds the widget feature “Up next” that we had with iOS 14 I think. Thank you!
@@MilesMochizuki In the Calendar application, you can increase the width of each line of events. The smaller it is, the more events are shown. I show 18 hours per day. Hope that makes sense now. Did you check on the Watch how events and reminder are seen please… Can’t wait for iOS 18 and watchOS 11 to be released. Just a small bit of constructive feedback if you want to improve your videos: You look at the screen or away a lot when talking and speak idk with a bit of a sigh in your voice - lots of people do, but in the video imo it comes across monotonously like you’re not interested in what you yourself are saying. I think to help with that you could maybe try recording the talk through first then separately do the screen recording. It may also help you to be a bit more concise - not everything on your screen needs to be explained, more so explain how viewers may adapt your system You’re doing great!

Definitely back up everything beforehand. I’ve been installing the public betas for the past few years and haven’t had any major issues. They can be sorta glitchy sometimes so be prepared for that but getting to test out the new features early is worth it for me

The only problem to use the whole ecosystem is if you have a windows machine for work. It feels barely impossible to merge your work with your personal tasks. You can't use apple reminders in a windows machine desktop app, only web. So a third party app installed in both machines is the unique option
I've always wanna stick with 1 system but failed. I tried apple's and google's but can't get deep enough to the detailed tricks. This video is gem to me and I'm enjoying every second of it. Tip: try to make it under 10 minute with only the tricks, I think it's gonna do a lot for your views.
I use TickTick. Apples productivity apps would suffice, but I have a work macbook with a different AppleID so unfortunately it’s pretty useless, not even the Webversions work. And yea as usual, apple is late to the party with this integration. Only two years left until a foldable iPhone…
The only drawback of Apple’s productivity apps is Apple Notes. Once you start using it, your notes are locked in with no easy way to export them. I recommend using apps with safer formats like Bear and Obsidian
Question about notes. I tried to use it but discovered that I could not use the Apple Pencil in areas that I had typed. I wanted to make notes around the typed area, but could not. Anyone have a suggestion?
If Reminders had a better description space as well as Deadline date such as with Things 3, I’d definitely go with Reminders. It’s a shame they didn’t do that.
I want to do this but we use M365 on Surface Go laptops. I use Iphone 15pro and Ipad Mini. I try to use notes for business meetings and Microsoft to do for tasks. The perfect productivity system eludes me.
Why don't you use Notion Calendar and Notion? This way you can integrate your Todos from Notion INTO Calendar with start and End dates 😅. So you don't have to add a calendar event AND a Reminder to the same time slot.
I tried Notion Calendar and Notion together for a while and really wanted it to work well for me but there were a few things that just didn’t work well with my workflow. I think Notion Calendar needs some more updates. Also really like the smooth offline use with Apple apps. Would like to try a notion setup again at some point in the future as I still use it to plan out my TH-cam videos
Notion is not very integrated into the Apple ecosystem. That may be good or bad depending on your own perspective. As a SaaS, they have to plan for use on all operating systems. And you *have* to have a store of your data on the internet. The latter is possible (likely) for Calendar/Reminders/Notes but not a requirement. Notion may or may not use all of the Apple ecosystems features and functions.
You can. If you click the “i” when setting up a reminder from an iphone at least, you can toggle on the date and/or time feature and even set up repeats if you need to.
The best productivity hack is to outsource. Just invest the $100-200 per month to have a Virtual Assistance take on a bookkeeping, editing, data scraping, anything that can be done online task. You only have so much time in the day before you start compromising health.

Shortcut app lets you make different promt. For example I set up my phone to play music as soon as I dissable my alarm
I just ask Siri: Hey Siri, remind me tomorrow at 10am to call Suzi and see if she needs me to bring anything on Thursday.
suggestion: You might want to not back one time block against another time block and have a 15 min time transition break

you can long press a contact, then open reminders and paste it in a new one.
Shouldn't the colour coding match across cal, reminder, etc? ie the same categories?

