      On Outlook how can I extract all data from signatures contacts (name, function, phone, company, address...) and put it on a excel ?

    Leila, you are always teaching me something new. Thanks for the great tips. I use the Quick Steps to help process email quickly. Each Quick Step is assigned a shortcut with CTRL+SHIFT then numbers 1-9 after. 1-Archive, 2-Action (sends to a folder named Action), 3-Read Later, etc. I even have a couple of them set up to forward repetitive emails that need action to my team with a pre-written message that I adjust slightly based on the situation. I also use rules to automatically process some emails to other folders. For instance, I have a CC folder and all emails with my name in the CC automatically go to this folder. I process my inbox down to zero 3-4 times/day. I process the CC folder once per day.

    I colour code messages from my CEO and a separate colour from my line manager. These messages stand out from the crowd and dealt with first so really recommend it. I also showed staff how to add national holidays to their calendars - a real game changer as you only need to select once and no endless rearranging meetings booked on bank holidays. Love Leila’s presentation style - I have learnt so much in nice easy steps; thanks Leila - can’t wait to try these tips I will definitely try the sports calendar for the World Cup.

    Don't clean up your folder. Rather enable the 'conversation' feature. All mails on the same chain will be grouped and indented depending on how many branches the convo is making. Much easier and using it for years!

      Hello, besides you preferring the conversation feature, do you have a reason as why the clean up may be bad? Could you please let me know reasons specifically against cleanup? I'm working with projects and invoicing, so many of my emails have the subject like XYZ-0001 invoice approval, or invoice request. I'm not sure how outlook handles emails with same subject in different months, so I haven't yet dared to clean up. I'm also a bit concerned about the conversation feature of 'branches' and ' indentures' as it may be confusing. Thank you in advance if you reply.:)

      I find Conversation View is vital.
      Rule #1 should always be: Get your tools to work FOR you.

      Colour coding is fabulous, but for some reason, those that I’ve set up using Conditional Formatting in the Desktop app calendar show up only in colour on the Desktop app calendar, but not in the chosen colours on my iPhone. Have you experienced that, too? PS. Your examples are so practical and easy to follow. Your efforts are so appreciated! Thanks!!

    The tip about having an action required folder is genius. I'm already really heavy user of categories and flags to help stay organized but having emails in the main inbox color coded and flagged for action leaves me with a messier inbox than I would prefer.

    Thanks for the tips! Number 9 would be by far the best for me, BUT how does it handles attachments on prior mails? Does it delete them? I guess it does. Having an option to not delete the mails that include attachments would be ideal!

      I tested that. It will keep the message with the attachment.

    My biggest find? Drag emails on to the calendar tab to create a meeting from the email.
    If someone sends an email with lots of info and says we need a meeting take the email and drag it it down to the calendar icon. Outlook will do several things automatically. It will create a new calendar appointment with the email copied into the meeting invite. It will also keep the subject line for the meeting. Then you can select a time and add some people and voila!

    Being able to show available time slots in my calendar has been a game changer for sure. Third part apps tend to have issues when using multiple calendars, this works much better.

    If I ever have any specific queries about Microsoft Office you are my go to You Tube Channel. I wondered though if you would consider doing series of videos tailored to a specific role. For example I am a Personal Assistant and unsure of how best to use outlook to maximise it's capabilities in this way.

    I like adding new, free text column, where I can make notes/short description - I am finding it useful if I have responded to a user and I know it will take a long time for the user to come back with required additional information - it is a good reminder and also very useful in shared inboxes to let other members of the team know the current status of a specific request.

    These are really good. What I'm looking for and haven't figured out yet, is to conditionally format where I'm the only attendee. I can't only use the "boss" conditional format because I am one of a dozen attendees, I'd love to see highlighted the 1on1 meetings.

    I love Leila's recordings, but really wish she would do a series on Office, Outlook and To Do's specific to the Mac versions of those products. Where Microsoft deliberately holds back features.

    Outlook 97 for Office 97 is the best. It was just fantastic, useful for the expensive gsm 14.4 modem connection. Was able to dwload faxes from the fax inbox, just as downloading E-mails. If someone is stuck with older clients, the 1-2 kb crt files can be still imported to other computers or phones.
