Apple Dictation. How to Use It & Teach it your special words

  • The Mac Dictation function is the ultimate business efficiency feature of Mac OS. Teaching it your own words is one of the ways to mastering it. It can literally save you hours of time over the course of a year, and will make you much more efficient in your productivity, minimising spelling mistakes, improving the flow of your writing, and making typed work easy and enjoyable. Whatever text work you're doing like responding to emails, writing blog posts, even writing a book, dictation makes it more rewarding.
    Taking just a little time to learn how it works and some of the commands will pay dividends for years!

    Hi helpful Phil, thank you for the section on adding special words. Very useful. However it does clutter up the “all contacts” page. I do wonder why Apple do not bring out a more simple and intuitive way of doing this function

    Excellent. Thank you so much. I was not aware that the Mac Dictation had so much functionality. I am a pathologist specializing in dermatopathology and I have a lot of medical jargon and I am going to use my contacts to embed unusual specific words. I was going to purchase an expensive voice recognition system but now I am confident this will do the trick. A few cups of coffee on me!!

    Very well done :) Still having issues teaching my Mac unusual words (despite adding them to the Contacts list)
    Any ideas there?

      Thanks. It's difficult if the dictation doesn't recognize your specialist words. Try correcting the word whilst dictation is active and hopefully Apple will learn the new word spelling.

    Thank you for this video Phil. It is very helpful. Do you know if there is any way to get dictation to recognise commands for phrases or blocks of text?

      Apple dictation can't write out whole blocks of text from a shortcut. I suggest you use a text expander. Apple has a usable expander built into System Preferences: Keyboard>Text/Text Input. However for more power and customisation I user Typinator from Ergonis software, plus there are other alternatives.

      @@HelpfulPhil Thank you for getting back to me Phil. I use TextExpander for blocks or text which is a great App. It does not as far as I can see work with voice commands but I can still use it and dictate additional text.

    This is helpful. How do you know the right commends for quotes, parentheses, delete, backspace, etc. Where and how do we learn these?

    very helpful. I have a database of medical vocabulary. is there a way to import all of the medical vocabulary/jargon into the contacts all at once?

      @@HelpfulPhil I've discovered a way. You can convert your vocabulary list into a .vcf (vcard) file either by using a .csv -> vcard converter; and then you can import the vcard using the icloud contact services.... this way you can keep a "for dictation" folder in your contacts on the icloud, and delete it if you find that it spams your entire contact list

      that's not available in Mac standard dictation routines. For advanced dictation you need to turn on Voice Control (Ventura) in System Settings

    thanks for the video, all caps on command does not seem to work for me - would you know why perhaps? Everything else works. I'm on the lates macOS Sonoma.

      Yes you appear to be correct. I guess it's a bug in the software. If we bring it to Apple's attention maybe they'll fix it in 14.2!

    What version of the macOS are you running and on what hardware? Different OSs have different dictation ablities

      I’ve run everything from Hi Sierra to Monterey, iMac & MBP. Dictation works the same. What differences have you found?

      @@philbinks Thanks for the replay. I'm running a much older Mac, but I'll be moving to an M1 shortly. My understanding was that the dictation could be handled locally on M1 Macs and didn't need an internet connection.

      ​@@1monki local hosting has been available on previous OS's , but hosting the dictation library locally takes about 500Mb storage and doesn’t work well on your other computers.

      @@HelpfulPhil I use dictation a lot, so half a Gig dedicated to it is fine. Hosing it locally gets rid of the 30-second limit that, I assume, the server version still has. But yeah, it's only supported on computers with the M1 chipset. Local dictation requires the M1's A.I. hardware to work.
      I'm just wondering if I can get rid of the old P.C. version of Dragon NaturallySpeaking, which requires virtualization to work. But I'm probably not going to know until I test the new hardware.

      @@philbinks Okay, now that I have an M1 Mac mini, I can report that dictation doesn't need an internet connection, at least not in Monterey, and I haven't downloaded any extra software. I also didn't notice any drop in quality while it was disconnected, nor have I seen a time limit. But I haven't really tested that. When adding words to the Contacts app, it's possible to add a Phonetic First/Last Name field: Card > Add Field. Anyway, thanks for your tips. I think I have everything working well now 👍

    Any difference in which Mic you use: Internal Mic, Headphones or USB Mic?

      Nope! You just have to make sure that your chosen mic is selected for input, and actively listening.

    This was an exceptionally frustrating video to watch. You tease everyone by doing exactly what I wanted to learn by tuning in to this video, But then I had to sit through an infuriating nine minutes until you got to the actual solution. Why didn’t you just say at the outset that you can train Apple dictation the proper spelling of unusual names or words by putting those words into your contacts???

      Hi Bob, Thanks for the comment. This video was for teaching people what Apple Dictation can do and then how to use it. The 'chapter list' in the video description shows where the Adding Special Words section is. I also recommend that TH-cam watchers use the play speed setting to move quickly through videos where they know most of the data.
