    We can't get Freedom Filer in the UK (well we can but the shipping from the US is significant...) so I just followed the basic principles. Sorting out the boxes of paper has been a breeze and it made me realise that the major failing of every other system have used was that there was no where for the papers that you need to keep for a bit. The 2 yr rotation system is a game changer for me. The stuff that needs to be kept just isn't swamped in temporary paperwork and I really can now file in seconds. Thank you!

    Doing house work for 50 years, I rarely learn anything new from anybody,
    But you have really shown me the stuff I can buy from Dollar Tree and how to use them.
    I didn't know the baskets were stackable until you came along.
    Thank you so much. : ) Keep it up.

    A caution here. Even, Odd years. When you bring the odd year up, replacing the even year, you can't throw out the entire odd year files out. It is true that the January file is 2 years old, but the December file is only 13 months old. In other words, you have to do this month by month. In January, you can replace the January file, in February, the February file, etc.

    I made my own Freedom Filer system last summer and it has been AMAZING!! I just followed the information on the Freedom Filer website and my own google search. Then, I made my own tabs color coded like the FF! Easy Peasy! Now, all of my papers have somewhere to go and it is easy to access what I need. I don't wait to file at the end of the week because it takes less than 30 seconds to put a paper in the system. If I wait to file, I'd have a mountain and I don't want to go there again! :)

    I bought the Freedom Filer system last spring but before I could master it, we moved and are temporarily living with my parents so our files are in boxes and all papers are going into a new box to sort through when we finally move into a new house. I can't wait to get it going again! I think I used too many folders with the freedom filer and will condense it down next time. Thanks for the inspiration!

I was in dire need of help myself at the time, and I have been thrilled with the results. My boyfriend is new to the system - he's a paper hoarder - I told him I was taking over, basically, after I showed him how the system works and he's cool with it, so Yay! Love the video Kathryn, as usual.

    Hi Kathryn, I was inspired by you and I am finally getting around to organizing my files as well as my kids' artwork and memorabilia. I loved the green "monthly" files idea, self-purging files sounds like a dream! I created a red "health/vital records" and a red "school/work" records for each member of my family. I had a question on medical bills, where do you file them once they are paid? In the green monthly files, or in a red records file, perhaps separate from immunization records and physicals? Or do you even save bills once they are paid?

    How do you keep receipts that are printed on that heat paper? I tried to keep them, but they all eventually turn white. Is there something to store them in where they won't turn? Btw, I found out that this paper is actually toxic with chemicals. I would rather not store it in the freezer (which is what my mom does in a tub w/ a lid) because I don't have a lot of space. Our family does everything online, so the only papers we actually need to keep are receipts.

    • @lindaS71
      @lindaS71 10 ปีที่แล้ว +4

      Would it work if you scanned those types and printed them out with a regular printer, then save those?

    • @annricketts3330
      @annricketts3330 8 ปีที่แล้ว +4

      I make a copy of the receipt so I will have it. Some places let you get e-receipts. So I made files in my email for the different stores and put the e-receipts in those files. I actually resend the email to myself with the subject line stating what the main item purchased. So that makes it easier to find the needed receipt.

  • @safepethaven

    I like the general concept of the Freedom Filer product except legible receipts for tax or proof-of-purchase reasons do need to be kept for longer than 2 years in most cases. Also, for anyone with low vision challenges, the FF products have much too small text, even in their larger style. So I made my own version in print that I can actually see. Amazing how so many products completely ignore the growing population of those with various disabilities/challenges. How can so many be so invisible?

    Do you really throw out tax related papers after only two years? I'm pretty sure that is not recommended. And if you're running a business it's definitely illegal. Moving them from the filing cabinet to some sort of secondary storage (like a cardboard box in the garage) would make sense, but not shredding them! I don't know the accounting and bookkeeping laws there in the States, but here in Sweden I'm legally required to keep tax and business related papers for 7 years. And standard bookkeeping practice is to keep personal receipts for 3 years.

    • @leschurchill804
      @leschurchill804 5 ปีที่แล้ว

      In the US, 7 years is the norm. I was surprised when I watched this video as well, I know they say that our IRS has three years to contact you if there is a problem, but I was always under impression that keeping tax documents for7 years was the cardinal rule, everywhere.

    This may sound very silly, but why keep monthly bank statements? As long as you keep up with your checking account wouldn't that suffice and couldn't you always print what you needed in the event you needed it? Do you keep bills, like water and electricity. In no way am I trying to be arguable but if I should be keeping these items I would like to know why as I shred most everything unless their is a problem because I hate paper.

