    This is so amazing!!!!!!! The best onenote organization I’ve ever seen. I will be overhauling my onenote asap!!! I would also love to see “My Onenote in Action” video. Like how you use it through out the day….or maybe how you complete a weekly review at the end of the week. You are my work organization hero!

    BLOWN AWAY!! I use OneNote, but not like this. I've been trying to find some way of organizing my multi project, multi responsibilities to multiple people kind of job, and I think this kind of set up will really help! Love the trigger words too. And the color coordination. And the different logs! Omg..I loved it all. Thank you.

    I love my Apple products and they are my choice in my personal life. However, at work I use a PC and can only use the Microsoft tools it comes with. Productivity videos using Microsoft tools like this one are so helpful to get the best use and experience. Thank you.

    Love it! Great job. A tip you can do in a page where you have a header and you can indent the paragraph below the header, a triangle carrot will show up on left hand side and if you double click on it. It will collapse and hide the content showing only the header. Another tip I do for my archive area is a table of content on the main page and I have months as sections. I put in links for content I archived for the corresponding month. At the end of the year it gives me a nice overview of my work broken down by months.

    What a thorough and functional planner system. Bravo for sharing this. I've been watching Tiago Forte, Ali Abdaal, and Thomas Frank for at least a year. I have also read David Allen's book GTD. I broke down after over a year of Notion and bought the Building a Second Brain Notion template from Thomas Frank. It is awesome but also overwhelming. My biggest challenge with "Planning" is the capture and keeping a functioning task list. I also suck at the review process. I have ADHD and own/run two businesses, a CPA practice and an insurance agency. Plus we have 5 kids, 10 grands, and 6 greats. I need something simple enough to function properly but also complicated enough to keep up with deadlines What drives me crazy is the "Inbox" comes from so many sources. Emails, Texts, FB Messenger, phone calls, and in person interruptions. Everyone's brain works differently so planners are very personal. It's hard to find what works best for you individually. I just use one for work. I have the Plum Paper. Thanks again!

    This is exactly what I am looking for! I use android so I don't have access to some of the other apps journalers use and I hadn't found anything that worked for me. I actually need it to keep medical records and keep track of caregiver duties, trying to do it in a paper planner has been incredibly overwhelming and I can never seem to get it to work right plus it being HEAVY. Thanks so much 💙

    I just CAN NOT. It feels like you crawled into my brain and like a magician showed me the answer to my problems.
    Ive recently transitioned from bedside nurse to Clinical Manager. I width and breath of my role has made time and task management utterly overwhelming. So many links, projects, moving parts, pivoting. Always pivoting.
    Every time I think I find a solution it works for a week before it falls apart because it's not COMPREHENSIVE like this!!
    And I think this might just do it for me. My brain hurts at just how well this could work for me.

    Yay!! This is amazing! I also use a combo of GTD and Building a second brain for my planning and knowledge management. I start a new job tomorrow and I’m hoping they use one note so I can setup something like this, I think it will help immensely in my new role.

    I recently moved out of a Google world to a Microsoft one and this series was so helpful. I’m desperate to know how you set up the auto-population from the recurring task list on your dashboard to the list of tasks on your weekly plan!!

    I love One Note and have been testing it as part of MS Teams meeting notes recently. Linking it on the Teams Tab shares it with the audience - much easier to keep track of tasks, save attachments and track next steps when all in one place (and not lost in my email black hole vortex 😊).
    Thanks so much for this. It has given me such inspiration to share specific info with my team through OneNote that is relevant and simple. Love the weekly set up and review tabs. 👌 Will definitely incorporate this into digital planning.

    Fabulous video! Long time subscriber, first time poster 😊 I’ve been using OneNote for years both at work and home, and am very familiar with the productivity processes you mentioned. I have always struggled with implementing then cleanly in OneNote. This video has given me so many ideas and I especially love the dashboard and planning sections as that has been one of my biggest hurdles. Keep up the great work!

