Hello Layla Artem from SmartSuite here. First of all, thanks for this great review! We were working really hard over these years to hit the market with a solid, feature packed, yet easy to use tool. Remark about the bulk actions. In fact, SmartSuite lets you update almost any field type in bulk (numbers, dates, statuses, assignees etc). Just select several records in Grid View and change a cell value in one of those selected records. We will bulk update all others too. In terms of Clickup, I assume, that means that you can bulk update any custom field. Before I drop the mic, here's another feature that you might find handy. Our Grid supports copy/paste. So when it comes to the ease of entering data, you can paste it either from external source (like Excel ot text file), or from one cell to another. Thanks for the video!
Amazing work! Good point on the bulk actions. Question: Updating multiple records via automation. How easy is that. Have tried this in Airtable, it is possible with 2 automations and some chemistry is needed, still could get it :) To figure out how this is possible in SmartSuite.
@@VaskenBakalian Thanks! As of now, an automation can update a single record only. And that would be the triggering record. But! :) The ability to update multiple records at once is on its way. You would search for records first and then - fire an update against each record that was found. I don’t have the exact date, but will be rolled out quite soon.
Layla, great stuff here. For me, the timing is perfect. I am going to switch database and task management to SmartSuite, SmartSheet or Airtable. You, my go to ClickUp expert, are now comparing ClickUp to SmartSuite and Gareth from GAP Consulting, my go to Airtable expert, has just started a series comparing Airtable to SmartSuite. Ha! Uncanny, isn't it? SmartSuite falls right in the middle of the Work Management and Database space right now, so I think there's going to be a LOT of interesting shake ups in this market over the next 12-18 months. 😏 I'll add SmartSheet vs. SmartSuite as an idea for a future video, too! (Side note -- boy I hate how similar those names are! What a mouthful!)
I have to agree Tom. The fact that two leaders in the ClickUp and airtable space are both giving serious consideration and attention to SmartSuite is swaying my resolve in working specifically with these platforms. ClickUp is not a database, Airtable is not a project management tool (without a lot of work to make it so)... but together? This could end up being a powerhouse as long as they keep focus on how to seamlessly integrate them together. For instance, I'd like to see robust resourcing and perhaps a time-management tool integrated (and I haven't played with Smartsuite enough to really know what it contains), but it is a big ask with my clients.
Thanks Layla! You provide the best videos! I'm always interested in minimization features like toggle/collapsible lists, paragraphs, sections, etc. that allow the user to store a ton of well-organized content without so much scrolling or busyness, only seeing just what's needed. They're especially handy for docs, wiki's, etc. I used ClickUp and reported so many bugs (one time I sent 17 in one submission) that they actually had me work with one of their developers. I left due to stability concerns. Their toggle lists were loaded with problems and were only marginally better after fixes based on my feedback as they couldn't replicate many of the issues. (If you're users are having consistent issues with your software, at some point you just have to figure it out.) I appreciate your bringing awareness to SmartSuite. I've already reached out to them and so far they've been fantastic. You don't know how much your videos have helped me. Thank you, thank you, thank you!!!

Layla, I'm watching and respecting what you're doing here. ClickUp is overwhelming from first impressions for most of our clients. (and you never want to burn the brain cells of your tribe)
We use both Airtable (for all our client info) and Clickup. Smartsuite is a very intriguing option for us to potentially consolidate down to 1 tool. My main concern would be losing the recurring task functionality in CU. It's early, but I would probably give Smartsuite the edge when it comes to the 'company' category. I say that because I think they have a much more thoughtful, mature approach to product development, whereas Clickup has always been about pumping out as many features as possible not caring what they break along the way.
I’m in the same boat: Airtable for data, Clickup for task management. Being able to link across bases…I mean Solutions is a big big deal for me. And on first blush, it looks like there are things that I can do that are baked into SmartSuite that won’t require making an automation. That combined with some of the really thoughtful, granular control of information in records (dot notation, default state of a column, etc) have me excited. I’m thankful for the rainy forecast this weekend because it gives me an excuse to spend time playing with SmartSuite and seeing how it works in practice.
Hi Andy, There are a few ways to create recurring tasks in SmartSuite. Easiest being to use the 'at a scheduled time' automation to create a record that is a task. Feel free to reach out to our support team to learn more.

