    Thanks Gary really nice mechanics on how to get the organizing done. Best technique in this video was holding the option key to move screen left to right to pair the screens side by side. Thanks!

    10:42 The magic tool to kill the stress and obsession is “SMART” Folders / Save Search. Yes, Desktop I use only for aliases; even the aliases are stored on a folder called ALIASES within another internal hard drive. From there I recently pull to the desktop.
    You are one of the few (or maybe the only one) who cares about mac and have consistent and permanent content about mac. There is real and notorious scarcity of Mac issues on the web. I‘m gonna check the patreon option.

    One option which helps me is to choose the Finder Preference which puts the Folders on top of each windows finder window:
    Finder->preferences->advanced->Keep Folders on top: in windows when sorting by name

    Good video, I am constantly file wrangling so a lot of these techniques are second nature to me. I think a good addendum to this video would be an introduction to navigating multiple windows using command (shift) ~ and navigating folders by collapsing and expanding them when in list view through keyboard shortcuts, closing multiple windows at a time, moving items to the trash using shortcuts and so on. There are so many really Smart Keyboard shortcuts for navigation that it could take up a whole video. Thanks again Gary!

    Great video Gary, as always. One thing that you said that you might want to put an asterisks on is "renaming folders". Keep in mind that if you rename a folder, any items in that folder that have been linked to anything outside the folder will no longer be linked. For instance if you have images in a folder that are linked to an Adobe Indesign file and you rename the folder that the images are in, the links to the indesign document do not automatically update and will have to be re-linked. As you create a hierarchy of nested folders always good to keep that in mind.

    Great motivational video, Gary, I really like the exortations to do things as an individual and that hard work and discipline are important in managing a Mac, but it helpfully suggests/implies that this is a bit of a rule of how to organise all sorts of things in life generally.

    Hello I just finished watching this video and the one Understanting Files and Folders. Both of these are amazing. I was able to follow everything and understand everything. You teaching is very calmi and easy to follow. You make a great instructor. My Mac is a real mess and hopefully now I can try to clean it up with your guidance. When viewing files on computer there seems to be a lot of photos or documents that I didn't put there. Its like everytime I visit a site or someones facebook some of the images are placed on my computer. Is there a way I can stop this from happening? I also now don't know how to safely get rid of files. How will I know if they are mine that go with something I need or was it juck that just got loaded somehow. Any help or information and guidance would be greatly appreciated. Thank you again for these last two tutorials. I will for sure be checking out your other videos. Happy New Year

    I do this and I group and color code folders files etc. tags work well as well as Smart Folders.

    I'm a very organised person, at least on my Mac 😀 and I'm more or less practicing for years what you are suggesting, however there is one thing that is very annoying: 3rd party software that uses the ~/Documents folder instead of ~/Library/Application Support to dump their stuff. Most of the folders in ~/Documents are actually not created by me. Probably sloppy programming carried over from Windows.

    very well done; it is clear the presenter 'knows his stuff'. I believe what he says; that he has over 30 yrs of experience working with Macs and other computers. Just a suggestion; you might create a few pause spots in the video where viewers could practice some of the solutions presented (e.g. create a second Finder instance so that the viewer can move files and create folders and subfolders).

    So here is the deal with my mess... :)
    I have and use three PC's, 2 iMacs, 1 Mac Book Pro, 2 iPads, and an iPhone. A very much used GMail email account, an iCloud account (of course)... And, I need to figure out "how" to get organized. The iMacs and iPads don't always sync up timely and depending on where I am at I may need something. PC or Apple. I think my data plan now for iCloud supports 50Gb. Should I consider using iCloud to store all of my swappable goodies? It would be backed up there too. Help me decide or is this an excellent idea for a future video?

    How the lengthy Recent Files could be cleaned with affecting the original files and folders?

      Recents is s list of your files sorted by date. You can't "clean" it as it is always your recent files, by definition.

    Gary great video. I have a question I use photos on my mac but I also have pictures in various places on finder do they have to be there or could I delete them. Thanks

      So you are saying you have the same photo in Photos and in a file? First, confirm that they are duplicates. It is possible to import photos into the Photos app library without bringing the actual photo into your library (setting in Preferences). So confirm that you aren't using that for that file. Then if you want to delete one and keep the other, that is up to you.

