Hello! I'm Alejandra Costello, professional organizing expert from Alejandra.tv! In this video I show you two ways to organize your files and documents in your office so you can easily find what you're looking for when you need it!
The first way to file your papers is with hanging file folders in a traditional filing cabinet. In this video, I'll show you the color-coded filing system I've used for years and highly recommend!
The second way to organize and file paperwork is with binders! In this video, I'll show you how I organize all of my binders inside and out so things are easy to find and clutter-free!

Love seeing someone else do what I have done for years. When I was teaching, all of my school files were in binders and it made such a difference! People would ask me "can I borrow such and so paper?" and I handed it to them in about ten seconds flat or less.

I have gone almost completely digital with our paperwork. I keep our passports, birth certificates and wedding certificate in a fireproof safe.
Our sentimental documents go in a folder and we have one folder each.
All other documents I scan through an app on my phone and upload to google drive. This way there are easily accessible and safe from damage. These are documents like receipts, medical records, bills, banking records, insurance details. The amount of paperwork you actually NEED to keep a hard copy of is actually very small

Love your system, amazing! But you definitely can't do this in the UK. Any time you need to prove your address you need three paper documents received within the last few months, and they won't take digital.
Sorbet Ice ahh see in Australia I would just print out the digital copies and that would be acceptable. All my bills are emailed to me anyway

Im so happy you're back... I got hooked on your channel as a newlywed 4 years ago when we were living on a MASSIVE house my parents kindly let me live in (borrowed) for a year... We now live on a TINY one bedroom appartment and your videos STILL help out so much. Great video - I am now going to consider moving to binders- thanks! I can’t wait to see the next one! Would be great to get a peek into one of the binders you are actively using.
I do have a filing cabinet but as often as I can, I go paperless and have a PDF file of my bill (or whatever). I categorize them by year and Payee and save them to my competed and also a flash drive. I’ve been thinking about what I would do if my house burned down. Perhaps storing in a “cloud” somewhere as well... just a thought for those who want to save paper 😊

YAY! It definitely feels easier! I just accessed my health binder yesterday and it was a breeze to find what I was looking for without having to shuffle through a big stack!

I will be rewatching all of these cause I want to be the boss of my paperwork and not the other way around! I lost an important document recently, I had it in my pocket the whole time, but while I was looking for it, I was super stressed out! Never again!!

I’m sooo glad to see you went to binders!! I’ve been using the’ put everything in a folder by month’ system... but whenever I need a statement from Macy’s or the power company... I have to GUESS which month, then dig through a stuffed folder..😏😫... no more!! So I decided to go to binders for each category. ThenI saw this video!! Yay! My question... do you use the big drawer files at all anymore? I am about to purchase ikea file drawers but won’t of not necessary!! 👍🏽👍🙏🌈 Thank you!!!

Wow, this is SO helpful, thank you Alejandra! Papers have always been tough for me, and though I finally got everything organized into a file box a few years ago, I've found that I still get stressed when it comes to putting things away as well as trying to find what I need (or remembering what certain items are for and how they relate to the folder). I think the binder system might just be the thing I need to organize papers in a detailed way while also giving myself full visibility, instead of a bunch of papers all squished into one hanging folder! 🙈
Sighing sighs of relief and anticipation now...can't wait to go through my papers to see if this will work ☺️

Perfect timing!! However, I just got even more overwhelmed. ha,ha. I need to start on my decluttering first. I don't scan things into computer...big phobia. I am paranoid on throwing something out that I will need. Statements, receipts, credit card info, ect. what about when a different company takes over your mortgage, do I keep all previous company paperwork?

I love your ideas to organize paper and files and have implemented some of them in my life. However, I would recommend making a video that doesn't involve using too many papers, files, colorful tabs, etc. I am conscious about paper use/wastage, not to forget being an additional cost to buy those extra frills. Do you have recommendations to organize an office while being mindful of costs and the environment?
Go to the Dollar Store. She has earlier videos for office organization from the Dollar Store. You don't have to have as many binders as she does. You can make yours more concise!

If a burglar came into my house, rather than say "oh, there's her tax drawer with identifying info," he'd look at my piles of crap and say "f*ck it," and leave. 😄
That's my mom's excuse for her hoarded piles of junks: she hides her jewelry in the junk and once our house got robbed and the thief couldn't find anything valuable. They went through so many cabinets and piles of papers (my mom's a professor). I think the thief must have been very pissed cuz they got absolutely nothing from our house. 😂😂😂
I just found your videos on youtube, and I loved some of the things to said about filing systems and cabinets. I just can't seem to work without folders for example, a landscape company I keep a Folder for every year, but only 1 file, it gets quite big!

Yup. I used to live there. One big advantage is you can buy the exact same items very easily given an Amazon link or a chain store product name. Outside the US, I have no idea which store to start with and there aren't as many varieties as stuffs sold in the US.

The sheet protector that had the ones for film strips - I would use those for sentence strips for students.

I love you. I’m not gonna lie, it does give me a little anxiety to think of how much I need to do.... I’ve been trying to do what you have done all my life! I have binders and folders and colors and I get part way done then I get overwhelmed. Any advice for people like me? Like, if I had my stuff like that my life would be so much easier. Hard to know what to throw out too.
Me too! I get overwhelmed and never finish. I also struggle to find space for stuff. Need another decluttering...
gravyz2cute4u : well the very beginning of this video with the files tabs. - that sounds do-able and I have to start and stop right there. I think this is great advice! Totally going to first just start the year with this and try to just store the rest - other than the red stuff
It helps me if I break up the tasks I need to do in small sections, and then write down what exactly I need to do on paper so you can reference it when you feel a little overwhelmed :) Just work in small steps
I hear y’all. Just do a little each day. Set a timer for 15 minutes and stuck to it daily - no more or no less than 15 mins. We are all works in progress. If you can’t shake feeling overwhelmed then you might be a perfectionist. Try to turn off the perfectionism to get over hurdles. You can do it! Other free resources are The Fly Lady, Messies Anon., and Clean Mama. They have a lot of free tips and inspiration as well.

Hello! For the paper clutter series support (in the link above) is this something that could help my situation. I have not only my paperwork, but that of my step mother who has cognitive issues so I have hers and a bunch of old papers from my now deceased father. I feel like i am in a sea of never ending paper!