Great video Layla. As an existing ClickUp customer, was really interested to see how SmartSuite compares. Having had a brief play with the app, SmartSuite looks good on the surface, but doesn't quite cut it for us. It would work out far more expensive than ClickUp, as the concept of free 'guest' users with full/edit/comment access, doesn't seem to exist and it looks like there are some key features missing which we would need (apologies if any of the below is factually incorrect): - Cannot give clients access as a 'guest' to collaborate i.e. add comments to records etc, without paying at least $10 for each user account - Not enough levels available in the hierarchy to cope with a complex project that requires multiple 'lists' of records - Only 10Gb of file storage on the $10 per user per month plan, then only 50Gb on the more expensive plan above. - Only seem to be able to create doc's (SmartDoc) within a task - No ability to create sub-pages within a SmartDoc. - No ability to create multiple levels of sub-items - No ability to control who has access to a shared item directly within the app. - No ability to add pinned comments to record attachments for proofing/client review - No Gant charts with dependencies, no chat, mind maps or whiteboards
Simon, Thank you for providing your detailed thoughts on the features you feel SmartSuite is missing - that are needed in your business. This information is invaluable to us, and I have been communicating with my team over the last 30 minutes on many of these. I could of quick responses: 1. Next week, we are releasing our Guest role feature that will allow you to determine if users with this role can just View or can View and Comment on records. Guest users are free. 2. I understand your comments on Storage and don't want this to ever be a reason for a business not wanting to use SmartSuite. On Monday of next week, we will be upping our limits for the Team plan ($10) to 50GB and our Professional plan to 100GB. We will also allow users that go over these limits to purchase additional 50GB blocks for $20. Does this seem fair to you? 3. I completely under your desire to create sub-pages within a SmartDoc, and I apologize that we have not yet made this available. This is not a complex feature or a feature that will require a lot of development hours, and I will do my best to get this into our release schedule in the short term. 4. We do allow you to control who has access to individual records by using our Assigned To field. Happy to share more details about how to do this if needed. Just ping me. 5. I also agree with your feedback on pinned comments, and we will start thinking about this. 6. Gannt Charts, Mind Maps and Whiteboards are all on our roadmap. I wish these were available for you now. Sorry.
Great points Simon. Dependencies and mind maps are key for me along with multiple levels of sub items. I also thing that features can be added at any time to a software solution. So smartsuite can overtake CU in the future and visa versa. So for me I look for other things. 1. How fast changes/enhancements come out. 2. Stability of the organization (e.g financial backing and longevity or organization). 3. Customer service (CU called me about 2 months after signing up and had a one on one call about how is it working for me). But for now I am staying with CU be it is mature and feature rich and does everything I need.
A massive thing that you didn't compare was integrations and automation. I have Clickup paired with Integromat to interface with loads of other business platforms and services. Services that Clickup can pair with directly is also impressive. I have loads of automation running in the background saving me so much time. From what I have seen, Clickup wins this battle hands-down. I also have Clickup paired with Google Workplace meaning I can see my calendars within the app and email directly from tasks.
Great point! I think one reason I didn't hit on them so heavily is there's not a night-or-day difference. I think ClickUp's API is stronger at this point. In terms of no code, ClickUp is the only one support by Integrately and Automate.io but both work with Zapier and, a few weeks from now, both will also have Integromat (Make.com, now) connections. Despite that, SmartSuite's automations and built-in integrations are lightyears ahead. 🤔 It comes out to a bit of a wash!
Finally had tie (at 6AM on a Saturday morning) to watch this and actually absorb your analysis. Thank you as always, for breaking it down. Your ability to categorize the features and comparisons that matter most to your audience is enviable. In the end, how a team uses these tools and their adaptability as well as their long-term staying power is something I need to consider in my work. I must say, as a ClickUp and Airtable specialist, I do want to apply my use-cases to Smartsuite and see how it performs now!

@@LaylaPomper My company uses software outside of these types of tools. I typically export to Excel, but SmartSuite, will allow other types of exporting. I really like that option.

The ease of use is the trigger which will most likely make me do the switch from ClickUp. I am using ClickUp for 2 years now and still from time to time I am really confused how to do some things - I am not talking about complicated stuff 🙂. Okay, so just watched it. Thanks so much, Layla; great job! A few things. Check out expanding the open task feature. Mind blown. One of the issues I have with Monday and ClickUp is the use of space on open windows. SmartSuite wins there. Another issue for me is some key bugs I'm having with ClickUp. For onboarding new users, they can't see content in the mobile app. At all. Over 2.5 months! It's still not fixed? One of the reasons I finally picked ClickUp was supported. Chat support. They fired all their staff; no support now but email? I can't get anything resolved by email. I will say CU features are great with board views vs. SS. I love the layout of SS. You mention it briefly, but I can't stress how important Accessibility is, one of the reasons why I like Monday's layout. Text, size, space, color. It matters, people. Everyone isn't 22 working, and spacing is key to great UI Design. My goal is to see how they compare to a small helpline setup. Access to guests, support, bugs, etc. Those are the things I will be looking at. I love the feature you stated about naming key fields. for example. Task/Item, or if I want Case, I can have it. Looking forward to more of your videos on this topic.

Thanks for this! I was searching for an alternative to ClickUp since the team I work on won't use it. Basically I was told, "yeah, we're not going to use it but you can," which of course defeated the purpose of using it in my opinion. I've tried going back to spreadsheets to manage projects since I don't need all of the features in CU and I find the UI a little cluttered. But of course spreadsheets just don't cut it. I really like Airtable but some of the limitations were deal breakers for me. SmartSuite seems to address all of issues that made CU and Airtable not a great fit for me. Looking forward to learning more about SS.
Oof! Not having everyone on the same platform does completely defeat the purpose. You're so right. It sounds like SmartSuite might be in a sweet spot for you, though, if the team can see how it might be a win-win...🤔 Crossing my fingers for you that you can get your team on board at some point!
I use clickup for my personal and professional use. We use Asana for our team. Some of our team needs a more basic task interface that Asana allows but the oversight and project management is basically non existent. I love love love clickup but my office staff doesn't need something this complicated. I have looked at many other tools but I always go back to Asana and clickup because they all want to pay per user and it becomes too expensive for me as a small business owner.
Hi Layla. Thanks much for your video. The bummer for me with SmartSuite is that they do not provide unlimited storage (not even on the paid plan options) while Clickup does. Question: Have you ever tried Fibery or Infinity? I have been using Clickup for about 4 years now but since I have not been totally happy with it, I have spent so much time all these 4 years to find a better option but until now it only feels as if I have wasted so much time... 😔

Thanks for all the videos. Regarding the delay from your publishing, does your advice change about selecting Clickup and not smart suite? I am running a solo business (consulting, coaching, training) and I want to use the app to track my customer's activity. I need something simple as I do not want to make my customers disturbed by the app. I have used with one coach Jira and it was really a mess for me. I am working on productivity, project management, strategy management and risk management. Thanks for your answer.

