    What do you do if someone wants to attend a session, and then change their mind? They would have to let you know then so you could increase the capasity of the session?

    There is a HUGE problem with this add-on!!! If multiple people are in the form (viewing the form) at the same time and a session meets its max, the question does not update. It will allow those in the form to submit their form with a session that already met its max, however in the results sheet column for "session" it will just appear blank. You will have no idea what session they selected because the option disappeared, but there is no error message to the person who selected a time slot that already met it max. The person who submitted the form will assume they successfully signed up for a session when in fact it 1. already maxed out and 2. the form creator has NO idea what session was selected. Guess I have to use SignUpGenius.

      Yup. When possible, try to stagger sign-ups.

      @@DanielKaufmann721 Unfortunately that won't work for my purpose as people are trying to get a specific time slot and we released the date and time in which the form would be available. Thank you for this information though. I think I will be able to use it for other purposes, but not the one I am working on now.

    Thank you, this was extremely helpful as we transitioned away from an old add-on that is no longer supported. Seeing the number of filled or open slots on the 3rd tab is awesome and something we were looking for as well. Great tutorial!

    Thanks Dan. Is form ranger no longer auto-updating upon submission? Even though the session choice disappears from the spreadsheet it is still in the form unless the form ranger addon is started again - then it disappears. Thoughts?

      It should auto-update. Try running formRanger again and make sure to select the correct column (B I think).

    When I test my work, it seems that I have done the right thing except, the session is not deleting quick enough and I am getting negative number. Is there a work around

      If you have lots of people submitting to the form at the same time, it's bound to happen. The only way around that would be to have individuals access the form at different times

    What if I were wanting to be able to register multiple people for a session with one form submission? I am wanting to create a form where you select not only the session you want but also a number of people for that session and then have the session disappear once its full. Is this possible?

    I cant get it the choice to be removed from the google form. it only removes it from column B on the sheet

    I know this is an old post but I don't know how else to contact you with my question as every message board does not answer my question.
    I am creating a form where you can select a response from a drop down (or checklist, I dont care how I will use whatever works) that has 20+ options. I am allowing the user to select 8 items from that list so I've created 8 questions with the same response options.
    Ideally I'd like to remove the response options from consecutive questions if they're selected in a previous response. So if you select Response 10 in Question 1, then Question 2 will not show Response 10.
    Is this possible in Google Forms?
    (I've seen the choice eliminator add-on, but that seems to be if a previous respondent had already selected an option, and not quite what I want. Different respondents can select the same responses, I just don't want a single user to duplicate their responses.

      I dont think that is possible. Counts are calculated until the user hits submit.

    We are making a sign up sheet for parent conferences. Is it possible to limit the choice to one for the entire form? For example, we have a set of time to choose for each day of our parent conference week ( a total of five days and each day has about 15 time slots available). We would like for parents to choose only one choice and once the one choice is made, that’s it - We don’t want parents to be able to make any other choice on the form. Is it something possible?

      If you listed all of the choices in one multiple choice question that would work.

    I want to have a form by criteria. So for example, I have along list of software, and I want some feedback on the software that people have previously used. In one section of the form, the question is how familiar are you with the following software (long list) with options: 'I havent heard of it', 'I have heard of it but not used it', and 'I have used it'. In the next section I want to only show the list of software that the respondent has used instead of the whole long list. Would you know how to do that? Thanks

    Thank you for this great tutorial. I've checked and rechecked my steps, but my choices aren't eliminating. Would there be something in the formula that is populating the Form Ranger Session 1 titles from the first Session 1 titles column that isn't working? I don't see a formula there, so I don't know how it is populating. I'd really like to use this for a professional development session I have coming up. It worked when I tried it on a small scale with smaller session names. I'm including longer descriptions now. Would this be a factor?

