    There is an journal hidden in qb desktop in chart of account i can find the effect of the entry but when i open the account i find it zero in trial balance and balance sheet also zero but still the amount available in chart of account , i have made entry debited accumulated depreciation and credited payable and after saving it error message shown so i changed the accumulated depreciation to asset again and save then the entry made debited asset account and credited accum. Depr. Acc in background and toke journal serial number without any effect in trial balance or balance sheet how i can find and reverse or delete this entry

    Good video, although I will say that a product like essentials works just fine for many folks who simply use quickbooks to produce PNL and Balance Sheets at the end of the tax year. I don't use quickbooks to pay vendors or put bills owed in the future. Maybe it's best to not say you don't recommend it, but instead state it's limitations and suggest who would be the best fit for it. Thanks!

    Hi Hector - we imported a Desktop file into QBO and our standard reports section is empty. We do have reports under the management tab, but nothing under Standard reports. We've tried importing twice. The data is there - we can see it it in the register. QB support hasn't been of any help. Have you ever seen this before?

    Hi, Hector. This is very informative! I just started a new Controller position at a small manufacturing company, and we know QB is not ideal for inventory, but switching ERP systems is not an option at the moment. Can you recommend an add-on like Katana or Acctivate?

    Hello Hector! Great informative videos! I will watch them all! Some how I missed it: when you link your QB on line with the bank accounts, what it is transferred? The whole banking history or you can set a starting date? And also if you make a brand new company, what do you enter as a starting balance on accounts you already have on your desktop QB? Can you recomend a video addressing this? Thanks!

      There is a Start date.
      The begining balance is the balance the day before the start date

    Hello Hector, I appreciate your instruction videos. I am about to convert several company files from QB to QBO. In my QB database I have numerous receipts attached to expense payments. Will the attached receipts come over with the conversion or will these need to be reattached in QBO post conversion? Thank you in advance for your reply.

      receipts do not transfer.... it will be a manual process to attach those

    Hi Hector, Thanks for the great videos. Do you have video that would explain how to fix a credit card being brought in the wrong way when a conversion from desktop to online took place? I have a possible client that did a conversion, all her credit card charges are in Online as payments to the credit card and her payments are as charges. I was hoping you had a video that dealt with this issue.

    Hi Hector. Great video. I am starting book keeping for medical practice with two independent physicians. Existing book keeper is retiring and is using quickbook desktop. Doctors want to move to online version. They have no inventory and no vendorrs to pay. What version quickbook you recommend. When they say 3 users what actually it means.

    I love your videos and appreciate all the help. I am relatively new to having my own accounting business (It's only me). I recently acquired a small Not-for-Profit client. The client is switching from an accounting firm that used QuickBooks desktop, and I use only use QBO. What advice would you have for me? Can I convert from a desktop version with a file of downloaded data, or should I ask the old accounting firm to convert it directly to QBO? I'm afraid they might not want to do that.

      Options:
      1) you learn QB Desktop so you can support them
      2) convert them permanently to QB online
      3) do not take the client on

      @@HectorGarciaCPA I have downloaded a trial version of QB Enterprise and uploaded the backup file. I compared the data to a trial balance report from the old accountant and all looks well. I have gone through the process of converting the data to QBO and it just never loads. I don't get any error messages, it just clocks for hours. I have a QBO account and I created a client for the data to convert to. The client has no inventory. I've tried it a couple of times. Any ideas? I tried to get support from Intuit and I was told they do not provide support for trial versions.

    At about 15:09, when you hit Ctl+B+Q, I get a different pop-up, and there is never an option to "select destination". I went through the very different steps and questions I was getting, and it seemed to upload my desktop data to a new or different account somewhere...
    I guess I will try the QB help line because I have no idea where the data was uploaded to.
    In any case, my options were very different starting with the Ctl-B-Q section.

    Thanks for another great video. I want to transition an account from Desktop to QBO Plus but they have a few months of entries not yet recorded. We want to save some time and $$. Can we go ahead with conversion and then add the (old) entries to QBO. Basically, can you backdate entries in QBO without encountering any problems?

    Hi Hector. I'm converting from QB MAC desktop. In the Export data from Desktop section of your video (at 14:40), you say to hit Control 1 to bring up Program Information, then Control +B+Q to start the export process. These keystrokes don't work in Desktop for MAC. What are the keystroke combinations for Desktop MAC? Thanks!

