Here is my cheap and easy backup workflow that I use for storing and editing many terabytes of 4K video footage! With a few hard drives, you'll have much greater peace of mind and be protected from data loss in the event of a hard drive failure.

To anyone reading this: take backing up to multiple sources more seriously than anything else you do. I've had two drives fail in 2 years after never experiencing a harddrive failure in 20 years prior. Shit happens. Assume that it will and be prepared. You'll thank yourself later instead of paying $2000+ for data recovery that may not even be successful.
This is definitely the perfect workflow!! I was doing this but with ONE backup instead of two and dropped the backup :) so didn't lose any current projects but a lot of old stuff... will be doing this from now on and looking into online too! Thanks as always for your guidance
This is awesome Matt. This is clean, simple, and achievable. No expensive NAS system or RAIDs. I'm an IT guy that recognizes that sometimes simple is better because it's achievable and can be easily adapted into a workflow.

NAS does not have to be expensive. It can be actually pretty cheap and easy to set up (i.e. Synology DS220j with 2x16tb drives). Also, more elegant than plugging in hard drives and running sync software.

@@whoismatt raid definitely can fall into the cheap category because you can potentially use used drives as they can be so refurbished very cheaply and you need a high level of redundancy with them
Oh man, you are a meticulous and precise as me! I thought I was the only maniac acting the same ways with file storage and more when it comes to professional work. 👍🏻. I learnt my lesson when I a HDD stop working and I didn't backup months of video and photo files to the 2nd hdd. now I have 4! 2 plugged in, 1 stored, and an online back up.

Great advise Matt, I think too many TH-camrs have incorrectly promoted NAS drives to their audience who really don't need something so complicated and expensive, this is a much more sensible way to back up.
Only other thing I'd add is I prefer to use smaller drives (mostly 4TB) as if a hard drive does fail its far less data that needs to be recovered and backed up from the other drive than say if a 14TB drive fails. We also dedicated pairs of drives to different clients which works as a good way of physically managing old projects.

The western didgital drives have a feature called Raid 1 which does the job of copying your file across two separate physical internal drives so an 8 TB drive becomes 4 with the data always being duplicated across two HDDs.

I have a label maker and I put labels on my drives, so I don't have to plug in random drives to find certain footage. It saves a TON of time :) MISS U PAPI
Thanks for the post. I do this with a local drive, external SSD too and cloud. My current local drive is standard externally powered HDD which seems pretty fast. I've been wrestling with SSD for all drives or just the working drive.

For backups I use bare hard drives with a dual hot-swap HDD dock. To me this is a much cleaner solution than buying external HDDs. No need to worry about all those clumsy AC adapters of every single drive when your archive library is getting bigger with more hard drives.

This is so much better of a system. Ive had Raids in the past die and also get corrupted files. They are expensive too. One SSD plus two WD drives is the way to go and most reliable I think.
Smart move on the 3rd ssd drive, using it as the workhorse. Get the speeds without having to pay the at times exuberant price for larger capacity and have the slower large capacity HDD just for storage; makes so much sense!
I used to do it this way but buying a NAS is so much better and more convenient. I use back blaze and pcloud for cloud backups.
Thank you for the video! You can also backup all the data in a safer way by using a monitored backup system. Probably the best one is Silverstack - but also expensive. The program I use the most is Davinci Resolve. There you can find even in the free version an option to backup all the data at the same time and with a backup protocol, even in the free version.:)
I love the simplicity and very practical way to go about backing up work. Is this a Direct Attached Storage method using 2 desktop drives? Is there a benefit to backing this way over using, say a dual slot DAS enclosure?
I do the same workflow, but I used Bvckup on my Windows PC to backup! We all can't afford NAS systems like LTT so this is the best I can do.

