    It's a great set of steps to follow and in the perfect world it is what should be done. The challenge is that it puts "you" as the report creator in the middle between Senior Management and the actual report users. Management will want the report live yesterday because there is a cost, business users you go and ask "Hey is my baby ugly?" to have a habit (especially with Power BI) of saying "That's great... but". The challenge will then become about sticking to scope and not doing new work when you're optimising the model, then DAX then Visuals. If everyone was on the same page though I would love to see this done a lot more. Ha hark at me a Consultant being in favour of giving himself more chargeable work... So in theory yeah, but in practice the expectation is on "you" to capture requirements, build the model and optimise it before seeking that Change/RFC/note from Mom to publish to Production, then issues should be picked up as ongoing improvement activities. 😢

      Yes agree, additionally including testing of the reports, validating data, and hearing that "is power bi capable to handle this?" From traditional bi report users.. I have to go beyond the allocated hours to get things right.

    Love this video. As a freelancer, I always want to build in a 'review' portion into the timeline for producing the report. But what I find is that the customer doesn't recognize the importance of that step. Now I tell them in advance that for me to work on the project, there HAS to be a review process. A first draft of a report is almost always just that--a first draft and needs revisions!

      Agreed. Most don't spend the time on it and need things "now". There are varying degrees of that, but I feel that most folks overlook it.

    On that separation (Model / Visual). Good tip although... There is a bug that When published, dataset duplicates data source and do not allow Gateway Selection because of that. And there is another issue that if you switch dataset behind report it will create a copy with the same name when published, instead of replacing it. Both combined are making managing this super annoying.

    Yes, also before deploying, model size estimates, cos not all models can fit in pro, which again depends on requirement collection step, but traditional report users say "we need every column, we may use it" and they don't feel like it's a columnar database, rather a relational database to write queries and get results..

    excellent suggestions . Especially splitting the data and the reports. Did not even know I could do that. Would love to see a video on advantages of doing this. Great suggestions but that background music.....too distracting and annoying. You're a brilliant guy. You don't need any background sound affects. Your intelligence is enough to keep us paying attention.

    Great stuff, Patrick. There are some VERY valuable concepts / ideas in that video for me. I'll start immediately redesigning the things I've produced so far.     I leave a report in my data model, but I don't publish that report in the app. That report is reserved for testing, diagnostics, and development. I build one or more reports that connect to the dataset and publish those in the app for my user group.

    Thanks Patrick. This is a very sensible video. It encourages us, whether we like it or not, to put ourselves in the shoes of the report consumer. As a new Power BI user/creator, I am only on the surface of what is possible. My users are even further behind, and it is no surprise that they are overwhelmed when they see what Power BI can do. It's like, "Wow, Microsoft finally has a product that gives us a dynamic view of data that isn't ugly, and I don't know if I can handle that!". Patience...

    Step 1 now makes so much sense! Shall always always follow this. I was doing this in the service (making reports from published datasets), but service has some limitations (can't create measures :S)

    Interesting concepts, which might be valid for standardized reports with a huge audience and that could last barely untouched for several years. However I think this is rather rare.
    What is your experience - how long do all those steps take until the report is perfectly optimized? I feel like when this baby is finally born, nobody wants it any more...

      The struggle is real. I agree that a lot of folks don't take the time to necessarily have a real process around this as it takes time and typically the business is pushing for results now. You can also easily get into analysis paralysis and constantly looping and not releasing. As to "how long", it depends. Could take a while.

    From architecture point of view it is valid, but as report developer I hate separating report from dataset. Creation experience is absolutely terrible. No DAX from dataset is visible, no data view, no data entry, measures created in report are greyed out for conditional formatting colors, and much more limitations, etc. I really hope composite models will change the game.

    hey there, on the 1st tip, that isn't applicable to automatic page refresh feature, if you do that, you loose the automatic page refresh tab in the power bi service. How about that?

    I need answer please. My datasource is Googlesheet (Beta), we added columns in our google sheet (data source), but every time we refresh, the added columns only appears in Power Bi Desktop, not in Service. Any idea why? and how to resolve without re publishing it (if possible)?

    I'm a bit confused by Step 4 - Optimize Your DAX.
    I understand that I can use DAX Studio to look at the DAX that Power BI sends to the data model when a visual is refreshed. But what benefit is there of optimizing that query? Doesn't Power BI decide what query to issue against the data model? Can I force Power BI to use a specific query for a visual? Or did you mean, optimize the data model?

    Love the videos, learn a lot.
    I'm already breaking up my report and data into two different PBIX files.
    I noticed that you copied the query after using the performance analyzer to find any DAX improvements. DAX Studio does not allow us to use a live connection, so I need to open the PBIX for the data model and connect to that.
    Am I losing more functionality by having the PBIX split?

    Hey .. Im a newbie to your PowerBI and your channel. Watched a few vids , its been great, thanks! Question : I am using Direct Query to a source which is not one of the list that Power BI knows. (1010 data, had to install odbc driver and 1010data connector for this). I publish report , go into Services , can see the report, however I get an error message saying it does not recognise the source.

    Great video. I've definitely seen some Report Babies that look like the baby from Tim & Eric's Where's My Chippy (between you and me, I may have contributed to some). So we are not quite there with a Data factory and are still running pro as not viable for premium yet. but for reports that need to be love trying to keep on top of everyone who puts sql scipts to direct connect is proving challenging. any tips? we are using dat sets for most and data flows for others but som people need to model the data so need the direct connection.

    Thanks Patrick! I want to share with you one problem with splitting report and dataset. If we publish the dataset in one workspace and the report in another workspace, the users need to be at least contributor at both workspaces to download reports created by using the dataset.
    I reported this issue and they actualized the list of limitations and proposed an idea to solve it. This is a limitation and it is quite confusing since, if you give build access to users to the dataset, then, they can create, publish, view and edit reports with this dataset, but they can't download it.
    Please, would you vote for the idea to solve this problem?

    Hi Patrick!
    I am not sure that separating the model and report front-end is always a good idea.
    Working this way is annoying and takes longer time, especially when the dataset (pbix file) is quite big - you want to change a simple thing in the dataset, and then you have to publish it every time and that can take time!
    However, maybe I am doing something wrong - what do you guys think about it?
    edit: haha, you got something for me, nice! :D
    Unfortunately I cannot install software on my work laptop :(

      If you like PowerShell the code is open source and you can also run it directly from powershell, without installing specific programs:

      Not all organisations allow for PowerShell script to be run. I know mine doesn't let me do it. :(
      I ended up creating a python script to do the exact same things after looking at what hot swap was doing.
      Script could be better written but it does the job.

    HELP !! By design, “Publish to web” doesn’t work for a report based on a shared dataset. But I don't want my business analysts to have access to the underlying dataset, so I have stored it in another workspace. They have Build access on this shared dataset, and build reports based on it, in their own workspace. Is there any hack so they can publish their reports to web??

    Hi Patrick, I have created a report which collects data from different locations on share point page. each location is restricted to specific users. when I test one of the users who should not have access to all files, he still sees all data. in my connection to all files, I used the Organization log in. any idea or tips why security is not working?

    Thanks. Very informative. Is there any possibility to have source control on the PBIX file or its constituent member files. I understand this is a binary file. I am often struggling to come to terms with controlling the changes. E.g. A slight change to a DAX query which could have un-desirable consequences to my final report.