The first thing we did was to completely set up employee information and ran payroll as we needed to pay the employees. Now we are about to migrate the whole desktop file to the existing online account. Will that affect the the employee information?

    It's a great video and valuable info to plan a migration. Unfortunately, the Australian Desktop version doesn't offer to go to cloud via your shortcut method. We got to use external migration tool providers. 😢

    Hi Hector, I converted desktop in Oct. 2021 but was behind on my reconciliations (QuickBooks converted on their own when I purchased online). I have been working in QBO all of 2022. I need to convert my desktop version that has been up to date so my QBO has all my records on it. I don't want to duplicate things by converting again. Can I convert again or is this something I will have to create a new QBO to do? I'm so confused. Is this something you do for people? I would gladly pay you to look at it. Thanks!

      It will be like a new account.. you cant convert or transfer data over existing information

Am I able to do my billing on desktop then covert everything over to online again? Or will it duplicate?       No… once you convert, should be a permanent thing. Converting a second time is like “starting over”

      Yes, but every entity will probably need its own subscription if you want separation.
      If you want to join them together a single file, then you can use Plus or Advance to track them by “location”

      @@damacx plus and advanced allow you to have multiple “locations” within an entity so you can track reports separately or together… but is still ONE entity

    Is there a way to migrate only from Jan 1 2022 for example? I have a very large, old QB Desktop file. I could manually enter the beginning balances on the balance sheet accounts...
    Oh! Never mind... I just got to the part of the video where you say you have to import all dates. Selecting specific dates is not possible.

    We bill clients with statement charges on QB desktop, set them up on payments and don't send monthly invoices. Many of our clients pay their fees ahead of time and invoicing would be a mess. I can't see that QB Online allows statement charges. Am I correct?

    Hector - what if a business has inventory in QBD, but it is so messed up they want to leave it all behind and start from scratch in QBO. Assume you choose not to transfer inventory during the setup process? Safe to assume that none of the items and none of the $$ then transfer into QBO at all? Thanks!

    Hector, for some reason Desktop did not give me the option to choose the company I already had set up with intuit that included the card swipers and subscription. Is this the issue that you referred to in the video?

    In your 2020 video about QBD to QBO conversion, you mentioned a max file size of 350,000 targets for the direct conversion tool. Does that still apply?

    My file is too large. Even with condense its over the new limit for QBO Advanced. Do you or another 3rd party offer a service to assist? My audit trail was removed but I still show an audit trail when I pull the report.

    Hello Hector - I'm new at this office manager job using QuickBooks after teaching high school accounting for 18 years and I have been authorized to migrate to online from 2023 desktop. This company file has been in use since 2007 and there are so many weird things that I can't figure out. Can I just start from scratch in QB online and basically restart the company? Or too risky?

    Great video - so if I am migrating and I use payroll currently in QBD... should I wait until the end of this quarter to officially begin since the paychecks won't transfer over? I'm thinking quarterly returns and such will be easier if I do this at the start of a new quarter. Or does it not matter?

      You can get help from Intuit to get payroll setup regardless when you do it. But i like clean quarters, so thats a good idea

    My desktop quickbooks pro 2012, has not updated for years (but continues to work). I want to switch to QBO. Should I try to convert to QBO without updating my desktop version, will it work? Or do I need my accountant to update the desktop backup file on their computer and then do the conversion?

    I just realized that I didn't migrate some journal files that I had in Desktop, and I've already worked a lot online, is there any way to migrate them, if I lose what I've done Online?

      If you import again, you lose it all.. i would probably just enter the journals manually

    I have a problem. I migrated the desktop to online, however ,the previous bookkeeper didn't add any thing (banking or any accounting) from April 2023 to April 2024. Can you recommend a work around or fix. Can I manually add expenses, and bank reconciliations.