It is a nice video to start, but it will be appreciated to see a comparison in the mobile apps, and integration with outside tools, like Office365, Google workspace, and others. It is interesting to see that Smartsuit advertises on its website that the software can manage the entire organization, and I wonder how you can link so much data. For example, you close a deal in the CRM and want to transfer it to order processing, invoicing, etc. I'm still suspicious about Smartsuit. In your hands, everything looks easy, but for me, it can be different 🙂
Hey Isaac! Great idea! I'm going to add a content idea on our list for both (1) mobile app comparisons, and (2) integrations with outside tools. Right now, they're somewhat tied...but I think that'll change over the next few months because they products' strategies around integrations couldn't seem to be more different. But yes! That example of the CRM talking to Order Processing...it's actually remarkably doable. 🤯
The energy they're putting into onboarding is crazy! By the way, Owen, SmartSuite has recently told us that they're willing to provide a 10% discount for one year on any paid plan to anyone who contacts support and says, "ProcessDriven sent me!" Thank you, Layla! A newer user of task management software. You walked me through the early stages of understanding clickup through your channel. At the time I was trying to build an EOS (entrepreneurial operating system) task management companion tool. It seems that SmartSuite has developed this. Great news! I'm a solopreneur in the restaurant consulting space and I want to use this tool for task management with an EOS overlay, combined with a basic CRM. Using information gathered from your video, if price isn't the issue. Smartsuite would be the choice, correct?

Hey Andrew! Funny you should ask! I'm actually not using any app. I just adjust the Cursor Preferences built into my PC to have a giant cursor with a custom color. 😂 It's remarkably low tech but it works!
I have a very small firm and a heavy CU user with very few advanced features (very few automations, for example). Our primary use is communication. Because of our niche, we have a LOT of documents emailed to us and the ease of dropping them into a client folder directly through the email extension has been a huge plus of us - until it stops working properly. And that has been maddeningly frequent over the past few years. And as much as I loathe changing things that (mostly) work, it's gotten to the point that each time I use the extension I keep saying "Please work. Please work". Do you happen to know if SmartSuite has the ability to create tasks directly from emails and move the email attachments? Thanks Layla!

They're releasing features crazy fast right now, but currently, I see the email-to-record information on their feedback board. Hi! I’ve been loving your videos the last few days as we’ve been looking into ClickUp. We’re a small team, like two plus a part time, but work in both product and service based industries. The majority of our business is from B2B sales, the next is freelance graphic design, and the last is D2C. Something that’s really important for us is to see some high level reporting, like what percentage of our revenue is from B2B, freelance, and D2C for every month of the year and then overall for the year. And then drilling down a little more, what type of B2B account is bringing in the most sales, etc. In your experience, which platform would have the better reporting capabilities? We’re transitioning out of spreadsheets and it’s been crazy to find how difficult it is to find a software that can do what I’ve set up in our spreadsheets!
Hey Fell! While you can set up reports in both ClickUp and SmartSuite, SmartSuite definitely has a data bias so I would suggest trying them out. Hello Layla! Thanks for this informative video. Keep up the good work. Although something is still really unclear to me. I do really need your help. Short: Should I use smartsuite instead of clickup + Airtable and especially why should i do so? What are the pro‘s and cons? Long: I was setting up notion but realized it‘s not really a project management but more a knowledge storage app. So i am at ground zero again. I really want to track everything. 2 most important for me is Data and Project management, followed my knowledge management like notes, links, SOP‘s. So i was thinking about a combination of clickup and airtable. Today i stumbled on Smartsuite and was wondering if this maybe is the best way to go because it seems its like both tools in 1, which would be easier to handle, easier to teach employees and the possibility of errors due the connection of 2 apps would be gone.
Hi @qrona4388, this is a great question! It's based on your personal/business preferences. Taking a looking at the features that each of the platforms offer and finding which features you need most can be a great step to determine which platform you'd like to pick.
Great comparison, @Layla, thank you! I've been playing with ClickUp and almost made a decision to go with it (team of 5) but Im seriously considering SmartSuite now. One item im not sure on is the attachment limits, I am concerned by the time I start uploading documents and videos etc, 50GB will run out quick. I should also mention I use JotForm for my client forms. Also does the Team level have advanced automations? I was building Asana (which I LOVE over ClickUp) and then was devasted to find I needed to be on the top plan for advanced automations which is beyond my budget. My biggest struggle currently is which task management software do I go with! I would be keen to hear your thoughts :)
Great question! The Team level includes 5,000 Monthly Automation. I'll link a page to compare SmartSuite's plans' automation limits. Also, do you have a Google Drive, OneDrive, or another tool you use to store files? If so, it may be worth exploring using fields in SmartSuite to link to files or attachments instead of uploading them directly into SmartSuite. Lastly, SmartSuite and ClickUp both have Forms that could replace JotForm. SmartSuite recently announced conditions to their forms. ClickUp just released conditional logic for Business Plus plans and up.
Late to the comment game here with a q I'm not seeing reflected in the comments yet. Why I initially moved the team over from Asana to Clickup is that is had more affordable automation features AND because it had a MUCH better "home base" for users (not just managers) to help them organize their work day/week. In particular, I like the calendar-task drag-and-drop feature. Does SmartSuite have any features like this, or is there a way to build it? (I've been poking around in Smartsuite and haven't found it.)
OK wow I found the "my work space" after a lot of trial and error. Very reminiscent of Asana :/ I'm also finding it difficult to sync calendars so we have our meetings reflected in the software. Trying to shift to meeting notes being IN our PM tool without manual record creation for each meeting (since docs are nested fields in records).
Great question! SmartSuite has a Calendar view where you can drag and drop records to update the Due Date. This SmartSuite help doc might help you create a events in your Calendar: help.smartsuite.com/en/articles/6846587-integrated-automation-actions#h_c27dd7db39 Using a SmartSuite trigger, you can create an event in your (Google) calendar. I wonder if duplicating a record (with a Doc field) specifically for meetings would prevent some of the manual work of creating records for each meeting.
Great video! I think I recall you saying at one point that ClickUp was eventually going to introduce a way to call "tasks" other things so its platform could be a bit more flexible. If so, is there any update on that? We're planning to move our operations team to ClickUp and are also starting to do more in Airtable, meaning that SmartSuite is kind of an interesting idea. Having said that, we already have some ClickUp power-users internally so would love to stick with it!
Hey Jordan! Ahhh yes. I requested that loudly and publicly back in 2021 as a "wish list" item and there were some rumbling that it might happen when ClickUp 3.0 was released...but there's been no official updates or mention of it since. 🤷♀️ However, you could ask ClickUp directly for more guidance! I'm not in favor of changing platforms "just because" either. I think if you know ClickUp really well, there's a strong argument for leaning in. However, for folks looking for a ClickUp + Airtable hybrid...SmartSuite is pretty interesting. 😅
I’m working with a specialized industry specific management software that doesn’t have api connectors so I rely heavily on importing excel sheets that I export from the management system. So I have to be able to update records by unique field along with adding the new records. I can do it in Airtable and seems I would be able to do it in Smartsuite but I can find a way to do that in ClickUp.
Hi, there! Great question! ClickUp does have an import/export function that allows you to bring over your unique fields. You can choose a field type during the import and make any edits. I'll add that the fields might be limited compared to SmartSuite fields. I recommend looking through ClickUp fields to see if they meet your needs before importing.
Great video layla, what i couldnt understand about ss and airtable, is the access level, meaning the lack of data privacy, every user on a base can see every record within it, which in airtable case you have to make a UI on a seperate tool to control the access level, clickup provide this feature out of the box, but not sure if ss is the same...for me cu is ms project while ss is excel both on steroids.
Hey Yassir! Hi, there! Great point! SmartSuite has a few roles for users in the Workspace. SmartSuite does have a Guest role that allows the user only to see records assigned to them. However, this user is a free type of user that can only view and comment on records assigned to them. I’ve been watching a lot of your videos about clickup, and was thinking about joining your beginners program to dip my toe in the water and see how I feel about software like this. I am not a process geek by any stretch of the imagination, it’s all pretty daunting for me. It appears that a lot of the comments on this video are from people who are experienced users. What you said about SmartSuite being a little more user-friendly for a beginner was appealing to me, but the fact that it’s new, and it doesn’t appear that you have a support community like the one you have created for Clickup gives me pause. Any thoughts/ suggestions?