    How funny, I JUST ordered this filing system last night after seeing your first video on it from a few years ago. I'm glad to see you are still using it & loving it. Can you do a more lengthy video on your paper sorter & your system on handling everyday paper & mail? That is my biggest problem...I don't have a good system for what to do with daily paperwork that comes home. My daughter's school work, my son's preschool artwork, school newsletters, mail, coupons in the mail, etc. Before I know it, it's piled up. Also, what do you do with photo Christmas cards that have pictures of friend's children & family photos? I hate throwing pictures away so I keep them but I haven't found a good way to store them. Thanks Jami

      ***** I felt the same way about my Christmas cards with photos as you do! I also use sheet protectors and put the "Christmas Letters" in there that I receive! It has worked out well for me!!

    My husband's uncle, the nicest man in the world, keeps all papers from his dad's business from many years ago. His home is full of papers, only paths left thru the rooms, and papers stacked all around. I sure wish someone could help him, but he won't toss them out of fear. He would like to move, but cannot due to papers and other stuff from his parents. It is funny cause you can ask him for something, and he will go down in his basement and find one.

    Great video; however I think you should be clearer on what exactly you are shredding after 2 years, because, for people in the US, in some situations the IRS can audit you up to 6 years prior. You did say receipts at some point, but it was little confusing, and people who are new to paying taxes might not know to hang on to those files for 7 years.

    question...would taking a picture of the art work or scanning it to save on an SD card to put in a digital frame be too much or less sentimental? I thought about scanning at least the regular sized art work to save on a jump drive for the kids for less real estate to be taken up.

    I keep a binder with separated sections for all bills. They go in once paid, and purge at the end of the year. *Clarification - when I say all bills I only mean utility, phone, cable etc. Any bills relating to my debts are kept in a separate folder and not purged until the debt is paid, but then I scan all the documents to a storage hard drive that is kept in my firesafe box, then purge the documents except for a final sheet showing the full transaction/life cycle of the debt and it's final resolution. Full but basic. So yeah...that's my go to. lol
    Of course there is still the personal medical files etc to work through, but I'm getting there.

      +1Koolemom I kept a file for each of my kids with special papers, report cards, autographs, awards, etc. They forgot about this stuff. When they grew up I gave it to them, and they were delighted and tickled to go thru it! You can take a photo of large special projects they have done, and pop it in the file. How long are you supposed to keep things like bank statements, the top portion from bills that have been paid, etc. I was under the impression you needed to keep them for seven years. If not I am cleaning mine out today because I have SOOO many papers!

      Janel Uhlich We keep them for 2 years in the rotating system. It works great. The main reason for keeping those is if there is a payment discrepancy. Tax documents are a suggested 5-7 years (there is a section for this in long term filing I did not show in the video).

      I did a little research and seen that a lot of people were only keeping them for one year and tossing them after tax time each year. I think I may try that! I loved the video though! I look forward to your videos!

    Please help! Does anyone know where I can buy this in Canada? I've checked your blog and clicked the link (to Amazon), but the Freedom Filer is not available to ship to Canada! I have tried finding it online in Canada, but I've had no luck.

    Our vital records are in a fireproof lockbox in the front closet. I prefer filing by category not month so your system would not work for me. My files are awesome!

    I try to get rid of something everyday, not per se files, but sometimes it is. Old mail, junky stuff, helpful stuff that isn't helpful, etc...by trashing or recycling. That said, my reference stuff is a basket, with things thrown in.

    I'm interested in purchasing the Freedom Filer but when I look for it on Amazon I see two different ones. One says 1/5 size and the other says 1/3 size. Which do you have? Thanks! :)

      +Chelsea F It depends on how big your labels on on your hanging folders. Ours is the 1/5 size.

    When it comes to taxes, go with the better safe than sorry routine.
    Keep copies of everything! It doesn't have to be physical, it can be scanned copies you keep on a thumb drive.
    but keep them!
    keep copies of old checks you deposited or paid, keep them from up to 5 years ago.
    Trust me, you don't want to have to be scrambling to try to figure out what that check from 2013 was when the IRS comes knocking.

    I've always admired your system! How long do you keep your bank statements? I've been keeping a year's worth? I just purged/shredded my 2013 statements today. As always, thanks for sharing!

      southerncouponista The way this works with the monthly files, you keep them for 2 years, and then they are self cleansed. :)

      This is a legal/tax question and you should really only ask a professional about this.

      I no longer find it necessary to receive printed bank statements since I get monthly reminders from the bank of their availability online, plus I use a reconciliation budgeting software called YNAB (You Need A Budget) and I get online to see my bank accounts and reconcile them pretty much weekly or biweekly at least. So, if my tax consultant needed statements from me; they are readily available online (5 years worth in the case of my credit union); so that lifted a burden from me!

    Love you videos. I get some great ideas from you, and I'm a very organized person. You must keep all tax items and returns for 7 years! So as of right now you should have all tax items back to 2008.
