Typically we just use a preapproved form based on the approved study budget and email it over to the CRO/Pharma sponsors. Don't use any software at our site or any previous role I was in. Some CROs track item completion through the EDC and pay automatically. While some larger orgs I worked for had a separate finance division which might have had their own softwares but I was not involved.