Hey Gourav! I think one-person businesses might find a higher ROI from ClickUp. However, if UX/interface is most important I'd still consider SmartSuite. Both have generous free plans for single users. :)
@@LaylaPomper I was thinking about it. Don't you think clickup is forcing us to record our data only as task but in smartsuite we can record any kind of data which is not necessarily task. So can we use that kind of workflow in clickup as well? Because I also wanna record things which is not necessarily tasks but useful data which will be helpful when linked to task.
Built-in automations are pretty cool and there are a lot of outside tools that have native integrations (ex: Quickbooks, Hubspot, Twilio, Xero) that are either already or coming soon. But yes, there's also the standbys of Zapier (already out) and Make (coming in the next ?2 weeks? I think, but don't quote me!). Pretty cool potential and a really different approach.

It's going to take me a few months but I'm moving to SmartSuite from ClickUp, it drives me bananas that everything is a task so I forced myself to use if for only tasks, no asset tracker nothing else. I'm using a separate product similar to AirTable but nowhere near in feature set to accomplish this. SmartSuite checks all the boxes for me. Might keep one grandfathered (discount) seat in ClickUp just to see what 3.0 looks like.
I've been using ClickUp for about a year and still struggle with how to put all the pieces together. I also use spreadsheets extensively in my business. I am new to automations and need to incorporate these into our workflow to improve the process for our team. Right now I'm ready to join the ProcessDriven membership for guidance on how to do this in ClickUp. Will ProcessDriven provide similar support for SmartSuite? SmartSuite seems much more intuitive and easier to use. I think team training and buy-in (getting them to actually using the platform) will be easier on SmartSuite.

It's so hard. I can't see myself leaving Click up, even though we broke up several times. I usually find myself back. I seem to like smart suits. I will give it a spin. But I am really looking forward to getting Tana.

Hello Layla! Its been 7 months since you shared this video and ... Clickup still hasnt released 3.0 even though they faked released it. The loading times in most used spaces in my company are just atrocious, automations are failing, most recently even showing more records in activity widow in task stopped working. Ah-yes! I know the 3.0 wait had our whole Team ProcessDriven on the edge. As of right now, our Team has moved over to 3.0, however, some of our team members personal ClickUp accounts have not made the switch yet. Personally, I'd reach out to ClickUp and see if they can roll you over to 3.0.
I follow your instructional videos so I decided to check out this new tool you are reviewing but as soon as I went to the website and found out that it is a per user fee beyond 3 people I stopped there. Even clickups paid plans have tiered options so it is always going to be cheaper. I wish developers would realize that after a business gets beyond 3 people, paying per user is too expensive. I was really hoping to find an alternative to Asana and clickup that would work for my entire team but I am not going to pay for a per user software even if it was the best one on the planet.
Hey Candice! Per user pricing (beyond the typically free guest or visitor permissions) is generally the "normal" these days, but I understand where you're coming from. I hope you can find a software that works for you!
If you are a projectmanager, handling multiple projects and stakeholders. There is no other tool than ClickUp. Period. With trial and error it gives you almost everything you need. Why almost.. Well, there are little tweeks that are up for improvement. Like customfields in a gantt chart. Why I mention this? ClickUp is huge, it is not private. This means they have the finance and the people to work on these bugs, tweeks much quicker than other companies. They keep improving, they are not trying to keep ahead.. Others companies are copying and trying to level with ClickUp ClickUp is your tool if you are serious about management. For now, and in the future

