    Hi Hector, I run a desktop version of QB 2019. I'm trying to track boat sales & expense incurred. Should I use Items as non inventory item or Inventory item? Or, is other current asset is better suited for these transactions. I normally purchase at end of season and sell the following season.

    Can I apply my non-inventory to jobs? How do I do that? We use a different system for the actual contract price of our jobs so I use an invoice for that but how do I apply the non inventory material that i am buying in bulk?

    Hello Hector. I am looking at your awesome videos. A company purchases and keeps snacks in the ABC warehouse and sells them the LF company and the GS company. The company wants the Profit and Loss Report to show profits of each company. For example, the company purchases Dori snacks for $400 and sells them for $200 to the LF company and for $300 to the GS company. The Profits and Loss Report should show Account #4100 LF sales $200, #4200 $300, #5100 Snacks COGS $400.
    How do I have to set up the snacks on the Item List? Is it possible to set up so that an inventory in a warehouse can have different income accounts only when the inventory is sold? Thanks in advance!

    Hello Hector your video are really helpful, thank you! I currently work for a non profit and we host meal packaging events. We send extra bags of food for just in case scenarios at these events but eventually some of that overage comes back to the warehouse. Do you know if there is any way of receiving inventory back into the system without using the inventory adjustment function?

    The negative quantity inventory adjustments move dollar amounts from the balance sheet and into the cost of goods sold. The end result changes the net income on the P&L. Is this a desired result for adjusting quantities that are not real or negative in the inventory?

    Do you have a simple process to check in parts. I have used Item>new item & have filled in the proper blanks, to show the part in stock. I have also tried placing a part in stock through billing>credit> item. I fill in the inventory parts section, only to end up with a zero quantity in the end or a negative quantity in the end. What am I missing? Thanks

    Hey Hector. Thank you for the content! I was wondering, after I tweak the layout of my inventory list, is there a way to lock the list? I sell metal, and I'd like to organize my list to go "smallest to largest" size, so that folks can find items faster. But if someone "resorts the list" it erases all of the changes made. Thank you for your time!

      You can rename the items in your list with prefixes such as AA001, AA002, and so on to indicate the "smallest to largest" size. That way you can always sort the list alphabetically by name to arrive at the desired sort that you want.

    very informative , i have one question , i have been using QB entreprises for my Cloths manufacturing business, but whenever i add Labor costs per item and FOH in Bill of Material and then do build assembly , costs of Labor and FOH comes in Credit side in my Expense account, can you guide what i am doing wrong as labor cost is also important in item wise profitability.

      That sounds right as it is relieving labor and FOH and adding to inventory cost. perhaps you need to assign the labor and FOH account in the Bill of Material so it can charge those accounts.

    Hello Hector -
    I have a unique situation. I understand that QB Enterprise 2021 does not allow us to use both a lot number and serial number.
    I am creating a manufacturing process. The situation is as per below.
    1. Business requires both a batch numbers and serial number. Can I make the default to Serial No. and add a custom field for Batch No.
    2. If I make serial number as default, then this is the problem I am running into.
    a. I get raw material in bags, but the bags are of varying weight (lbs), each bag is tagged and I need to track each bag through my process.
    b. If I get a 500 lbs of raw material, then they can come in 20-30 bags, but when I put 500 lbs on PO and receive it, it will ask me for 500 serial numbers vs 20-30 I have.
    You help would be greatly appreciated.

    Hi Hector. Thank you for your videos, they are always very valuable and useful! :) I am experiencing an issue with my inventory management and was hoping you may be able to guide me in the right direction. When I first started off my business, I set up my inventory quantity in terms of Cases (1 case = 12 units). Now that I am changing business model and creating new inventory (which is now reflected in terms of Units instead of Cases) I am having issues because Quickbooks is automatically posting an inventory shrinkage expense when I make my old inventory items Inactive. Do you know how I can avoid this automatic posting to the Inventory Shrinkage account? Thank you in advance!

    Hector, Thank you for the video. Question for you please. Do you have to "build assemblies"? I don't see this happening for us. We build stuff day in and day out. To go to our office manager and tell her every time we build something would be a nightmare. Is there a workaround where we could just have inventory, and sell assemblies and inventory without dealing with entering "build assemblies"? Thanks Chris

      If you need to track raw materials as inventory, you need to convert them from raw to finished goods (assemblies) somehow. So I don’t see away around it. Unless you don’t want to track inventory on hand

      Technically yes.. but it’s a lot of work to adjust them all every month/quarter like that.

    I have a questions regarding seeing inventory vs future Purchase orders. Right now If I have 10 units on hand with 30 coming in in six months but I have orders already for the 30 that will be coming in 6 months my inventory will show negative even though then 10 I have now are available. Is there a way to show inventory but have it take into account purchase orders and the dates around them. I hope this makes some sense. Thanks!

    Hey Hector, this is my to-go video on Inventory but today I come with a different question.
    Using QB Accountant Desktop: I have a client who buys from me at a Credit of 15 Days and in addition, they're interested in re-selling more of my products at a trial period but as a Conginment note. So I have 2 payment / Trade terms with them.
    How do I set up to track inventory out for the consignment notes and when they've sold and paid for various items noting i only want to include my VAT 16% against the consignment sale?

    Your videos are a lifesaver! However, I am having a hard time using multiple u/m for my items. We sell items by the case, but end up invoicing by the pound. How can I get QB to understand there are 2 measurements used per item? Does that make sense?

    Hi Hector. Any advise on inventory management when looking at it from a hire/lease business model? An inventory is needed to keep track of stock, but stock is seldom sold, rather is hired out for a period of days instead. Any advise would be great!