    This is great, because it describes organizational strategies rather than just retelling software features.
    One question I have as a new user of OneNote is about pages with subpages. Do you use the page as a cover with little to no content on them, with the rest covered in the subpages, or do you have a purpose for the pages themselves? I find as soon as a page has subpages, my brain treats it like a category and I do not tend to click on it to read content. Not sure if I should retrain myself, or embrace that approach and let the pages (with subpages) be blank.

      Great question. I am still playing around with this as well. If I have a lot of sub pages (e.g., page is Team Meetings and sub pages are individual meeting dates with notes and actions) then I will use the parent page as an index with links to the individual pages. Keeps me from opening up the sub page group. Hope that helps.

      @@PlanningAnnie yeah I've been trying to come up with a symbol I can use for pages with sub pages and have leaned toward having no content on the top page. So for now I put a space and a double colon at the end of my cover page title so it looks a bit distinctive and shows up in a search.
      For the page itself... I have been leaving blank. However I am thinking it might be a place to put a few cross-links to similar items elsewhere in my system, or perhaps a description of the intended content or rules for the pages below, but definitely no actual unique content on the uppermost page.

    This is FABULOUS, and I'm totally stealing. Like you, I work in an organization where I deal with a lot of confidential data, and we can't just use/store info in any random (SaaS) tool we feel like. We also have the O365 platform, so OneNote is where I gotta keep track of my stuff.

    What a great setup! When i saw your recurring task list (being from a manufacturing background) my first thought was 'that looks like a Standard Work sheet from the Toyota Production System. Which is in the end a set of productivity tools created for the car manufacturing industry and is the origin of things like 5S, kanban...

    I absolutely love this setup! Is there a way you could make this a template that we could purchase or something like that?? I’m going to be brand new to onenote so having a starting place would be great!!

    I use Onenote for everything, personal, professional, education, home, vehicles, etc. 🎉. It has been my second brain for more than 10 years, guess I am dating myself.😊😂 Looks like you are off to a good start. I love the search feature, sharing of notebooks, syncing to other devices and customized tags! Wait til you start adding digital stickers Annie! I know you love stickers.😅. Thanks for sharing.

    This is great! I think my questions would be around how you make sure you’re not double touching information through your capture process.
    One of the best tips I learned was from Tiago around only touching information once in your capture method and putting it in the right place the first time (i.e. time driven? Calendar. Task Driven? Task App. Reference only? Note capture app.)

      Great question and it is a constant quest for me. I am focused on exactly what you have stated - capturing items in the right place the first time. For me this is almost 100% in my dashboard pages. Would love to hear thoughts on the best way to accomplish this from others!

    15:18 Annie - Thank you much! My work is forcing me into OneNote and, as a long time GTDer, this is something I can relate to. Two questions though:
    1. At the end of the week, does the current week planner move somewhere? Archive?
    2. For your 1:1 meetings, do you continue subsequent occurrences on the same page or do you start a new page?

    This is so helpful and totally how my brain works. Question: it appears your main notebook has sections for Inbox, Project, Area, etc. but then are there sub sections for Project 1, Project 2, etc? I’m confused by the structure as I’m trying to replicate it.

      Yes, I have a tab group for Projects and then each individual project I am currently working on gets its own tab, e.g., New Training Deployment project, New Site Development project, etc. Within each individual project tab, there are pages for that project like the charter, the milestone table, meeting notes, stakeholder matrix, budget, etc. Hope this helps.

    Nice layout. Our organizational styles are similar. My work uses Office 365 so there is a lot of integration with ToDo which I have organized like GTD. I also use the Loop components for tables and checklists. I’m waiting for Loop to be able to be imbedded and used in ON. That will be a game changer for me.

    This is great! How did you create the calendar image? And what is in your Projects Planning subpages?

      The calendar image is from a freebie year at a glance, cropped down. For projects, each project has a tab. I then group all the project tabs together and call the group Projects. Pages include a standard charter, running action items list, contacts list, reference links, regular reporting, etc.