I think the Docs feature in Click is huge. I don't think SSuites has anything like the docs and the ability to share docs publicly is a definitely a tie breaker in favor of Clickup. Also for me the deep nesting of tasks down to 7 layers of subtasks is a huge factor

@@adriennemccue-SUFMH I checked. They have a mobile app. I would also be interested to see the comparison between the two. For me, Click Up mobile app just sucks. It has just basic functionalities compared to desktop or web app versions. Nowadays when you do more and more things on mobile this is really a HUGE minus in my opinion - I mean in the case of Click Up. I am going to install Smart Suite on my mobile to see how their appwork.
@@PrzemekKocur I'm assuming you have Apple? On Android, I do not see their app. If they only have an app via Apple, that's not cool because there are more Android customers than apple. The app in ClickUp is good, but my interns could not see any data in their apps. CU stated it was a bug, but that was in August 2022. 🙄

Hey Marc! We still use ClickUp at ProcessDriven and offer ClickUp tutorials, as well as the ProcessDriven Membership still providing support for ClickUp users. We're exploring tools outside of ClickUp because we know that it isn't the right choice for everyone. First of all, thanks for this great review! We were working really hard over these years to hit the market with a solid, feature packed, yet easy to use tool.
Remark about the bulk actions. In fact, SmartSuite lets you update almost any field type in bulk (numbers, dates, statuses, assignees etc).
Just select several records in Grid View and change a cell value in one of those selected records. We will bulk update all others too.
In terms of Clickup, I assume, that means that you can bulk update any custom field.
Before I drop the mic, here's another feature that you might find handy. Our Grid supports copy/paste. So when it comes to the ease of entering data, you can paste it either from external source (like Excel ot text file), or from one cell to another.

As of now, an automation can update a single record only. And that would be the triggering record.
But! :) The ability to update multiple records at once is on its way.
You would search for records first and then - fire an update against each record that was found.
I don’t have the exact date, but will be rolled out quite soon.

Ha! Uncanny, isn't it? SmartSuite falls right in the middle of the Work Management and Database space right now, so I think there's going to be a LOT of interesting shake ups in this market over the next 12-18 months. 😏

I have to agree Tom. The fact that two leaders in the ClickUp and airtable space are both giving serious consideration and attention to SmartSuite is swaying my resolve in working specifically with these platforms. ClickUp is not a database, Airtable is not a project management tool (without a lot of work to make it so)... but together? This could end up being a powerhouse as long as they keep focus on how to seamlessly integrate them together.
For instance, I'd like to see robust resourcing and perhaps a time-management tool integrated (and I haven't played with Smartsuite enough to really know what it contains), but it is a big ask with my clients.
Thanks Layla! You provide the best videos! I'm always interested in minimization features like toggle/collapsible lists, paragraphs, sections, etc. that allow the user to store a ton of well-organized content without so much scrolling or busyness, only seeing just what's needed. They're especially handy for docs, wiki's, etc. I used ClickUp and reported so many bugs (one time I sent 17 in one submission) that they actually had me work with one of their developers. I left due to stability concerns. Their toggle lists were loaded with problems and were only marginally better after fixes based on my feedback as they couldn't replicate many of the issues. (If you're users are having consistent issues with your software, at some point you just have to figure it out.)
I appreciate your bringing awareness to SmartSuite. I've already reached out to them and so far they've been fantastic. You don't know how much your videos have helped me. Thank you, thank you, thank you!!!

Layla, I'm watching and respecting what you're doing here. ClickUp is overwhelming from first impressions for most of our clients. (and you never want to burn the brain cells of your tribe)

We use both Airtable (for all our client info) and Clickup. Smartsuite is a very intriguing option for us to potentially consolidate down to 1 tool. My main concern would be losing the recurring task functionality in CU.
It's early, but I would probably give Smartsuite the edge when it comes to the 'company' category. I say that because I think they have a much more thoughtful, mature approach to product development, whereas Clickup has always been about pumping out as many features as possible not caring what they break along the way.
I’m in the same boat: Airtable for data, Clickup for task management. Being able to link across bases…I mean Solutions is a big big deal for me. And on first blush, it looks like there are things that I can do that are baked into SmartSuite that won’t require making an automation. That combined with some of the really thoughtful, granular control of information in records (dot notation, default state of a column, etc) have me excited. I’m thankful for the rainy forecast this weekend because it gives me an excuse to spend time playing with SmartSuite and seeing how it works in practice.

There are a few ways to create recurring tasks in SmartSuite. Easiest being to use the 'at a scheduled time' automation to create a record that is a task.

