Zoom-How to share content when students are in breakout rooms

    When students are working in breakout rooms, they are working in completely different rooms. You are not able to share content with the students unless you go into the breakout room and then share content with them. However you can set things up so that students are already prepared before they move into the breakout rooms. So you need to make sure that students already have open any content you want them to work on in the breakout rooms.
    The other important thing to understand is how the IWB works. When students are in breakout rooms, they are using a completely different IWB to the IWB that you find in the main room. So they must have anything they want to share to the teacher in the main room. In this video I clearly show you how IWBs and breakout rooms work. It is important to train the students to save what they have created in their IWBs and then learn to open it again when they are in the main room.
    Another great trick is with the webcams. If all the students turn off their webcams and you also turn off your webcam, then when you go into the breakout rooms to see what the students are doing, you will actually be incognito and this can be very useful. The students will not realize that you are in the breakout rooms listening to the students . This is a technique I use a lot when I am working in the breakout rooms so that I can observe what is happening in the lessons but I don't want the students to know that I am listening.
    This video will really help you to make the most of the breakout rooms and to learn a variety of techniques to really learn to use them effectively. It will make your breakout sessions work much better and help you to make better use of breakout room groups and observing your students. You will also learn more about the way the IWB software works and how useful it can be to teach the students to save what you do in the IWB software.

    This video contained exactly what I (and many more people) needed, and it is explained in such a clear way that it is impossible not to get it right!     Great ideas. I usually use Padlet for these types of things because when teaching children, some of the share options in Zoom are restricted depending on the parental controls. Padlet is a good way around this.

    I think this is a new feature of zoom because previously (during spring semester) zoom did not allow us to share clickable links, or any documents. Now it is a great relief! Thank you for the video.

    I usually use a google presentation and I put all the links for my students there. One more thing (if I am not mistaken) is that you can click on "Breakout rooms" button(when the students are in breakout rooms) and you'll see a kind of a chat "send to everyone" I only use it to write some messages. I imagine it's possible to send a link but I should check it. Plus, I have never checked where the students see the message. (Some say it just pops up or something) Hope it can help someone!

      This are great points. You are right about the messages. You can broadcast a message but not sure if you can broadcast a link. If you can, that would be great. You are right about the chat too but I prefer to know they have the content before I put them into the rooms. Thanks for the great contribution.

      @@ttvRussell No, it's not possible to send links via the "broadcast to all" button in the breakout rooms panel, because it's not clickable and you can't copy/ paste it. Sad.

    Russell, would you point me to how to connect ZOOM to Dropbox or Microsoft One Drive. Try as much as I can, I can't get past the enable cookies prompt on Safari or Firefox. I LOVE that you have solved this issue! Thanks.

      You must log into these tools first and make sure they are open on your computer. Then you should be able to screen share and go straight to Drop Box or your Drive. I do it all the time with my Google Drive. I always open it first and have it ready. I hope you are a Chelsea Supporter!!

    Great video Russell. My students struggled when trying to view videos with sound when sharing a screen in a break out room. There was no option to optimize sound on their mobile device as there is on a pc. Do they need to download Zoom first to enable all the features?

      It is a good point and I guess when using a SMART phone the whole process is pretty tricky. I am sorry but I don't really know the answer.

    before i put my students in breakout room, I copy and paste a link to a worksheet, but what happens if I want each of the 3 students in the breakout room to have their own worksheet to work on, then ask questions from their worksheets to the people in the their room.

    Hello, I'm brand new to zoom this year and just dived into breakout rooms yesterday. I used it when I gave the whole class an assignment to work on and I pulled small groups into the breakout room to discuss their grades with them. My questions is can I share a screen in the breakout room without the entire class seeing what I'm showing? Thanks so much!

    But I think that the developers at Zoom have a long ways to go before they actually get a fully usable conferencing/teaching tool; the ability for a host or a co-host to broadcast a chat, screen share, use tools, etc, with one, more than one, or all breakout rooms, should be built in by now, don't you agree?

      Yes, I agree some of the settings in Zoom are rather odd but overall it is my favourite tool for doing live sessions.

    Thanks! Is there a way to view back the participants list in breakout room? I assigned people to breakout randomly, I know need to view back the list. Is that possible?

      I am not sure, I don't think so. If you set up a new break out room in the same session, it will move them back to the same rooms unless you choose the re-create the break out rooms. I don't think you can access that information though after the session.

