    I work on 4 to 7 projects every month and use a separate folder for each one of them. I have about 70 different categories that represent different stages of the workflow. As emails come in for a specific project they are marked with a category. The benefit is that I can easily look into a folder and see that I have or have not received requested deliverables, scheduled meetings, etc. Additionally I take the time to mark categories to each email that is in my sent box as that folder is always linear regarding time.

      Hey! Sounds like you have developed a great system that works well for you. I'd be interested to know how you deal with the fairly limited colour choices in Outlook for Categories, or do you just rely on the Category Name for your system and group them into colours?

    in my old outlook it would read lone emails to me but recently the button has been removed. can the new outlook read emails back to you?

      Hi NYinSD. The Read Aloud button is on the Home tab of Outlook. If that is missing, it may be because the Simplified Ribbon has been enabled. In the bottom right corner of the toolbar/ribbon, click the drop-down arrow, and choose Classic Ribbon. The Read Aloud button should be there. Alternatively, right-click the riccon, customise, Under All Commands, add Read Aloud to the customer ribbon. All the best and thanks for watching!

      @@pstechmsp awesome! thanks for the feedback.. Actually i can see the button but it is greyed out so not available to use. i have used it for years but doesn't work now.. any suggestions? thank you in advance. i am sub to you.. gracias..

      Hi NYinSD. Thanks for subscribing! We really appreciate the support.
      A quick Google Search on your problem has brought up a couple of possible solutions. You could try Adding the 'Speak' button to your Quick Access Toolbar. It may also be that the text to speech feature in Windows is not enabled or corrupted. You can remove and add voices in Windows Settings > Time & Language > Speech. Check it has the correct voice package installed. I hope this helps. Paul.