Great video Layla. As an existing ClickUp customer, was really interested to see how SmartSuite compares.
Having had a brief play with the app, SmartSuite looks good on the surface, but doesn't quite cut it for us. It would work out far more expensive than ClickUp, as the concept of free 'guest' users with full/edit/comment access, doesn't seem to exist and it looks like there are some key features missing which we would need (apologies if any of the below is factually incorrect):
- Cannot give clients access as a 'guest' to collaborate i.e. add comments to records etc, without paying at least $10 for each user account
- Not enough levels available in the hierarchy to cope with a complex project that requires multiple 'lists' of records
- Only 10Gb of file storage on the $10 per user per month plan, then only 50Gb on the more expensive plan above.
- Only seem to be able to create doc's (SmartDoc) within a task
- No ability to create sub-pages within a SmartDoc.
- No ability to create multiple levels of sub-items
- No ability to control who has access to a shared item directly within the app.
- No ability to add pinned comments to record attachments for proofing/client review
- No Gant charts with dependencies, no chat, mind maps or whiteboards
Yes, that seems a big issue, as I've been looking at the plans. Guests are so important.
Simon, Thank you for providing your detailed thoughts on the features you feel SmartSuite is missing - that are needed in your business. This information is invaluable to us, and I have been communicating with my team over the last 30 minutes on many of these.
I could of quick responses:
1. Next week, we are releasing our Guest role feature that will allow you to determine if users with this role can just View or can View and Comment on records. Guest users are free.
2. I understand your comments on Storage and don't want this to ever be a reason for a business not wanting to use SmartSuite. On Monday of next week, we will be upping our limits for the Team plan ($10) to 50GB and our Professional plan to 100GB. We will also allow users that go over these limits to purchase additional 50GB blocks for $20. Does this seem fair to you?
3. I completely under your desire to create sub-pages within a SmartDoc, and I apologize that we have not yet made this available. This is not a complex feature or a feature that will require a lot of development hours, and I will do my best to get this into our release schedule in the short term.
4. We do allow you to control who has access to individual records by using our Assigned To field. Happy to share more details about how to do this if needed. Just ping me.
5. I also agree with your feedback on pinned comments, and we will start thinking about this.
6. Gannt Charts, Mind Maps and Whiteboards are all on our roadmap. I wish these were available for you now. Sorry.

Great points Simon. Dependencies and mind maps are key for me along with multiple levels of sub items. I also thing that features can be added at any time to a software solution. So smartsuite can overtake CU in the future and visa versa. So for me I look for other things.
1. How fast changes/enhancements come out.
2. Stability of the organization (e.g financial backing and longevity or organization).
3. Customer service (CU called me about 2 months after signing up and had a one on one call about how is it working for me).
But for now I am staying with CU be it is mature and feature rich and does everything I need.
A massive thing that you didn't compare was integrations and automation. I have Clickup paired with Integromat to interface with loads of other business platforms and services. Services that Clickup can pair with directly is also impressive. I have loads of automation running in the background saving me so much time. From what I have seen, Clickup wins this battle hands-down. I also have Clickup paired with Google Workplace meaning I can see my calendars within the app and email directly from tasks.
Great point! I think one reason I didn't hit on them so heavily is there's not a night-or-day difference.
I think ClickUp's API is stronger at this point. In terms of no code, ClickUp is the only one support by Integrately and Automate.io but both work with Zapier and, a few weeks from now, both will also have Integromat (Make.com, now) connections. Despite that, SmartSuite's automations and built-in integrations are lightyears ahead. 🤔 It comes out to a bit of a wash!
Finally had tie (at 6AM on a Saturday morning) to watch this and actually absorb your analysis. Thank you as always, for breaking it down. Your ability to categorize the features and comparisons that matter most to your audience is enviable.
In the end, how a team uses these tools and their adaptability as well as their long-term staying power is something I need to consider in my work. I must say, as a ClickUp and Airtable specialist, I do want to apply my use-cases to Smartsuite and see how it performs now!

Okay, so just watched it. Thanks so much, Layla; great job! A few things. Check out expanding the open task feature. Mind blown. One of the issues I have with Monday and ClickUp is the use of space on open windows. SmartSuite wins there. Another issue for me is some key bugs I'm having with ClickUp. For onboarding new users, they can't see content in the mobile app. At all. Over 2.5 months! It's still not fixed? One of the reasons I finally picked ClickUp was supported. Chat support. They fired all their staff; no support now but email?
I can't get anything resolved by email. I will say CU features are great with board views vs. SS. I love the layout of SS. You mention it briefly, but I can't stress how important Accessibility is, one of the reasons why I like Monday's layout. Text, size, space, color. It matters, people. Everyone isn't 22 working, and spacing is key to great UI Design. My goal is to see how they compare to a small helpline setup. Access to guests, support, bugs, etc. Those are the things I will be looking at. I love the feature you stated about naming key fields. for example. Task/Item, or if I want Case, I can have it.

Thanks for this! I was searching for an alternative to ClickUp since the team I work on won't use it. Basically I was told, "yeah, we're not going to use it but you can," which of course defeated the purpose of using it in my opinion. I've tried going back to spreadsheets to manage projects since I don't need all of the features in CU and I find the UI a little cluttered. But of course spreadsheets just don't cut it. I really like Airtable but some of the limitations were deal breakers for me. SmartSuite seems to address all of issues that made CU and Airtable not a great fit for me. Looking forward to learning more about SS.

I use clickup for my personal and professional use. We use Asana for our team. Some of our team needs a more basic task interface that Asana allows but the oversight and project management is basically non existent. I love love love clickup but my office staff doesn't need something this complicated. I have looked at many other tools but I always go back to Asana and clickup because they all want to pay per user and it becomes too expensive for me as a small business owner.

Hi Natalie! SmartSuite is primarily relational, like Airtable. It does have a tiny amount of hierarchy through Subitems and Checklists. 🙂
It is a nice video to start, but it will be appreciated to see a comparison in the mobile apps, and integration with outside tools, like Office365, Google workspace, and others. It is interesting to see that Smartsuit advertises on its website that the software can manage the entire organization, and I wonder how you can link so much data. For example, you close a deal in the CRM and want to transfer it to order processing, invoicing, etc. I'm still suspicious about Smartsuit. In your hands, everything looks easy, but for me, it can be different 🙂

Right now, they're somewhat tied...but I think that'll change over the next few months because they products' strategies around integrations couldn't seem to be more different.
But yes! That example of the CRM talking to Order Processing...it's actually remarkably doable. 🤯

At the time I was trying to build an EOS (entrepreneurial operating system) task management companion tool. It seems that SmartSuite has developed this. Great news! I'm a solopreneur in the restaurant consulting space and I want to use this tool for task management with an EOS overlay, combined with a basic CRM. Using information gathered from your video, if price isn't the issue. Smartsuite would be the choice, correct?

