  • How to Easily create a private page for multiple users in WordPress
    Someone asked in a Facebook group I'm in how to make a private page for multiple users to access without using a full-blown membership plugin and without using one shared password-protected page.
    I had done something like this recently for a project and wanted to share how to do it. It only requires two plugins that are freely available in the WordPress plugin repository.
    With a little help from this user roles WordPress plugin, you can create a private page for specific users to access their content.
    Update: (11/26/2019) The name of the user roles plugin has changed to User Role Editor by Members and is available at wordpress.org/.... You'll need to search by the updated name to find the plugin in the repo.

    Terri, I can not tell you how grateful I am for finding this video. I have been searching and experimenting for hours until I found this video.     This is very useful. I am doing a pro bono site for a homeless charity and they want to be able to add volunteer guidelines and additional info pages but have the ability to remove access to their Guidelines when each volunteer leave their charity.

I did see the update in the comments section that the main plugin had changed names; however I am unable to find the 301 redirect plugin that Terri used. I know there are a lot of 301 redirect plugins but would like to use the once she suggested. Am I missing it or is that plugin now no longer in the wordpress plugin library? ****

    I use Salient theme from Theme forrest. I cant manage to find a "Content Permission" :( . Do you have any tip? This should be such a great solution for me.

    It appears the Members plugin is not tested with my theme or version of wordpress. Can you advise if this will be an issue. This plugin appears to be very simple however concerned about compatibility with my sites' theme.

      This plugin doesn't really do anything with the Theme, so that shouldn't be an issue. It should be fine with the latest version of WordPress. That compatibility rating is dependent on people actually indicating if its compatible or not - it's not an automated process.

      Not with this method, no. The password protection in this method is for the entire page contents, not just part of it. For that you would need a membership plugin that has that functionality.

    Very, very helpful. However I do have one issue that I can't seem to resolve. When the private user logs in it redirects to the user profile page. The user does now have access to the private page but I don't want my user to be presented his profile page every time he logs in.... Can you help?? Regards...Greg Triplett

    i am not clear with one thing, when the private user login to see the content , do they access as webpage admin? i mean if they do access as admin, private user can also change the settings and data. bt i dont want it to do so, just they loging as private user and read the content without having admin access. is that possible?

      Ultimately it would depend on the settings of the role you created, but if you only give them access to the private pages and posts, they would not be logging in as an admin.

    Which user role definition are you using? I do not see modify or add roles in the current version of Wordpress v5.8.1

      You can use one of the default WP roles, but in the video I used a plugin to create a custom role. The plugin is linked in the video comments.

    There will be four types of users that register on this small social network website: teachers, parents, educators and students. So I would like it so that when they register, there is a field in the registration page where they have to select the user type out of those four.
    i. The user type that they select should show under or next to their name on the website at all times like profile and posts, so that when people see their name they know what type of user they are.

      For something like that, you'll probably need a plugin that manages custom registration requests, or a form plugin like Gravity Forms (bit.ly/btogforms) that allows you to make custom registration forms. This function you are looking for is not a native WordPress option.

    Thank you very much for the video it was helpful, but when I tried to redo your steps, I find I do not have the option to add new role. Therefore do not have access to grant or deny the pages the user can then view. Have you got any other plugins installed to help you get that extra function? Hope to hear from you!

      Recent versions of the plugin adds a Members menu to the left side menu instead of adding the Add Role option to Users menu

    Is it possible to create a multiple user role with the same privileges but they have their own page? Example: in a page name: "example". When user1 go to that page, he can edit whatever he wants, then once he logged out, it will automatically save., and when user2 go to that page, he will see nothing and he will do the same thing., when he will log out, everything that he made was automatically saved. "but" nothing is changed on user1's page.? TIA

    I have been trying to figure out how I can create an online profile for my clients where initially, I get them to do a health assessment questionnaire and then transfer that information directly into their profile account.
    I would like them to be able to access their private profile accounts so that they can edit their health assessment profile for any updates or changes that may occur at any time.
    Kind of like a dating site where the user creates his/her profile account and get them to fill in the questions to complete their profile.

      If you just need to add editors, that is a native role in WordPress and you should just be able to add them as users the regular way. Unless you have some other specific need, you don't need to use the plugins I mentioned in this video.

    Hi, I know this is an old post but how do the private users add themselves to the private users list? Or would I have to add them as new users myself? Just wondering if I need to allow people to subscribe in the settings.

      Hi, Deyo. The intent in this video was that the website owner or manager would be creating the user accounts. If you allowed people to suscribe in the settings, then you would target the Subscriber user role. If you needed to target a different user role, that you would either need to create the user accounts yourself, or find another way to do it.

      I'm sure there would be a way to do this, possibly with a combination of different plugins. But, I'm not sure which ones they would be off of the top of my head. You'd need to do some experimenting with some sort front-end page editing plugin.

      FIT4TEK Personal Coach for this method you absolutely should set the page password to be different than your login password for the site. But all users would be using the same password, so there wouldn’t be any way to prevent someone from getting to the content once they have the password.

    Hi Terri, will this work if we needed to add 5 separate client logins (so 5 separate pages)? Different clients will be accessing different content so that is why I need separate login credentials for each.

      If they each need separate pages, you would need to set up each one with their own user role in addition to their account to use this method. It should work, but would be more involved to setup.

      It seems some things have changed, and it doesn't work if you mark the page as Private. But, if it's published as Public but you have the Content Permissions rules set, it should work as intended. I'll post an updated video as soon as I can.

    You cant see that content permissions if you have elementor. Even if going to normal "edit"

      It should show in the page editor, not the Elementor editor. But, I haven't tried using it on a site using Elementor, so I couldn't say for sure. If I get a chance, I'll look into that soon and see what I can sort out.