Great video Matt! I have a MacBook pro with a 1tb internal SSD. Would you recommend editing directly from that instead of an external ssd and then transferring to a slower HD for storage after? Thanks
Awesome video! I too share a similar system. I have three 2TB hard drives with all the same data on them, and everyday I manually backup files to each drive one at a time. I also use FreeFileSync as well when needed when syncing files from my computer to my hard drive. I only have one hard drive plugged in at a time when doing a backup, just in case I were to get a virus or have data become encrypted mid-backup :)
I’ve done this similarly for years with 2 drives as backup and work off SSD’s….BUT instead of just keeping a drive unplugged and in the other room I also use a fireproof safe and pray that the fire station half a mile from my house can have the flame out in less than like the 6-8 hours the safe is rated for.

Great stuff. I use a similar system. When I do multiple day shoots, I copy everything from that day onto a drive and leave that drive on-site. If I get hit by a bus, the customer still has the footage I've captured. The drive I leave on site is a Adata SE800. It's insanely fast, is waterproof, crushproof and tiny. A 1TB drive can usually be had for around $100! Keep up the great work. Lastly, what's the paint color on that wall behind you? It's the bomb!

Thanks so much Matt! Looking into this as I type! Question - which others may find helpful? Or I'm the only one haha! Let's say you've copied all the files to the WD and then completed the project on the SSD. Would you then transfer the Final Cut Library and all exported videos to the WD (as audio/video files are already on there) and delete the library and files from the SSD? If you need to go back and make edits or do another cut, would you then have to copy the library and files (and relink) back to the SSD? Sorry it's long, hope that makes sense! Tom :)
Thanks Matt. Reluctantly, I was all set to purchase a RAID system. They seem incredibly complicated, especially for someone like myself who knows such little about programming and such. I think I'll do this instead. I appreciate the video!

And you don’t purchase raid. It’s made in newer computers in bios.
Helpmeget100subs is right. Most NAS will have some kind of software interface and will have options for redundancy or not and RAID has much the same thing.
Also, depending on which raid mode you go for the drives will be striped and split between them, or mirrored for redundancy or a combination of the two. This way, you can in a way, have your cake and eat it too as for redundancy, you will have the full file safe should one drive fail. Some will have 2, and a clone, again, one drive is for rebuilding.
A NAS also allows you to I think hot swap a failed drive and it'll then rebuild the backup if that's how you got it setup, again, the software interface will make it seamless once setup.
RAID works in a similar way, but I don't think hot swapping is an option and most PC's from at least the past decade have RAID built in, didn't used to be the case, and again, a program that comes with the computer/OS will make it easy to setup.

Im not a film maker but thus workflow is useful for me since im trying to avoid upgrading on cloud space. I hate the idea of paying for storage space the rest of my life
Two questions:
1. With the concept of 3 backups, 2 onsite, 1 offsite, I've seen tons of people use a Synology NAS in raid something. I'm not networking expert, but with the whole concept of raid being that data is mirrored on two or more drives so that if one fails, you can replace it and the other will keep the data safe, would one NAS count for the 2 onsite backups?
2. Eventually the physical drives onsite will run out of space, so you'll need to store them in an archive. I'm not only working on personal projects, but I do the sermon recordings for our church, so those physical drives will fill up after a few years. Do you eventually consider something so far in the past it's not worth it to keep the data on the physical drives anymore, or what do you do when you've got several boxes of physical drives to store?
Hi Matt! I use almost the exact same system as you except I use premiere's auto save feature to save a new version of my current project on my OneDrive so I'm always getting a backup on the project file itself
Great video! Super helpful. Do you keep your photos and video projects separate? I just bought a new drive so I was wondering if there's an advantage for keeping them separate. I've kept my raw footage and photos together since I often shoot both on the same day. What would you recommend? Thanks!

I've decided to use Backblaze & FreeFileSync, however even after the initial sync ...FreeFileSync seems to take hours and hours to update. I thought (or hoped) after my initial backup, FreeFileSync would mirror super fast. I'm mirroring an external HD 500GB on 8 TB over a network to another 8TB HD on the computer getting backed up via Backblaze. Any thoughts? Does it just take this long or am I doing something wrong?

Great video as usual! Where do you put your Cache? I have one 2TB T5 for the projects and media and another 2TB T5 for my cache. I’m using a NINJAV so my files are huge.