Hey Andrew! Funny you should ask! I'm actually not using any app. I just adjust the Cursor Preferences built into my PC to have a giant cursor with a custom color. 😂 It's remarkably low tech but it works!

I have a very small firm and a heavy CU user with very few advanced features (very few automations, for example). Our primary use is communication. Because of our niche, we have a LOT of documents emailed to us and the ease of dropping them into a client folder directly through the email extension has been a huge plus of us - until it stops working properly. And that has been maddeningly frequent over the past few years.
And as much as I loathe changing things that (mostly) work, it's gotten to the point that each time I use the extension I keep saying "Please work. Please work". Do you happen to know if SmartSuite has the ability to create tasks directly from emails and move the email attachments?

Hi! I’ve been loving your videos the last few days as we’ve been looking into ClickUp. We’re a small team, like two plus a part time, but work in both product and service based industries. The majority of our business is from B2B sales, the next is freelance graphic design, and the last is D2C. Something that’s really important for us is to see some high level reporting, like what percentage of our revenue is from B2B, freelance, and D2C for every month of the year and then overall for the year. And then drilling down a little more, what type of B2B account is bringing in the most sales, etc. In your experience, which platform would have the better reporting capabilities? We’re transitioning out of spreadsheets and it’s been crazy to find how difficult it is to find a software that can do what I’ve set up in our spreadsheets!
Hey Fell! While you can set up reports in both ClickUp and SmartSuite, SmartSuite definitely has a data bias so I would suggest trying them out. Long:
I was setting up notion but realized it‘s not really a project management but more a knowledge storage app. So i am at ground zero again. I really want to track everything. 2 most important for me is Data and Project management, followed my knowledge management like notes, links, SOP‘s. So i was thinking about a combination of clickup and airtable. Today i stumbled on Smartsuite and was wondering if this maybe is the best way to go because it seems its like both tools in 1, which would be easier to handle, easier to teach employees and the possibility of errors due the connection of 2 apps would be gone.
Hi @qrona4388, this is a great question! It's based on your personal/business preferences. Taking a looking at the features that each of the platforms offer and finding which features you need most can be a great step to determine which platform you'd like to pick.

Great comparison, @Layla, thank you! I've been playing with ClickUp and almost made a decision to go with it (team of 5) but Im seriously considering SmartSuite now. One item im not sure on is the attachment limits, I am concerned by the time I start uploading documents and videos etc, 50GB will run out quick. I should also mention I use JotForm for my client forms. Also does the Team level have advanced automations? I was building Asana (which I LOVE over ClickUp) and then was devasted to find I needed to be on the top plan for advanced automations which is beyond my budget. My biggest struggle currently is which task management software do I go with! I would be keen to hear your thoughts :)

The Team level includes 5,000 Monthly Automation. I'll link a page to compare SmartSuite's plans' automation limits.
Also, do you have a Google Drive, OneDrive, or another tool you use to store files? If so, it may be worth exploring using fields in SmartSuite to link to files or attachments instead of uploading them directly into SmartSuite.
Lastly, SmartSuite and ClickUp both have Forms that could replace JotForm. SmartSuite recently announced conditions to their forms. ClickUp just released conditional logic for Business Plus plans and up.
Late to the comment game here with a q I'm not seeing reflected in the comments yet.
Why I initially moved the team over from Asana to Clickup is that is had more affordable automation features AND because it had a MUCH better "home base" for users (not just managers) to help them organize their work day/week. In particular, I like the calendar-task drag-and-drop feature. Does SmartSuite have any features like this, or is there a way to build it?
(I've been poking around in Smartsuite and haven't found it.)
OK wow I found the "my work space" after a lot of trial and error. Very reminiscent of Asana :/
I'm also finding it difficult to sync calendars so we have our meetings reflected in the software. Trying to shift to meeting notes being IN our PM tool without manual record creation for each meeting (since docs are nested fields in records).

SmartSuite has a Calendar view where you can drag and drop records to update the Due Date.

Using a SmartSuite trigger, you can create an event in your (Google) calendar. I wonder if duplicating a record (with a Doc field) specifically for meetings would prevent some of the manual work of creating records for each meeting.

I think I recall you saying at one point that ClickUp was eventually going to introduce a way to call "tasks" other things so its platform could be a bit more flexible. If so, is there any update on that?
We're planning to move our operations team to ClickUp and are also starting to do more in Airtable, meaning that SmartSuite is kind of an interesting idea.
Having said that, we already have some ClickUp power-users internally so would love to stick with it!
Hey Jordan! Ahhh yes. I requested that loudly and publicly back in 2021 as a "wish list" item and there were some rumbling that it might happen when ClickUp 3.0 was released...but there's been no official updates or mention of it since. 🤷♀️ However, you could ask ClickUp directly for more guidance!
I'm not in favor of changing platforms "just because" either. I think if you know ClickUp really well, there's a strong argument for leaning in. However, for folks looking for a ClickUp + Airtable hybrid...SmartSuite is pretty interesting. 😅
I’m working with a specialized industry specific management software that doesn’t have api connectors so I rely heavily on importing excel sheets that I export from the management system. So I have to be able to update records by unique field along with adding the new records. I can do it in Airtable and seems I would be able to do it in Smartsuite but I can find a way to do that in ClickUp.