    I work for a local Rotary Club. We use QB for 2 "companies". Our Club and our Foundation. We are in the process of moving our 2019 Desktop version of QB to the online version. I don't like the online version. Seems like the desktop version is better. Probably because I am just used to it. Thinking of switching back to the subscription version of desktop 2022 QB. We don't use many of the features available in the more expensive online versions of QB. Our club payroll consists of ONE person, me. We have NO inventory. We do create a budget every year. We use AR for our member dues ONLY. Our Foundation books are even simpler. NO payroll, NO inventory, NO AR, We do create and use the budget feature. We use cash method for everything. We do not use accrual accounting. What would be the disadvantages to moving back to the subscription version of QB for our club and our foundation? Thanks.

    Good morning Hector, I am converting QB Enterprise to QB Online Advanced. In QBE “Other Names” is offered and I have over 1800 items in this area. In QBA it is not available and I was told it can be created in QBA. How can I do this? Thank you.

      You can upload SOME transactions via CSV with QBO Advanced

    help! I watched your video, and got ready to do the migration a couple days after creating my account. Now the BRING IN YOUR DATA AND NO THANKS buttons are missing. Hitting Control 1 goes no place, not does hitting Control+b+q Is there another way to get going? I have to do it from a thumb drive where the previous owner saved the data as a quickbooks online data file.

    Hello, I have a question on QBO. We do not use Checks for AR nor for AP payments. We receive Invoice payments and make Bill payments only via bank transfer or electronic fund transfer. I have created Payment Method EFT but it only works for AR Invoice payments. When I record Bill Payments they all show Bill Payment ( Cheque ) for some reason. Oppennig Bill Payment does not offer any option to change Bill Payment method. How to apply the EFT payment method for AP bill payments?

      They all look like checks, you just have to live with that.
      You can enter the text “EFT” as a check number, that’s a workaround

    Hi Hector....this is our issues. I am as well an Accountant and very QB savy.... I live in the British Virgin Islands...are issues are internet issues. For example Hurricane Irma...without internet for over 1 month. Since QB Accountant is now going Subscription as of January 1, 2023. Help from Intuit is not kind to us. Are you aware of how long we can continue using Desktop. I have clients that are still on 2012 with now issues. Or are you aware of a software that is still will allow to not use the internet or Cloud.
    I wish someone would do a pro and cons of Online Software. Some my clients that were on QB online could not run their business for over a month and now went back to Desktop.
    Your advise would be very helpful as I do many clients accounts...we were taught a lot from Irma....internet access was one of them

    I paid $70 per year for Quickbooks Desktop for the past 10 years, and now I have to pay over $500 per year to use the online version (or $550 per year to stick with Desktop). Thanks for making the conversion easier!

      Yeap.. its a big jump for most people. The challenge that Intuit has is that they are trying to correct their pricing mistake they have had for years. And still now $550 is underpriced. It should go to $1000 to $1200 soon; which is the the real price point

      @@HectorGarciaCPA That makes sense. $70 per year seemed pretty cheap for all that was included in the desktop version (I would buy a new version every 3 years for about $200). The software is very robust and even if QB is a big company, they should reap the rewards of their hard work!

      We have 5 different company files. Bought 1 version to use them all. Now they want to charge a full subscription for each company file. Instead of purchasing a version for $600 and using it for several years. Now it will cost us over $2000 per year and that does not include payroll.

      @@jimsavely1104 Ugh, sorry to hear. I'm "lucky" in that I only have 1 company file for my 1 business (well, I use Excel for my other business). It's a huge shame that the price increase was SO significant, especially after we all got used to using their software. Had I known they would implement such a massive increase, I would have looked into using other software, but I'm so used to Quickbooks now and don't want to transfer files over and learn a new program at the moment.

    "Simple" sounds like exactly what I need except for one glaring omission... no classes. I use a dozen classes in my Desktop 2019 but I don't need any of the fancy stuff like banking, invoices, cash flow accounting, employees, or anything else. I just track income/expenses over multiple properties, each property is a class. I've been using QB since 1995 but might have to throw in the towel now.

      Are you doing CTRL 1 first? You need to be on the CTRL 1 screen

      Intuit should support you in the conversion process at no cost. But sometimes the data just doesn’t come automatically unfortunately, work with their support

      There are some circumstances in which it wont let you “go Back” through the conversion process - but let me look at your case more closely.

    I did the conversion. The conversion wasn't difficult but the online version is just dreadful. I hate it beyond words. Don't do it unless someone puts a gun to your head, and even then death might be the better choice.