Matt, I grabbed an 8TB Western Digital Drive through your link. Using the Apple USBC to USB adapter and going direct from my Samsung T5 to the WD drive, it takes about 1 hour to transfer 1TB worth of data. Does this seem slow to you?
me who has my entire segment for the school show on a flash drive I backed up twice and never updated it but now the project is done so I will backup

What about backing up folders for long-term proejcts? Some project folders get populated with multiple new files over time, such as After Effects renders, MOGRT's, updated design files, stock footage / music, etc. I'm guessing you need to do frequent backups just like you do for project files, I just haven't figured out how to frequently backup these huge proejct folders without creating entirely new copies of the folder every time. There has to be a more streamlined method. Thanks!
love the process but hate the WD hard drive you chose, I had a 10tb poop the bed only 1 month after buying it. Thankfully it was only one month after buying it. Id way rather pay the extra money for one that doesn't need dc power. My go to is the Lacie 5tb. That way if one dies its not a huge loss.
Those aren’t bad either! I just have had a good experience with western digital.
not gonna lie if you think its gonna cost a lot its because you havent been charging your clients for "content insurance". and to help make it apart of your routine, take the time to back up your contacts on your phone and capture lists as well. with your media backed up and your contacts secure as well you'll never lose.
Can free file sync work over the internet to the 2nd drive connected to a second computer
Hi Matt, could you explain what do yo do with the "bad files". It's usual to me to erase some of the photos or video I took after delivering the work, this photos and videos I think would be useful. So, my question is, if I do that on my SSD, on my selectin workflow, how I erase them from the two backups? That's the thing I'm allways struggling with.

Im kind of new to the PC space and I’m really confused with these 2 SSD’s (Samsung 2TB 860 EVO and 870 EVO) I’m looking to buy one for internal storage and video editing but I’m not sure what to get I can’t seem to understand the difference btw them and the price btw the 2 makes it even more confusing as the 860 is more expensive than the 870 (not sure if this is a supply and demand thing or if there is a legitimate reason for the 860 being more expensive) can anyone help. By the way what is the MSRP on these
At least 3? I would say 17 at least :) :) :) I've been using dual recording for 8 years, and I didn't even have one of the sources bad or corrupt. Having 3 is totally unnecessary and a waste of time.

Great solution for backup. However, I wondered about a redundancy drive to mirror data for both HDD and SSD in case of hard drive failure. Should I use this as a kind of backup? I know that redundancy is not a backup. You should have some external drives to backup in case the computer gets damaged or infected by a virus. Still, I'm on a budget, and I only have my OneDrive as the only "backup" atm.
Personally I'd say back up is much more important than redundancy, especially off site back up.
A raid is only really good to back up edits as you go, ultimately they are still just one device though in one location so if there's a fire, or more likely you just spill a drink on the raid or something, you still loose everything.
As filmmakers the footage is the really important stuff so as long as you back that up to 2 or more devices as soon as you get home and then store one drive in a different location then you should be fine.
With smaller files such as project files, music, graphics etc that you use in your edits, I'd recommend just backing them up to google drive on a daily basis, no need for a raid for something like that.
As Matt has suggested, 2 external drives and an edit ssd is the best way to go for most people. My only other suggestion would be to go with smaller 4TB portable drives over these larger ones. The reason being if you do have a hard drive failure, its much less data lost and easier to back up. Also as you grow you can use it as a way to manage your data. For example we have one set of hard drives per client.

What about a NAS with 10gbe or thunterbolt, large storage and fast media to edit on. You already have protection with a raid setup in case of drive failure and for a real backup you can mirror the important files on big a external hd. Less moving files to multiple harddrives for active projects so less time/things that can go wrong to lose important data :-). I'm looking into this workflow because I had it with all the harddrives and external ssd's for next year. Thanks for the video!