    Is there a way to use this method for booking meetings with students? Basically I have multiple days and time slots available for students to book meetings, but they are 1:1 so once that choice is selected, it needs to be eliminated as an option. Ie. Once Monday at 9:00 AM is taken, another student can't book to same time slot. I've looked through various forums and youtube but I haven't found anything. The closest I've gotten to what I want is using cascading menus with the "go to" option. Select the day and then are automatically prompted to select a time slot. While each user can pick 1 day/time, I can't figure out how to eliminate the option once it's been selected. So far all I can see is that I'd have to make one long list of every day and a time and use choice eliminator.

      Sure. I believe if you do appointments you have to use military time. You could also use Appointment Slots in gCalendar.

      @@DanielKaufmann721 unfortunately my organization is using Microsoft TEAMS so my entire calendar is already loaded in Outlook and TEAMS. The meetings will be booked through TEAMS as well. I'm trying to find the simplest method for parents and students to sign up. I checked the Microsoft forms but I didn't see any sort of eliminator function.

    So the default survey will generate a response form with 1 extra column (B), so make sure to change the "registered" formula from C:C to D:D if you have some trouble counting the responses.

    Thank you Daniel, Appreciate if you clarify. I followed your instructions and everything work as expected, except the Choices have not been removed from the form. The Choice Description has become empty but still, I can select/choose? In your video, there were three choices, after three successful entry the first choice disappear and there were just two choices remains. I have exactly the same requirements for registration. Why I still see three Choices (1) Empty/Blank (2) Choice-2 (30 Choice-3. How can I get just (1) Choice-2 (2) Choice-3 instead? Thank you again.

    Thank you for the clear and easy explanation. I managed to do everything as you showed. The numbers are counting down in the Excel Form, but the option is not disappearing from the Google Form once capacity is reached. I indicated to auto-repopulate the questions after every submission. Any idea what I'm not doing correctly? Or did I miss a step somewhere?

      Check to see if, once capacity is met, the option disappears on the spreadsheet. If it does, then check to see if when you selected the data using formRanger that you selected the correct columns from the sheet.

    I've gone over my steps at least 5 times and I'm still getting something wrong. When submitting the form I see the submission information but it's not counting it down on the second sheet. I did make sure the formula was grabbing the information from the right column but it's just not working. However, when I copy-paste from the second sheet it counts that as a response. Can you help?

      Hey Nichole, make sure your spellings are the exact same. So, the spellings in the second sheet have to match was is on the form. Be careful of phantom spaces at the end of the text.

    When it gets to the last choice, the limit stops working. Is there a way to remove the whole question once all choices are eliminated?

      I don't think so. It would just be an empty question.

    Great video! Thanks for the info! I've created a form for our students to enroll in weekly enrichment classes but we're having a problem with it creating blank fields in the spreadsheet. I think it's because multiple kids have the form open at the exact same time so they see the full list to pick from but by the time they actually click Submit, the option they've picked has filled and has been removed from the list. So it just enters a blank in the spreadsheet cell. Wondering if there's any workaround or field validation that could be added. Any ideas???

      Yeah, if anyone knows the answer to this question, please chime in. Again, here is the scenario. Two users open the form at roughly the same time. Since neither of them has hit the "submit" button yet, choices which may have otherwise been eliminated are still available to be chosen. The result is that after both users hit the submit button, neither one of them is given an error message saying that the choice they picked is no longer available. Is there a way to present the user with such an error message upon submit? If not, is there a way for a script to be run upon submission which checks whether choices exceeded their capacity and emails the last person to submit their form and says something like, "Sorry, but while you were filling out your form, the last available seat/option was used up. Could you please click on the link to edit your form and choose another available option? Thank!" Something like that. Any ideas?

    I'm getting an extra spot that you can select but results in a blank cell. So with the example as shown in the video I could have 3 Google Docs submitted and the sheet will recognize it, but as I go to submit another form Google Docs remains an option. If I select it again, the cell will be blank. So Google Sheets is recognizing it as blank but Form Ranger appears to not update properly. Suggestions?
    *edit:* Also if I wait or refresh the page the form will update. I wrote a bit in the description of the form to warn users. Any way I could adjust it? Perhaps a way to list how many of each option is left?

