    I've used Tasks for a long time but did not know that I could simply drag an email into like demonstrated, that's a time saver for me, thanks.

    A gem. Thanks trillion on converting emails into to do list. After days of web search, I landed into this video. I had been looking for automated ways to prioritize email, plan a day's work and also have a record of work done in day, week, month. You have solved this problem. Already liked the video and subscribed to your channel. Looking forward for such more videos. Thanks again and regards.

    One way to speed up the email dragging process is to drag it to Tasks with a right click. This allows you to copy the email as an attachment (as you've shown) and still keeps the email in your inbox to archive. You don't get the email body text in the task, but can still open it from the To Do app.

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว

      True - I prefer the email in the body, or just use Outlook web app which I find myself using more and more

    Thanks for the video. I often drag an email to the task icon with the right mouse button held down as you then get an option to include the email to the task as an attachment rather than text.

    • @MeeTime
      @MeeTime  3 ปีที่แล้ว +1

      You do, great little tip. I like to have the text in the notes of the task as well as the email attached (to reply easily) so needs a double drag - but better to have everything you need when doing the task. But that's just me 😆

    Informative video that made me decide not to combine todo and outlook as it seems like a big hassle. Hopefully Microsoft will further integrate the two in the future so that there is an easy way to mail back from a task in the desktop version of Outlook

    Hi,
    Nice videos.
    A constructive addition to this one:
    Create a Quick step create task with attachment + move to archive is in my opinion the quickest way.
    One click (or Ctrl Shift 1) versus a drag an drop into tasks and drag and drop to attach and click to archive.
    Only negative is missing the body of the email in the task, but is the defined action (GTD) not more important than direct access to the body?

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว +1

      Thanks for the tip Dieter. I had a play around with this previously, but I did miss having the message in the body - the additional step in the creation saved me an additional step later, but I can see why some people might prefer this the other way round 👍

    How do you make an email into a task in 'New Outlook'? Dragging the email to the Tasks icon does nothing.

    • @MeeTime

      It works like the web version, Sean, where a ToDo side element is available on the right hand side (along with calendar) and you can drag and drop into here 👍

    Nice video. If you create a task in Todo from an email when can you archive the email in your inbox. When the task is complete or can you archive it straight away?

    • @MeeTime
      @MeeTime  3 ปีที่แล้ว +1

      Hi Simon, if you use the Outlook desktop app and embed the email like I showed then you can archive as soon as the task has been created. Similarly, creating the task from Outlook web app seems to create a link that works even when the email has changed location (to the archive) but worth testing out for yourself so you don't lose anything if you are using this method 👍

    Great videos - how about new Outlook (Mac). It no longer has Tasks. The ToDo icon does not show, it is under three dots. When you click on that it opens in web.
    Is there no way to turn an email into a ToDo other than flagging?

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว +1

      Yeah, it is a shame as they transition, but I think the roadmap is to essentially make all versions of Outlook the same as the web app over time so I find myself using the web app more and more.

  • @thetoddlohenry

    At 5:50, you say unfortunately I can't reply to the email from here, however, if you're using Outlook PWA and you flag an email either by dragging or flagging, it does retain a link to the original email and you can see that link and the email when you are processing in To Do. imho, using the Outlook app is not as effective as Outlook PWA. Keyboard shortcuts for one are much more effective in PWA. Cheers!

    FYI - if you use the Outlook Web app to drag your email across to create a task in To Do and then move the email to another folder to store, it breaks the link to your email in To Do and you have to go and manually search for your email in outlook.

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว +1

      Thanks for the comment, Adam. Strange, it works fine for me if I am adding it to the default archive using Outlook web app
      Are you moving files to an offline archive or folder stored in a separate .ost file via Outlook desktop?

      I still use the desktop app, but Microsoft seems to be developing the web app more quickly, such as just announced GMail-esque suggested words, @mentions and links which are coming to the web app first so it is tempting to go for the web, but habit keeps me in the desktop app 😆
      What about you?

    What are your thoughts on setting an email in Outlook as Flagged instead of creating a task. In To Do, it shows up as a 'Flagged Email' but does not seem to have the same positive properties as a task...

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว +1

      If it works for you then it is fine - you can still move tasks around from the flagged email folder. I find a couple of things though (that may be features or bugs)
      1. If I move the original email, if I have attached it to the task then I can always get back to it. If I flag an email and move it it seems to break the link and not display the email.
      2. More of my junk emails seem to automatically add a flag so most stuff in my flagged email in ToDo is from junk emails, so I tend to turn it off.

    My Microsoft To Do Tasks dont sync with my Outlook Task do you know how to fix it?

    • @MeeTime
      @MeeTime  3 ปีที่แล้ว +2

      Hi. Hmm, not sure.
      This might sounds stupid, but first make sure you have the same logon/email address in both Outlook and To Do (as I have multiple emails and got confused by this before).
      Other than that, the only thread I found online was this one: techcommunity.microsoft.com/t5/microsoft-to-do/to-do-not-syncing-with-outlook/m-p/362658
      and someone half way down suggested that adding tasks in Outlook with quick tasks did not sync - so try adding them as shown in the video if this might be what is causing your sync issues

    I liked this video. I believe many of us are struggling with too many emails and letting other people take control. I also agree with @Hogne Bo Petterson that my colleagues treat email like it's a chat. So shutting off my email for the rest of the day will probably be too drastic. Maybe processing emails 2-3 times a day could be a suitable compromise as a start. Can I pause synchronisation of e-mails in Outlook mobile without using flight mode? At the moment I'm not ready to stop synchronisation entirely and I want to be able to answer incomming phone calls and text messages.

      Hi Johan. Great question. I just turn off all notifications for the Outlook app (on iPhone, presuming you can do the same on Android) so emails only display when I go into the app. Calendar syncs with the iPhone calendar and so I still get reminders for meetings etc. Hope this helps 👍

    Thanks for the great video, but you haven't explained how Outlook Desktop's Tasks section can be synced with Microsoft ToDo as you've shown in the video. I'm using Windows 10. I've looked everywhere online, but can't work out how to do that.
    Can you please explain how Outlook Desktop (2021) can be synced with Microsoft ToDo?
    I'm not using Office 365.

    • @MeeTime
      @MeeTime  2 ปีที่แล้ว +1

      Hi Kim, I'm not sure if the problem is not using Office 365. If you have a Microsoft logon and use the same logon (and email address) for Outlook and Microsoft ToDo then the Outlook tasks will automatically be in sync for ToDo. If you have separate logons or using a personal vs business licence then there is no way to sync them.

    Two things: 1 really good video teaching features. 2. Please, please, please, get to it. I'm usually not impatient. But when I see a video that says "How to Use Outlook and Microsoft ToDo" I want a video on that. I had to go 2 1/2 minutes into an 11 minute video to get to content. Please, just get to the content. In fact, the content in the title of the video is labelled as Part 2 of the video. Make part 1 another video. Just get to it.