Can i link two spread sheets in Numbers, so that i can have one as my main spreadsheet for updating my data and the other spreadsheets have filters to extract the data based on my updates.       Yes. Each Numbers document can have multiple sheets, and each sheet can contain multiple tables. So make one document, put your main spreadsheet in one sheet, and your other sheets can have tables that give you various other information from your data.       Not necessarily. Do you have the "Optimize" feature turned on? If you turn if OFF, then all of your files will be cached locally and they will be backed up.

      macmostvideo Thanks for the reply. I will look into it again, it has been a while when I read that time machine skipped icloud drive. (Photos are stored in a “normal” folder and thus backed up).

      Char, I'm not an expert but when I hear that someone LOST all their files..or can't find them, I want to help. Try SPOTLIGHT to see if you can find them that way. I'll bet they're still there..just misplaced.

    Hi Gary, trying to free up disc space on my MacPro run on OS MacMojave. I see that 14.9 GB are taken by music creation. I already deleted garage band which I don't use but that didn't affect teh GB that Music Creation takes up. Any suggestions? Thanks

    Hi Gary, what do you put in your iCloud Drive folder I noticed it was underneath your desktop and documents folder under iCloud. Or what is the iCloud Drive portion? Thanks

      Not sure what you are asking. Are you asking what is iCloud Drive? Or something else?

      @@macmost In your left hand menu there is a heading “iCloud “ . Under that heading you have the two folders you were working with in this video, desktop and documents, but there is a third folder called iCloud Drive on the bottom.
      I’m asking what that is or what you put in there

      @@arizona5253 That's just the top level of iCloud Drive. If I click on it I would see all of the folders at the top level, including Desktop and Documents and anything else I created at that top level.

    Instead of moving a folder to the home folder to keep it from syncing with the cloud, then using an alias to get to it, you can leave the folder in place and add “.nosync” to the end of the folder name. Anything in that folder will be local only.
    *Note, there is a period before the word nosync.
    In my jobs folder I have a folder called Archive_.nosync which takes my old projects offline.

      I wouldn't do that because: 1. Not officially supported. 2. Difficult to remember that you did that and troubleshoot in the future. IMHO it is a better practice to store things outside of your iCloud Drive structure if you don't want them in iCloud Drive.

    In cleaning up my files I discovered a Public folder which appears to have all of my files duplicated inside. I worry that this is taking up too much I-Cloud space. How can I get rid of this? Thank you for all of the great content!

      A public folder where exactly? Normally there wouldn't be anything in your Home Folder>Public unless you put it there. But I would investigate carefully yo figure out what is going on and make sure those are really duplicates.

      @@macmostThe public folder is in Documents and when I delete a file from there, it is also deleted in Documents. It is possible that it was set up on the computer initially in 2014, but I don't need it and worry about using more I cloud space then really needed. Thank you.

      @@tonih8751 So it is in your Documents folder, not your Home folder? So it isn't part of the system. Must have been something you created (or an app you installed created). Very odd that it is mirroring your Documents folder. I'd try to get to the bottom of it and figure out what is causing that.

    When you somehow get 5 of the same folder like in SSD>users>xz>desktop; xz>desktop; users>xz>library>mobile documents; xz>iCloud Drive (Archive)>Desktop; and SSD>users>xz>library>mobiledocs
    Shouldn't I have the 'Care' folder in iCloud, SSD>desktop, and maybe mobile documents?
    When I type in the finder search window 'Care folder', I get over 10 results in various locations like pages, iCloud, and local, etc.
    What's the easiest way to clean that up? Do I need to start again? Keep 1 original folder and resync to iCloud.

      Not sure what you are seeing. In your example 4 of those are the SAME location. The "(Archive)" may be something you have left over from switching iCloud Drive off and then on again at some point in the past and choosing to archive everything there.

      @@macmost The file is being viewed in finder search. Yes, iCloud was switched off temporarily. So the archived iCloud can be deleted. I would have thought that the xz pages file should only be in iCloud>pages, pages, what is mobile documents?
      What happens if you search a file to clean up in finder and delete a file that is attached to an email? I don’t remember the container file thread, but it’s quite long.

      @@laserall Mobile Documents is your iCloud Drive cache. It is the SAME location, just hidden in your system. Don't delete the file there or you'd be deleting the one-and-only file. Not sure why you are seeing results from there as well as the proper path though.

    Since I’ve got my first Mac about 20 years ago, I’ve always tried to keep the Desktop uncluttered. No more than one folder and two or three files max. I recently switched to Mojave (not ready for Catalina yet) and started using stacks. At first, it seemed like a good solution to keep the Desktop clean. Then, without realizing it, my Desktop was cluttered with dozens of “hidden” files.
    So, to add to Gary’s advice, I would say to anyone who hasn’t already switched to Mojave or Catalina, be cautious with stacks. Like alcohol, use it with moderation.🙂