ClickUp does have an import/export function that allows you to bring over your unique fields. You can choose a field type during the import and make any edits.
I'll add that the fields might be limited compared to SmartSuite fields. I recommend looking through ClickUp fields to see if they meet your needs before importing.
Great video layla, what i couldnt understand about ss and airtable, is the access level, meaning the lack of data privacy, every user on a base can see every record within it, which in airtable case you have to make a UI on a seperate tool to control the access level, clickup provide this feature out of the box, but not sure if ss is the same...for me cu is ms project while ss is excel both on steroids.

SmartSuite has a few roles for users in the Workspace. SmartSuite does have a Guest role that allows the user only to see records assigned to them. However, this user is a free type of user that can only view and comment on records assigned to them. I’ve been watching a lot of your videos about clickup, and was thinking about joining your beginners program to dip my toe in the water and see how I feel about software like this. I am not a process geek by any stretch of the imagination, it’s all pretty daunting for me. It appears that a lot of the comments on this video are from people who are experienced users.
What you said about SmartSuite being a little more user-friendly for a beginner was appealing to me, but the fact that it’s new, and it doesn’t appear that you have a support community like the one you have created for Clickup gives me pause. Any thoughts/ suggestions?

Hey Gourav! I think one-person businesses might find a higher ROI from ClickUp. However, if UX/interface is most important I'd still consider SmartSuite. Both have generous free plans for single users. :)
@@LaylaPomper I was thinking about it. Don't you think clickup is forcing us to record our data only as task but in smartsuite we can record any kind of data which is not necessarily task. So can we use that kind of workflow in clickup as well? Because I also wanna record things which is not necessarily tasks but useful data which will be helpful when linked to task.

Built-in automations are pretty cool and there are a lot of outside tools that have native integrations (ex: Quickbooks, Hubspot, Twilio, Xero) that are either already or coming soon. But yes, there's also the standbys of Zapier (already out) and Make (coming in the next ?2 weeks? I think, but don't quote me!). Pretty cool potential and a really different approach.

It's going to take me a few months but I'm moving to SmartSuite from ClickUp, it drives me bananas that everything is a task so I forced myself to use if for only tasks, no asset tracker nothing else. I'm using a separate product similar to AirTable but nowhere near in feature set to accomplish this. SmartSuite checks all the boxes for me. Might keep one grandfathered (discount) seat in ClickUp just to see what 3.0 looks like.

I've been using ClickUp for about a year and still struggle with how to put all the pieces together. I also use spreadsheets extensively in my business. I am new to automations and need to incorporate these into our workflow to improve the process for our team. Right now I'm ready to join the ProcessDriven membership for guidance on how to do this in ClickUp. Will ProcessDriven provide similar support for SmartSuite? SmartSuite seems much more intuitive and easier to use. I think team training and buy-in (getting them to actually using the platform) will be easier on SmartSuite.

Its been 7 months since you shared this video and ... Clickup still hasnt released 3.0 even though they faked released it. The loading times in most used spaces in my company are just atrocious, automations are failing, most recently even showing more records in activity widow in task stopped working.

Ah-yes! I know the 3.0 wait had our whole Team ProcessDriven on the edge. As of right now, our Team has moved over to 3.0, however, some of our team members personal ClickUp accounts have not made the switch yet. Personally, I'd reach out to ClickUp and see if they can roll you over to 3.0.

I follow your instructional videos so I decided to check out this new tool you are reviewing but as soon as I went to the website and found out that it is a per user fee beyond 3 people I stopped there. Even clickups paid plans have tiered options so it is always going to be cheaper. I wish developers would realize that after a business gets beyond 3 people, paying per user is too expensive. I was really hoping to find an alternative to Asana and clickup that would work for my entire team but I am not going to pay for a per user software even if it was the best one on the planet.
Hey Candice! Per user pricing (beyond the typically free guest or visitor permissions) is generally the "normal" these days, but I understand where you're coming from. I hope you can find a software that works for you!

If you are a projectmanager, handling multiple projects and stakeholders. There is no other tool than ClickUp. Period. With trial and error it gives you almost everything you need.
Why almost.. Well, there are little tweeks that are up for improvement. Like customfields in a gantt chart. Why I mention this?
ClickUp is huge, it is not private. This means they have the finance and the people to work on these bugs, tweeks much quicker than other companies.
They keep improving, they are not trying to keep ahead.. Others companies are copying and trying to level with ClickUp
ClickUp is your tool if you are serious about management. For now, and in the future

I think the Docs feature in Click is huge. I don't think SSuites has anything like the docs and the ability to share docs publicly is a definitely a tie breaker in favor of Clickup. Also for me the deep nesting of tasks down to 7 layers of subtasks is a huge factor

I guessing since you didnt mention it...SmartSuite doesn't have a mobile app(?) to compare to ClickUp
They don't; I checked. That will be an issue for me out in the field. But I have a feeling that's just temporary.
@@adriennemccue-SUFMH I checked. They have a mobile app. I would also be interested to see the comparison between the two. For me, Click Up mobile app just sucks. It has just basic functionalities compared to desktop or web app versions. Nowadays when you do more and more things on mobile this is really a HUGE minus in my opinion - I mean in the case of Click Up. I am going to install Smart Suite on my mobile to see how their appwork.
@@PrzemekKocur I'm assuming you have Apple? On Android, I do not see their app. If they only have an app via Apple, that's not cool because there are more Android customers than apple. The app in ClickUp is good, but my interns could not see any data in their apps. CU stated it was a bug, but that was in August 2022. 🙄

We're exploring tools outside of ClickUp because we know that it isn't the right choice for everyone. We're trying out other tools with our audience to give them the opportunity to see what may better suit them and their business.

SmartSuite ux is so much worse than ClickUp. It might be faster but it feels slower and bloated
