  • Did you know Apple Notes could be used to build and improve relationships with Friends or Clients? Let me show you an easy way to manage contacts and some automation magic to make sure you keep those relationships going and always have something to say!

    THE FIRST TIME you run the automation, it will ask you to select your default locations: the Apple Notes folder where you want to store your contact notes, and also the reminders list and calendar you want to use. Please DO NOT accept the default answers shown: tap and choose your own.
    SUBSEQUENT USE:
    Every time you add a new note, the shortcut will ask for permission to delete the old one. it's OK TO ACCEPT: in fact, the shortcut will stop if you deny permission and the new note won't be saved.

    This is a very good application example for Apple Notes! I've been using it for some time now to note down what I want to discuss with colleagues, customers and friends. Sometimes with links to the corresponding notes. That's very helpful!

    I really like the concept you have here. The shortcut works perfectly! The one thing I’d prefer is to build a history of conversations rather than being forced to delete the previous entry. I’m not any good with the shortcuts app but compiling contact notes is desirable for me.

      Thanks! The shortcut works the way you want - it creates a history of conversations. Each time you use it, it adds the new conversation to the top of the note. Unfortunately shortcuts offer limited ways to interact with notes so I had to come up with a workaround to make it work (see my response to your other comment below)

    Really great tips for contact management- creative use of Notes. There used to be an app. I believe it was called CRM but they went out of business and it was similar to this but it’s great to be able to do this in notes. Thanks for sharing.

      Thanks! In the end the principles of contact management are quite simple, and we use a tool just to get some help with continuity and consistency - apple notes is more than enough for that

    I watched the video again and it looks as if the functionality to add a conversation is already there. It isn’t working for me, however. If I select “Don’t Delete” the note isn’t added at all.

      Short explanation: selecting "don't delete", blocks the shortcut on its tracks, before the new conversation can be added.
      Longer explanation:
      Shortcuts doesn't allow to add text at the TOP of a note (silly, I know). So I have created a workaround that creates a NEW note, which contains the new text and all the Previous history. At that point, the old note becomes redundant and can be deleted. Shortcuts asks for permission to do so, but if you deny it, the shortcut is terminated immediately. Hope this helps, please let me know how you get on! :)

      You're right, being able to trigger it automatically after a call - or even pull up the last note when receiving a call - would be the most natural way to use it. I did explore it but unfortunately there are no ways at the moment to trigger such behaviour. Who knows, maybe with the next iOS update? I'll definitely keep an eye on it :) Thanks for your comments!

    Great video. I get how you are using notes, but I struggle having a reminder in reminders and a note with a checklist in notes. How do you process things so that you don't have to go across apps to see your todos?

      Hi Lisa, thanks! You're right, it would be very helpful to have checklists in Notes synced with Reminders, so when you cross off one, the other is checked automatically. Unfortunately this is not possible at the moment.. maybe in iOS18?
      For now, if you want to use just one app, maybe the best option is to just use the Reminders function of the automation. It will create the reminder with the details of the latest conversation, and you can ignore Apple Notes unless you want to check the entire conversation history. Hope this helps!

    Thank you - Great method and handy tool you created. Question: I ran your Shortcur and it created a note as expected BUT it placed the contact note in the main Notes Folder - it did not create a common Contacts folder to where all contacts notes will be saved. Must I create the Contacts Folder in the Notes Folder prior to running the shortcut? What do I do?

    Hi Patrick do you see any possibility if the note has fotos to conserve them during the copy step? Unfortunately the are lost after an update and it would be very useful to save all related information to the contact - hopefully you have an idea and can modify your code - thanks from Germany

      Hello Gunther, thanks for your message. this particular shortcut only works with text, as it's the only way to have the notes in reverse chronological order (ie. the new ones at the top). What you need is a different shortcut that only appends text to the bottom of a note. I'll work on that and will show it in a follow up video - stay tuned! :)

      Hi - in spotlight, you can tap and hold the contact note icon, and when it starts shaking, you can drag it to your preferred location. Hope this helps!

    I’m sorry for so many comments. I love this concept and I really want it to work. I just have to figure out what’s happening and why your video didn’t include the checkmark and how other people were able to do this and make it work without that

      No worries! The follow up folder is a standard Smart Folder in Apple Notes and should work out of the box for anyone, no special setup required. If it doesn't pick up any note, it's either because there are no notes that contain an unticked checklist item (silly question: are you sure you've added one?), OR it is looking in the wrong folder. Assuming it's the latter, let's try a little experiment. Create a new Smart Folder, give it a name (eg "follow up 2" or similar), and add a single filter: Checklist, unticked. See if that is able to pick up any notes, and let me know, then we can move to the next step.

      OK so I’ve been playing around with it to see what I can figure out as far as what’s going wrong. I made the dummy follow up folder as you suggested and it worked in the actual notes app as opposed to the automated portion. I went back into the Original follow up folder and unchecked any filters and rechecked the correct filters and that’s working fine. so now the problem I’m having is with the shortcut automated portion.
      I made sure that I have a contact that is my daughters name. I had a note in there from a conversation earlier today that I put in previous to using the shortcut. I did this to test out what you were showing before you showed the shortcut portion of the video.
      I went into the shortcut and selected her name and that’s all went wrong. My first question is why did it not come up the first time or the first example I should say and ask if you wanted to delete or not? I can’t figure out the difference between the two examples. You said I want to add a note at the top that it would come up and you. And then you showed how you went into the contact again and it had the new note made in the shortcut at the top and your original note was still there. When I do that not only is the original comment not there it deletes the entire contact out of the contacts folder. I tried saying don’t delete and it’s still deleted the entire note for her contact. now it is working for sending me reminders. They are going to the Reminders app I don’t want it to delete the contact because I thought the whole point was to keep a record of all the contact you have with that person. Please help

      I’m not sure what you mean when you’re asking me that question? The Shortcuts automation does open I am able to create it exactly like you said and it does show up in the Contacts folder in Notes but not in the follow up folder. I have double checked everything you did and unless there was a step that we were supposed to already have set up in the Notes app then I have no idea what happened wrong. I wish you could screenshots here you can’t can you?

      No screenshot dont work here but what happens is on the shortcut the three dots turn into a square then nothing more happens. The shortcut don’t open so I can write anything.

      Glad you made it work :) for the Follow Up folder: review the filters and make sure the second correctly contains the name of your contacts folder. if there is a typo, no notes will appear. let me know how you get on :)

      OK I figured it out. I don’t believe you said this so I’m listening again to see if you did but you didn’t say that we had to put the unchecked checkmark in front of the note in the contacts folder and then it will appear in the follow up folder.
      I have no idea how when you did it it worked without that and maybe that was supposed to go without saying but yours did not show that example you did not show in your video either.
      Also one other thing, my note did set a reminder in my Reminders ⚠️ app but it went in under shopping, not sure why. So I actually had to set a folder and then a note called Contacts and move them into that folder. I haven’t tested it yet to see if it’s automatically going to go into that folder or not. it seems like a lot of work to set this up so I hope it’s beneficial. Your video was great except there seems to be a couple holes in it or maybe you have an older version or something? Any thoughts on it?

      Thanks Amy, I think I understand what the problem was. Try deleting the shortcut and downloading it again, I've updated it and it should now let you choose your preferred reminders list the first time you use it, so the follow up actions are always saved there.