@@MilesMochizuki In the Calendar application, you can increase the width of each line of events. The smaller it is, the more events are shown. I show 18 hours per day. Hope that makes sense now. Did you check on the Watch how events and reminder are seen please… Can’t wait for iOS 18 and watchOS 11 to be released. I have an iPhone 13 and an Watch Ultra 1, a MacBook Air M1 and an iPad Pro 11” 2020

Yes, yes they do. Seems like only if under iCloud account.

Just a small bit of constructive feedback if you want to improve your videos: You look at the screen or away a lot when talking and speak idk with a bit of a sigh in your voice - lots of people do, but in the video imo it comes across monotonously like you’re not interested in what you yourself are saying. I think to help with that you could maybe try recording the talk through first then separately do the screen recording. It may also help you to be a bit more concise - not everything on your screen needs to be explained, more so explain how viewers may adapt your system

make a full time machine back up before you do. As if you want to rollback, you will need to wipe the system
Definitely back up everything beforehand. I’ve been installing the public betas for the past few years and haven’t had any major issues. They can be sorta glitchy sometimes so be prepared for that but getting to test out the new features early is worth it for me

Can I do it only with an iPhone?
The only problem to use the whole ecosystem is if you have a windows machine for work. It feels barely impossible to merge your work with your personal tasks. You can't use apple reminders in a windows machine desktop app, only web. So a third party app installed in both machines is the unique option

I've always wanna stick with 1 system but failed. I tried apple's and google's but can't get deep enough to the detailed tricks. This video is gem to me and I'm enjoying every second of it.
Tip: try to make it under 10 minute with only the tricks, I think it's gonna do a lot for your views.

I use TickTick. Apples productivity apps would suffice, but I have a work macbook with a different AppleID so unfortunately it’s pretty useless, not even the Webversions work.
And yea as usual, apple is late to the party with this integration.

The only drawback of Apple’s productivity apps is Apple Notes. Once you start using it, your notes are locked in with no easy way to export them. I recommend using apps with safer formats like Bear and Obsidian

Question about notes. I tried to use it but discovered that I could not use the Apple Pencil in areas that I had typed. I wanted to make notes around the typed area, but could not. Anyone have a suggestion?
If only Notes had layers we could add with a show/hide option per layer - that’s my pipe dream 💭

If Reminders had a better description space as well as Deadline date such as with Things 3, I’d definitely go with Reminders. It’s a shame they didn’t do that.
Things 3 is definitely one of my favorites. Wish they would just add a couple more features and I’d go back to it
I want to do this but we use M365 on Surface Go laptops. I use Iphone 15pro and Ipad Mini. I try to use notes for business meetings and Microsoft to do for tasks. The perfect productivity system eludes me.
You can access all of the iCloud apps from a web browser. This is how I manage my notes, calendar, and email from a Windows machine.

Why don't you use Notion Calendar and Notion? This way you can integrate your Todos from Notion INTO Calendar with start and End dates 😅. So you don't have to add a calendar event AND a Reminder to the same time slot.
I tried Notion Calendar and Notion together for a while and really wanted it to work well for me but there were a few things that just didn’t work well with my workflow. I think Notion Calendar needs some more updates. Also really like the smooth offline use with Apple apps. Would like to try a notion setup again at some point in the future as I still use it to plan out my TH-cam videos
Notion is not very integrated into the Apple ecosystem. That may be good or bad depending on your own perspective. As a SaaS, they have to plan for use on all operating systems. And you *have* to have a store of your data on the internet. The latter is possible (likely) for Calendar/Reminders/Notes but not a requirement. Notion may or may not use all of the Apple ecosystems features and functions.

You can. If you click the “i” when setting up a reminder from an iphone at least, you can toggle on the date and/or time feature and even set up repeats if you need to.

The best productivity hack is to outsource. Just invest the $100-200 per month to have a Virtual Assistance take on a bookkeeping, editing, data scraping, anything that can be done online task. You only have so much time in the day before you start compromising health.
