Managing your teams workload in Asana

    thanks for your videos! quick question: all of my teammates on the workflow view have all these same workload. what am I doing wrong?

    Hey Paul - your videos are so helpful! Wondering have you got any ideas how to manage the portfolios/workloads for hours? Ie. not all tasks are created equal. Def a benefit of Streamtime...

      Thanks Devon. Well in the Workload tab of portfolios, you can set the hours to assign to a task to show how long the task is going to take. That way you can differentiate large vs. small tasks.

    Every persons has Approximately fixed hours of working, say 8 hours or 10 hours in a working day. If we can give hours of workload, Asana can show it graphically that how much workload to that person in particular day. say workload is 50%, 60%, 80% or it may 120%
    So graphs shown in asana to show workload can be utilized to show is there sufficient workload for each team member.

      This is now possible in Asana if you're on the Business plan.

    Hi Paul, thank you for this. One question: Is there a way to add a utilisation feature?
    E.g., John is booked to work 60% of his time (3 days a week) for 3 months on a task, therefore, he has 40% of his time free to work on other tasks, so I'll book another overlapping task for 20% of his time (1 day a week) for the same 3 months.

      So I think you'd be able to do this by creating a task with the date range set to 3 months and you'd need to work out the hours to be divided across this timeline (i.e. 8 hours a day x 3 days a week x 12 weeks = 288 hours in total). However, with workload, you can't really say it's 3 days each week. It would need to be shown as 5 days a week with 4.8 hours per day of work assigned. Hope that makes sense.

    Can I see all of the portfolios together as like a master list of projects across different portfolio groups?

      You could simply create a portfolio with all projects (projects can be added to more than one portfolio). You can also create a portfolio with other portfolios in it as well.

    Does the workload graph have an option to show y-axis values? It would be helpful to see % utilization of each employee instead of having to guess at a rough estimate.

      It does not I'm afraid. You need to hover the mouse on the timeline in order to see the hours allocated each day.

    Hi Paul, thanks for your video, here's some questions, can I use the workload features with another team member or guest member whose didn't get a business plan

      No, I don't think so. The workload shows projects in your paid team and if you invite them to the team or project they will require a paid seat on the business plan as well.

    Do you know that if you were to prioritise workloads so that say, a holiday day in the middle of a 2 week task will mean that the time needed for any task will be deferred to the days around the holiday? Bit like how asana treats weekends? We're having trouble juggling between long tasks being taken on and the odd day where, in the middle of those tasks a smaller one-day task will crop up and they will suddenly be in the red. Would love a way to specify that yes, they are working on this task that takes 20 hours over 2 weeks HOWEVER on this friday they're doing 0 hours on it because this task has appeared. Thanks!

      Great question but I'm afraid this isn't possible in the current version of Asana. :(

    Is it possible to have only managers with an upgraded business version while the rest of the team had a regular version?

      Unfortunately not, you need to upgrade either an entire team or the entire organisation (and you need to purchase at least 5 seats).

    Hi Paul, thanks for doing this video. I have a simple question that I am unable to find an answer for anywhere else. Can you see effort (I use hours) across multiple portfolios combined? I have employees in multiple portfolios... perhaps that is the issue?

      Ah, right now this isn't possible. Your only option would be to combine all projects from the two portfolios into one master portfolio.

    Hello Paul, could we have some teams in free version and others in premium?, and from de premium users assign taks to the users with the free version?, BR from Mexico

      Yes, you can upgrade just one team to Premium. But any member who is part of a project or assigned a task in a project within the Premium team would need to have a paid license.

    It's got a lot of potential but the fact you can't set the hours per day on each task is a real gap. I'm currently looking for a tool that will allow me to graphically demonstrate the teams workload to assist with resourcing decsisions. I'd hoped this was it.

      You could add hours to a task using custom fields which is a premium feature. However, this won't show in the workload. I expect Asana may update this in the future though.

      You can't really create a report on the workload. I guess you could just take a screenshot.

      Make sure your account is set up as an organisation first (rather than a workspace). You can then create a new team on the left hand sidebar.