When I say "hire out" I mean we own (for example) a table and would then charge a customer x amount to use that table for a defined period of time. We own the products, and the customers hire them from us. I hope that makes sense? Sorry for the poor explanation

    Hi Hector. Our company sells services, where heavy machinery is used. We are wanting to set up inventory for machinery parts that are stocked until such time they are used on the machinery at a specific job. We would not sell the machinery parts, but consume them at the time of usage and charge to that job. Can that be accomplished using QB inventory feature and are there proper steps to consume the inventory item, capturing the cost as part of the job cost? Is there a better way to handle other than inventory?

      Yes, you need to create the inventory parts and load them at their cost as you buy them.
      You must “sell” them at zero sales price to consume them in an invoice or sales receipt

I have a question, when there are lots of items in inventory (for example retailer business), it is hard to give each item a unique name, it is also hard to remember the item name, especially for new employee, so can i use product bar code as item name? in this way, when issue invoice, just use scanner to scan the product, the bar code will input in the item name space quickly. any advise for using bar code as item name? thanks.

    Hector, I appreciate your many videos you have done. they have been a big help in my learning how to use QuickBooks. I am currently subscribed to QuickBooks Online Pro. I run a General Handyman business and have been classifying all the materials I buy to fix toilets, sinks, decks, ceiling fans, Garbage disposals, ect. as Non Inventory items. I am now starting to set up a workshop where I can start creating Chess Boards, Pepper and Salt Grinders, Pens, Kitchen utensils, ect. These materials I want to designate as Inventory Items. I'm looking around and not seeing the menus or selections for things like setting up Raw material boards with selections of different species of wood instead of color as you show in your video.       Raw materials and bill of materials are only in the premier and enterprise editions. pro doesn’t have it

    Hi Hector! Thanks a lot for the detailed video. I see a inventory Adjust item under Type column of Inventory valuation detail report. What does this mean? Whether is this automatically calculated by QB or manually entered?

      That means the item was adjusted on value or qty at some point (manually entered)

    Hector...when tracking non-inventory parts for purchases such as office supplies, etc., would you pick an associated expense account rather than a revenue account (not selling the item)? Thanks.

      There is a sales account and an expense account. The one you pick in there will be used based on the transaction type

For example, My bakery recipe batch produces 5 large, 10 medium, and 50 small breads.     Great video! This was very helpful. I am struggling to figure out how to apply this to the business of making items from a recipe, then selling the items by the case. We make sausage, and we have several different 200 LB recipe batches that we use. I assume a 200 LB batch would be a sub-assembly. When I run a batch, in the real world, the end result is usually 10-12 20LB boxes of sausage that we then stock in our warehouse and sell to our wholesalers. We also sell individual 1 lb sausages in our retail store or our mail order store. By far our most common unit of sale is a 20 LB box, but we also have 10 LB boxes and individual retail or (group) mail order sales.
    I am stuck after I create the sub-assembly batch of sausage. How do I then get my finished goods by the case or by individual sausage links? When we count inventory of finished goods, we count cases, but I can't scale all of my recipe ingredients down to the case level or the individual item level because the quantities of some of them would be less than .001.
    We run the retail/mail order batches separately from the wholesale batches.
    I feel like I am missing something really obvious here!

      What aversion of QB you have? You need enterprise to be able to have a 10,000 variation across units of measure.

      Yes.. as long as you installed the Wholesale and Manufacturing edition or the Retail Edition. If you installed the Contractor, Non-Profit, or General Business editions it won’t be there.

    Hi Hector, your video is really helpful! one question i have is, We are a manufacturer of concrete products and i want to setup an inventory item as a (raw material) to be used in an assembly, how come quickboooks asks me for an income account associated with the inventory part if i am not going to sell that part and generate income? we have enterprise and i dont know how to create an inventory item without putting an income account, please let me know if you can help me with this!

      You still set a sales/income account. But it will never be used if is never sold in an invoice.

    I am doing recycling business. Basically just converting raw material into new form as finished goods. My inventory items will be just Raw material and Finished goods with freight in, fright out and all those packaging supplies. What I'm looking for is to be able to record inventory received / tracking both raw material and finished goods by quantity (in Lbs) with unit cost (in USD). we are now using QuickBooks Premier plus 2021 desktop version. Please let me know if I need to upgrade to Enterprise? I do need CPA consulting on set up. I need to get this in place before we start production in around next months.

      If you stay with premier, you will need to use the workaround (explained in another video) to add those external costs (shipping, etc) to the components. If you upgrade to enterprise platinum, you can assign specific costs to the the items you receive
      Premier will allow you to take multiple components and do the assemblies as the video shows. If you upgrade to enterprise, you will also be able edit those BOM's on the fly

      Jorge Fraga work non-Inventory you can buy and sell items and be able to track the quantities bought and sold... but not how many you have in stock....
      For that it would need to be inventory.

    The assembly cost was 220 but when you built 10 it reflected 2,100 instead of 2,200 in the balance sheet. Also the price of the Assembly was 400 but when creating the invoice it was 360. Can you please explain why?

      I wouldn’t pay much attention to the specific math on the examples I used. You do it in your QB and see what happens

      @@HectorGarciaCPA Not everyone is having QB on hand while watching this. Some persons actually pay lots of attention to the figures. Even if a user does the same thing you did and arrived at different values, they'll definitely ask questions.

    The low character limit of 31 characters for items is such a real weakness of QB for retailers which stocks branded products. The brand name needs to be included in the item name (as there is not a brand name field) and this then means there are not many characters left for the product description. This is a real problem if using QB with software like synder to try and sychronise transactions.

      Yeap… its a limitation for sure. But you could use an ITEM:SUBITEM structure and make the parent item the brand