@@ChessBonte The biggest issue with NAS is it's never enough. You will always eventually run out of space not matter how big you go and you still need external drives for back up/off site. Also unless you need constant multi user access to all of your footage I personally think its more risky to have all your data in one place! If a external drive fails or gets damanged its much easier to back up 4,8,14TB to a new drive than repairing your entire NAS.
My setup uses a NAS with 10gbe. I use the program Hedge to copy my media to the NAS, and a 16TB RAID0 drive on my desk. I use large external HDDs as offsite backups, though I am moving to using a cloud service instead next year (Backblaze).
The NAS is mainly for a large amount of space that I'm not AS worried about compared to a single drive, I just want to minimize downtime due to HDD failures. My wife's wedding photos are also automatically backed up to Dropbox from the NAS.
If you want peace of mind while moving files around, def look into programs like Hedge, ShotPutPro, etc that verify the file source/destination every transfer. Gives me peace of mind a clip wasn't corrupted or missed during offloading. I also use that to transfer my entire year worth of weddings to external drives, so I get a nice little confirmation that the transfer was successful and everything was copied properly.
@@JonathanPalfrey Thanks for you input Jonathan. A NAS can be expandable of course. Just handy to have a lot of projects in one place imo. The hassle for searching and connecting the right drive is a pain with this many drives. And they are labeled :-).

Basically I put stickers on them that show me a rough idea of what’s inside them and the dates and chuck them in a closet
I have a question: I am planning on getting a mac studio and do not want to upgrade the storage from 512GB (costs too much). My plan is to get a high speed external SSD Drive. Is editing on an external SSD bad or should I invest in a high storage model to edit with the internal ssd?
Editing on an extenal SSD is no problem at all. See also videos of channel Artisright, very good for MAC users. You dont even need the fastest SSD's to edit on.
Is the western digital drive just a drive that you plug into your computer then drag your files right on? Or is it something like a NAS drive that connects to a whole system?

Do you still use this method? Unfortunately just had WD hard drive fail, and I am wondering if I should invest in something more $$$ ugh. Luckily I had everything in Backblaze and the other WD (per your recommendation) but I am wondering if investing in a G-technology or something similar would be worth it.

When you edit with SSD, do you mean keep footages in SSD or just the project file? If I want to only keep either footage/ project in the fastest drive, which should I choose to keep, so that I can edit and render faster?

I've been told this method is risky because if one of your source files gets corrupted it will sync the corrupted files to your backup drives. Does anyone know how to get around this risk?
Maybe a dumb question, but how do you guarantee you have your files mirrored on your CARDS and harddrives? Does Free File Sync do that? Or does free file sync only compare two harddrives together? I have a fear that a file will fail to upload from my card, then I'll format and keep shooting with it before realizing.
I usually just use the built in copying software and go through a few of the clips to make sure they play properly. If you’re more paranoid you could look into using a program like hedge that I believe checks the file integrity when you copy.
My 3rd backup I take with me when I'm working, so if my house burns down or some pos break in and steals all my stuff. I have all of the work with me . I have NEVER heard anyone say "Ii wish I didn't have so may backups
Question! I am editing a 3-minute video using PROXIES (original files are 4k 10-bit 150mbps, if it matters). I don't have an external SSD for editing, leaving me with two options:
1. Editing from my internal disk on macbook air 2020 M1 (8gb RAM), on which there is only about 200GB free space.
2. Editing from my external hard drive, which is not SSD and therefore not so fast.
What would you recommend? Thanks a lot in advance! :)
If you’re using proxies you can probably use the external hard drive and still have things be pretty smooth

Here are the questions that I don't have an answer to.
Why in the world am I keeping old work files for videos that sit on TH-cam that I will never edit again? With everything from graphics, ATEM Mini Pro ISO, Rodecaster Pro, and the DAW recordings, these are 50GB folders.
Should I keep only one copy of the final MP4, one copy of the final audio MP3, the final graphics, and nothing else, which keeps it at about 4GB
What are other TH-camrs keeping in a backup archive?

Has anyone else found that Western Digital HDs are unreliable? I've lost 3 drives from them in 2 years. I have a small budget. So just bought a bunch of SDD from Sandisk and backed up the rest online.
Is there other manufacturers you'd recommend that are more reliable?
