Aliflow is not compatible with iCal right? (the iCloud calendar). I cancelled my subscription because almost of my calendars are in iCal. Just sticking with TickTick until I find a better alternative, because this one does not have Ai yet
I’ve learned that if I’m out and about, I WILL NOT pull out a notebook. Too much friction when I’m chasing kids while running errands or at events. So! I set up a screen in my phone with 3 different notes as widgets for the quickest and easiest input. A daily Bujo style quick note for notes, ideas, or tasks that I think of on the go, a shared note with my husband for any tasks that are specifically for him or things I don’t have the capacity to handle (we have a system of notes and info to record and communicate about those tasks. For example, I’ll add “Refill windshield washer fluid in my car” my husband will add the date he plans on getting it done) then a “things list” which is another shared note with my husband that anything that needs to be purchased goes on. So when he does his errand running he can review the list and see if there’s anything he can pick up or if I’m doing grocery shopping I can check for stuff his added. We also add things we are both interested in so we have a master list of stuff that each of us want or want for our kids and can easily buy and surprise each other with.
I have the following apps on my phone Comobujo, Sticky Notes, Habits and Structured. I use comobujo as my capturing/brain dump place. Habits for daily tasks. Structured for my daily routine. And StickyNotes for lists. Yet I still have to write it down or all of it is useless. 🤦🏻♀️ This system is working well atm though!
I am a strong advocate for TWO task managers. One for work and one for personal usage. Not so much for a privacy perspective, but because work-life separation is hard enough as it is and two completely separate task managers are incredibly helpful for that.
Same here. I'm retired now, but work calendar and task lists were on my work laptop and when the workday was done, that was shut off. I had a notebook to capture anything personal, which I still use now that everything is personal. I like the idea of a weekly check in to move captured ideas and notes to my calendar and planner.

Paper is the way things imprint in my brain, although when working part of it was digital. Now that I am retired I am creating a more simple process, but being organized helps feeling a sense of accomplishment each day. Wow, you really made me rethink my 2025 planning when you spoke about TRUSTING your task manager and calendar. I had wanted to get back into paper planning, and figured any task I think of during the day would live on my phone until I transferred it into my planner. Now that I've been writing tasks on the back notes section, hoping to get back into the paper groove, I realize why it felt off. My tasks are on my phone for a reason, and it's because I have reminders to do them. And you're so on point with them never feeling complete, because I'm ticking them off twice!
Work and personal combined can be messy. BEWARE!! If you have a corporate job, just be mindful that any notebook you keep your work notes, tasks, schedule in is the property of the company. So if there is litigation you're going to need to hand over your stuff to the company if lawyers request. IT is a good idea to keep work and personal as separate as possible.
I completely agree with you. But I think there is a space in which work and personal can work together. Simply limit work entries to planning and to dos. Seeing im in HR, anything regarding employment performance, decisions on terminations or potential issues should go into a separate notebook.
Erm, might I ask what law states that? Honest curiosity. I’m in Germany and if this is the legal situation in the US plus employees accepting this, is baffling to me 😰 Also, is this is the case, why are employers not providing employees with free planners? I’d start demanding them 😁
@@LittleKikuyu I was in 2 companies that did provide planners before online productivity apps were available. Litigation is a thing here in the US and in my line of business it's common, so I never combine my work and personal notebooks and access to MS Office can't be accessed through personal computers or personal laptops anyway due to security protocols. I font save anything personal on my work laptop. I don't handwrite work notes anymore, it's all digital in my online work notebook. When I did write my notes, it was dedicated to work only stuff and could be handed over if legal needed or wanted it.
Great video. Bitter sweet bc I wanted to create a calendar task app with same functionality (time block w task drop in), but happy that I wasn't crazy, and someone saw this as a real need.
I also like notebooks very much, but they are often impractical in everyday life. I wrote a shortcut for Apple Notes. As soon as I activate it, I can type or dictate a note. Then a note with the current date is created in a given directory and the text is added. If there is already a note with the date, the entry is added below. Thus, I have a daily journal and can decide later whether this information will be processed further. The whole thing also works with attachments. If I have a nice photo, a quote, or any other file, I can also attach it. That works great!
Hi Rachelle, I haven't set up a routine for dealing with these four things, so that's why I'm failing. I also have notes on my phone that don't work right for me, so you are helping me come up with something else. I am working on building and setting up my planner for next year. I would be interested in hearing your thoughts on work and personal matters and if a separate calendar/task manager works. I work a 9-5 which is very separate from my personal like and I've worked over the last few years on once I leave the office I try to not think about work things (if I have a stress thought I schedule send an email to myself so it will top of my inbox when I get into work). The level of complexity I need for work and need for personal are also very different.
I tend to struggle with the notes part of my system. I have a hard time settling on a notes app I like and when I do I have a bit of decision paralysis trying to find an organization system that works for me. I definitely agree that these 4 pieces are important and the ending is so accurate. I add a migrate and plan task to every Sunday automatically in my task manager (which is an A6 Hobonichi) because I know I need to review the week's items
I like the breakdown. My challenge is that. I use a planner for capture, tasks, and notes. My calendar is separate (Google calendar). I may separate my notes.
I'm not sure this will work; but one more month before 2025 so I am going to give it a try. I use one loose-leaf notebook so I will make 3 more sections (I already have a calendar .) I usually only have 5 or 6 pages in each section. When that is full I transfer the pages I want to save to pocket files (Bible Study, Check register, Class notes, etc.),
Rachelle, I use the Lochby for capture, my big brain planner is Hobonichi Cousin and then I use the Weeks as a mobile, abbreviated version of the Cousin. Any tips on coordinating that between the main planner Cousin and taking the Weeks on the go?

I have came across your productivity videos and they have helped me so much .. but I have reached the obstacle of having multiple items that are important to me but I can’t get to them when I want to I feel like I’m in data overload of systems 😮.. examples.. bible journal /study.. cleaning schedule with 15 min tasks .. future log im always the late person and I hate it .. sleep tracker .. work schedule 8-5 .. vision page .. budgeting of monthly bills subscriptions and spending and paying off debt .. family time I want to have dates with my kiddos individually.. movement I want to start walking daily .. and I want to make this my side hustle my posting about it and resulting in creating my own paper products … as you can see I’m on data overload so I’m struggling with how to apply this PLEASE HELP
the multiple task managers is such a real pain... i flag my outlook emails, have a project table in onenote and brain dump in my daily planner to keep track of my high volume work load. i would ideally like to have 1 place but there is so much to keep track of.
I am currently suffering burnout, so I have not touched anything productive for a month or so. Finished my masters, having a hard time finding a job, so… time to clean the house when I get over this cold. For someone who refuses to use google due to privacy issues, lack of iCloud integration is the sticking point with this software. Otherwise another great video Rachelle. Problem with one calendar is that my company puts restrictions on the outlook calendar so it isn’t possible to have one, unless akiflow can bypass that lol
I use Todoist Pro. It's 5 dollars a month and you can set it up to sync with Google Calendar. It will show the calendar at the top of each day's to-do list and the overall system is really good for project management and very easy to check off.
Capturing is multi-purpose and short-lived, for example, rapid logging in bullet journal or in Getting Things Done. Notes are more polished, they have a definite topic and are meant to be a reference for later use. In short, you capture, process, and some things make it to a dedicated note for future use