    So, let me get this straight... I have to copy and paste a link in the normal chat in the normal zoom BEFORE going to the breakout room. They can still see the chat? Or do they download it first, etc. Or do I post the link or whatever in each breakout room AFTER they go to the breakout room?

      Good question. I always ask them to open the link before they move into the breakout rooms, that way whoever screen shares when in the breakout rooms will see the content as an option to share.

      Yes, you can now. YOu can share into the breakout rooms but remember as soon as you stop sharing and go into a breakout room, it will stop

      It is but all the students would have to open up the chat window when in the breakout room but i do believe they can do that but you would have to show them how. I am sure I have done that before.

    We have been using zoom breakout rooms in the tutoring program where I volunteer. Sometimes we use share screen and this has always worked well. However the last two weeks everybody has been able to share screen in the main room, but in the breakout rooms everybody gets a message saying that hosts have not allowed share screen. The hosts have checked all the settings and spoken to the more technically experienced tutors, but we have not been able to solve the problem. I tried googling to find an answer, but have not found anything relevant. Anyone got any ideas how we can change the settings to allow screen share in breakout rooms again?

      Go to advanced settings and make sure you have allowed screen sharing for all the participants. This is clearly a change as in the past this was automatic but I am guessing they may have changed this. Check the drop down list next to the share screen button and it is there.

    Excellent content. Thank you. I wonder if anyone can help me. I was in one of 4 breakout rooms. I have had no problem sharing my screen for several weeks. This week when I tried to share my screen I got a message saying 'screen share has been put on pause' I did not pause my screen. Any clues as to why I got this message. Thank you.

    I'm beyond frustrated with the inability to share a screen (such as a worksheet) to all breakout rooms so that students can complete it together. Many students have low tech competency and get confused by complex instructions, such as switching windows to look at a sheet/watch a video and then come back to Zoom. We need to have the ability to share the host's screen in every breakout room. It's completely shutting down so many teaching possibilities.

      It is a fair comment. In defence of Zoom, it is tricky because each breakout room is a different zoom room and therefore it is hard to share something in one room, ie the main room and it is shared in all the other rooms too. You have to share any worksheets BEFORE students go into breakout rooms and then in the breakout room, one student in each group needs to share for the whole group to see. Your point is fair and it would be a huge improvement. Write to Zoom and let them know.

      ​@@ttvRussell I'm also an amateur developer, and I agree that it's probably a tricky process to do screen-sharing from a main room to all breakout rooms due to the existing structure. But -- even just being able to include a static image or document everyone could reference without clicking to another window would go a long way in improving usability for students. I just wrote them now to let them know. Thanks for the reminder, and thanks for your work putting out videos like this. Such content is badly needed in these times, and I know you're helping many people across the world create more engaging classroom content, which will lead to students with better outcomes and a better impression of life during pandemic when they look back as adults.

      No, you are in a separate room from your students once they are in breakout rooms. You need to make sure they know how to screen share, so they can do it when in breakout rooms they can share the files, so you need to share the specific files before they go into the breakout rooms

      I am not sure as I do it all the time. I don't share big things but I often copy and paste links and it works fine. If you still have this problem, you might need to contact Zoom. When you do this, are you going into the breakout rooms first and then adding to the chat?

    So, the students can download the teachers files in their computers?? Then they can just give that file to whomever they want?? That doesn't seem right. So every quiz or test you give will wind up on the internet for future classes?? Or all your pwr-pts you have written over the years?? There should be a way for them to just view it but not do a copy for themselves

      Sorry, can't quite follow the problem. But you are right to some degree that when you share content with users, they could share the content. That would apply to almost anything on the internet.

It means we have to constantly rewrite everything we spent years writing. There has to be a way to protect our documentation while showing it to others

      I honestly don't know. I think students can go into breakout rooms on mobile but I don't know if you can share into breakout rooms as a teacher with a mobile.- Sorry I can't help

    i am a student and when i am in the breakout room i dun know how to share the screen of pdf file that the teacher is sharing in the main room . bcuz i have to discuss abt the topic with my partner and in order to know the topic i have to take the photo with my phone before i move to brekout room. pls help me ;(9

      Yes, they can and you can message them. They have to choose that as an option when they are in the breakout rooms. You can ask the host for help.

    Usually, your videos are good but this is a bit confusing for a person trying to learn. You are not really showing what to do, you are talking and running around. Luckily I have seen other videos from which one can get help.