    Terri, sorry I have just one question if you can guide me please? When the private user logs out, it defaults back to the Wordpress login page, but ideally I’d like them to go to the specific Divi login page that I have created. Maybe I’ve missed it, but is there a function in either members or peter’s login redirect to amend that or does this have to be yet another plugin? Thanks so much. 🙏

    Hey Terri,
    Is it possible to create social networking, e-commerce and blog page in one website. Like I want the users to register as per their location. Their profile would have tabs, first of the timeline i.e. the posts that they'll post, second is of the products that they can put up, third a form for a query, fourth for images and videos?
    Would be great it you could suggest a way to achieve it.

      I'm not sure of anything that meets those requirements off of the top of my head. Definitely sounds like you would need some custom layout coding for either the theme or as an additional plugin. They could publish posts as a WP editor (native WP role), and I think there's a WooCommerce addon plugin that allows multiple sellers to add products. It could be done, but would take some experimenting.

      The only access this gives subscribers to the WordPress Dashboard is to change their password, basically. There are plugins you can use to prevent users from getting to the Dashboard.

    Would this work for private board members pages? Can I set it up so each board member has a unique login and they can access their pages of minutes, agendas, etc.?

      If you create a role called Board Member and then give everyone that role, it should work. There could be other things on your site that affect it, but with the info you gave, it could work.

    hello now in 2021 can you use maybe ultimate membership pro with this redirect or any membership plugin? I've been using a template for specific users
    then i have been sending them a password but this is so much work??? I need a personal content page for clients to see only the work i do for them???
    it is a little faster with the template but i just think there should be an easier way by now???, No???

      I’m not familiar with that specific membership plug-in. There are some plugins that are specifically designed for client dashboards so that might be an alternate route for you

      you do have to setup the error message. It should be in the metaboxes on the bottom of the editor for that page/post.

      You would really need a membership plugin of some sort for that. The method that I show in this video is really only for having one shared page for multiple users to access.

      @@beyondtheoffice Yes, I have done that and when I use the permalink when in the Admin / Pages / "Physicians Only" page, it will sometimes go to a "Password Page" but not now. When it does go to the password page, I add the password and it will not go to the Physicians Only page. It goes to a basic blank page that has an "edit" link.       If you have your site settings preventing people from creating their own account, yes, you would need to create their account.

      If you need a different password for each person, you'd be better off looking into a membership plugin or something like that. There are lots of different ones available, depending on what you need and your budget.

      Lewis Burton which one I would recommend usually depends on what you are doing with it, and if you need to be able to charge for it. A simple google search can get you started. If you do end up using a membership plugin you’ll likely not need the steps shown in this video.

    One thing I would like to know is how to assign a particular user name and password to a user. Want to assign a separate user and password for each users, from about 100 users. Thanks in advance.

      you would need to add them each as users and you can assign as password, but they would be able to change it when they log in.

      The method shown in this video wouldn't let visitors change the password because you assign it, and they don't necessarily need to have an account to use it. You might need a membership plugin, or just allow people to register themselves as subscribers. But, be careful because opening registration to anyone tends to get a lot of spam accounts.

I have a question though, and I hope you get a chance to answer, you used a specific redirect page for a specific private user hidden content page... what happens when you are trying to set it up for a blog post and want that user to return to that post he's trying to access? (I hope my questions makes sense)

      I have not had great luck creating a redirect for gated content without using a plugin specifically for that.

    Is there a way to create a private page and a public page for one member. So each member has a private page they can edit that will update their public page for other members to see?

      Not with this plugin combination. You would probably need some sort of directory or profile editing plugin. Or it probably could be done with Gravity Forms and Gravity View.

    Thank you for your video. I wonder if there is a way to set up a wordpress website that is available to invited members only. We are a small group of people, no more than 20, and we would like to have a private forum where we can exchange creative ideas. We don't want to link our site to Google or other search engines, neither do we want outsiders to access our forum. Is there any plugin available for such purpose? Thank you in advance.

      im no expert and im sure there's things you can do but (1) wp has a "Discourage search engines from indexing this site" feature under Settings / Reading in the wp dashboard (2) write non-descriptive, or no descriptions, in key areas (eg, page title); and (3) google is likely not to give significance to a small, descriptiveness site. setting a page or entire site to password protect will keep outsiders from accessing ur forum

    Please ma'am I have a Real EState website, and I want to create a tenant profile portal, where all my tenant can have their own portal and all three information also I want the tenant's page to carry info such as apartment occupied, address of property occupied, rent due, rent paid, outstanding if any, signed contract, a space where they can receive and also send documents such as proof of payment, tenancy agreement, receipts, e.t.c.       Honestly, that sounds like a lot of sensitive data that shouldn't be stored on a public website. I would not recommend doing that.

      the private page does not show up at all if not logged in; i.e. it says "Oops... something went wrong here"...

      the private content page wouldn't be linked to any specific account with this method. You could have a page that only one person has the password for, and different pages with different passwords for different users, but that would get complicated. At that point, something like a membership plugin would probably be better suited.

      Yes, this plugin has the ability to create a redirect for a specific user, so you'd just need to make the page for them to be redirected to and set it up in the plugin settings.

      Royale Cohesive Network there’s many things that could cause that from SMTP issues to SPAM filters. Are you able to send them the information manually?

      Are you using wordpress.com or self-hosted WordPress on your own hosting? If you are using self-hosted WordPress, are you sure that you're logged in as an administrator?

      You could make a form using any WP Form plugin and put it on that page, and then direct them to it when you want them to fill it out, yes. My preferred WordPress form plugin is Gravity Forms (bit.ly/btogforms)
