I have two questions:
1- if we use "says" rather than "said", we do not need to change the tense? If it is the case why we do not use that all the time?
2- Reported speech is more common in speaking or direct speech? (I do not want to look strange to people when I use it)

well, you're reporting the sentences already said by a person, meaning they said it in the past so you have to change it to the past tense