    Neat. I'm working the paper to digital move for all my work things, for me or anyone in a similar position. Much of our team's data is scattered; working consolidation. I see a lot of folks manage with the bare features; your version provides more guidelines. Also setting tracking pages for mid-year, end-year scorecards.

    Thanks for a great walkthrough! Question: at about the 14:50 point, you start talking about your custom tags, one of which is the Migrate➡tag for when you need to defer a task until later. When you "move" these tasks to the next week (or whatever future point), is it just a copy/paste to put it wherever it needs to go?

    how do you set up the what looks like floating tabs to the right of your INBOX tab ... 1-Projects, 2-Areas, etc? Also do you have a link to your PARA method set up and pages?

      those are grouped tabs in a "section group." Right click in an empty space where your tabs are and select "new section group"

    Thanks a lot for all your advices, it's really helpful and makes me want to try it immediatly. I've tried to set up a tool/structure to organize my work and I think that fits totally my needs. For your Weekly plan, Team meeting and 1/1 Meeting pages, ha=ow do you do every week ? Do you delete the existing one and replace it by a new one, clean it to reuse it o you add a new page below the other ones ? I just would like to be sure of the structure after several weeks.     In regard to the calendar, are the July/August tiny calendar pictures/clipings or a legit little tables you've built?

    This is truly fantastic, PlanningAnnie! I think that about all of your teachings and then you come right out with something additionally helpful. I'm curious if you happen to see this - do you know which version of OneNote and/or Windows you're showing? I use the Office suite with the Windows 10 platform at work (similar scenario to you; most other applications/websites get blocked on my work computer), but I don't seem to have the Template function or the sub-pages. Hopefully I can figure it out so I can implement some of your fabulous ideas!

      Thank you! This is the older windows version, not 365 version. Page templates for me are in the "Insert" tab.

    This has the potential to assist me with the "black hole email vortex" I am a bit overwhelmed at how to get this fabulous template started in one note. Are template available? Allen's "Getting Things Done" has been great and I have system in place. I have "Building a Second Brain" added to my reading list. Thanks for the great tips and what works for you.

    Thank you so much for your time and effort in this demonstration. It's great! One question I have: As you close one week and begin another, do you add a new page and move the future, someday/maybe, and waiting on pages underneath the current weekly plan page or do you move the completed weekly plan page to the archived section and begin with a new one, keeping only the current week in your Inbox?

      I use the keyboard shortcut for icons. For windows this is the Windows key + the period key. Not sure about Mac but would be easy to Google.

    Thank you for this wonderful content! Great ideas I'm working on implementing. Can someone tell me how to create the separate tabs such as Projects, Areas, Resources & Archives? It's like they are separate notebooks but they aren't. Lol. Thank you!

      This may be late but if you right click on the "tab bar" then select "new secton group" it creates that secondary section

      I am using the desktop version, not 365. I created this setup for myself, not template.

    I will need to look Thiago's book because when I see 3 Project sections/groups I would think each project group (1,2,3) need their own area of responsibility and each perhaps needs a different set of resources than the other projects

    How do you make all the boxes on the page? I would love to do all my stuff on one note buy don't know how to set it up

      There are a few different ways to do this. I use tables which I find easiest.

    With all the ToDos/Action Items from Dashboard how do you link all these into a daily time management for schedule?

      I use my Outlook calendar for all scheduling. And time blocking to complete tasks.

    How did you import data from one page to another? i.e. data from dashboard to your template?

      I used page templates to set up the standard, recurring info so I don't have to retype all of that. Anything that migrates from one week to the next gets copied and pasted. This is pretty minimal.

    I am using OneNote privately for a few month now and I LOVE it. A feature I appreciate is being able to print a recipe I found online directly into my OneNote recipe book. Additionally I collect ideas for day trips, a bucket list. I love that I can share my wishlist with friends and family (avoids getting gifts you dislike). It's great for various packing lists and planning a trip in generall. It is so much more than just a digital notetaking app in my eyes.
    Annie, do you ever use the tag summary feature?

      I have tried the tags feature a few times and I just can't make it work for me. I wish there was more segmenting or categorizing options.