    Loved this method. Was a big help in setting up class rosters. However, when I look at my "choices" tabs, they're not counting down at the same rate as the responses I'm getting. Ie 8 people made a certain choice but the choice tab only shows 2 registered. Anybthoughts/ideas?

      Most times when the counts are wrong it's because an inconsistency in spelling or putting phantom spaces at the end of cell text.
      Also, double-check that the count is happening in the correct columns.

      @@DanielKaufmann721 it seems like the issue maybe that my form is a checkbox form, so most questions are given multiple answers. Ie, the person selects the Monday 4:15 and the tuesday 5:00 class, and both answers show up in the same cell and that is messing with things. Any thoughts?

    Hi Dan, the formula works GREAT when multiple options are available. It removes once one of the choices reached capacity. The problem right now is the last option stays as an option even though it has reached capacity. What can I do? It is now -20 (extra 20 people). Anything I can do to eliminate the last option from google form?

      Dan, as Yenti has mentioned the formula works perfectly. Unfortunately, it is not eliminating the dropdown choice though. It's still there but records it as negative submissions. I am at -2 now. Thank you!

      Try submitting. The options reload on each submission or after an hour (based on the trigger you set)

    Thank you, this was helpful! I followed every step and changed my formula in the spreadsheet so it would match my responses (since I had those in column E). When I try to submit for my first option, it still remains in the google forms even though i changed the capacity. My problem is that it dissappears in the spreadsheet but not in my google forms. Any suggestions how to solve it?

      When you run formRanger, double-check that you picked the correct column to pull the choices from (column B)

      You can delete the entries or increase the capacity

    Hi Daniel, I have issues with Form Ranger taking too much time to update - the app is great product, but seems to have server issues. I did all coding and it works fine sometimes, at other times it takes too much time to update, so I can´t really use it. Any comments? Thanks my friend!!

      Try to re-run formRanger and make sure you are selecting the correct column in the spreadsheet to generate the choices.

    Thanks so much! This is great! I have it all set up but I am doing it with time slots. The time slots are showing up in military time in the Google Form even though they are in standard time in the Google Sheet. Any idea how to fix this? I have tried using formatting in the Google Sheet but it isn't working.

    This is very helpful! However, I am not certain what I should change my equation to (in column D under the Copy of Session 1 tab) in order for the choices to disappear. I have 3 date options with times to choose from. They are columns G, H and I in my Form Responses tab. Can someone please help? I am so close!!

    Great workflow. Is there a way to do this live? For example, lets say I use two session Topics which use the same data. If you select the Google Docs from the First Session Topic it will remove Google Docs from the Second Session Topic BEFORE form submission. Is this possible to execute?

    Very Helpful. This is what I was looking for. One question. Say, rather than the "Google Docs session" disappearing upon reaching the capacity, I want the option to say "Google Docs session capacity reached". Can I do that? I think answer is YES, by simply changing the formula to say such rather than displaying empty text " ". Right?

      That would work. The problem I see is that people could then select "Google Docs session capacity reached"

      @@DanielKaufmann721 Yes, you are right. I hope Google gives an option where the option is disabled or greyed out. Once is greyed out, there could be another question "Do you want to be in waiting list?". If answer is YES, then person can provide their details.

    This is super helpful, but I'm hoping to allow people to register for multiple seats at once... So a family of 7 needs 7 seats together, and that decreases the number of seats available by 7 not 1... HELP please!!

    This is great, can anyone help me find out how to use this to set up a Field trip, with two sessions but a cap of 20 each session, however, the parents are submitting how many children are coming could range from 1-5 kids, which would affect the venue max. thank you.

      Is the cap 20 submissions or 20 students? If you want to count up to 20 students based on the first session name you would want to use the function =sumif( ) instead of countif( )
